Our company is involved in the automobile industry in Russia. We developed an ERP [enterprise resource planning] system – like a DMS [dealer management system]. It’s a system that automates automotive dealer operations.

I am the general director.

What was your goal for working with SumatoSoft?

We were operating for about one and a half years before we started the engagement. SumatoSoft helped to boost our speed of development. Their role was outsourcing a team. We have our team, but it was not enough capacity.

Please describe the scope of their work.

Their work is all software development. They helped us to develop software. It had a warranty. Part of the team was from SumatoSoft and the other part was our own internal development group, so they developed some functions and models for us.

What was your process for selecting SumatoSoft with which to work?

I have just a positive impression. I knew these guys previously before they became SumatoSoft, and I know them as good professionals. When they organized their own company, we signed a contract with them and started with them. They continue to work with our company.

Can you provide a ballpark dollar figure for the size of the work that they’ve done for you?

It’s a big project worth about approximately 3 million rubles per month, so around $100,000 per month. It is very large and our main customer is a very big dealer group on the Russian market.

What were the results of the project?

This is ongoing work. We have some deadlines. Part of this system is already in production. It’s a CRA model that is already in production, and now we are working on a service and spare parts model. We will launch it in the middle of 2015. After that, we will develop other support. Everything is successful with their work and I’m satisfied with their work.

Do you have any statistics or metrics to track improvement from the project?

Our main KPI [key performance indicators] is the happiness of our customers. Of course, we have some details. We are using a system to account our operating productivity, like the number of hours, points, and stuff like that, but it is internal information.

Is there anything unique about SumatoSoft really makes them stand out, compared to other companies?

They are a very young company and very strong and active guys. Very energetic is a better phrase. They can operate very proactively, by not only paper or contract, but also just listening to what the customer wants. Firstly, they try to satisfy us and they’re very professional with Ruby development. We use Ruby. They’re very good professionals. Many members of our team just started and got experience from SumatoSoft. They also help us to develop our people. 

Looking back on the work so far, is there any area that you think they could improve upon or something that you might do differently?

They are really quite good. I think that when they grow up, maybe it will be necessary to make some organizational changes for common things and questions as companies grow, but currently, we are satisfied.

We attracted SumatoSoft to design and develop a part of the ERP system. They provided design, backend, and frontend development. Their team was also tasked to handle data security and access control. SumatoSoft implemented role-based access, JWT-based authentication, multi-factor authentication, AES-256 encryption, logging and activity monitoring, and much more.

First, we engaged in approximately 5 informative calls to share our concept and seek SumatoSoft's expert advice on its feasibility. They not only confirmed its technical viability but also presented a clear solution vision that aligned with our objectives. SumatoSoft also provided a concise overview of the bias detection mechanism, and we established the methods for identifying bias within our company. 
We were satisfied with the outcomes and proceeded to the next steps. The next phase involved a comprehensive discovery process. SumatoSoft's business analyst interviewed six individuals from different departments within our organization, including administration, project management, and human resource management. 
Much of the effort was devoted to preparing data for AI model training. This involved leveraging datasets from our partner research organizations, acquiring data from HR companies, and gathering in-house data. Additionally, the business analyst described integration methods with HRM platforms through RESTful APIs and designed the dashboard for HR professionals to access. During the development phase, they put the majority of efforts into the: 

• Natural language processing implementation - NLP was employed to meticulously analyze text-based content, such as job descriptions and performance reviews, for subtle language cues indicative of bias. 
• Integration with HRM systems - they integrated the solution with the three most widely-used HRM systems. 
• User-friendly dashboard - they designed a user-friendly dashboard for HR departments with insights from analysis and recommendations. The testing was complicated. They integrated the solution into our HRM system to evaluate its real-world effectiveness. 

The results were impressive, with the platform successfully identifying instances of unconscious bias within our recruitment and talent management processes, spanning job descriptions, interview practices, and performance evaluations. We did find that their services came at a slightly higher cost than we initially anticipated. However, it's important to note that the quality of their services was exceptional, and they provided substantial value.
