Goals:

• To centralize all EMERGE information for students, including curriculum materials, surveys, advising tools, event registrations, external resources, documents & forms, staff and student communication. 
• To guide students in completing next steps depending on their phase in the EMERGE journey – such as signing up for events and activities, tracking application progress and submissions, submitting paperwork, completing assessments, drafting documents, tracking tasks, signing up for webinars, communicating with staff.

System Requirements

• Staff system replacing Salesforce with in depth reporting capabilities
• Mobile friendly client facing interface

• Ability to log in/access from EMERGE Website (Wordpress)

-      Unique records for each student – individualized data; Different content depending on Salesforce Contact record type and Contact type – as students move through the program (HS sophomores to college alumni) they have different engagements with EMERGE and will need to see different information in their portal page; could “look back” at previous program stages and content once they have graduated from one phase to another

-      Non-Salesforce tool/resource links/integration (Zoom, Docusign, Outlook) 

-      View fields – ability to update some fields and view others (read only); For some fields – students should have the ability to update their own information (like their phone number, their t-shirt size); for others - students should be able to see their information but not be able to change or update it (like their application milestones)

-      Student led trouble-shooting for password resets so staff don’t have to manage this

-      Students able to message/communicate with Program Managers – Integrate/replace Mogli (Txt) & Dialpad (Call & Text), Remind (One directional announcements), GroupMe (Group chats)

• Designs in Figma that translated our ideas into visually appealing, user friendly formats

They have been more than accomodating to a small nonprofit group of non-developers - teaching us along the way, having patience when we re-work things, and helping us take ideas to action. We have a weekly live sync to manage progress and use Coda and Productive to monitor each deliverable, approve new streams of work, discuss bugs, etc. They have a dedicated project manager on their team to support developers and translate our non-technical needs to the dev team!

The team has been so incredibly thoughtful, patient, and thorough throughout our partnership. We are a small nonprofit with big ideas and not a lot of technical expertise. The team has been so gracious and supportive as we learn the ropes of this work and understand the ins and outs needed to make our final product a success for our staff and students. For first timers in this space, we couldn't have asked for more supportive partners.

We are still learning and adding to this project, 2 years later! I think more initial scoping could have helped us in the long run, but I'm not sure that we even would have been able to answer all those questions in the early days.

Project Summary

The Office Administration Web Portal will be developed using the versatile no-code platform weweb.io including backend integration with Supabase application authorization and business data store, Supabase integration with Microsoft AzureAD (Entra) for user authentication, email integration with SendGrid, and file storage integration with Microsoft Azure Blob Storage.  
The portal will be a user-friendly internal administration portal that’s designed to digitalize existing manual processes.  The Office Administration Portal must have the following design characteristics: 

• Aesthetically pleasing User Interface
• Simple and intuitive User Experience
• Material UI, Bootstrap UI, or similar look and feel for theming, styling, and colors
• Web page responsiveness that supports users on high-resolution desktop and laptop monitors and also portable devices such as tablets (Android tablets, iPad and iPad mini tablets, etc.) and mobile phones (iPhone, Android phones, etc.)

Project Phases
The project will be implemented over three main phases.  

Phase 1 - Design Phase. During the design phase, the high-level UI and UX requirements will be provided, together with the data structures.  

• Define UI requirements to standardize of the application theme, control or element library, and typography.  
• Define UX requirements to standardize the user workflow patterns and application behaviors such as notifications, error messages, etc.  Intuitive and recognizable patterns shorten the ‘teething’ period for users to adopt and use the new system.
• Design wireframes and prototypes (Figma or Adobe XD) to illustrate the expected look and feel of the application.

Phase 2 - Implementation Phase.  During this phase, the project team will build the application in weweb.io together with the backend data storage engine (Supabase), integration with Entra identity provider, and Azure File Storage service.  The web application should match closely with the wireframes and prototypes.  Sample data will be loaded to the data store for development validation and testing. 

Phase 3 - Testing Phase.  During this phase, the project team will perform integration testing and user acceptance testing.  

• Test scenarios and test data will be prepared by the Tesla Consulting team members.  
• Test execution will be performed by the Tesla Consulting team members.  Any errors encountered will be logged into an issue tracker for remediation by the implementation team.
  Project completion and handover. Upon successful completion of user acceptance testing (i.e., all design, functional, and technical issues have been rectified), the application will be published for general access and production data will be loaded into the data store.

User interfaces that matched the design mock-ups. Successful completion of Integration Test and User Acceptance Test scenarios.

The project was delayed by issues that were not caused by Qikbuild.  There were integration and stability issues with weweb.io and Supabase.  Qikbuild expertly handled the issues directly with the platform vendors and worked closely with those vendors to resolve the defects promptly. 

During Integration Testing and User Acceptance Testing, the Qikbuild team (especially Michal), was very responsive and professional.  Issues that were logged were typically resolved by the next business day.

Perhaps more time should have been given for information and requirements sharing to avoid a few cases of miscommunication and misunderstanding of requirements.  However, the team worked well together to quickly resolve issues during the build and testing phases.

This project was quite tough to pick up, because it was left unfinished by a previous developer. Our bubble.io based webpage is working with a lot of data to process on the webpage and the workflows were in a bad shape with a lot of duplicities that were tremendously slowing down the whole webpage. Key deliverables were optimization of the previous solution and also adding new functionality.
