We engaged Outsourced Bookkeeping to take over accounting and bookkeeping across our full portfolio — roughly seven entities spanning development, operating, and holding companies in Alabama, Tennessee, and Georgia.
When they came on, our books were five months behind. Their first task was reconstructing and reconciling that backlog: bank statements across three institutions, credit card activity on multiple cards and cardholders, construction draws, and intercompany allocations that had never been cleanly tracked. They worked through all of it and brought us fully current in twelve weeks.
From there the engagement became ongoing. Their deliverables include: Monthly close across all entities in Yardi Breeze Premier — bank reconciliations, AP entry, and financial statements A standardized chart of accounts, including proper development-cost and construction-in-progress coding for our active projects Monthly credit card expense reports with property and cost-code allocation across entities Construction draw packages for our Knoxville development, with supporting GL detail Intercompany allocation of shared costs across the operating entities
The bigger deliverable was process. They built the standard operating procedures we now run on — a defined monthly close calendar, consistent documentation standards, and a repeatable workflow that lets us close each month without it becoming a fire drill. As a developer who is newer to this side of the business, having that structure handed to us has been the single highest-leverage thing we've done operationally.
RESULTS & FEEDBACK
What were the measurable outcomes from the project that demonstrate progress or success?
The clearest measure is the backlog itself. We went from five months behind to fully current in twelve weeks, across seven entities, without pausing operations or missing a draw. Since then:
Books closed by the 15th of every month, on a predictable schedule, instead of scrambling.
Clean reconciliation, every month. Our credit card expense reports tie to the general ledger exactly — every charge, to the penny, across all entities. We check this, and it holds.
Construction draws submitted on time and accurate. Our draw packages reconcile to the supporting expense detail without variance, which matters when a lender is reviewing them.
Proper cost capitalization. Development costs, soft costs, and construction-in-progress are now coded correctly instead of getting buried in operating expense — which changes both our financial statements and our tax position.
Time back. My partner and I spend our time managing real estate projects instead of doing bookkeeping. That's the outcome that matters most to us.

We have never had an email sit unanswered for more than twenty-four hours. Not once. The time zone difference has turned into an advantage rather than an obstacle — we arrive each morning to a batch of updates, questions, and requests waiting for us. Work gets done overnight while we're offline, so we start every day already moving instead of waiting on someone.
Their communication is clean and concise. We get what we need to know without wading through it, and when they need something from us, the ask is specific enough that we can answer it in a minute instead of scheduling a call to figure out what they're after.
Deadlines hold. Monthly close lands on schedule, draws go out when they need to go out, and we're not chasing anyone. Mostly it's that they're service-oriented in a way that's become rare. They act like our books are their responsibility, not a task list we're assigning them. I genuinely can't say enough good things about working with them.

Ten days after our first conversation, they got on a plane and flew more than twenty-four hours to sit in our office — for a prospect, not a client. We hadn't signed anything. That set the tone for everything since.
What's stayed impressive is that it wasn't a sales gesture. They treat our books as their responsibility rather than a list of tasks we hand over. When something looks wrong, they raise it before we notice. When we've asked for something outside the normal scope, the answer has been yes and then it's done. For a company that took on a five-month backlog across seven entities and cleared it in twelve weeks, they've never once made it feel like we were the difficult client.
We've worked with local vendors who wouldn't drive across town. These guys flew across the world.
