What was the scope of their involvement?Our first engagement with RainCastle Communications, Inc. was for rebranding. We had been around for 75 years, and our goal was to educate clients, potential hires, and our own people about our services. We conducted focus groups on our end and had a pretty straightforward picture of what we wanted to do. RainCastle Communications, Inc. helped us to put that into words to grab people’s attention.About a year ago, we had an initial conversation about how we could update our website. Jill (Director of Client Service) and Paul (Owner) were on the call. We discussed our goals and how we wanted to be seen. For early-stage companies like ours, it is important to have a website tailored to our needs. We required a site where people could learn about us and what our company did at a very high level while conveying some of the excitement about it. It would be mostly directed to future employees and other potential stakeholders, serving as a landing page.

**SOLUTION**
What was the scope of their involvement?

RainCastle developed our website from scratch. On it, we have job descriptions and ways for applicants to connect with us. It is also artistic but simple, which helps us convey the presence of an early-stage life sciences company.

First, we had a call to convey what our company was about and why we were different. We also asked them to describe our technology without disclosing too much information — they were great at doing that.

Then, RainCastle came back with logos, font options, and color schemes. After that, they designed some simple graphics and an animated GIF, as well as the site’s pages, which included some imagery, stock photos, and creative transitions.

After the design phase, RainCastle brought a team that developed the wireframes and the metadata information for our descriptors, and they also integrated a Google Analytics functionality. The job was done very quickly and with minimum iteration.

What is the team composition?

I worked with Paul (Owner), who did a lot of the artwork and wireframing and brought great ideas to the table. During the execution phase, we also worked with a program manager, a copywriter, and a graphic designer. Additionally, we worked with IT people who were in charge of setting everything up for our launch.

I’d worked with RainCastle for two other companies before. Paul always demonstrated that he knew the early-stage life science companies' space very well. They also accustomed me to their quick turnaround times. After I spoke to them about this project, a proposal was in front of me within two days. We started discussing the project around December 2021, and the site went live in February 2022. In the future, we will work with them to update the site.

We don't have any site usage metrics since we didn't complete an extensive relaunch after the redesign. However, we've gotten positive feedback from users on the new content and utility of the site.

RainCastle's project manager was very detail- and process-oriented. They focused on keeping both parties on track and set realistic development deadlines. They delivered on time and occasionally ahead of schedule. RainCastle's resource allocation on both sides of the project was good — we worked collaboratively and RainCastle ensured we were integrated into their planning. The entire project went seamlessly. 

What did you find most impressive about them?

RainCastle's design skills were exemplary. We went through several design cycles where we tested each design out, but in the end, we usually went with RainCastle's initial design recommendation. We know our brand and our company mission best, but RainCastle always made strong design decisions.

What evidence can you share that demonstrates the impact of the engagement?

The website is new, and we’re working with some SEO and SEM analytics, but we haven’t really gone into metrics.

On the other hand, the general feedback has been great. I just received an email from a colleague in China saying that she was looking at the website and wanted to use one of the pictures that RainCastle designed for the main homepage. Overall, the feedback from Chiral Technologies Global has been very positive.

Also, we’ve heard from a few customers that it’s much easier to find things and they really like the website.

For the website, I met with Jill on a weekly basis to touch base and make sure that everything was on track and we were hitting all our deadlines. They kept us on target and it never felt like they were pushing us.

Right now, we’re communicating with emails just when it’s needed.

What did you find most impressive about them?

They understood everything we were looking for. We had many pages on our old website, and they didn’t have to rewrite a lot of it. They were able to look at what we had and be intuitive about what we could get rid of and what needed to be grouped together. Everything was just seamless and prompt.

Also, we had them create an application note based on the look of the new website. It usually takes a lot of explaining for designers to understand what we’re trying to accomplish with our application notes, but they pulled it off on the first try. We were very surprised and happy about it.

At this point, we haven’t had any problems. It’s really easy to work with them, and we’ve been really happy.

Paul (Owner) spent about two hours for free talking to me about the issues I was having. He gave me a lot of information I needed to get the project done. When I moved to a new position and needed to build another site, I knew I wanted to work with RainCastle because of their customer service; it’s a quality that seems to be lacking in a lot of web companies.

We started working together in January 2021, and we wrapped up in March 2021.

I’ve noticed that our PDF documents are getting downloaded on our site. We also used the new site to launch a new product; those product sales have done even better than our forecast.

The project was managed well with constant communication. I knew what was happening every step of the way. Jill was really top-notch. The fact that we easily met our deadline says a lot about their work. We used a shared Google Doc and Marksheet to manage the project. We also used Go ToMeeting calls for communication.

We struggled a bit at first at getting the design tone of the website correct. Paul had a vision that didn’t exactly match ours. Even though we disagreed on that, they really listened to us, and we got to a place where we were thrilled with the results. They spent a lot of time providing options that were more in line with what we were looking for.

No, I can’t think of anything. I’ve worked with 5–6 web vendors over the last six years. This was the least stressful web project I’ve ever worked on.

First and foremost, we started with the positioning and messaging of the new procedure because we were just entering the US market. The deliverable for this was a messaging document that included interviews with key stakeholders. We had RainCastle Communications, Inc. interview possible surgeons, patients, and family members and all of that fed into the final messaging and positioning document.

Phase two was to redesign our website. Our website was very outdated, so they did a full redesign, provided copy, layout, and imagery. After the redesign, they did the development on WordPress and launched the website. Currently, they maintain the website on a monthly basis and are responsible for making any adjustments.

