Mind Group is a Brazilian software house founded in 2016, specializing in custom software development, AI integration, and dedicated development squads. With a team of nearly 100 professionals and over 250 projects delivered, we build web applications, mobile apps, enterprise platforms, and AI-powered systems from the ground up — tailored to each client's business challenges.
Our clients include Itaipu Binacional (Brazil's largest energy company), USP (University of São Paulo), Fisk (nationwide education network), Henkel, Febracis, and Lojas Torra. We serve mid-to-large enterprises across energy, education, retail, manufacturing, and technology sectors in Brazil, Latin America, and the United States.
In June 2026, our CEO José Gonçalves was featured in Valor Econômico — Brazil's leading business newspaper — discussing why most AI projects fail before reaching production, drawing on our experience delivering AI solutions at scale.
We offer flexible engagement models: fixed-scope projects with structured Kick-Off phases (screen mapping, user flows, and architecture validation before development begins), dedicated squads (PO + developers + QA + design + DevOps), and staff augmentation. Every project starts with a diagnostic phase to define clear success metrics and ensure alignment.
Our core expertise includes full-stack development (React, Node.js, Python, Java), mobile apps (Swift, React Native, Flutter), generative AI integration (LLMs, RAG, AI agents), cloud infrastructure (AWS, GCP, Azure), and DevOps. We built many AI projects like LawrAI, an AI-powered legal platform using RAG technology that serves over 20,000 users — a testament to our ability to take AI from proof-of-concept to production at scale.
We operate as a nearshore partner for U.S. companies, with communication in English, Portuguese, and Spanish, and provide 365-day technical support for mission-critical systems.
Mind Group offers competitive pricing, with clients noting good value for cost. Specific project costs aren’t detailed, but the consistent mention of budget alignment and high satisfaction suggests affordability relative to quality. Client sizes range from small startups to established companies.
Mind Group's strategic approach to SEO and organic growth has led to significant increases in traffic and visibility for clients, demonstrating their ability to enhance digital presence effectively.

Mind Consulting developed and designed a custom e-commerce platform for a pet products company. The team built a mobile-first frontend, created a product catalog with filters, and integrated payment methods.
Mind Consulting delivered a high-performing platform that exceeded expectations and generated immediate engagement. The team led an agile process and was highly responsive. Mind Consulting delivered a sophisticated solution thanks to their deep understanding of the client's business.
BACKGROUND
Introduce your business and what you do there.
I’m the e-commerce manager of My Pet’s Place, a pet products company.
OPPORTUNITY / CHALLENGE
What challenge were you trying to address with Mind Consulting?
Our digital presence was limited to an Instagram profile and an improvised website on a generic platform that couldn’t handle our product volume, didn’t integrate with our physical inventory, and offered a shopping experience below the standard we wanted to deliver. We were losing sales due to cart abandonment, lack of adequate search filters (weight, breed, pet age group), and a confusing mobile checkout — a channel that accounts for more than 70% of our visits. We needed our own e-commerce platform: fast, with a strong visual identity and features specific to the pet market.
SOLUTION
What was the scope of their involvement?
Mind Consulting developed our complete e-commerce platform from scratch, without using ready-made platforms. They built the frontend in Next.js with a mobile-first design, optimized performance for Core Web Vitals (LCP < 1.5 seconds), and created a visual identity alongside our creative team. The team also created a product catalog with advanced filters by species, breed, age group, size, category, and price range — a critical feature for purchase decisions in the pet market.
Moreover, Mind Consulting built a recommendation system based on the pet profile registered by the customer (“my pet” — name, species, breed, weight), which personalizes the product storefront for each owner. They optimized the checkout with full payment method integration: PIX with automatic discount, credit card in up to 12 installments, and bank slip (boleto) via a proprietary gateway.
Additionally, the team integrated inventory management with restocking alerts and synchronization with the physical store. They also integrated a shipping module with Correios, Jadlog, and regional carriers, with real-time calculation by zip code. Mind Consulting built a mobile app in React Native for Android and iOS with push notifications for promotions and real-time order tracking. Finally, they created an admin panel for managing orders, products, coupons, sales reports, and cart abandonment analysis.
What is the team composition?
We worked with 6-10 teammates, including a project manager and a development team.
How did you come to work with Mind Consulting?
We found them through an online search. We chose them over other options because they had high ratings, their pricing fit our budget, they had a great culture fit, they offered good value for the cost, they were referred to me, and their company values aligned with ours.
