I’m the CEO of a real estate marketing firm. We’re located in Los Angeles, California.

What challenge were you trying to address with OTAKOYI?

Nobody was able to grow at our speed. The first people we had suggested we do a WordPress site, but we outgrew it. The second people suggested Ruby on Rails, but we also outgrew the platform.

SOLUTION

What was the scope of their involvement?

OTAKOYI has completely rewritten our website. They’ve rebuilt the backend while keeping the website alive, making it much harder than just crashing it and building a new one. However, we didn’t want to touch it because we were already running it, and OTAKOYI has been able to do the backend while it continues to run.

We interviewed them, and they thought we should use Python and React. We initially had an in-house team, and OTAKOYI came in and studied our platform for 10 days. Then, they told us they were ready to take over. We were concerned that our team would leave when we brought them in, and that’s what happened. However, OTAKOYI told us we didn’t have to worry if everybody left on the first day because they’d still be able to control the site.

Then everybody left, and OTAKOYI rewrote our site. They put the backend in the frontend and the frontend in the backend. They also solved 80% of our bugs within the first month of working with them and all bugs within two months.

The platform is multilingual and fully functional in 20 languages; it has over 1 million items. OTAKOYI has also reduced many of our costs, like our Google and Amazon costs, and removed many third-party applications that were installed by previous developers.

Although we had a design team, OTAKOYI said they could do a better design. They asked if we minded if they tried, so we told them to proceed. After they showed us the new design, we let go of our design team and let OTAKOYI design our site.

We’re still not in the maintenance phase yet because we’re focusing on growth. However, everything we’ve achieved needs to be maintained, and they’re doing that without any challenge.

Depending on the time, we have 5–10 team members, including frontend and backend developers, UI/UX designers, and QA specialists.

How did you come to work with OTAKOYI?

We found them on Clutch. We found six companies we were interested in, contacted the six, and interviewed them. Ultimately, we had the best chemistry with this team.

We’ve spent between $200,000–$300,000.

We’ve been together almost a year, since June 2023, and our partnership is ongoing.

What evidence can you share that demonstrates the impact of the engagement?

Our traffic, click-through rate, and lead business conversion have substantially grown, but I don’t want to go into details 100%. Moreover, OTAKOYI has several skilled people working on our site to handle our exponential growth and move ahead of the curve; we’re always catching up with our growth. They move ahead based on what will happen, and we’re very happy with their foresight. 

How did OTAKOYI perform from a project management standpoint?

Project management is excellent. What we like the most is that they think and plan ahead so there aren’t any emergencies. They’re very realistic about time.

We use Asana and communicate mainly through texts, emails, WhatsApp, and Google Meet calls.

What did you find most impressive about them?

The biggest advice for new clients is to trust OTAKOYI’s vision and advice. They know what they’re doing and can foresee where things should go.

We needed to build a new version of our application and add more resources to our development team.

What was the scope of their involvement?

OTAKOYI provides resources that have built a new version of our app from scratch. Our platform uses Google Cloud Platform technologies and intelligent processing, and OTAKOYI will start working on that. The team has built the infrastructure to run the app and most of the frontend using JavaScript. OTAKOYI also works with Python and other technologies on the backend. 

The project also uses large AI language models and AI for document type and identification, and we're discussing with the team about adding a resource to work on that as well.

We've worked with around six teammates from OTAKOYI overall, although we currently work directly with two resources and may add a third teammate. Most roles we've worked with are software developers and one project manager.

I believe OTAKOYI reached out to my business partner, although I'm unsure how we initially found the team. We selected OTAKOYI over other service providers from India and the US because we found the best match of resources and cost.

OTAKOYI meets our expectations and delivers good-quality work. All teammates are good to work with and focused on meeting requirements.

How did OTAKOYI perform from a project management standpoint?

OTAKOYI stays on budget. Our project makes it difficult to set deadlines, and we focus on OTAKOYI's ability to deliver on our requirements efficiently and are always comfortable with that. We primarily communicate through Slack and regular check-in meetings.

What did you find most impressive about them?

OTAKOYI seeks to deliver a good job. Although we don't share a first language, our communication is really good. When we go through requirements, we use wireframes to express what we're trying to implement, and OTAKOYI's developers consider what we're trying to accomplish rather than just the specifications of our requirements. The team comes back with proposals on how to implement our requirements rather than just taking a specific direction and delivering that work. 

OTAKOYI clearly considers our requirements' goals, which is critical for our project since we're building a complex application. We need teammates who can consider how our requirements fit into the app's overall scheme, and OTAKOYI is very good at this.

I can't think of anything for OTAKOYI to improve — they've responded very well to our requirements.

Each project's requirements are different, but we've focused on ensuring OTAKOYI understands our business proposition and the problem our app is trying to solve for users. This project was an existing project when we requested OTAKOYI. Initially, it was planned for 3 months, but after working with their dev, we’ve decided to prolong him for another 6 months. Yaroslav (our dedicated dev) has:

• Rewritten almost the entire App due to bad code quality of the previous dev
• Improved App’s performance and speed;
• Reduced amount of bugs and conflicts that we were constantly facing;
• We have managed to launch a lot of new features that helped to boost sales.

Our general feedback on the collaboration is the quality of their work is quite satisfactory. They help us accomplish our clients’ requests and get the right people involved in certain projects with specific needs.

They perform well from a project management standpoint as they have excellent communication skills and are very proactive when it comes to delivering our needs. We typically interact through Slack and email.

What did you find most impressive about them?

Apart from their level of technical expertise, we like that OTAKOYI doesn’t underestimate their tasks and they try to fully understand the scope of the project. They also have a very customer-centric approach, which enables them to be present during client meetings.

It would be great if they could take the initiative and propose more projects to the client, and be more proactive in suggesting different solutions.

Make sure you have the necessary requirements and decide which ideas you want to put forward. Not only will OTAKOYI deliver from a technical perspective, but they will also be very honest and transparent with the process and technology they’re going to implement.

We provided them with the existing code of the website. They did the front- and backend development to complete the website. Some of the technologies they used were React, Node.js, WebSocket, Chakra UI, and Google APIs. The platform was created for a car company.

We worked together from July 2021–February 2022.

What evidence can you share that demonstrates the impact of the engagement?

The OTAKOYI team delivered the product we requested, but there were some speed and quality issues. They took on every challenge presented to them but struggled with some of the more complex aspects of the project.

Our company would still resolve some of the issues prior to launching. Our client wasn’t happy about the delay. However, it was a pleasure to work with the team. They just need more experience to move from the intermediate to senior level.

How did Otakoyi perform from a project management perspective?

The project manager was concise and clear about what needed to be done. We used ActiveCollab for ticket creation and assignments and Coda.io for technical documents. We had strong communication with them, and they asked for clarifications whenever necessary. We communicated through daily standup calls and Discord. We also used Google Translate to resolve the initial language barrier.

What did you find most impressive about them? 

The team was respectful and kind, and I appreciated that they didn’t challenge my judgment.

Are there any areas they could improve?

There were instances where the same task had to be sent back to them several times from QA to be fixed. The developers need to be more detail-oriented. Rather than relying heavily on QA, they could’ve ensured that the functionality and UI they produced were complete and accurate. Their team should’ve taken their time in finding and resolving bugs by themselves.

Prior to starting the project, make sure communication is good and that the team is comfortable approaching you with questions and concerns.
