What challenge were you trying to address with TIMIT SOLUTIONS, LLC?

When we were in the thick of the COVID-19 pandemic, we needed to implement contact tracing for our staff and visitors, so we wanted to develop a software that can track and make sure that the people coming into our building is safe.

SOLUTION

What was the scope of their involvement?

TIMIT SOLUTIONS built an Android and iOS app that people can access to log in and answer a series of questionnaires in order to determine whether or not they could come into the building.

The data of the questionnaires will then be automatically collected through a Google Sheet so we can manage and track everyone.

I was mainly in contact with Tim (President).

They were referred to me by a friend of mine.

How much have you invested with them?

We spent less than $10,000. They actually gave us a discount since we’re a very small nonprofit, and we really appreciated how they worked with us on that front.

What is the status of this engagement?

We worked together from August 2020–March 2021.

What evidence can you share that demonstrates the impact of the engagement?

The app they developed has been a huge time saver, since it significantly cuts down the time employees spend filling out paper questionnaires. Processing and cross-referencing documents have also been seamless, and the data is consistently accurate.

There were a couple of instances when the information wasn’t being sent to me, but TIMIT SOLUTIONS were very responsive in identifying solutions so they were able to resolve all of our issues.

How did TIMIT SOLUTIONS, LLC perform from a project management standpoint?

They were very communicative, organized, and flexible. Their approach to project management made the process much easier for us.

What did you find most impressive about them?

We liked their streamlined service and the fact that they were local to us.

Are there any areas they could improve?

There’s nothing they could've done differently. They were great throughout our partnership.

Do you have any advice for potential customers?

I advise you to make sure you’re keeping open communication. They were very easy to work with and I don’t think anyone would be disappointed in that.

They were responsive, responsible, cost-efficient, and they always adapted to our ever-changing guidelines.

What challenge were you trying to address with TIMIT SOLUTIONS, LLC?

We needed to develop an ordering portal for one of our clients.

SOLUTION

What was the scope of their involvement?

TIMIT provided complete conceptualization, development, and production of a website for one of our large cosmetic clients. This website allows our clients’ associates to log in and order uniforms from behind the counter. TIMIT used Magento for development.

We had multiple meetings with the team and a discovery phase. Initially, they built flow charts and models for our client to review and edit to determine the proper direction to follow. 

There were many stages to the conceptualization. TIMIT met directly with our client and me multiple times over three years to develop this product. After this process, TIMIT moved forward with the development of the portal. 

Currently, they provide ongoing support and maintenance for the website. TIMIT handles any modifications, changes, revisions, and updates to the website. 

What is the team composition?

We’ve worked with a team of about six people from TIMIT, though Tim (President) has always been our main point of contact.

How did you come to work with TIMIT SOLUTIONS, LLC?

They were referred to me by a friend who knew them. I interviewed several companies and was most impressed with TIMIT’s responsiveness and capabilities. Their presentation and follow-up were also impressive.

How much have you invested with them?

So far, we’ve spent about $120,000.

What is the status of this engagement?

We started working together in June 2016, and the engagement is ongoing.

What evidence can you share that demonstrates the impact of the engagement? 

Thanks to TIMIT’s work, we’ve secured three contracts with various brands to use the ordering portal they created. We actually secured our most recent contract within the past three months.

During the development process, our client was continually changing their needs, and the TIMIT team was able to adapt and respond to those changing needs. 

How did TIMIT SOLUTIONS, LLC perform from a project management standpoint?

They've performed excellently from a project management perspective. During development, we had weekly calls, and they provided call recaps in writing. 

Our communication is mainly through Zoom and in-person meetings, and we also use email and text messages. 

What did you find most impressive about them?

The best thing about TIMIT is their responsiveness. Additionally, they were fantastic throughout the entire development process. Working with them has been a really good experience.  

Are there any areas they could improve?

No, there isn’t anything they need to improve; I haven’t had any disappointments along the way at all.

Do you have any advice for potential customers?

Provide TIMIT with as much information as possible about your project and your needs. When you’re custom-building a portal, you have to find the tools that specifically meet the needs of either your company or your client. Finding these tools is not all on TIMIT; you have to know what you want before going to them.

I am the Executive Director of the Whitin Community Center (WCC). The WCC is a 501(c)(3) non-profit organization committed to the health and well-being of individuals and families and building a strong community in the Blackstone Valley.

For what projects/services did your company hire TIMIT SOLUTIONS, LLC, and what were your goals?

We were re-opening our facility after being closed for 4 months due to the pandemic. We suddenly had to track everyone coming in and out of the building, screen them for COVID-19 symptoms, be able to do contact tracing should the need arise, and have everyone sign a waiver that they were aware of the risks. We need a tool that we could use in multiple languages and be simple for our members, guests, and parents (of our childcare students) and for our staff as well.

How did you select this vendor and what were the deciding factors?

We received a referral from our training vendor and we were looking for someone who could work remotely in a quick and efficient manner.

TIMIT delivered an easy to use interface that asked the basic questions about COVID-19 symptoms, captured contact information, and tracked signing of a waiver. The information was then stored in a back end spreadsheet that our administrators could then access and screen people out, as necessary. This was created very quickly and we were able to tweak it as we used it to make it more user-friendly and assist us in the tasks that were required by the Department of Public Health.

We worked with primarily 2 people: Brynn Tornabene and Tim Montgomery, the President of the company.

Can you share any measurable outcomes of the project or general feedback about the deliverables?

We tracked thousands of visits over the approximate year that we used the program. We were very pleased with the results and the excellent support we received whenever we had an issue or question.

As I stated above, we had a quick turnaround on this project, no prior experience in using a tool such as this, and we had to pretty much test and implement almost simultaneously. Both Tim and Brynn were very responsive to our needs and helped us meet our target deadlines to reopen.

What did you find most impressive or unique about this company?

They had never done a tool such as this before and we were in unprecedented times. They wanted to make it work for us and customized it to meet our needs. We knew they had many other projects, but they gave us the time and attention we needed most. Also interesting to me was that Tim reached out to me to see if we were ready to stop paying for the use of the software once the need passed for contact tracing and symptom tracking. How many company presidents do that?

Are there any areas for improvement or something they could have done differently?

I do not have anything at this time.

I am the President of Virtual Media 360 and Vice President of Spinattic, a sister company. We design and develop virtual tours.

We went out to bid, spoke with several companies and decided based upon our expectations coupled with quality and price to go with TIMIT Solutions.

We formed a team to work with the TIMIT Team and held weekly meetings to review and prioritize and test the workings of the develope of the app with our web-app. TIMIT's team worked very well with addressing our needs and created a design that mirrored our technology stack.

Project done on time and on budget, teams worked well adjusting code and making the mobile app work to meet our expectations.

Agile development was used with regular sprint reviews and planniing sessions. Communication was a mix of in person and virtual.

They quickly understood the objectives, which was impressive. Also, worked collaboratively when needed with our team. Qualified and knowledgable in subject matter.

All of our objectives were met... challenges along the way were resolved in a collaborative manner.

The successfully completion of the project. Converting from Sage Software to NetSuite software - a tremendously important project for the small, but rapidly expanding and growing company like ours that needed to change its accounting software to one of the most advanced software on the market.