What is the status of this engagement?
We worked together from July to December 2024.
RESULTS & FEEDBACK
What evidence can you share that demonstrates the impact of the engagement?
In the first 90 days after launch, we had a conversion rate of 4.2%, above the Brazilian e-commerce average in the pet segment (2.8%). We also had an average order value of R$187, 34% higher than during the previous period with the old website. Our cart abandonment rate reduced from 78% to 52%, a direct result of the mobile checkout optimization. Moreover, 38% of purchases were made via the app by the second month of operation, demonstrating rapid adoption. Our average store load time was 1.3 seconds on mobile, with a Lighthouse score of 91.
The pet profile feature generated immediate engagement — 61% of customers registered at least one pet on their first visit, and these users had an average order value 28% higher than the overall average.
Overall, the platform created a more personalized and seamless journey, which had a direct positive impact on customer retention and loyalty over time. While we didn’t track a formal repeat purchase rate percentage prior to the launch for a direct before-and-after comparison, we observed strong quantitative indicators that pointed to improved retention and repeat behavior.
Post-launch, 61% of users registered at least one pet on their first visit, and this cohort demonstrated a 28% higher average order value compared to the overall average — suggesting higher engagement and a greater likelihood of repeat purchases.
In addition, the reduction in cart abandonment (from 78% to 52%) and the improvement in conversion rate to 4.2% indicated a more efficient and satisfying purchase journey, which typically correlates with higher retention over time.
We’re currently structuring more advanced cohort analyses to track repeat purchase rates more precisely, but the early data already shows a clear positive trend in customer engagement, purchase frequency, and overall loyalty.
Moreover, in the first 90 days after launch, we observed that approximately 30%–35% of customers made at least a second purchase within that period. Among users who registered a pet profile, this rate was noticeably higher, reinforcing the impact of personalization on repeat behavior.
We also identified that a meaningful portion of repeat purchases occurred within relatively short intervals — often within 2–4 weeks of the first purchase — especially for consumable products like food and hygiene items.
Although these numbers are still being validated with more structured tracking, they already indicate a strong early trend in customer retention and purchase recurrence compared to our previous model.
How did Mind Consulting perform from a project management standpoint?
They used agile management with biweekly sprints and incremental deliveries that allowed us to validate the shopping experience with real customers before the project was complete. The project manager was very present in product alignment meetings, always bringing benchmarking data from the industry to support UX decisions. We communicated via Slack, and they guaranteed a response within two hours during business hours. No deadline was missed throughout the six months of the project.
Moreover, when we requested a significant change to the pet registration flow in Sprint 4, the team replanned and delivered it without charging any additional hours, as they understood the improvement was genuinely beneficial to the final product.
What did you find most impressive about them?
Mind Consulting’s depth of understanding of consumer behavior in the pet market was impressive. The pet profile system — which seemed like a simple feature in the brief — was implemented with a far more sophisticated personalization logic than we expected, including seasonal recommendations (e.g., summer heat products), pet food restocking alerts based on the pet’s weight and historical purchase frequency, and curation of new products by species. This level of product thinking was only possible because the team truly understood our business.
Are there any areas they could improve?
The product review module for customers was delivered in a basic version in phase 1 — functional, but without features such as store responses, photos of pets with the purchased product, or Google Reviews integration. These features made a difference in niche e-commerce, where social proof was highly valued. However, they’re already on the phase 2 roadmap, and we’re planning the development together.

Mind Consulting developed a Next.js digital store from scratch for an edtech company. The team created an automated purchase and delivery flow, a member area, a content creator dashboard, and more.
Mind Consulting's work led to a 44% repurchase rate, a buyer NPS of 79, 32 active content creators, and 2,800 transactions in the first 60 days. The client also saw their monthly revenue grow by 3.4x. Mind Consulting's impeccable organization and proactive communication made all the difference.
BACKGROUND
Introduce your business and what you do there.
I’m the digital commerce manager of an EdTech company that provides digital educational resources and content.
OPPORTUNITY / CHALLENGE
What challenge were you trying to address with Mind Consulting?
We were operating with an improvised solution for sales via payment links on Instagram and manual file delivery by email, which didn’t scale. Each sale required manual intervention from our team to release the download, causing delivery delays, errors, and very high operational costs. Additionally, we had no member area for teachers to access past purchases, no reliable sales metrics, and no dashboard for content creators to track their commissions. We needed a professional platform that would automate the entire flow from payment to file delivery and evolve with our business model.
