As a startup, we didn’t have a solid marketing foundation to support demand generation, brand awareness, and thought leadership. I decided to look for an agency that could help with the work that needed to be done.

For a few months, their team started a pilot program. Given our satisfaction with their deliverables, we extended the contract.

WebMechanix manages our demand generation activities including from multi-channel, demand generation, and lead generation campaigns. They help to craft strategies based on different audiences. Their team helps to identify different personas, leverage different channels, and create different messages to attract various audiences.

WebMechanix also deploys our email campaigns via HubSpot. We create the copy, and they push out the emails. They maintain our HubSpot licenses, track performance, and create reports to share with us.

Based on the demand generation activities on our site, we extended their contract again to include website maintenance. They maintain the site’s backend and develop branded pages. Their team focuses on how to organically increase traffic to our site.

Currently, we’re working on a huge project. Their team’s optimizing every page on our website with keywords. Once we figure out the right keywords, WebMechanix will develop a content strategy and build additional pages to increase our rankings. Our goal’s to rank on the first search page of Google.  

Their team also helps with content syndication such as webinars. They also direct LinkedIn and Facebook advertising efforts.

I searched for an agency that had experience working with SaaS product companies. After talking with a couple of people on their team, I was impressed and liked their attention to detail. I also knew 2–3 different folks who were happy with their work, which was the icing on the cake.

We started working together in August 2019, and the partnership’s ongoing.

What evidence can you share that demonstrates the impact of the engagement?

They helped us increase our reach with the right audiences. In a year, we increased our database from a mere 4,000 to nearly 30,000. We also more than doubled our website traffic. We can reach our audience through multiple different channels too.

How did WebMechanix perform from a project management standpoint?

An hour to a half-hour before our weekly meetings, we receive an email with an agenda. Patrick sends a brief with specifics on the next steps following the meeting. We also have biweekly check-ins to look at results such as ROI. On weekly technical calls, we speak with two dedicated resources. We also communicate via Slack. They use InDesign, which allows us to view and approve designs. They’re like an extension of my team. Their team’s always available, and I’m happy with their response times.

What did you find most impressive about them?

WebMechanix pays attention to their customers throughout the engagement, unlike their competitors. They also don’t have much turnover as I’ve experienced with other companies. I appreciate that we’ve worked with the same people over the past year. It’s helpful because I don’t have to keep explaining myself.

Are there any areas they could improve?

It’s rare but I’ve caught mistakes here and there due to their large volume of work. A little extra QA and attention to detail would be helpful.

Do you have any advice for potential customers?

They provide many services, so it’s important that you know what you need from them. Don’t hire and forget about them. If you want the relationship to be successful, ensure a 50/50 partnership. I appreciate the time WebMechanix spends on our projects, and I spend just as much time on them too. When they have a question or set a deadline, I’m responsive. We hold ourselves to the same standards that we have for them.

I am a senior director of marketing at a nonprofit based in Oakland, California. We have a team of 20 full-time employees, and I work remotely from Washington, D.C. We offer an online learning platform to nonprofits and social enterprises anywhere in the world. I own our comprehensive marketing strategy to increase brand awareness, engage our target markets and drive user acquisition.

For what projects/services did your company hire WebMechanix?

We were looking for a firm to help us with search engine optimization (SEO) so nonprofit leaders could more easily find our website and online courses. We did not have in-house expertise, so we looked to hire a team to conduct an audit and propose a roadmap for content creation, off-site content promotion and website changes for me to action myself.

My team searched online for digital marketing agencies in the D.C. metro area and compiled a list of 5 highly-rated options, based on information from their website or Clutch.co.

WebMechanix outshined the competition. They had a great review from a small university that had a similar need and budget as us. They had deep expertise in SEO as well as digital advertising, so I knew they potentially could help us in other ways - if needed.

I was incredibly impressed during our initial call to learn more; they asked great questions and demonstrated a genuine interest in understanding our business and delivering top-notch service. I knew we were in good hands.