In the early days of the project we had weekly meetings but then as we got into the groove where we were handling a lot, we utilized email. When we need to address something over the phone, those are more ad hoc conversations. They’re able to remain on time and on budget.

They use Smartsheet to lay out all of the deliverables and how they interact or are contingent upon one another. We use that to get an idea of when to expect things and when the turnaround time is. Jill keeps us on task in terms of any deliverables that are required moving forward.

Their general acceptance of feedback and their adjustment and flexibility throughout the project is great. As things evolve, they’re able to project their willingness to adapt and roll with the changes we make along the process.

I’ve worked with a number of website vendors at previous companies and they were one of the first vendors that really owned the copy. Others seemed as though no one ever wanted to own that. I’m pleasantly surprised by that aspect and their willingness to proofread both theirs and mine, which helps tremendously in terms of freeing up my time.

As we grew our US-based organization, it became clear we needed a web presence that would attract a US-based audience. The one we were currently using was a translated version of our Taiwenese site, so we needed to do a full refresh.

What was the scope of their involvement?

RainCastle started by rewriting all of our web copy and redoing the structure, to give the site a  whole new look and feel. That included new imagery, new color palettes, and other new brand styles. 

For the design aspect, we gave them a lot of flexibility. We knew we needed a refresh, but we didn’t necessarily have the end goal in mind when we started the process. We gave them examples of other companies that we thought were conveying the right sentiment and tone, and let RainCastle create from there. We went back and forth quite a bit — it was a very collaborative process. 

As for the development, the site was developed on WordPress.

The primary group was a team of four: a project manager, a copywriter, a design structure lead, and the technical lead who was in charge of web development.

I believe we found them through a referral, but they’d already started the onboarding process and had begun their work when I joined the team.

We’ve spent around $100,000.

What is the status of this engagement?

The project began in February 2020, and we wrapped up the major piece of it in November. However, we’ll probably continue to do some expanded work, as well as some additional web support into 2021.

What evidence can you share that demonstrates the impact of the engagement? 

We don’t have any specific data metrics yet, but we’ve found the work has been done really well. Even with an ambitious timeframe, RainCastle delivered a very good, polished product. 

The searchability has improved dramatically from where it was before, and it’s also improved hiring discussions we’ve had in the US. The new site has noticeably improved our ability to attract candidates. 

Since we’ve launched, we’ve had requests from multiple other country affiliates within the network asking us to share the assets, imagery, and style, so they can replicate it within their own market. We’ve started a bit of a groundswell of change in our company with the help of RainCastle.

How did RainCastle Communications, Inc. perform from a project management standpoint?

They’ve done really well. Our project manager is remarkable at her job, and she’s tried to the best of her ability to keep everyone on track. She was always crystal clear and made sure we were always on the same page. She pushed us for things we were missing to make sure the project progressed. Her contribution was great.

There were some times when we could’ve had a little more clarity in terms of how long things were going to take, but for the most part, they were really clear with us in what to expect and what they needed from us. Overall, the project with RainCastle was better than most web development projects I’ve undertaken.

What did you find most impressive about them?

We were really impressed with our project manager’s capabilities and dedication to the project. Without her, we wouldn’t have gotten across the finish line.

Are there any areas they could improve?

At times, we were working with leadership who didn't know exactly what they want, but knew they want some improvement or change. RainCastle is very good at what they do, and they definitely have a creative process and vision. However, sometimes the vision wasn’t crystal clear in those initial discussions, which required us to go back and forth a little bit, to not only educate our team, but make sure RainCastle knew what direction we were going.

It was a normal part of the process, and it reflected that RainCastle was really committed to and invested in the project. I don’t see it as a huge problem, but there were definitely times where we probably could’ve been a little more efficient with another conversation.

Do you have any advice for potential customers?

RainCastle does a great job, especially compared to other web vendors I’ve used. Their process is solid, and they map out timelines in a very precise way. I think anyone who works with them will have a positive experience. 

To get the most out of the relationship, come prepared with as much clarity around timeline, vison, and results as you possibly can to get everything off on the right foot. Give RainCastle enough time to process, digest, and understand the goal.

They were absolutely fantastic. This was a project involving many decision-makers on our side; on the occasions that a key decision-maker changed their mind about something, their team was very flexible in accommodating us. I haven’t had a chance to look at our new analytics yet. However, the feedback we’ve gotten from department members has been overwhelmingly positive. Our team feels it reflects our values and highlights our work. The icons they designed for us are especially impressive. They created an incredibly engaging, aesthetically pleasing, and well-designed website. The website has helped us solidify a strong department identity.

Their project management was exceptional, and communication on every level was incredible. They provided us with a detailed timeline using Smartsheet. Jill was very diligent about checking in. We received all our deliverables on time. They were accommodating to all of the internal adjustments that we made, especially with the unexpected changes we had as a result of COVID-19. 

They also followed through to make sure everything went smoothly with the launch. Their work didn’t end with the delivery of the product. 

What did you find most impressive about them?

This has been one of the most positive experiences I’ve ever had working with a vendor. Every person we worked with did an excellent job. Their visual concepts really hit it out of the park. It communicated the people behind our research, it was amazing.

I couldn’t think of any constructive feedback. I felt I could trust them; there was never anything to worry about with the engagement. They delivered and exceeded our expectations in every way. They were a dream to work with. We feel lucky that they chose to work with us.

It was helpful for us to have a detailed sense of what we wanted. However, my impression is that they’re probably very good at helping you clarify your needs if you don’t have a thorough plan at the beginning of the engagement.

We are a healthcare consulting company that helps small- to medium-size tech companies come to market. In this particular project, I was working with a biotherapeutics company that was finishing a clinical trial and getting ready to launch a product.