SOLUTION
What was the scope of their involvement?
Mind Consulting developed a full platform from scratch. The team built a digital store with Next.js featuring a catalog of materials, search by subject, grade level, activity type, and seasonal themes, product pages with material previews, and a review system by teacher-buyers. Moreover, Mind Consulting created an automated purchase and delivery flow. After payment confirmation, the download was instantly released in the member area with no manual intervention. The team also built a secure download system with temporary and tracked links, preventing unauthorized sharing of PDFs. Additionally, Mind Consulting developed a member area with purchase history, unlimited downloads of purchased materials, and favorites. The team also created a content creator dashboard with material upload, pricing configuration, sales tracking, commission statements, and payout requests via PIX. Furthermore, Mind Consulting integrated payment with PIX, credit card, and processing via a gateway with automatic revenue split between the platform and creator. The team also built a coupon and promotions system for seasonal campaigns and an admin dashboard with sales analytics, most downloaded materials, revenue by category, and user management.
What is the team composition?
We worked with 10 teammates from Mind Consulting.
How did you come to work with Mind Consulting?
We found Mind Consulting through an online search. We chose them over other options because they had high ratings, their pricing fit our budget, they had a great culture fit, they offered good value for the cost, they were referred to me, and their company values aligned with ours.
What is the status of this engagement?
We worked with Mind Consulting from August 2024–January 2025.
RESULTS & FEEDBACK
What evidence can you share that demonstrates the impact of the engagement?
In the first 60 days after launch, we eliminated 100% of manual deliveries, and the entire payment and download release flow became automated. The average time between payment confirmation and download availability was eight seconds. Moreover, we had a 44% repurchase rate within 45 days, and teachers who bought one material returned to purchase others from the same series. We also had a buyer NPS of 79 and 32 active content creators onboarded, producing materials and generating recurring revenue without team intervention. Additionally, we processed 2,800 transactions in the first 60 days with zero file delivery failures. Our monthly revenue grew 3.4x compared to the previous manual process period, simply by removing purchase friction. After the initial launch, we established a set of core KPIs to continuously monitor platform performance and guide decision-making. From a revenue and growth perspective, we tracked monthly revenue, average ticket size, conversion rate, and customer acquisition cost (CAC). We also closely monitored the repurchase rate and customer lifetime value (LTV), as they were critical indicators of long-term sustainability in a content marketplace. On the operational side, we followed metrics such as payment approval rate, download success rate, and average time between payment confirmation and content access, ensuring the platform remained stable and frictionless. For the supply side, we tracked the number of active content creators, content upload frequency, revenue per creator, and creator retention rate. Maintaining a healthy and productive creator base was essential for marketplace growth. Additionally, we monitored user behavior metrics like most viewed and most downloaded materials, search terms, and drop-off points in the purchase funnel. These insights helped us continuously optimize both the user experience and conversion performance over time. We observed consistent improvements across several key KPIs as the platform matured, with some metrics showing particularly significant progress. The most notable gains were in conversion rate and repurchase rate. As we optimized the purchase flow and reduced friction, conversion rates increased steadily, while the repurchase rate remained strong and even grew over time — reinforcing the platform’s stickiness and the perceived value of the content. We also saw meaningful improvements in average ticket size, driven by better product organization, cross-selling strategies, and the introduction of promotions and bundles. On the operational side, the payment approval rate improved as we refined the checkout experience and payment options, while the already fast download delivery time remained consistently stable, ensuring a reliable user experience. From the supply perspective, the number of active content creators and their retention rate increased over time, which directly impacted the expansion of the catalog and overall revenue growth. Overall, the combination of higher conversion, stronger retention (both buyers and creators), and increased average ticket contributed most significantly to the platform’s sustained growth.
How did Mind Consulting perform from a project management standpoint?
Mind Consulting had impeccable organization throughout the six months. The project manager conducted the discovery phase in great depth, documenting each flow in Notion before development began. We had biweekly sprints with live demos. What we valued most was their proactive communication. When they identified that the PDF preview system we had specified posed a risk of full content leakage in certain browsers, they came to us with the issue already documented and two alternative solutions ready for decision. This proactive approach — anticipating problems instead of just executing requests — made all the difference.
What did you find most impressive or unique about them?
Mind Consulting’s understanding of two-sided marketplace dynamics applied to digital content was impressive. They recognized that, in a platform like ours, the creator experience was just as important as the buyer experience. Without productive creators, there was no content, and without content, there were no buyers. The creator dashboard was developed with the same level of UX care as the main store, featuring clear performance metrics, transparent statements, and simplified payouts. This was crucial for attracting and retaining top creators on the platform from launch.
