I am Head of Innocation at the Data Competence Center for Cities and Regions (DKSR). At DKSR, we develop and operate open source urban data platforms for our municipal customers. As a go to place for clients, we have partnered with LN Web Works to build a user portal.

We have contracted LN to help us with the development, operation and support of our drupal based user / customer portal. LN takes over numerous tasks from back end to front end - but also supports us with newsletter integrations, cookie banners and so on.

How did you select this vendor and what were the deciding factors?

We have already worked with LN on a short-term basis via a freelancer portal. Since the work was very good, we hired LN directly for a long-term framework contract. Decisive for us were price and quality

We use Drupal as CRm for our portal. LN supports us with setup, user roles, support / bug fixing, further development. LN is always available with help and advice and develops where necessary a custom code.

We always had contact with one colleague, but I have the feeling that in the background we were supported by a whole team. The colleague from LN is a developer and our consultant for difficult questions.

Can you share any measurable outcomes of the project or general feedback about the deliverables?

We work in Agile methods. Each ticket is estimated by LN and then commissioned by us. The tickets are almost always completed in the estimated time frame. Now and then we need a few loops, but that is common in software development. the portal is up and running and the bugs are getting fewer.

They have a very broad knowledge of Drupal. No problem seems unsolvable - in case of doubt an individual solution is programmed for us.

Sometimes we have difficulties in finding appointments and keeping appointments (punctuality) etc. For example, with holidays. I do not know the holidays in India and so we sometimes wrote past each other. But that is somehow part of international work

Good communication. Regular follow-up meetings. Fast responses from the developers. Developers are able to work on many issues at once. Great use of tools (whatsapp / teams / basecamp).

It would be good if we could have had effort estimations for bigger items. They work on a hourly rate basis, and it was not always clear how many hours have been spent on what exactly. A kind of 'approval' mechanism might be handy, to make sure that we will not go too much over budget.
Some requested items were not always working from the first test, but this is not uncommon. I had the feeling they really tried to do the most in the minimum number of hours, which is what we did expect.

It was a custom and unique project, and there was no standard service on the market to build them, so we needed to engage a company capable of developing such a special application.

We’ve given them the raw code of what we want, and they’ve created a map of what we need and our goals. We’ve gone from step to step through the project. The team has created the site using Drupal.

We’re still in touch with them and have a small contract for ongoing services. We manage our own hosting, but they are still our partners.

LN Webworks Private Limited has successfully delivered our website. It is for multiple countries, so we have a multi-page portal for Italy and the UK. It’s all managed centrally, but we have individual forms in different languages and a centralized payment and backend.

Now, Google treats our site as a proper website, which has few errors and is quite SEO-friendly. Due to adequate programming and new information, we’ve also seen an increased conversion rate and visibility.

We’ve never defined a real budget beforehand; it’s a pay-as-you-go model. There’s always potential for mistakes during the development journey, but we’ve always found clear and fast solutions. The project lead always brings people to the table and has a lot of video conferences to sort things out.

We use GitHub as a project management tool and communicate frequently via email, Upwork’s chat function, and GitHub's chat as well.

No, I’m just scared that Shikha will have too many clients and won’t have time for me.

Point out your needs clearly. Put them on paper and have a couple of calls with the project manager and everyone involved to bring them on the same page. If you point out what you need, everyone will run in the right direction, and the engagement will be easy. Otherwise, you might lose time and money.

The work included development of a custom theme, improving the design and organization, consolidating legacy items, and incorporating all previously included content on updated site.

Work proceed across three milestones defined and agreed with vendor, with each step approved by client. These went from initial theme design, to backend architecture and page constuction, and finally to full content migration. Client tested work in progress across various stages of development, including live implementation.

Our engagement with the team has been over a variety of tasks. Each task had different measures of success and each were define per the task. Our team set the strategy and our expectation of this team was to ensure that they met the goals of each task and quality control tested well.

As with any engagement, early communication was a learning period. There were times that items were not delivered on time or correctly. It became obvious early that communication was the primary cause and they worked very hard to resolve those concerns very quickly. Every time a task had problem, they worked very hard to resolve those concerns.