Describe the scope of their work in detail.

After our intial call, WebMechanix followed up over email to ask an additional set of questions based on our conversation. I was able to dig into our data and surface specifics around our current traffic, our quantifiable goals, how many users we currently have and what we would like that to be. They presented a proposed agreement in a subsequent call and we signed.

We then did a kick-off call to meet the dedicated WebMechanix team that would help us going forward. From there, their team conducted an SEO audit and extensive keyword research. They translated their technical findings and recommendations into a clean, organized SEO roadmap. Each month, they a revised 4 online course pages to improve their discoverability.

For content, they outlined creative briefs based on top keywords that our team could use to easily write blogs. They also researched backlink opportunities, provided a roadmap for our team and went the extra step to draft an outreach template to help our team.

Can you share any outcomes from the project that demonstrate progress or success?

As a result of our SEO work together, our organic traffic increased by 350% and conversions from organic traffic improved by 30%. Given these impressive results, we chose to re-sign WebMechanix to continue helping with SEO and also begin to consult on our paid ad strategy.

We have resigned with WebMechanix every single year since our initial agreement - each time with a bigger scope of work. Our most recent contract is 7x bigger than our first project. WebMechanix has grown to be an indispensable part of our marketing team, driving high-performing paid ad campaigns - which they now fully drive on our behalf. They also ensure we accurately measure our digital marketing programs, now and in the future.

How effective was the workflow between your team and theirs?

The project manager does a great job of keeping up updated of activities and results over email and in our bi-weekly huddle; our WebMechanix team contributes to both, which has been great in building trust between our teams and getting to know each individual contributor.

WebMecahnix knows the importance of clarity and transparency, and they build assets (e.g. creative briefs, data dashboards, organized documents) with this in mind. I can always reach the team, and they are very responsive to time-sensitive requests.

Since we have worked with WebMechanix for so long, we have had new project managers along the way. Some are better than others, but I was never disappointed with the level of service or results.

Our website was built using an out-of-the-box builder. It didn’t have the scalability and dynamic e-commerce functionalities that we needed to reach our goals. We have quite a small audience, so making a splash and impact on our visitors was quite important. We were reliant on sending traffic from our website to a partner website that is well-known in the space. We were basically taking all of our customers and sending them over to our partner website.

WebMechanix redesigned and redeveloped our website on WordPress. Their team spent time learning about our customers to create user personas and use cases. They mapped customer journeys and then designed the site.

We had them do an e-commerce audit when they looked at our goals. Their team made recommendations on how we should approach the frontend sales and marketing part of e-commerce. We have a limited number of SKUs, so their advice was to stay with WordPress.

What evidence can you share that demonstrates the impact of the engagement? 

We’ve seen conversion rates and the number of inquiries coming through increase. The UX is smoother and cleaner, so people are passing through the user journey more efficiently.

We’ve seen triple-digit percentage increases in the number of free trial participants. We’re also seeing time on page and engagement metrics rise between 300%–400% in some cases. Everyone on my team’s happy and complimented the site's clean design and smooth operations.

How did WebMechanix perform from a project management standpoint?

We had a Slack channel and weekly update calls on Fridays. We also communicated by email. For the most part, everything went well. Everything was on time and on budget. There were moments when there could’ve been more communication and clarity. However, that didn’t negatively impact the final outcome.

What did you find most impressive about them?

I’ve always been a huge fan of their design department. Their UX designers are talented. The time that went into understanding our customers led to a design that clearly meets the customer’s needs. Their development team’s extraordinarily talented and approached tasks from a digital marketing perspective. They’re not just coding to the specifications. They understand how their work impacts the bigger picture, which was useful. They’re fluent in cutting-edge digital marketing practices.

Are there any areas they could improve?

It didn’t affect the final outcome, but they could’ve had a tighter loop with communication. I have a boss who was a stakeholder who felt that she wasn’t necessarily in the loop the whole time.