Are there any areas they could improve?
The semantic search system — which would allow teachers to search for something like “addition activity for 2nd grade with an animal theme” and receive relevant results — was postponed to phase 2 due to complexity. The current tag and filter-based search worked well, but natural language search would be a major differentiator for our audience. We were already discussing its implementation with Mind Consulting.

Mind Consulting developed and designed a digital platform for a home services marketplace company. The team built a web portal using Next.js, an iOS and Android app, and a PostgreSQL database.
Mind Consulting delivered a high-performing platform that exceeded the client's expectations. The team demonstrated a deep understanding of the client's industry and needs, enabling them to provide insights and suggestions. Mind Consulting built an excellent UX for both sides of the marketplace.
BACKGROUND
Introduce your business and what you do there.
I’m the product manager of Resolve Já Brasil Tecnologia, a home services marketplace.
OPPORTUNITY / CHALLENGE
What challenge were you trying to address with Mind Consulting?
The home services market in Brazil is highly fragmented, informal, and historically driven by word-of-mouth referrals — which excludes service providers without an existing network and leaves homeowners dependent on unknown professionals with no guarantees whatsoever. We needed to build from scratch a digital platform that would digitize this entire chain: provider registration and verification (ID, background checks, certifications), a service request system with geolocation-based matching by category and availability, a competitive quoting flow, a verified post-service review system, and escrow payments released only after the client confirms completion. The central technical challenge was delivering a seamless experience for two very distinct user profiles — the homeowner (who wants simplicity) and the service provider (who needs professional tools for schedule and billing management) — within a single cohesive, scalable ecosystem.
SOLUTION
What was the scope of their involvement?
Mind Consulting built the entire platform from scratch, with no ready-made or white-label solutions. They handled the full end-to-end scope — it was never just development. From the outset, they were involved in every layer of the project. On the design side, their UX/UI designer ran user research sessions with real homeowners and service providers before producing a single wireframe. That research directly shaped the product decisions throughout development, and it’s reflected in outcomes like the 84% of clients who spontaneously cited the verified review system as their primary trust signal — that kind of result doesn’t come from a team that only writes code.
Infrastructure was also entirely their responsibility. They architected and configured the full AWS environment, including PostGIS for geospatial queries and Redis for real-time matching cache. One of the more tangible outcomes of that work was an AWS infrastructure cost that came in 28% below our initial projections — a direct result of the architectural decisions they made, not off-the-shelf defaults.
The ongoing support piece is worth clarifying with some nuance: the engagement was scoped as a product build, not a managed service retainer. That said, they were never the type of team to hand over a ZIP file and disappear. Throughout the seven months, every sprint included live demos and structured retrospectives, and any issue that surfaced — including the performance risk identified in Sprint 5 around geolocation matching under high provider density — was proactively flagged and resolved by them before it became our problem to manage. The codebase they delivered has test coverage above 80% and complete technical documentation in Confluence, which made post-launch operations significantly easier on our end.
To answer directly, design, development, and infrastructure were all within scope and fully delivered. Ongoing support in the traditional sense was not part of the original contract, but the quality and transparency of how they worked made the transition to independent operation smooth.
Specifically, Mind Consulting delivered: (1) a responsive web portal in Next.js for end clients, featuring category and geolocation search (Google Maps API), a structured service request form by demand type, a quote comparison system, and verified provider reviews; (2) an iOS and Android mobile app (React Native) for both clients and providers, with real-time push notifications for new requests, quote acceptance, status updates, and completion confirmation; (3) a provider web dashboard with full schedule management, active and historical job tracking, a map of open requests in their service area, payment statements, and fiscal documents; (4) a geolocation-based matching system with a prioritization algorithm based on distance, availability, rating, response time, and review volume; (5) an escrow payment system integrated with Stripe and PIX, holding funds until service confirmation and automatically releasing payment to the provider after client review; (6) a provider verification module: ID validation, criminal background check integration, and qualification certificate upload; (7) a robust review system with a photo of completed work, overall rating, and criteria-specific evaluations (punctuality, quality, communication, cleanliness); (8) an internal admin dashboard with category management, registration moderation, request analytics, active coverage map, and NPS indicators by city; and (9) AWS cloud infrastructure with auto-scaling, PostgreSQL database with PostGIS for geospatial queries, and Redis for real-time matching cache.
