We chose Rootstack because of their experience in the bank and financial sector, so they knew what a bank of a website needed to have in terms of backend configuration. Also they already knew how Drupal works and we needed this technology to migrate the website.

Our company needed to migrate all the data, website features, and sensitive information from the Database connected to Drupal so everything would be reflected in the new account. Rootstack created the profile users as webmaster, made a backup of the information, and migrated all the factors to replicate the operation and interface in the new Drupal account and Acquia hosting. A new Drupal library plugin was added so our Marketing team could have detailed visibility on the users, time on page, visits, and technical performance of their overall website.

We’re a digital marketing company that focuses on marketing services along with web design and development. I’m one of the partners and the operations director.

We were looking to take on some additional development resources to support some of our business without necessarily being full-time hires.

What was the scope of their involvement? 

Rootstack provides flexible development resources depending on our month-to-month needs. We’ll primarily reach out to them when we bring on new projects, tell them the specific skill sets we’re looking for, and define the number of hours. Then, they give us a few options to select from.

A lot of the work they do is within Drupal and WordPress. As of right now, we’ve only utilized their development services, but we’ve talked about potentially onboarding additional resources in the future for UX and QA.

What is the team composition? 

We work with about 3–5 developers depending on the need. Some have worked with us on a short-term basis, and others have been with us for longer.

How did you come to work with Rootstack?

I’ve been aware of Rootstack for several years now, so it was just about finding the right time and need. As far as how we started working with them, we brought on one of their developers for a short period to try them out. Things went well, so we gradually expanded from there. 

How much have you invested with them?

There’s no set amount because it’s based on time used and resources needed. We spent about $20,000 per month between December 2020 and January 2021, but it’ll probably go down in the near future.

What is the status of this engagement?

We’ve been working with them since October 2020.

We’ve definitely had more success with Rootstack over other contractors. Whereas past developers have given us work with a lot of issues, Rootstack seems to get things right the first time, which has made them a big asset to us.

We like working with them. Their developers are generally managed by our internal team within our project management tools. We haven’t been any issues with communication, so far, and it’s nice to see that they take on a lot of accountability. 

At the administrative level, It’s been great. I like that I can request a resource within specific criteria, and they’ll get things ramped up within the day if not the next.

One of the impressive things about them is their accountability. Other contractors we’ve worked with will typically just take our specs and do exactly what it says on the page. But, Rootstack’s team tends to analyze the task a little bit more. They want to understand our needs rather than just executing based on our requirements.

Challenge:At Rootstack, a team of expert web developers is always ready to solve the needs of the companies that approach us. In the case of Panamerican World, the head of this news company needed the creation of a modern and functional website, full of components that would allow it, on the one hand, to display textual content and, on the other, to enrich navigation with video modules, photographs, and social networks.Our Solutions:We love challenges. For this reason, we supported Panamerican World in the development of their first website, helping them with the design of this, as well as with the implementation of a robust and widely functional CMS, fully adjusted to their business and editorial requirements.We developed this first version of the site in Drupal, an open-source CMS that has the particularity of adjusting to any need a company has, regardless of the area in which it operates, be it a communication company or e-commerce. Our web developers implemented a robust content publishing system, which offered a user moderation system: it allowed to create a profile of editors, who were authorized to publish the articles uploaded to the CMS by the basic profiles of the platform.The website had several sections or categories that allowed administrators to define the content according to their area. The layout had a featured news component, which could be changed to suit the editorial needs of the website through a simple function in the CMS. This type of functionality gave the option of customizing the website, displaying tailored content on the Homepage.Since Panamerican World is a website aimed at a wide audience, we developed a multi-language platform, being available in both Spanish and English. Likewise, a geolocation functionality was implemented, which allowed segmenting the contents according to the IP and the origin of the user who entered this web page.

