We’re working with OTAKOYI to bring our mobile app MVP to life. The plan was to finish the core development for  3–4 months, followed by a 1-month UAT phase. OTAKOYI handled the mobile development, QA, and project management, building everything according to our existing designs and connecting it to our existing  backend via the APIs we’ve provided.

What OTAKOYI  delivered for us:

A fully functional MVP for iOS and Android.

Key features like onboarding, sign-up/login, product browsing, customization, shopping cart, checkout, order history, account settings, and push notifications.

Payment integration for the UAE and KSA

Full API integration with our backend

On top of that, they have managed to implement a bunch of Change requests that were as well launched with MVP

A tested, UAT-ready app that’s good to go for App Store and Google Play submission.

They were not doing backend development or design creation (we already had that covered), but they were making sure everything works together seamlessly.

What were the measurable outcomes from the project that demonstrate progress or success?

Working with OTAKOYI on our mobile app MVP was a real win for us. The project kicked off in January 2025 and, despite a few scope changes along the way, we successfully launched both our iOS and Android apps in June. The apps went live on the App Store and Google Play with all the core features we requested — from onboarding and product browsing to checkout, order tracking, and multiple payment integrations.

Some clear signs of progress and success for us:

On-time delivery of a fully functional MVP, even with added change requests and a Phase 2 scope.

All planned features implemented and tested, including UAE payment methods and API integrations with our backend.

Successful publication of both apps, now available for our customers to download and use.

Smooth handover — OTAKOYI provided us with full admin access to our App Store and Google Play accounts.

Cost efficiency — they even covered part of the budget through discounts, which helped us stay within our financial limits.

Overall, OTAKOYI didn’t just build the app — they guided us through the process, handled changes flexibly, and delivered a product we’re proud to put in our customers’ hands.

We worked with the PM, Anastasiya, and we were constantly supported by the Account manager, Nataliya. They were organized, transparent, and easy to work with. 

Even when we introduced change requests and expanded the scope with additional features, they adapted quickly, and managed to fit them within our initial timeline. We did have some miscommunication on reports in April, as I didn’t work with this type of involvement before, but we resolved it very quickly and managed to find the solution that worked for both of us. 

While the final delivery took a bit longer than the original estimate due to both these extra features and some blockers with the back-end team from our side, OTAKOYI was proactive in managing the schedule and effectively used the pauses to deliver V.2 features for us and save the team.

They always responded to our questions and needs promptly, often coming back with practical suggestions to make things smoother — like optimizing payment options or improving the QA process for different devices.

In short, they kept the project moving, stayed flexible when our priorities shifted, and delivered a final product that met all our agreed requirements.

In short, I am very happy with the outcome and quality of work, I was only interested in improving reports for my better oversight but it was already done. So, nothing to add on my side.

Honestly, my past experience with other development teams had been pretty discouraging — deadlines were constantly missed, the quality of work was nowhere near what was promised, and I had learned to lower my expectations just to avoid disappointment. So when we started working with OTAKOYI, I’ll admit I was skeptical they’d actually deliver what they promised, let alone on time.

What impressed me most was that they not only met the expectations but completely changed my view of how a development partnership can work. They were structured, responsive, and genuinely committed to making the product a success. Every milestone was tracked, and the quality of the final app exceeded what I imagined at the start. Timeline Management: Otakoyi estimated approximately 1.5 weeks for the brand naming phase, and they did deliver within this timeframe once the work actually began. However, there was a notable delay in project initiation without clear explanation for the holdup.

Communication & Responsiveness: The team was generally responsive to messages and inquiries. They assigned a dedicated project manager who maintained regular communication throughout the engagement. Updates on work progress were provided proactively, which was a positive aspect of their service.

Delivery Quality vs. Process: While their project management processes appeared structured and communication was adequate, the fundamental issue was the quality of creative output. Despite following proper project management protocols, the delivered naming options showed a concerning lack of creativity and strategic thinking.

Response to Feedback: When we provided feedback about the low quality and lack of creativity in their naming suggestions, their ability to address these concerns and improve the output was limited. This gap between acceptable project management and poor creative execution ultimately led to our decision to terminate the collaboration.

Overall Project Management Rating: The administrative and communication aspects were satisfactory, but project management success should ultimately be measured by the quality of deliverables, where they fell significantly short.

Unfortunately, there were no particularly impressive or unique aspects of Otakoyi's service that stood out positively during our collaboration. While they maintained standard professional communication practices and assigned a dedicated project manager, these are basic expectations rather than impressive features.

The most notable aspect of our experience was actually the disconnect between their professional project management setup and the poor quality of creative output - which is concerning rather than impressive. For a company specializing in branding and creative services, we expected to see unique creative approaches, innovative thinking, or distinctive methodologies, but none of these were evident in their work.

If anything, the experience highlighted the importance of thoroughly vetting creative agencies beyond their communication processes to ensure they can deliver the quality and creativity that branding projects require.

Primary Recommendation: Remember the Client

My main advice to OTAKOYI would be to not forget about the client and their actual business needs. During our collaboration, I got the impression that I had stumbled into a paid hobby club where people play at being creatives. While they have well-established processes, they seem completely disinterested in delivering real value to their clients.