What is the team composition?
We worked with 6–10 teammates from Mind Consulting.
How did you come to work with Mind Consulting?
We found them through an online search. We chose them over other options because they had high ratings, their pricing fit our budget, they had a great culture fit, they offered good value for the cost, they were referred to me, and their company values aligned with ours.
What is the status of this engagement?
We worked together from August 2024–February 2025.
RESULTS & FEEDBACK
What evidence can you share that demonstrates the impact of the engagement?
The marketplace launched on schedule, without delays, and with zero critical bugs recorded in the first 30 days of operation. In the two months following go-live, we achieved the following results: 1,840 registered and verified service providers across six main categories; 9,200 clients registered organically, with no paid media investment; 3,100 service requests generated, with a quote acceptance conversion rate of 62% — above our 50% target; average time between request opening and first quote received of 14 minutes, reflecting strong active provider density on the platform; client NPS after service completion of 71, considered excellent for a new marketplace. Technical performance was equally solid: average app load time of 1.1 seconds, uptime of 99.96% in the first 60 days, and AWS infrastructure cost 28% below initial projections thanks to the team's efficient architecture. The verified review system — which requires a photo of the completed work as evidence — was spontaneously cited by 84% of clients as the primary reason for trusting the platform.
Honestly, the quantitative results met or exceeded every target we had set going into launch — conversion rate, provider density, NPS, infrastructure cost, and uptime all came in at or above our projections. So in terms of hard metrics, there were no shortfalls.
How did Mind Consulting perform from a project management standpoint?
The project management was exemplary in every respect. We used an agile methodology with Scrum 2-week sprints, and well-structured ceremonies: planning, async daily standups via Slack, sprint reviews with live demos of developed features, and biweekly retrospectives. The PM maintained a quarterly roadmap updated in real time on Notion, with epics, user stories, and detailed acceptance criteria — which greatly facilitated alignment between the technical and product teams. All communication was handled transparently: when they identified a performance risk in Sprint 5 related to geolocation matching queries under high provider density, the architect presented that same week a technical analysis comparing three PostGIS indexing approaches, including cost, development time, and user experience impact. We chose the best solution together, and the adjustment was implemented without any impact on the overall schedule. No deliverable was made with hidden technical debt — the delivered code has test coverage above 80% and complete technical documentation in Confluence.
What did you find most impressive about them?
Two aspects stood out remarkably. The first was their maturity in two-sided marketplace design: they understood from the outset that a home services marketplace needs to solve the chicken-and-egg problem — you need providers to attract clients, and you need clients to attract providers. The PM proposed a pilot-neighborhood onboarding strategy (rather than a city-wide launch) that significantly increased active provider density in the launch area and generated the first conversions within 48 hours of go-live.
The second was the quality of the provider experience: most marketplace platforms in Brazil treat the supply side as secondary. Here, the provider app received the same UX care as the client app — with an intuitive dashboard, smart notifications, and schedule management tools that increased provider response rates by 40% in the first 30 days.
Are there any areas they could improve?
The chat module between client and provider, available after quote acceptance, was delivered in a functional but relatively basic version in the first phase. In an in-person services marketplace, pre-execution communication is critical for aligning details, materials, and arrival time. We’re already developing version 2.0 with real-time chat, photo sharing, and live provider location tracking during transit. The team delivered exactly what was in the agreed scope — it simply would’ve been even better to prioritize this module in phase 1.

"Mind Consulting's scientific rigor in model development was impressive."
Mind Consulting developed an AI engine with fine-tuning of GPT-4 and Claude 3 on a legal dataset of 50,000 annotated clauses for a legal tech company. They built an intelligent contract comparison tool.
Mind Consulting's work achieved 94% accuracy on standard clauses and 87% on atypical ones. The platform's contract analysis time went from 4 hours to 7 minutes. The team met all SLA and reliability targets from day one of production. Their scientific rigor was impressive.
BACKGROUND
Introduce your business and what you do there.
I’m a senior attorney and project lead at LawrAI Legal Technology, a legal technology and AI-powered legal automation company.
OPPORTUNITY / CHALLENGE
What challenge were you trying to address with Mind Consulting?
We needed help building a highly accurate NLP for the Brazilian legal context with specific technical vocabulary and complex legislation. Additionally, we needed bank-level security for confidential documents, integration with BNMP and CNJ, and an intuitive UX for non-technical lawyers.
SOLUTION
What was the scope of their involvement?