This is the main objective of platforms such as Minfo KYC, to be a solution for companies and institutions that need to verify and validate the data provided by their clients, quickly and easily, without complications or delays.Challenge Minfo KYC is a platform that assists financial institutions and companies in Panama in the task of analyzing and verifying their clients' data, based on the “Know Your Client” policy that is part of Law 23, enacted on April 27, 2015, in that country, against money laundering. To carry out this task, this organization turned to Rootstack, requiring the creation of a website and a mobile application, which would facilitate user registration and allow the creation of a data center that could be accessed by clients affiliated with the Minfo service.Our solutionsRoostack developed for Minfo a website and a mobile application, both easy to use and with a clean and simple design, which allow the user to enter their essential data to be verified and validated by specialized agents. For this validation, it is necessary that he provide information about his basic personal data, nationality, residence, work, and occupation, as well as other references that may be required.After the person's profile is validated and confirmed on the platform, their information is available within the website's data center, which can be accessed by any company or institution subscribed to Minfo that requires it. About Smithsonian: The Smithsonian Tropical Research Institute is a research center that aims to expand and disseminate knowledge about the past, present and future of tropical ecosystems and their relevance to human well-being. Located in Panama, it annually receives more than 900 researchers from the United States and other nationalities.Challenge:The website they had for sharing knowledge was old and it was difficult to manage. The information update depended on the technology department and the page was very manual and with integrations to different systems.It was also a static site and publishers had little freedom in choosing how to display content. It visually looked outdated.Our solutions:Rootstack software developers created a responsive multi language website, English and Spanish, using Drupal 7. We put together 30 standard content blocks and templates that can be reused in different sections of the site. We provide a content management system, CMS, that allows easy publishing of content for editors and other users, without the need to rely on a technical engineer.We updated the appearance of the site through a modern graphic design, maintaining uniformity and consistency, and clarity in the information. About R4V - OIM R4V is the Regional Interagency Coordination Platform for Refugees and Migrants from Venezuela, a website associated with the International Organization for Refugees (IOM), the United Nations agency for migration. In this web portal, they reflect statistics and information on the aid provided to Venezuelan refugees in South America and the Caribbean in different areas such as education, food and health, among others.Challenge: The R4V website, while complying with presenting graphics, data, and documents related to its management and collaboration with refugees in countries such as Colombia, Chile, Peru, Argentina, Ecuador, Brazil, Panama, Mexico, Uruguay, Trinidad and Tobago, Guyana, Dominican Republic, Costa Rica, Bolivia, Paraguay and Curaçao, the platform was difficult to navigate and displayed the content in a cumbersome way, since it was dispersed and clustered in a confusing way on the site. In addition, sometimes the way of displaying the graphics was not the most functional for the end-user.Our solutions: Rootstack completely improved the R4V website, creating a new platform that provides a better user experience to its visitors. It is a site created in a Drupal 8 CMS, quite functional and flexible that allowed the implementation of numerous data widgets to illustrate the statistics with graphs of different styles of tables, bars, pie type, among others.The visual improvement was considerable: by condensing the statistical information in different types of graphs, the navigability of the web page was transformed, making the task of consulting the available information easier.The structure of the R4V website is quite particular, totally adapted to the client's needs: when the user enters the portal, they find the general site, which shows all the condensed information of all the South American and Caribbean countries in which the organization collaborates with Venezuelan refugees.


### Heineken: Microservices to Adapt Custom Solutions
About Heineken:Heineken has been a beer company for 140 years. Currently, 25 million Heinekens are consumed every day in 192 countries and an authentic premium beer continues to be produced, maintaining the same illusion and name.Challenge: Heineken was looking to develop an ecommerce store in Shopify to sell its products in Panama. The goal was to work together with some gas stations in Panama and courier service to make the shipment from the store/gas station to the delivery location indicated by the consumer.Heineken sought help from Rootstack because there is no postal code in Panama and addresses are difficult to identify. In Panama, “corregimientos” are used to be able to indicate the exact address. However, Shopify needs to use the zip code data and does not allow you to create custom fields on the payment’s last page. To add a field, you have to pay a very expensive monthly subscription, and Heineken did not want to subscribe.Our Solutions Our software developers created a series of microservices, a small piece of code to do a very specific action that does not need a server to run, to run on the Amazon platform. Since Shopify does not allow modifying the checkout page, we had to alter the cart page including a map where the user can indicate where they want to receive the order. The microservice receives the latitude and longitude information and queries if it has a nearby gas station in a record previously uploaded to AWS. It indicates which is the closest gas station. With that information, it allows you to continue to the payment page. At the end of the purchase, another microservice in charge of sending the information to the third party in charge of making the shipment indicates it looks for the product in a certain gas station and coordinates shipment. A link is also generated to be able to follow the order. This link is sent to Shopify and then to the consumer.