We wanted to secure an online presence for a biotherapeutics company so that they could get exposure for their new product. RainCastle did this by creating a webpage and integrating provided animations.

What was the scope of their involvement? 

Initially, we began with positioning work. RainCastle’s team interviewed a number of internal and external constituents to determine how we perceived the brand compared to others. They then provided decks to go over their analysis, and we came to an agreement on the brand messaging.

From there, they worked on the site content, starting first with wireframes and then handling the text and visuals. 

We wanted to strike a delicate balance between communicating technical aspects appropriately for the physician community (they were our primary target), while also having sophisticated information for investors. The site also needed to have a compassionate feel so that potential patients could feel comfortable.

What is the team composition? 

I worked with three main people, though there were others working behind the scenes. RainCastle also worked with our contracted animation company, sharing information with them to make sure that we were all on the same page.

How did you come to work with RainCastle Communications, Inc.?

We found them on Clutch. I wanted a company that was within the same time zone and had good reviews for the healthcare space. Because we’re in such a highly-regulated field, we have to be extremely careful about the words and images we choose, so I was looking for a vendor that understood that nuance.

Our first conversations were in November 2019, but we didn’t start the project until December with a target end date of March 2020. We’ve almost wrapped up, but we’ve had to pause due to economic circumstances.

They did an incredible job, and the board and key opinion leaders absolutely loved the site — it looks like a well-furnished Lamborghini in this space.

I appreciated that they really listened to us and were responsive to our needs. Not only did they find spot-on imagery that suited the brand, but the copy was professional and beautifully written. We could extract anything from the website and include it in a corporate presentation.

Organizationally, they’re very easy to work with. There weren’t any miscommunications or occasions when we lost track of time.

Jill (Director of Client Strategy), in particular, was remarkable at managing the project using a sheet format. She could make adjustments to move forward or backward depending on the cycle time from other stakeholders. She made sure that we always knew where we were in terms of timing.

They worked with us on branding and messaging. We had a complex message that we wanted to convey clearly. So, we wanted to build a website that would walk the viewer through an introduction to Agile Mind.

In particular, we need to communicate content from subject matter experts, but make sure the general industry population (e.g. a teacher or coach at a school) could understand. We wanted to convey our mission around equity along with our high educational ratings in content, rigor, and development quality.

What was the scope of their involvement?

It was a very collaborative effort. Some of the content was developed internally, but they created the structure for the design choices. For example, the template design, the hierarchy of messaging, and initial content mapping were designed by Raincastle Communications, Inc. 

We have a blended learning platform where teachers use both technology and traditional learning materials. They helped tell that story and show what an Agile Minds classroom looks like.

We have an extensive amount of data that shows the impact of our program on students’ learning. We wanted to show that information very clearly. So, they were able to display the data in a visually appealing way. They re-designed all of our graphs and charts from a visual presentation perspective.

We used WordPress as our site foundation with a lot of extra functionality built-in. It includes an event calendar tool where people can register on our website. We also created a resource library, which they designed from scratch.

The project team consisted of seven team members, not counting the backend workers.

What evidence can you share that demonstrates the impact of the engagement?

The site debuted, and we’re loving it.  I unveiled it at our national sales training meeting in early January. Sales representatives have already been using a couple of the key sections in sales presentations. It helps clarify and present a clear picture of messaging. 

We’ve gotten phenomenal feedback internally from our field and inside sales teams. But, we’ve also seen a huge spike in our web traffic. 

Initially, we weren’t sure what type of resource library we wanted, and it came out exactly as we had hoped. This new resource library is so highly functional that people can find what they need quickly and simply. It’s also very visually appealing. 

Since we have the resource library, we’ve seen increased activity in downloads for our key materials. We’ve also noted increased inquiries requesting demos and sales contacts.

How did RainCastle Communications, Inc. perform from a project management standpoint?

We have a diverse team spread all over the country. They were phenomenal at project manager. The leader was always on target, on track, and they were pleasant to work with at all steps. They were very responsive.

We had a weekly or bi-weekly project team meetings to report on progress. They used smart sheet, and we got access to it internally. We wanted to work almost in-tandem, and that’s how they set it up.

They listen really well, and they explored for understanding very deeply. They facilitated feedback and our internal team’s ideas very professionally. They got to the base of the message, but also addressed concerns or other ideas.

The project was much more successful because they were able to tighten the schedule by several weeks.

In the fall, other dynamics at my company made us need to significantly accelerate the timeline of the website overhaul. Raincastle Communications, Inc was able to meet this accelerated timeline, even with it occurring over the holidays.

They exceeded all my expectations in being able to work quickly and then deliver incredibly high-quality work. After all, we have had a lot of compliments on our site so far.

We were in contact very frequently, given the nature of the project. We usually used phone calls, emails, and webinars to speak, along with a tool. Sometimes we spoke several times a day, and other times we communicated every other week. They kept us on top of everything and let us know what needed to be done. We always knew their status, so their project management approach was very helpful. 

What did you find most impressive about them?

They were very open-minded and willing to help our client achieve their goals. Their team was really in-tune with the needs of the project and knew just how far to push to get results. They also did a great job giving gentle reminders and offering assistance to make sure everyone was being responsive and productive. Overall, they just handled everything really smoothly.

The project started with a quick scoping exercise where we discussed what we wanted to achieve and what information we wanted to share with our audience. RainCastle Communications, Inc. then prepared a quick mockup of the content and its narrative flow. It helped us align on what story we wanted to tell. 