Mind Consulting developed an AI engine with fine-tuning of GPT-4 and Claude 3 on a legal dataset of 50,000 annotated clauses. They also created an extraction pipeline to upload documents (PDF, Word, OCR image) and process them through NLP to identify clauses, parties, deadlines, and risks. The team also built an intelligent contract comparison tool, a draft generator with parameterizable templates, and a dashboard with semantic search. Moreover, Mind Consulting integrated the platform with DocuSign and ClickSign, ensured LGPD compliance and access auditing, and created an API for PJe, SAJ, and Processo.rio.

What is the status of this engagement?
We worked together from January–August 2024.
RESULTS & FEEDBACK
What evidence can you share that demonstrates the impact of the engagement?
Mind Consulting's work achieved 94% accuracy on standard clauses and 87% on atypical ones. The platform's contract analysis time went from 4 hours to 7 minutes. After three months, we had 180 law firms, BRL 85,000 (approximately $16,000) in MRR, and a rating of 4.9/5. We also signed a contract with one of Brazil's top 20 law firms. Before development began, we aligned on three core KPI categories that would define success: user growth, service reliability, and retention. On user adoption, our six-month target was to reach 100 verified law firms actively using the platform. We exceeded that, closing the period with 180 firms onboarded — 80% above target. Within those firms, we tracked individual lawyer activation, setting a benchmark of at least three active users per firm within the first 30 days of onboarding. The actual average came in at 4.7 active users per firm, which validated that adoption was happening beyond the single champion who signed the contract. For SLA and reliability, given that lawyers often work against tight procedural deadlines, we required a minimum uptime of 99.9% and a contract analysis response time under 10 seconds for documents up to 50 pages. Both targets were met from day one of production: uptime held at 99.97% across the first 90 days, and average processing time landed at 7 seconds — with a p95 of under 12 seconds even during peak load. We also set a support response SLA of four business hours for critical issues. The team built a monitoring dashboard that flagged any SLA breach in real time, which gave us full visibility without needing to chase status updates. Retention was the KPI we were most anxious about since legal software historically has high churn in the first 90 days due to adoption friction. We set a 90-day retention target of 75% for onboarded firms. We ended at 89%. The software house's focus on UX — particularly the onboarding flow they designed with input from the 15 lawyer interviews done in discovery — made a direct and measurable difference here. Firms that completed the guided onboarding had a 94% retention rate vs. 71% for those who skipped it, which became a key insight for our customer success process going forward. We tracked retention across three complementary dimensions, which gave us a much more honest picture than a single metric would. The primary metric was the subscription renewal rate at the 90-day mark since our SaaS model runs on monthly contracts with the option to cancel at any time. A firm was considered "retained" if they reached day 90 with an active subscription and had logged in at least once in the final 30 days of that window. This excluded firms that were technically subscribed but dormant — a distinction that matters a lot in B2B software, where a contract can stay active long after real usage has stopped. By that definition, our 90-day retention was 89%.The second dimension was the weekly active firm rate — meaning at least one user per firm performed a core action (uploading a contract, running an analysis, or generating a draft) within any given week. We targeted 60% of onboarded firms being active on a weekly basis by month three. We landed at 67%, which indicated that the platform had become part of the actual workflow, not just a tool people tried once. The third was more qualitative: expansion within firms. We tracked whether the number of active seats per firm grew between month one and month three. Firms that started with 1–2 active users and expanded to 4 or more were flagged as "deeply retained" because seat expansion in a law firm typically means the tool moved beyond the early adopter to the broader team. 41% of our retained firms fell into this category by month 3, which was one of the most encouraging signals we saw in the early data. Together, these three metrics gave us confidence that retention wasn't just a billing artifact — it reflected genuine, recurring value being delivered to the firms using the platform. Both figures came from a structured evaluation process that combined automated testing and manual expert review — we didn't rely on either alone because each has blind spots in the context of legal NLP. The process worked in three stages. First, we built a holdout evaluation set of 620 real contracts — anonymized and never used during training — that were manually annotated by three senior lawyers on our team. Each clause was labeled by type, flagged for risk level, and tagged with the relevant legal instrument it referenced. This became our ground truth. The software house's ML team had no access to this dataset until evaluation day, which was a hard rule we enforced together.Second, the model's outputs on that holdout set were scored automatically using precision, recall, and F1 metrics per clause category. This gave us fast, reproducible numbers across all 38 