Rootstack was trusted by Waterway to develop a mobile application to:

Our solutionsRootstack developed a mobile application for Waterway that provides real-time communication between pool devices and the app allowing to remotely interact and control aspects such as temperature, lights, modes and valves.
Its architecture is based on three main elements:

Waterway API: The API is in charge of managing devices per user of Waterway. Users can create their accounts and add and configure devices to their user.
Pubnub: We use Pubnub as a socket server where every time a mobile application is active, a new channel session is created. The channel is responsible for transmitting changes that happen on the mobile application or the pool device. Changes are sent using commands that interact directly with the Waterway hardware.
Mobile application: The mobile application is responsible for interacting with the API and Pubnub so the pool hardware can do its job of interacting with the pool.

 
Some of its benefits include:End-users can interact with the pool hardware directly from their phones. Users can set up multiple devices on the mobile application. They can switch between one device or another and can change settings in real time on every one of them. Users can see device changes in real-time. It allows users to set start and end times for group activity, which means that the pool will automatically perform certain actions on its own.

### Devops and QA service for a new mobile and web app
As the app was developed by the third-party software provider hired by Banesco, Rootstack was deploying the deliveries and doing the corresponding tests for each sprint.
 
This process must be done by a party other than the developer company, because the developments created by the company are evaluated and tested based on the client's requirements. Here Rootstack provides its services as Devops and QA, to directly deploy and test the deliveries in the Banesco test environment, in the AWS cloud where the entire operation of the app will be hosted.


### Inventory Management Software Migration to Rootnet
Rootstack worked along with Pemco to list all the fields that needed to be moved and map the heterogeneous data. Rootstack developed APIs Middleware with PHP 5.6 in Symphony, to execute the migration correctly and not lose important information.
For the special fields, new columns had to be created to store the information corresponding to each record in the CRM Rootnet.
 
The relevant tests were carried out before the final migration, and it was verified that everything worked correctly. Once the data migrated in the Rootnet CRM, the activations and integrations of the modules that Pemco requested Accounts, Contacts, Products, and Quotes were made. The client needed these new features to have more scope and detail when analyzing the information of the customers and products in the system.


### Platform for the management of sanitary registry
CUPFSA urgently needed to automate the management of the sanitary registry of the products they distribute and, in this task, Rootstack collaborated with a modern and practical technological solution. We developed a platform based on workflows to manage and monitor the status of the sanitary registration of the various products registered in the database.

### Creation of a self-managed portal
This company needed to make it easier for clients and insurance brokers to access information on the policies and contracts processed. Sura also sought to digitize and automate many of the basic and repetitive procedures that are made between clients and brokers to speed up the processing of policies and make this management less bureaucratic.
 
Once we listen to the needs of our client, we move on to the development of the Mi Portal web application with two approaches: on the client and on the insurance broker. On the client's side, this self-management platform offers the option of validating the policies that he has active, verifying his account status or payment status, and having greater control of the information related to his contract.

### Design and Implementation of a Software for MIRE
Rootstack helped MIRE on the Implementation of a Software for the Registration of Students Abroad.


### Improvements at infrastructure level of website
Infrastructure improvements were made. In the first stage of the project, work was done at the architecture level: the application on which the portal runs (CKAN) were updated, the framework was changed and the fireserver was also removed from the backend server.
As it is a portal that manages public statistical data, data sets are generated in it, such as: publishing the budget for the year 2023, then every month the information is updated and how it is executed is uploaded.
All these documents were stored in the backend server and with the improvement that Rootstack implemented, they were taken to another server, a server exclusively for the fireserver. From the backend, a "question" is made to the other server about the documents and thus the information can be accessed.
In addition to this, a page redesign process began. The experience on the old page was quite rustic and not easy to search and the visualization was not very modern, they also wanted to implement a statistics microsite from the administrator: how many people access the staff, from which countries access, what are the sets of data most consulted by citizens, etc.


