In 2016 we approached and appointed Netgen to Architect, Design, Build, Maintain, Monitor and Support a bespoke Telco platform and CRM as well as a Customer Facing and Face-to-Face Sales agent App.

This strategic Partnership has over the last 10 years grown from strength to strength. The Development, Testing and Production environments have allowed us to engage with multiple service providers and partners to offer significant value to both these partners and customers alike. During this period, we’ve had to integrate and migrate multiple times, which we achieved with very little impact.

Our systems and environments demand high availability, scalability and discipline to ensure we meet our business goals and objectives as well as customer expectations.

Netgen Custom Software continues to provide they are more than capable from the owners and founders down to the Testers and Operational support staff and continue to demonstrate their Innovation, skills, capacity, professionalism, integrity and ownership. Netgen also continued to evolve with us and remain abreast of the growth and changes in new technologies such as AI to automate and manage our complex business rules, workflows and processes.

The scope of work included building a full mapping visibility of deliveries accross South Africa in real time. It included the overlay of our tracking devices to ensure deliveries were accurate. It provides a full overview of timescales, volumes and geographical locations that our printed catalogues are distributed, in order to trigger follow up comms to customers. Our UK system allowed us to design direct marketing collateral that could be assigned to data files in order to personalise them and send to print. Each office that the client has (x 60) had access to it to create their own collateral. The marketing that was produced from the system had a brilliant response rate and kept within the clients brand guidelines.

What were the measurable outcomes from the project that demonstrate progress or success?

Improved off market appraisals through our direct mail which was created and executed through the system for our UK client by 20%. New instructions attributed to the campaigns rose to 17.8% and we won a GOLD SMP award for our work. 

We also won new clients with our SA platform due to its differnential with other competitives. It has been designed and executed with nothing like it in the market place. We are still adding new sections of it to take it to another level.

The team are a dream to work with and always meet deadlines. Nothing is too much trouble and they really understand our brief. We really enjoy working with the whole team and they always find solutions to any problems we have.

Netgen set themselves apart by their excellent customer care, knowledge of the platforms we wish to implement. They listen and provide us with solutions or improvements every step of the way. Their understanding and speed to develop what we need is excellent. We really enjoy working with the team. We definitely wouldn't go anywhere else!

We feel that Netgen always understand our brief and hold our hands every step of the journey. We dont think there is anything they could improve or do differently. We very much see them as an extention of our team!

I do not have the documents anymore that outline the scope and deliverables, and I am not faimiliar with developer-terminology. But NETGEN custom built an advanced portal for recording and managing student data and documents with enhanced automation features that automated many of our processes. This system automatically allocates online payments received to student accounts, created new student accounts once a registration has been made on our site, so the details are readily loaded onto the student's profile on the system. This portal automates a lot of the functions to do with student accounts management, it securely and safely stores student documents (such as IDs, qualification etc), it generates automated reports on registrations received, as well as automated reports reflecting student results and academic progress. These are just some of the many features developed by NETGEN.

What were the measurable outcomes from the project that demonstrate progress or success?

1. Improved Student Experience: Students now have immediate access to up-to-date account information, including automated financial statements and account balances through their online portal. In addition, automated monthly progress reports provide students with real-time insight into their academic performance and course progression, significantly improving transparency and communication.
2. Significant Operational Efficiency: By automating student administration, registration processes, and access to information, NETGEN has substantially reduced the administrative workload. This has enabled IBM College to support continued growth without the need to recruit an additional full-time administrative staff member, resulting in measurable cost savings and improved operational scalability.

What did you find most impressive or unique about this company?

The care they put into their work and the initiative to recommend areas to enhance our operations further stood out. As someone who does not work in the development space, we are often blind to the available opportunities for improvement and it becomes quite frustrating to try and establish what we need to do to improve the flow of our operations. I therefore appreciated that NETGEN would reach out to recommend new developments that could have a huge impact on the efficiency of our operations AND our public image. This is attributed to the "smart" nature of their enhancements and the value that these enhancements offer to our students, which enhances the professional image of our Institution in turn. 

Are there any areas for improvement or something Netgen Custom Software could have done differently?

As with any large custom software project, the initial development and implementation phases can sometimes be challenging. There are occasions where refinements or unforeseen issues only become apparent once the system is being used in a live environment, requiring further adjustments after deployment. However, we recognise that this is a normal part of developing complex, tailored solutions. What has consistently stood out is NETGEN's responsiveness, proactive communication, and willingness to address feedback quickly. Their ongoing support has made these challenges manageable and has ensured that the final solution continues to evolve to meet our needs.

I’m a project manager for the Center for International Peace Operations in Berlin. It’s an organization that is linked to the Foreign Affairs Department of Germany. I work with the African Union on their civilian roster for peace support operations. My department does consulting services for other organizations on a global level, particularly dealing with peace deployment and peace support operations.

What challenge were you trying to address with Netgen Custom Software?

We needed someone to redesign our database for the transition to the African Union.

Prior to the transition, we built the actual personnel roster database with a different company in Germany. The general idea is always to keep the solutions for the African Union on the same continent. We chose Netgen as they were one of our first partners, and they’ve been involved in the African standby capacity database development for the past five years.

SOLUTION

What was the scope of their involvement?

For the past year, Netgen has been completely reorganizing, redesigning, and reprogramming the database because the old one looked really outdated. We want the database to be more user-friendly, as we’re working with all the regional organizations in the African Union. They also managed the nominations for peace operations and the deployment of personnel. The whole process of selecting a suitable candidate for the peace operations is reflected in the database. 

They modernized the look and feel of the functionalities of how the database works. They spent a chunk of last year working on the list of deliverables the African Union requested, and we’re now in the final stages of adjusting minor details. They work in different phases and deliver products on a regular basis for us to test. We test the functionalities, draw feedback, and send them to Netgen so they can continue working on it, and deliver it to the next phase.

Our ongoing engagement started in March 2020.

What evidence can you share that demonstrates the impact of the engagement?

No matter what we ask, Netgen is always willing to go back into the development phase. It’s modern, user-friendly, and it’s self-explanatory. There’s a huge difference to what the database looked like before and from my point of view, it’s been a huge improvement to have those changes developed by Netgen.

Though ultimately, the success of the database will only show when the actual people start working with it.

How did Netgen Custom Software perform from a project management standpoint?

We mostly communicate through emails, but we would have regular calls for updates. We would do a live screen sharing on Zoom where Andrew would walk us through the system on a regular basis. This is so we can understand the functionalities of the database.

What did you find most impressive about them?

We’re impressed with how they respond to our feedback requests promptly. If I send an email today, I’ll definitely get a response on the same day. A lot of the activities within the project are based on the progress of its development. We always expect to hear the outcome of those activities and for us, it’s super useful because we can continue planning other activities.

Another thing I’m happy about is there are more levels of testing involved now. Even though we were supposed to finish by Christmas, Andrew is still contacting us to let us know they’re willing to help us out.

Are there any areas they could improve?

Not really. I understand it’s a very complex project with little nuances that are sometimes difficult to grasp. In that sense, sometimes things are not immediately perfect, but then it’s also on our side — we could’ve walked them through our logic as well.