After that, because our content would be highly technical, our internal team created draft copy and figures that we wanted to include on the site. RainCastle Communications, Inc. then revised the drafts, cleaning up the figures and tweaking the copy to make them look polished. It took a few iterations, but the result was a highly professional website that lets us put our best foot forward.

Biotech is a small industry, so we all know which small companies in our space are high performers. We surveyed the small biotech company website landscape and noted the names of their web developers. We then interviewed 5–6 companies, narrowed our list down to 2–3 names, and then reinterviewed those choices.

The prices across the shortlist were about the same. The other vendors we considered offered some unusual design elements and page features in their proposals, but while they interested us, they strayed away from the core of what we wanted to do. RainCastle Communications, Inc. gave us tremendous confidence that they would execute what we asked for and leave us with something that satisfied our objectives. That’s why we ultimately went with their team.

To begin, they ran us through a very comprehensive project process, that was tightly managed. We established milestones on both ends and we had a clear understanding of what each party needed to do in order to hit the deadline we had set collaboratively. Their deliverables were detailed, and outlined each step of the process. Overall, their efforts led us to launch in a timely manner, with an end product we were truly proud of.

During our engagement, our company completed an acquisition which resulted in our initial scope of work to be expanded. Our web traffic, web traffic capture, and SEO footprint have all improved exponentially. Our lead generation through web-based visitors has improved as well. It has been a complete success story from soup to nuts, so we can’t say enough positive things about the experience and the finished product.

They did an excellent job. They were very sticky on the project side, and they held us to deadlines. They kept us on track in a professional way and were partnership-oriented. I was looking for a company to provide web and logo design for my cycling studio. As a brand-new startup, we didn’t have a website at all yet.

What was the scope of their involvement? 

Raincastle Communications, Inc. created our first website from scratch. Instead of diving in and handing over a final product, they began with a series of conversations to discover the meaning and intent of our brand. They asked the right questions to elicit useful information and define the user experience. 

Following best practice, they translated the wireframe and basic menu structures I provided into three design options. We discussed each one over a call or in a meeting and worked together to finalize the site design and build the architecture. 

They integrated the website into the backend of our point-of-sale and reservation system, which another vendor manages. Before we launched, they created an initial basic WordPress landing page I could direct users to for more information about what we had coming.

Once I decided on a direction, they refined the logo I picked and eliminated the other versions. We considered color schemes to go with it. After a few rounds of minor adjustments and modifications, we arrived at the final logo. The process ended smoothly; they provided me with a final product in a ZIP file. It included versions of the logo and artwork I would need in different situations, from white, black, and color to CMYK and Pantone.

What evidence can you share that demonstrates the impact of the engagement?

People make positive comments all the time about how much they love the logo RainCastle Communications, Inc. designed for us. As a fitness business, we feature it on cycling shorts, t-shirts, water bottles, and hats. Our project focused heavily on creating a logo with many different purposes in mind. The blue and green combination we selected looks good in print, on literature, and on signage. 

We’ve been able to do some really fun things with our logo. I’ve given the artwork to other designers for inspiration to put it onto a hoodie or different gear. It has worked fabulously elsewhere in my brand, the colors look great, and people love it. 

How did RainCastle Communications, Inc. perform from a project management standpoint?

The team is very skilled at project management. We didn’t have a set schedule for communication, but I had access to the team whenever I needed their input, I was all over the place as a client, but they kept me on track with our timeline in a friendly way. 

In the beginning, we drafted a letter of agreement to lay out the design process, including how many rounds there should be, the timeline, and the selection process. Documenting these guidelines ensured we didn’t have any unpleasant surprises later on.

What did you find most impressive about them?

I’ve had a standing relationship with RainCastle Communications, Inc. that’s lasted a decade, and they always keep moving ahead. They've never procrastinated or fallen behind. 

When I first met them, they were doing some web design, some branding, and they kept up with the times, they know the latest and were able to give me great advice in setting up a temporary WordPress site, and what design was going to work. What challenge were you trying to address with RainCastle?

Our previous website—built in Drupal—was about seven years old and was long overdue for a refresh. We had also just researched and developed new brand positioning that we wanted to implement on a new site. RainCastle helped us create a WordPress website to reflect our new branding.

What was the scope of their involvement?

We first performed user research and one-on-one user testing with RainCastle’s UX person. We tested concepts in the page flow, headlines, and the site’s functionality that their team developed. The results of this phase allowed us to move from wireframes to full page designs. RainCastle then helped us create the copy, graphics, and photography on those pages. The copy required several reviews and close collaboration with our product marketing team, as well as other groups within our organization.

I worked closely with Paul (Owner, RainCastle) to determine the best way to display photography on the homepage and subsequent pages. After we expressed our dissatisfaction with stock options, RainCastle helped us organize a photo shoot. Together, we selected the models and decided on the background’s appearance. Paul gave us the idea to use motion photography and give our photos a blurred effect. We loved this style; it lets us show people without specifically revealing their face or identity, and we can demonstrate that we work with clientele from around the world. The photo shoot yielded a high-quality photo library that we can use on the website and our other marketing materials.

RainCastle then built the WordPress website and the templates for each page using Stylus. We can add pages later as needed using these templates. Their SEO person worked with us to maximize our visibility for target keywords and search terms. They integrated SEO strategies into our copywriting as well. Once the copy design was finished, each page underwent UI/UX proofreading and rounds of testing. Some users were confused when they looked at specific pages, so we wanted to fix that. 