clause types we were targeting. The 94% figure on standard clauses — things like payment terms, termination clauses, and confidentiality — came directly from this automated layer. Third, for atypical clauses — non-standard drafting, unusual liability allocations, jurisdiction-specific carve-outs — the automated score alone wasn't sufficient because the ground truth itself requires legal interpretation. So we ran a manual blind review: two lawyers evaluated 150 randomly sampled model outputs on atypical clauses without knowing whether an AI or a human had produced the classification. Inter-rater agreement between the model and the lawyers reached 87%, which became our reported figure. One thing the software house insisted on that we really valued: they separated precision from recall in the reporting. A model can hit 94% precision by being conservative — only flagging clauses it's very confident about and ignoring edge cases. They made sure we understood the recall numbers too, meaning how many actual clauses the model correctly identified versus missed. For a legal tool where missing a problematic clause is worse than over-flagging, that distinction matters enormously, and it shaped how we tuned the confidence thresholds before going live. Our Customer Success team ran a structured time-study before and after deployment. Prior to go-live, they shadowed five lawyers across three different firm sizes as they performed their standard contract review workflow, timing each stage manually — document ingestion, clause identification, risk flagging, and summary preparation. Those sessions established our 4-hour baseline, which aligned closely with what lawyers had self-reported during the pre-sales discovery phase. After deployment, CS embedded a passive timer into the platform itself: the clock starts when a document is uploaded and stops when the lawyer confirms the AI-generated analysis and exports the report. This gave us objective, session-level data for every contract processed — no self-reporting, no recall bias. The 7-minute figure is the median session time across the first 300 contracts analyzed on the platform, pulled directly from that log. We intentionally use the median rather than the mean to avoid skew from unusually short or complex documents. CS also segmented the data by contract length and complexity tier to confirm the improvement held consistently — it did, ranging from 5 minutes on straightforward NDAs to around 12 minutes on multi-party agreements exceeding 80 pages. One nuance CS was careful to flag: the 7 minutes reflects AI-assisted analysis time, not total lawyer time. Lawyers still spend additional time on strategic review and client communication — but the mechanical, repetitive portion that the platform handles dropped from the dominant cost to a negligible one.
How did Mind Consulting perform from a project management standpoint?
We had biweekly technical reviews to maintain alignment between the ML roadmap and legal needs. When the initial model showed low accuracy on surety bond clauses, the team delivered a retraining strategy within two weeks without impacting the overall timeline.
What did you find most impressive or unique about them?
Mind Consulting's scientific rigor in model development was impressive. They defined precision metrics upfront, used a test set with real cases, and delivered only after benchmarks were met. This provided genuine confidence for legal decisions.
Are there any areas they could improve?
The analytical report export system could have been more complete in version 1.0. We're developing version 2.0 with more customization, but clients requested it from the start.

BACKGROUND
Introduce your business and what you do there.
I’m the CEO and founder of Alert B3 Tecnologia Financeira, a financial services company.
OPPORTUNITY / CHALLENGE
What challenge were you trying to address with Mind Consulting?
We needed a robust platform capable of processing real-time market data with minimal latency below 500ms, delivering push and email notifications at the exact moment user-configured conditions were met, including price variation, abnormal volume, moving average crossovers, or relevant news alerts. Existing solutions on the market were generic, expensive, and lacked customization for B3's unique environment.
SOLUTION
What was the scope of their involvement?
Mind Consulting developed a 100% custom solution from scratch, including a scalable Node.js backend with microservices architecture and stream processing via WebSockets connected to the B3 API. The team also built a parameterizable rule engine for alerts by asset, sector, index, or portfolio; an analytical dashboard in React.js with real-time visualizations using D3.js and Recharts; and multi-channel notifications via Firebase, SendGrid, and Twilio. Moreover, Mind Consulting created a backtesting module for historical strategy validation and an AWS cloud infrastructure with auto-scaling, Redis, and PostgreSQL. The team also delivered enterprise-level technical documentation.
What is the team composition?
We worked with 6–10 teammates from Mind Consulting.
How did you come to work with Mind Consulting?
We found Mind Consulting through an online search. We chose them over other options because they had high ratings, their pricing fit our budget, they had a great culture fit, they offered good value for the cost, they were referred to me, and their company values aligned with ours.
What is the status of this engagement?
We worked together from January–July 2024.
RESULTS & FEEDBACK
What evidence can you share that demonstrates the impact of the engagement?