Do you have any advice for potential customers?

They’re an excellent partner who can move at the same speed as a digital marketing fluent lead. By the same token, if you’re not that person, they’d be a great partner. Their team can fill a gap in expertise and knowledge. They play it straight and deliver.

What was the scope of their involvement?

WebMechanix handles all our SEO and digital ads for Google, LinkedIn, Facebook, and Instagram. They’ve also taken care of some ad hoc requests regarding our forms and website. We also occasionally work with them on copy and creative.

They focused on keyword research and both on- and off-site SEO. We have them directly plugged into the backend of our site, so they can adjust it as needed. For social media, we have them doing both outboard and event-based marketing. For creative, they work on specific audiences to optimize the quality of their marketing.

I interface with two individuals, but there are at least five others working on the project. During our weekly call, a social media expert, SEO professional, or the CTO will occasionally speak with us. The size of their team often depends on our project’s demand.

What evidence can you share that demonstrates the impact of the engagement?

Both our CPA and CPL have dramatically decreased. We have a better understanding of our online audience, and attribute our soaring rankings to the SEO work they did. They did a great job, and we’re seeing that in our ROI and KPI.

How did WebMechanix perform from a project management standpoint?

Communication is perfect. We’re always up to date on what projects are ongoing and being worked on. They always met or exceeded deadlines, scheduling and prioritizing effectively.  

What did you find most impressive about them?

Their expertise within digital marketing and management stood out to us. It feels like they’re a comfortable extension of our company. I trust them and never worry about what they’re doing, even given their access to our backend platforms.

They made the experience personal, visiting our office and chatting comfortably about our project. On top of that, their team was incredibly responsive throughout. They responded to emails and slack, using project management tools to organize themselves. The overall partnership has been a true extension of our company—there’s a real lack of pressure with them.

Not at this time. We throw a lot onto their plate, including ad hoc requests, and they respond quickly and effectively. 

Do you have any advice for potential customers?

Define what you want from them in the KPI, and know how much responsibility you want to give them. Make sure to provide a clear, concise schedule and roles. Given those, they’ll know exactly how to work with you without overstepping.

I am the director of corporate marketing communications at Ruffalo Noel Levitz, an education consulting company.

What challenge were you trying to address with WebMechanix?

Our website had been running on a CMS built in 2011. Our IT department had updated it several times over the years, but we decided to engage WebMechanix for a complete refresh of the site.  

SOLUTION

What was the scope of their involvement?

At the start of our engagement, WebMechanix held an in-depth quantitative and qualitative data-gathering session comprised of survey tools and client and company stakeholder interviews. We responded well to that method because it is similar to how we interact with the educational institutions that we serve.

We only had about four months to complete the project, so we didn’t have time to rewrite a website the size of ours. We retained the content and a lot of the structure, but we relied on WebMechanix for a full redesign because we felt our current design was holding us back.

We decided on a WordPress website because of WebMechanix’s demonstrated success with the platform, and we felt it would offer us some mobile responsiveness we didn’t have before.  We also elected to switch from hosting our website ourselves to utilizing Pantheon, and WebMechanix was critical in facilitating that change, as well.

To add additional content and SEO value to the new corporate website, WebMechanix gathered the 700-some posts from two of the WordPress blogs we operated and included them on our new site. Further, WebMechanix provided us with a robust, searchable resource library and redesigned our 150-person consultant directory.

As we planned this web redesign, we were also coordinating a corporate rebrand that featured a new logo. The website was a giant leap forward for our overall look, both digitally and in the market. WebMechanix worked with our design team to make sure we were in lockstep the whole way.

We found WebMechanix through Clutch, and we reviewed them and three other firms. One of our team members had worked with WebMechanix on some digital marketing projects and highly recommended them. WebMechanix and one other vendor each gave a presentation to our team, and we selected WebMechanix based off of their performance.