We then performed final stage proofreading, testing each page and link and ensuring all content loaded. RainCastle loaded one type of each content piece, and we loaded all of the subsequent pages and content. During this stage, our team learned how each of the templates worked and could ask RainCastle questions. We also decided that we wanted animated videos as well, which RainCastle then did for us.

We worked with a variety of team members, including Paul, a UX specialist, and an SEO specialist.

We launched a request for proposal (RFP) and spoke to several vendors for a few hours each. We looked at their approach to our project and our team. We’ve received great reviews from clients and prospects. Users compliment the compelling yet straightforward visuals and headlines. Clients like the depth of content and research. It encourages them to interact with our site and invest in our services. Our sales team loves the fresh new look that is still compatible with our brand refresh.

Paul did an excellent job working with our creative director to fully understand our brand guidelines; there are areas where we have leeway and other areas where we do not. The site ultimately abided by our brand rules, which we were pleased to see.

We’re now working on lead generation program. Our general traffic has stayed the same, but we’ve seen an increase in the number of pages that viewers visit and the length of their visit time.

How did RainCastle perform from a project management standpoint?

The project manager was keen to meet our original schedule, which we appreciated. However, we eventually found that timeline to be overaggressive and slowed it down. RainCastle helped us revise our project plan as needed. We sometimes had to rework our content and presentation to match our transitioning brand. They accommodated our changes with ease and kept us focused on getting the site done in a timely fashion. 

RainCastle had a collaborative approach. They were highly responsive and frequently sought input from others to make sure they were meeting our needs outlined in the original UX testing. We had weekly check-in calls. At various stages of the project, we spoke 2–3 times a week.

What did you find most impressive about them?

RainCastle fully understood our market, our target audience, and how we wanted to frame our voice and position. Everyone from the owner to the project manager to the UX designer to the writer internalized our core business. Their work—particularly their iconography and photography—was fresh to us; it fits our new brand voice while aligning with our brand guidelines.

When RainCastle started designing our pages, the primary point person may have had some other projects going on and therefore didn’t finish work as quickly as we would’ve liked. This was only a matter of days, however. We were overall thrilled with their work.

Mass Golf, which is technically known as Women’s Golf Association Massachusetts, is a 501(c)(3) organization focused on supporting amateur golf through handicap computation services, event organization, and overall services for member clubs and individual golfers in Massachusetts. I am the director of communication for the organization.

**OPPORTUNITY / CHALLENGE**
What challenge were you trying to address with RainCastle?

We were undergoing a complete website redesign. We wanted to create a more user-friendly version of a very complex site.

**SOLUTION**
What was the scope of their involvement?

RainCastle redesigned our website and integrated its backend CMS. They had also created our first website, which used HTML.

We worked with another company for the rebranding effort. The company we’ve used for the rebranding has more experience in the golfing industry. We went to them because we needed to finish the site on an aggressive timeline. We connected RainCastle with that team to ensure that they would be comfortable working together. This was an essential consideration for the project. 

The next step was involving RainCastle in the rebranding process. They were not responsible for the logo creation and other branding activities, but they participated in all our calls and provided insights into our brand positioning and design elements. The rebranding agency came up with a logo suite and style guide. Based on those, RainCastle quickly came up with website design concepts for us to review. Once we decided on a specific design, they built our WordPress platform.

We also went through a website architecture review process. They outlined all the variations for our site’s pages, and came up with unique solutions for our problems. One of those was managing a huge volume of archived data from the previous site.

They also came up with a solution for our backend member login portal, which is managed by another company. Their work elevated the aesthetic of that website, which had been quite poor before. A data management company is not a design company, so their product was not very appealing. RainCastle created an overlay page for that company’s system. They came up with the design and functionalities of that page, and integrated it into a subdomain to eliminate any technical issues. Now users don’t realize that they’re going from one website to another.

We have a “Find a Club” link that takes users out of our main mask-all server and into a subdomain run by a third party. RainCastle designed all those pages and gave the partner company everything they needed.

They also designed an icon section for registered members, which replaced the previous text version. RainCastle invented an extensive suite of unique icons for all layers of data provided by our organization.

We did not request advertising services from them, but we did ask for a complete SEO analysis. We had never done that before, so their team educated us. Given the old-school nature of our site, we hadn't used SEO for many years. They emphasized the importance of SEO, explained why and how we should implement it, and created a sitemap. We analyzed that document page by page and added the suggestions to the site.

They also worked on the redirect links from our old site, making sure that there wouldn’t be any dead links.

The company we’ve used for the rebranding has more experience in the golfing industry. We went to them because we needed to finish the site on an aggressive timeline.

RainCastle did work on our “Brand Story” page. We had an idea of how we wanted it to look, but they helped us integrate a video and generally make it more interactive.

What is the team composition?

I’ve worked with RainCastle’s vice president and their owner for many years. Both were present for every call we’ve had from the start of the project. John was in charge of helping with site architecture and backend solution, while Paul was involved with the branding and overall design layout.

Once we got into the development phase, I worked closely with their senior web developer from November until launch. I also worked with two SEO specialists from their team.

How did you come to work with RainCastle?

We had an existing relationship with them, which was a key factor in the decision. We didn’t want that to be the only reason for our choice, so we went through an extensive vetting process. Our original goal was to find one company for the rebranding and website development, as that seemed most efficient. However, RainCastle convinced us that they would have no problem working with another company. They had a good history of working with other groups bring projects together. They were willing to serve as project managers and alter their original proposal. That, along with their proposed solutions for our technology platforms, set them apart.

They also had a good knowledge of how we operate. John has taken a lot of interest over the years in learning what our business is all about. The fact that he could hit the ground running and understand our method of working with golf clubs and individual golfers—along with the structure of our backend data—was a huge benefit.