We launched the platform on schedule. Within 30 days, we had 1,200 organically registered users, an average alert latency of 280ms, a beta NPS of 78, and an infrastructure that supported peaks of 8,000 requests/second without instability. We also had a 30-day retention rate of 71% (vs. 58% industry benchmark).
How did Mind Consulting perform from a project management standpoint?
Mind Consulting used an agile methodology with two-week sprints, Jira, Confluence, Slack, and weekly reviews via Google Meet. The product owner was proactive in anticipating risks and communicating scope deviations before they became real problems. The team had impeccable communication throughout the project. Moreover, Mind Consulting delivered on time.
What did you find most impressive about them?
Mind Consulting's technical quality, combined with their business understanding, was impressive. The team proposed using Redis Streams for market data processing, which reduced infrastructure costs by 60% compared to the initial estimate. The technical documentation delivered was of enterprise standard.
Are there any areas they could improve?
We could've started DevOps and CI/CD conversations earlier. The team adjusted quickly, but an extra week of infrastructure planning would've optimized the initial deployment.

OPPORTUNITY / CHALLENGE
What specific goals or objectives did you hire Mind Group to accomplish?
Our main challenge was to modernize our digital presence and make the large network of professionals we work with easier to navigate. Because we offer many different services and work with professionals covering numerous languages and areas of expertise, presenting this information in a clear and organized way was a significant challenge. We needed a platform that would allow visitors to quickly understand our services, explore our professional network, filter professionals according to their needs, and easily request a quote.
We also wanted the website to better communicate the quality and credibility of our network while creating a scalable structure for new professionals, services, languages, and content.

Describe the scope of work in detail. Please include a summary of key deliverables.
The software house was responsible for the complete redesign and development of our website. The project included: A completely redesigned institutional website; Custom UI/UX design; Professional directory with individual profile pages; Search functionality for finding professionals; Filtering by language and professional category; Structured presentation of translator and interpreter profiles; Dedicated pages for different services; Service categories for interpretation, translation, accessibility, audiovisual and multimedia solutions; Contact and quote request functionality; Blog and content management structure; SEO-friendly architecture; Responsive design for desktop, tablet, and mobile; Performance optimization; Administrative content management; Integration with analytics tools; Scalable architecture for adding new professionals and services. The professional directory was particularly important because the website needed to organize a large amount of information without making the user experience confusing. The development team created a very intuitive structure that allows users to move naturally from understanding a service to finding an appropriate professional and requesting a quote.
RESULTS & FEEDBACK
What were the measurable outcomes from the project that demonstrate progress or success?
The new platform generated very positive results after launch. During the first six months, we saw: Approximately 125% growth in organic traffic; 58% increase in visits to professional profile pages; 42% increase in quote requests through the website; 65% increase in mobile users engaging with the professional directory; Significant improvement in the average time users spent on service and professional pages; Faster website loading times; A substantial reduction in the number of users leaving the website without interacting with it. We also noticed a significant improvement in the internal management of our professional network. Adding or updating professionals became much easier, and our team gained considerably more autonomy over the website. The new structure also made it easier to highlight the breadth of our network and the different services we offer.
Describe their project management. Did they deliver items on time? How did they respond to your needs?
Project management was one of the strongest aspects of the engagement. The team maintained a clear development roadmap and kept us informed throughout every stage of the project. We had regular meetings, progress demonstrations, and structured feedback cycles. Whenever we had questions or requested adjustments, the team responded quickly and explained the technical implications clearly. They were also proactive in identifying opportunities for improvement. Several of the final improvements came directly from suggestions made by the development team rather than from our original requirements. That level of involvement made us feel that they were genuinely invested in the success of the project.

What did you find most impressive or unique about this company?
Mind Group's ability to understand our business's complexity and transform it into a simple UX was impressive. We have a large network of professionals, multiple languages, several service categories, and very different types of clients. The development team managed to organize all of this information in a way that feels intuitive to the end user. Their attention to detail was also exceptional. They considered everything from the structure of professional profiles and service pages to mobile responsiveness, search functionality, SEO, and website performance. They didn't simply build what we requested. They constantly challenged us to think about how the platform could better serve our customers. That strategic mindset made a huge difference in the final result.
Are there any areas for improvement or something Mind Group could have done differently?
Our overall experience was extremely positive. There were a few minor adjustments during the project as we refined the structure of the professional directory and service categories, but the team handled everything very professionally. They were flexible, transparent, and always focused on finding the best solution. We did not experience any significant issues, and we would definitely work with them again on future improvements.