### Design of a Software for Registration
Work was done for the Ministry of Foreign Affairs on the design and installation of software that would allow international students to register for international scholarships. This software included a number of fields for collecting all of the relevant information from the student.
Key features of this project

Creation of a registration form that contains fields for the following information: profile photo, personal data, place of study, type of scholarship, name of the university, among others.
Registration of scholarship holders abroad: Allow the registration of scholarship holders abroad, with no quantity limit. It contains the following Basic Information fields of the Scholar Abroad: first name, middle name, first last name, second last name, identity number (ID or passport), date of birth, gender, photo of the scholarship holder.
Contains the following Address fields: country, province, district, corregimiento, specific address, postal box (optional).
In addition to this, the student registration software collects information about: contact details, academic level, employment information and also if the student is going to opt for an international scholarship.
Creation of a plugin to reset the user's password through the email provided to the system.
History tab of procedures or applications for international scholarships.
Creation of fields for handling requests, such as: current procedures.

### Implementation of Jira Service Desk
For Popular Bank, we worked on a service desk implemented in Jira. Basically, there is a service desk where tickets are raised and each of those tickets generates a type of incident that is tied to workflows with different steps.
We work with them on the configuration of tools: at the level of notifications, states, transitions, fields in the forms, users, permissions. Before all this, a consultative process was carried out to understand the client's operational flows in order to generate recommendations for improvements.
With Jira, the traceability of the information is good because it keeps track of all the status changes, when the notifications are generated, when the statuses of a flow are changed, etc.
All this was done for all the parties that are part of the tool: both people, such as administrators, clients, who basically are the ones who consume the service. Several departments with different operational needs were worked on, for example, raising a help ticket for IT is not the same as for the security area.

Built with Laravel and PHP, the solution enables users to submit mediation requests online, track case progress, and generate legally valid mediation documents with digital signatures. It incorporates role-based access control for mediators, applicants, and judges, ensuring secure and appropriate use across different user types. The tool also integrates seamlessly with the national judicial database, allowing automatic synchronization of case information, while providing case flow visualization, document management, and a robust reporting system to monitor ongoing and completed mediations.

This solution significantly enhanced operational efficiency by automating manual processes and reducing administrative workload. It improved transparency through real-time case tracking and comprehensive reporting, enabling better oversight and accountability. The integration with the judicial database facilitated faster and more reliable data exchange, strengthening coordination between departments. Additionally, the automatic document generation and signature features simplified paperwork and minimized human error, while data-driven insights from reports empowered the organization to evaluate performance and continuously improve mediation services.


### OCR boot development for reading documments
The project implemented an intelligent automation solution to streamline document processing for a cargo and transportation company managing high volumes of shipments. Using UiPath and AWS Textract, the solution introduced an automated document reading system capable of extracting key information from both physical and digital client documents. It featured an OCR-based scanning tool to digitize paper records, a digital document processor for handling electronic files, and an automatic error notification system to alert staff when manual intervention was needed. Together, these components eliminated repetitive manual data entry and ensured a faster, more reliable workflow.
By automating document handling, the company achieved a substantial reduction in processing time and increased daily operational capacity. ### Control System for Vessels
The project delivered a comprehensive control and monitoring system for an innovative Air Lubrication System that reduces ship fuel consumption by generating a layer of air bubbles beneath the hull. Developed using Python, NestJS, React, and WebSocket, the solution enables real-time control of onboard instruments such as valves and nozzles, while providing dynamic dashboards to monitor fuel savings and system performance. The backend AppController was designed to communicate seamlessly with ship hardware, ensuring stable data exchange and precise operational control, while the frontend offers secure access and intuitive interfaces for managing and visualizing performance data.
This system brought significant operational and strategic benefits by enabling real-time monitoring and control, improving fuel efficiency, and reducing manual oversight. Through seamless hardware integration and real-time analytics, ship operators gained actionable insights into energy consumption and system performance, supporting data-driven decision-making. The solution not only enhanced the reliability and efficiency of ship operations but also positioned the company to deliver measurable cost savings and sustainability improvements across its fleet.