We looked at different companies, with the original goal of selecting a single partner. The rebranding company could have done the job of the web developer, but RainCastle established itself as our web development partner since they could work with another group and stick to an extremely aggressive timeline around the holiday season.

The rebranding process started in May 2017, but we onboarded RainCastle in August and began development in November. The site was launched in January 2018.

We brought them in later because we first needed to come up with a new name, mission, and logo for our organization. We had to do a lot of work before RainCastle could start developing the site.

**RESULTS & FEEDBACK**
What evidence can you share that demonstrates the impact of the engagement?

Anecdotally, the website has been well received. We’ve launched it successfully and there’ve been no issues or complaints. We have received outside compliments and calls from different organizations in and outside of our industry, congratulating us on producing such a great site and product. We are currently creating benchmark reports to track the website.

We attribute this to a combination of the new brand and website. Its user experience is completely seamless. Our golf clubs are thrilled with the new visual benefits of the site. We will be tracking traffic to the site, but the overall response—among everyone from our board of directors to individual golfers and sponsors—has been overwhelmingly positive.

Even though they weren’t contracted for our rebranding, RainCastle was hugely helpful throughout the process. Their solution saved us countless hours of data input during the migration from a static website to a CMS.

Our member login page is currently hosted on a subdomain run and managed by a third party. RainCastle developed it to solve our previous browser and cache issues. They created a frame with CSS files for the other company to use and place on our subdomain.

The design style, icons, and colors match each other fully on our member page. The experience is truly seamless. It’s a more complex site than it immediately appears, but RainCastle gave its frontend a smooth and simple appearance.

The templates they created helped us save money and hone in on what we wanted to post on the site. Creating pages ourselves saved us money on web development. We have actually posted most of those pages. RainCastle reviewed our work and made sure that all the secondary pages we needed were in place.

How did RainCastle perform from a project management standpoint?

Our rebranding was necessary because of a merger, which was going to become legally official on January 1. We needed to have the site live and fully functional on that date. RainCastle delivered, despite getting some information from our end later than originally planned. We hit all our deadlines and they remained totally available, even during the holidays. We needed and appreciated that.

During the rebranding phase, we got in touch once or twice per week. Once we began website design and development, we spoke numerous times per week, including after work hours.

What they did in a short time was incredible. Much of that was attributable to RainCastle’s ability to come up with three design concepts that lined up with our thinking. Even though we made a lot of changes, we didn’t have to go back to the drawing board. Their knowledge and involvement sped up the development process and allowed us to keep to our timetable.

They delivered everything they said they would. I had a lot of pushback from my board, saying that they didn’t think that two companies could work together. RainCastle provided exceptional web development services while managing another company's team alongside their own.

They stood out because of the solutions they devised for unique problems. Not too many companies have the same technical setup as ours, so I was impressed with their ability to come up with solutions and work with other companies. They helped us in areas that they weren’t asked to focus on and told us when messages didn’t seem right from an outside perspective. This input was very helpful as we developed our new brand. I can’t imagine a company delivering as well as RainCastle on this type of project. For a client looking to work on multiple projects, their company is a good choice.

Do you have any advice for future clients of theirs?

Everyone has different needs, so there aren’t any one-company-fits-all solutions, but I would definitely encourage anyone looking for a rebranding partner to listen to RainCastle. They should be allowed to provide solutions, or at least be in the consideration. They were the perfect fit for us, and I would imagine that would be the same for many other groups.

We made the conscious decision to have a very simple site for many years. RainCastle understood that we didn’t have a large budget. We had RainCastle in for a kickoff meeting and initiated the web project first. We started with the sitemap to show the content it needed to have. They came back with a few comprehensives layouts (comps) in terms of look and feel, but we didn’t really like any of them. The marketing director, our CEO, and I iterated a few more designs with RainCastle until we realized it wasn’t meeting our requirements. We’d told them we wanted a literal approach, but what we actually wanted was a more abstract concept. When we told RainCastle that, they were incredibly understanding and listened to what we were saying. They took our advice and created entirely new comps.
We continued with the web design, including the copy and secondary pages’ layouts. The site is on WordPress, but it looked outdated and didn’t emphasize the marketplace we had just launched in the middle of the year. We wanted to get users to sign up for our services to be able to search for samples online. A lot of RainCastle’s work centered around awareness and messaging. They made sure that the marketing website and the marketplace had a consistent look and feel.
They also developed an animated video. We collaborated with their copywriter to make a script, and then their team created the storyboard and animation. For the new PowerPoint templates, they converted our existing presentations into a new look and feel. They updated our existing collateral and messaging architecture, inserting it into all of our assets. We also had them build a new exhibit booth design.

For the web project, they brought in a copywriter, creative person, infrastructure person, and project manager. They also brought in an animator for the video. The staff is consistent and loyal, which is one of the reasons I went back to them.

They did great. In the middle of this project, my marketing director left. I filled the role until we were able to bring another person on, but I’m sure it wasn’t easy to make all those transitions. They adjusted to our timetables and managed their own schedule well. We had weekly or bi-weekly meetings and emailed constantly. Their program management is great; I always know what I can expect.
What did you find most impressive about them?
Their creative and copywriting is cohesive and great. We were probably a tough client because we changed our mind on the look and feel, but they handed it well. Most firms wouldn’t have put more hours in that weren’t part of the original budget, but RainCastle’s owner was extremely gracious and wanted to give us something we liked.

What challenge were you trying to address with RainCastle Communications?