Fundamental Business Model Issues:

The pricing model is problematic and creates misaligned incentives. How can a team be motivated to deliver quality results when they receive their full profit from the client regardless of the outcome? This structure essentially guarantees payment for subpar work.

Suggested Pricing Reform:

I would strongly recommend implementing a performance-based approach where client satisfaction directly impacts compensation. For instance, if a client is dissatisfied with the results, the agency should retain only the advance payment/deposit for the work performed, rather than collecting the full project fee.

Client-Centric Approach Needed:

OTAKOYI should focus on understanding that creative work isn't just about following internal processes—it's about solving real business problems for clients. The disconnect between their operational efficiency and creative output suggests they've lost sight of their primary purpose: delivering value that helps clients achieve their business objectives.

Bottom Line: Shift from a process-focused internal culture to a results-oriented client-focused approach where success is measured by client satisfaction and business impact, not just project completion.

We were genuinely surprised to receive such negative feedback, especially considering your positive comments throughout our collaboration. We reviewed our meeting recordings and you were clearly satisfied with our process and the proposed naming options, particularly Bundle and Sendio, which you mentioned as your favorites during the presentation call.
It seems something may have changed afterward, and we regret that you didn’t reach out to share your concerns directly. With open communication, we could have addressed your concerns — as our 58 excellent reviews show, we always strive to meet our clients’ expectations.
We’d also like to clarify the project timeline. As outlined in the contract, the naming process was allocated 10 hours across two working days, with the final presentation on the third. Naming is a creative task that often benefits from more time and iteration. We proposed to continue based on your feedback, but you opted to proceed internally due to budget limitations.
You also mentioned additional costs, but all payments were made in accordance with the contract we signed before the project began, which outlined both the pre-payment and final payment. We’ve double-checked and did not exceed any time or cost limits specified.
Regarding the naming options: our team generated over 60 ideas, conducted uniqueness checks for brand viability, and selected 10 strong options aligned with your vision, supported by our market research. You referred to your “internal criteria” in the feedback, but unfortunately, you never shared them with us.
Finally, it was disheartening to hear that our team came across as unmotivated. In fact, even after you chose not to continue, our marketing team voluntarily kept working on new ideas. We’d be happy to share them if you’re open to it.

We've faced challenges throughout the project, such as internal requirements gathering, which were often varied and not focused.

Some features, as expected by internal stakeholders, were not directly translatable to Shopify and needed workarounds through existing features, but they responded very well, thinking of different solutions and presenting options based on what was achievable through plug-ins, or then identifying where custom code may have to be developed. The communication was clear and timely, which was appreciated.

Project:

We hired OTAKOYI to build the digital infrastructure for our consultancy, BRNDLB. The scope included a public-facing website and a suite of AI-powered internal tools to support client work and streamline operations.

Scope of Work:

The engagement started with a request for a Webflow-based website, but expanded as we identified operational pain points. OTAKOYI worked with us to map out how we run engagements, from onboarding to delivery. Based on that, they developed a set of tools that help us handle client intake, summarize workshops, generate proposals and reports, and deliver strategic and creative outputs faster.

The tools OTAKOYI delivered are now a core part of how we operate. They save time, reduce manual work, and help us move faster without sacrificing quality. The team was technically strong, responsive, and able to translate our needs into working systems that hold up under pressure.

RESULTS & FEEDBACK

What were the measurable outcomes from the project that demonstrate progress or success?

• Proposal development time reduced by ~70%. What used to take 4-6 hours now takes under 90 minutes using the internal tools.
• Client onboarding process became fully automated, cutting admin time per client by 2-3 hours.
• Deck and report generation accelerated significantly. First drafts for workshops or strategy presentations are now produced within 24-48 hours, down from 4-5 days.
• Internal knowledge reuse increased. We estimate that around 40-50% of new deliverables now leverage past work via the knowledge system, reducing duplication and improving consistency.
• Team output improved without increasing headcount. We’ve been able to handle more parallel projects with the same team size.
   

Describe their project management. Did they deliver items on time? How did they respond to your needs?

Project management was structured and reliable. OTAKOYI worked in sprints with regular check-ins, and we always knew what was being worked on and when to expect delivery. Most deliverables were on time or very close to it, with delays communicated early and clearly. We used Whatsapp, Email, Google Meet and various collab software (Figma etc.)

They were responsive to feedback and adapted quickly when priorities shifted or requirements changed. Communication was consistent, and they were proactive in raising questions or flagging potential issues. Overall, they operated more like a product partner than a typical dev agency.

They think ahead. OTAKOYI wasn’t just waiting for instructions — they looked for gaps, made useful suggestions, and often delivered more than expected. Very open to feedback, no ego. Worked like a partner, not a vendor.

Are there any areas for improvement or something OTAKOYI could have done differently?

A bit more pressure-testing of early assumptions would’ve helped avoid some mid-project revisions. Nothing major, but a stronger push during scoping could have saved time later. Otherwise, they were solid across the board.