### ERPNext-Hubspot Automation
The project implemented a seamless integration between ERPNext and Hubspot to automate the synchronization of sales data, eliminating the need for manual updates between systems. Using REST APIs, the solution enabled real-time, bidirectional communication for quotes, sales orders, and deal information. The integration ensured that data such as products, totals, contact details, and document URLs were automatically transferred and updated across both platforms. End-to-end validation and testing guaranteed the accuracy and stability of data exchange, creating a unified and reliable workflow between the ERP and CRM systems.
This automation delivered substantial efficiency gains by removing repetitive manual data entry and minimizing human error. Sales teams gained real-time visibility into deals and quotes, enabling faster decision-making and improved coordination across departments. ### Smart Service & Content Platform
The project focused on modernizing and streamlining the digital infrastructure of a government educational institution through three key initiatives: the implementation of a centralized help desk system, the migration and restructuring of its institutional website to Drupal, and the groundwork for a future AI-powered chatbot. The help desk platform, developed with GLPI, allows users to report issues via categorized forms, routes tickets to the appropriate departments, and includes escalation mechanisms for unresolved cases. The Drupal website migration introduced a flexible, scalable content management system with dedicated sections such as a “Special Projects and Networking” microsite, ensuring greater maintainability and accessibility. The upcoming chatbot integration is planned to further enhance user engagement through automated, natural language interaction.
This initiative significantly improved service efficiency, communication, and user experience across the institution. The new help desk platform centralized issue management, reducing response times and improving accountability. The modernized Drupal website offered a more organized and easily manageable platform for content updates and institutional communication. Additionally, by designing the systems with future AI integration in mind, the project positioned the institution for continued digital evolution, enabling more proactive, intelligent, and user-centered service delivery in the future.


### Digital Business Registration Upgrade
The project focused on modernizing a key government platform that enables entrepreneurs in Panama to register and manage their businesses online. The initiative involved a complete upgrade of the platform’s technological foundation to enhance performance, security, and stability. This included migrating the existing MySQL database to Oracle 19c for improved scalability and reliability, as well as updating the backend to the latest version of Laravel. The modernization effort also targeted existing vulnerabilities and bottlenecks to ensure compliance with government standards for data protection and service availability.

As a result, the platform achieved significant improvements in performance, security, and long-term maintainability. The project encompassed the design and development of three custom applications—two mobile apps built with React Native and one web platform developed with Angular and Java—each tailored to distinct industries: beauty, music, and healthcare. The mobile apps, True Barber and Scori, offered geolocation-based service and content discovery, enabling users to find nearby barbers or explore music tied to specific locations. The web-based platform, HeartFit, facilitated secure patient-doctor communication, medical file uploads, and AI-driven analysis of health documents through OpenAI and Azure integrations. Each solution incorporated real-time data management, secure notifications, and intuitive user interfaces to meet the specific operational needs of its target audience.

### Update to account module on Odoo ERP
This project centered on preparing and launching an Odoo ERP accounting module into full production, with a focus on ensuring complete financial and operational readiness. Rootstack collaborated closely with the client’s team to configure the accounting environment, migrate critical financial data, and integrate the module with related systems such as inventory and asset management. The objective was to achieve a smooth transition to Odoo 17 by customizing key features like cost centers, validating depreciation flows, and aligning financial processes across all departments.

The platform allows laboratories to register, search for other labs capable of performing specific tests, and access a comprehensive test compendium. Built with Next.js, React, SQL, Tailwind CSS, and Restful API integrations, the system also includes administrative tools, reporting features, and a message center, with APIs enabling laboratories to place and manage orders efficiently. The development follows an Agile methodology, allowing iterative improvements and adaptability to evolving requirements.