We were in the process of repositioning the company from one that provided healthcare mobility applications to one that managed a platform. That decision was made 90 days before a major tradeshow that we had to prepare for. Our objective was to reposition the company and make sure everyone was ready to support the new strategy.

I was the first CMO. AirStrip had used in-house support previously but we needed to work at a new level of maturity overall in terms of sales and marketing.

**SOLUTION**
What was the scope of their involvement?

Over that 90-day period, RainCastle managed the repositioning process to prepare us for the tradeshow, including the strategic thought, the creative, the backend, and the project management. They developed our website, designed the tradeshow booth, and developed the collateral materials we needed to go along with that.

They walked us through a process at the beginning of the 90 days to make sure that everybody signed off on the positioning and messaging that were required for the strategic shift so that we were all on the same page. Once we had articulated the strategy, they kept us all on it, whether internally or with, for example, external content writers that we used to write material and website copy.

They developed a new website for us with illustrated graphics, infographics, and video. Those elements made it cutting edge for the time in 2012. They replaced a WordPress site with a more sophisticated Drupal one so we could more easily and quickly update content. They connected the backend to marketing automation systems and CRM.

For the rest of that year, following the tradeshow, we went through a major overhaul. They helped us update the website with additional content like case studies and sales tools. We needed to retrain some of the sales team so they developed materials and slide decks. They even helped with some direct mail.

What is the team composition?

The president and creative director was our lead. He had a program manager we worked with as well as a contract writer, a developer, and a designer. They brought in whatever help we needed.

How did you come to work with RainCastle Communications?

They were partnered with my PR firm, who introduced RainCastle to me. We looked at a couple of other firms but they didn’t seem to be as flexible as RainCastle. I wasn’t confident they could get us through the 90-day period as smoothly. We didn’t have much time to think about it so I took the recommendation and we dived right in.

I can't remember at this point but would guess that the whole engagement was in the six figures.

We probably started in November 2012 because the trade show was in mid to late February.

I left AirStrip in 2014 but I do know that based on their work—not just the tradeshow but also the activities afterward—AirStrip was able to achieve $2 million of new qualified leads. Some of that success resulted from internal efforts but they contributed to it.

How did RainCastle Communications perform from a project management standpoint?

Because we were on such a short timeframe, we had weekly status calls. I could reach out to their lead anytime I wanted. We worked as a tightly-knit team in terms of sticking together and making sure things were going well.

From a project management standpoint, they were very good at making sure everybody knew what the deadlines were, like when our executives needed to review materials and turn them around. They stayed on time and within budget.

There were a lot of people in the company with strong opinions who felt they needed to review things. RainCastle did a great job of making sure that, on one hand, people were satisfied by providing their inputs while, on the other hand, we kept to the tight timeframe. They found a good balance—which was a delicate task given that some of those providing inputs were company founders and the new CEO. People were able to give their input without slowing down the process. The tradeshow deadline helped drive things.

What did you find most impressive about them?

The seamless integration of their processes across strategy, creative execution, and project management. You’ll find agencies that are good strategically or creatively or that can drive a schedule. It’s rare to find an agency who balances three. They do really good work, on budget, and according to strategy.

They were able to accomplish a lot in a very short period of time because they made sure we all agreed on the strategy, positioning, and messaging. They ensured everyone was on the same page strategically, from signoff throughout the project. They get high marks for making sure the strategy is well articulated so that everybody can march in parallel and get things done.

They're very good creatively. Technologically speaking, they also use more sophisticated tools. Beyond the good creative resources and solid project managers, they’re very adept at the backend web work.

They were very attentive to what we needed to be done. Some people will cut corners, especially if you go with the cheapest option. RainCastle made sure to do a thorough, well thought-out job with everything.

I've recommended them several times and, to me, that's the ultimate compliment. I would absolutely use them again.

Are there any areas they could improve?

Not really. The only problem we ran into was managing timeframes when our executives traveled. But that was more on our side than a result of their project management.

Do you have any advice for potential customers?

Be prepared for a good deal of rigor because, not only are they a very strong creative agency, they're strong strategically as well. They’ll make sure that your strategy is well articulated and that everyone can agree to it—because that keeps everything on track. Otherwise, they're very easy to work with.

### Dana Farber Data Sciences Website and visual Brand
Dana Farber asked us to create a branded website that would elevate their presence within the Partner's Healthcare network and bring greater awareness to the important quantitative and bioinformatic work being conducted by their team in the ongoing effort to conquer cancer. RainCastle collaborated closely with the DFDS team to develop and create a transformative website that would serve as a model for future Dana Farber family organizations.


### Pharma Essentia Website
Pharma Essentia, a Taiwanese biopharmaceutical business, needed a partner with extensive expertise designing websites and marketing materials for companies like theirs in order to gain a footing in the US market. RainCastle was chosen as that partner.


### ApiFix website and Collateral
The ApiFix website's purpose was to provide education and hope. Our design accomplished this with a fluid style with plenty of white space, kid-friendly hues, and happy photos of active children, as well as photographs and videos of the device. 


### Vesigen website
Vesigen wanted a website that clearly demonstrated the value of their platform to potential development and commercial partners, as well as the science underlying it. Because these potential partners have a high level of education in the topic, the site content assumes a high level of knowledge. Vesigen put their trust in RainCastle to help them reach their goal.


### Project with Mass Golf
RainCastle's objective was to develop an engaging, modern digital/mobile presence for MassGolf that will attract and excite new members while respecting the sport's history and the institutions from which MassGolf arose.


### Project with SSOE Group
RainCastle created the SSOE Qualifications Package and Proposal Templates, which are at the foundation of AEC marketing. SSOE entrusted RainCastle with the design of their website based on the success of this collaboration.


### Project with Agile Mind
Rain Castle collaborated with the education organization AgileMind to share their innovative method to teaching math and science to middle and high school students. We started by engaging Agile Mind in a brand strategy process that resulted in a positioning statement and key audience messages.


### Daicel Website
Daicel Chiral Technology sought RainCastle to design a website and visual identity that targeted both sides of the brain: clear, actionable information presented in a new design that reflected the company's innovation and market leadership. We began by creating a brand messaging structure that included top-level and audience-specific messages.


### Project with Betsy Lehman Center
The Betsy Lehman Center, a Massachusetts state agency, approached RainCastle with a clear strategic vision: create a trusted Patient Safety brand and online presence that could catalyze a patient safety movement in Massachusetts.


### Sustainability Group Website and Powerpoint
The Sustainability Group is the sustainable investment wing of investment firm, Loring, Wolcott and Coolidge (LWC), a longstanding RainCastle client. Previously this business was represented on a single page of the Loring site but with the growth of sustainable investing and the success of the Sustainability Group, the time was right to have their own site.
We collaborated closely with the Sustainability team to create a visual brand that both relates to the Loring brand and presents compelling imagery from the natural world as a metaphor for the types of investments in which they are expert. Complimenting the scenic landscapes, we developed an organic icon and graphic style. Overall the site is highly visual with concise copy.


### Novanta Website
We partnered with GSI Group to develop a new brand to push forward this expanding global holding company with a portfolio of innovative technology enterprises. We undertook a naming process with the client to establish an identity that expressed the character of the company: inventive and intensely focused on customer success. We came up with the name "Novanta" by combining the root phrases "Innovation" and "Advantage."


### Arranta Bio Website
Arranta Bio was at a crossroads, having extended its range of solutions, needing a total website upgrade that included major rearchitecting, significant new content, and a complete visual redesign.
We also refreshed the corporate identity with a logo refresh and color palette upgrade, a PowerPoint template, and a new logo for Arranta Bio Cares, their corporate diversity program.


### Project with HPI
We collaborated with Healthplans, Inc., a healthcare third-party administration (TPA) organization, to rename and rebrand them as HPI, as well as produce a full set of visual brand identification materials, including their corporate identity, website, PowerPoint, collateral, and video.


### Proteina Website
Proteina sought a U.S. design firm with strong experience in the life sciences in order to build a presence in the United States, which is how they discovered RainCastle. As their name and business suggest, they are all about proteins and how they can help uncover better diagnoses.
Our design uses a graphical representation of proteins that slide in and out of view as the user navigates throughout the site. This adds dimension to the user experience as well as support for their messaging.


### Glympse Bio
Glympse's leaders emphasized simplicity and clarity of vision, and we responded by designing a clean, elegant, and minimalist approach to the user experience. The visual language was carried over to the investor PowerPoint deck.


### Project with Sengenics
We assisted Sengenics in honing their go-to-market strategy by completely redesigning the site from a product and technology experience to one that emphasizes services, applications, and disease-specific solutions alongside products.


### Project with DCF
To distinguish the brand and website from the plethora of Boston area financial firms, we gave the design a strong maritime identity and, when appropriate, generated copy that sprinkled in nautical lingo to underscore business themes. 
We produced social media pages, a stationery system, a PowerPoint presentation, and Excel and Word templates in addition to the logo and website to build a unified visual design system.


### Project with Waltham Watch Factory
Waltham Watch Factory's website required an upgrade in order to be responsive and to attract and inform potential leasers about this unique property and all of its features, which included flats, offices, and fine dining.
Using the color palette of the building's interior, RainCastle built a bright, user-friendly website divided into three primary areas of interest to potential renters: Lofts, Offices, and Dining. Each of these parts leads to a different landing page with a variety of exquisite architectural imagery, relevant facts, floor plan links, and contact information.


### Project with MB&J
MB&J is quickly expanding and has not updated its marketing and brand image in over a decade. To help the company evolve, we produced a new logo, visual brand, stationery system, website, material, and PowerPoint template.
The new design has some unique features, such as a family of contemporary, layered symbols and colorful, blurring motion pictures from an above perspective that suggests their broad perspective.


### Project with Goody Clancy
Goody Clancy wanted to update their brand's perception in the market and establish the "essence" of what sets them apart from their rivals and makes them desirable to their customers as a new team of leaders rose through the ranks. 
We developed new brand strategy statements, including positioning, mission, and vision, as well as the "brand essence" of "Inspiring Transformation," which describes what Goody Clancy's work does for customers.


### Project with GelSight
Clients are given precise 3-D renderings and analytics relating to the surfaces of objects using GelSight's hardware and software solutions. We used this as a starting point for a logo exploration, which resulted in a dimensional graphical mark that suggests an object's surface texture. It also suggests a fingerprint, which lends credibility to the concept of tactile sensing. The website and marketing materials are highly visual and represent the type of 3-D graphics provided by the toolset.


### Project with HMI
We renamed the company HMX in partnership with our client, SmartCloud, after the explainable human machine interface. HMX is based on the premise that human experts when combined with machine learning, can make better decisions than either can alone.
We created the new corporate identity, tagline, and website in addition to renaming the company.


### Project with Harvard Business School
Harvard Business Publishing is the part of the Harvard Business School targeting Enterprise leadership development. RainCastle designed and wrote this website, which included several animated videos and an extensive libarary of repurposeable graphics and icons that are being used across all media within the Harvard Business ecosystem.