Our engagement spanned November 2018–April 2019.

What evidence can you share that demonstrates the impact of the engagement?

We’ve gone from an outdated website to something more modern, vibrant, and mobile-friendly. Many of our clients have already offered positive feedback.

As a company that helps universities recruit students and engage with alumni for philanthropy, a lot of our efforts are digital. It was becoming increasingly difficult for us to say that we were a forward-thinking organization with the right solutions when our site was not mobile-responsive. WebMechanix has allowed us to walk the walk, and that has been our most significant accomplishment so far.

How did WebMechanix perform from a project management standpoint?

Our project manager was so thorough and on top of things that we didn’t use project planning tools of any kind. We held weekly calls with their team, and we received timely progress updates complete with relevant charts, dates, and research.

What did you find most impressive about them?

Their data-informed approach reminds us of our own practices, so we felt comfortable from the start. They conducted a handful of interviews with clients and key members before they even started on wireframes.

Further, I can’t speak highly enough of their ability to deliver steady work according to our deadlines. I was skeptical that we could finish the project in four months, but they knew what they were doing and stuck to the timeline.

Are there any areas they could improve?

No, they accomplished everything that we asked of them in our limited timeframe. If we had more time or the budget, I would have liked to expand our engagement to include other services.

Do you have any advice for future clients of theirs?

The information WebMechanix collects helps to guide their strategy, so if we don’t take the time to give them proper direction on where they should be getting that sort of information—whether it’s from interviews, surveys, or on-site visits—the project will suffer.

They are also very good at taking feedback and incorporating it into their work. In our case, we showed them examples of existing websites we already liked and brought up homepage elements that we found valuable. More interactions with their team will foster greater creativity, which leads to a better product.

I’m the senior marketing manager at Optanix. We offer software services using our own IT operations management platform. We sell it as a standalone solution, and we also use it to provide our own management services.

The team also provides web development and content creation assistance as needed. So far, they’ve updated our website twice. For content, WebMechanix provides us with a list of keywords and phrases to focus on, and we write copy that includes those terms.

Before partnering with WebMechanix, we’d gathered a sizable backlog of blog posts. Their team went back and reviewed the content and performance in terms of SEO. They made some changes and adjustments to gain more traction before publishing each post.

We work primarily with an account manager who handles all components of our relationship.

How did you come to work with WebMechanix?

I was on a shuttle bus from my hotel to a conference in Boston. An employee from WebMechanix was sitting across the aisle from me, and we started talking. I explained the situation with our previous digital marketing agency, and we exchanged business cards. They followed up after the conference, but we weren’t ready to make any changes at that time. Six months later, WebMechanix reached out again. Since we’d last spoke, my company had hired a new chief marketing officer. With the help of WebMechanix, our website looks better and loads faster. Their digital marketing services have increased traffic and generated more leads.

They have stellar project management skills. We have a biweekly call to discuss our status, and they send an email of important updates in the weeks in between. We’re always aware of whatever they’re working on, and they routinely share progress reports and metrics. They’re responsive across all channels, including phone, email, and Slack.

I was a former marketing associate at Metalogix Software, which was acquired by Quest Software in July 2018. In my role, I handled anything related to SEO, PPC, and paid social.

We were working with a previous agency that performed well enough but wasn’t delivering what we were looking for. When that contract ended, we sought a new vendor that could manage our some of our digital marketing efforts on a daily basis.

What was the scope of their involvement?

WebMechanix provides a range of day-to-day services, including structuring our Google Ads account and managing our PPC and paid social. This involves setting up campaigns, bidding on PPC ads and paid social on LinkedIn and Facebook, writing content, and even supporting our web design team with graphics.

One of their core strengths is their reporting capability. We had a couple of data issues while syncing our Salesforce to our internal program, so we saw conflicting performance numbers. To mitigate this, WebMechanix built a new reporting system for us that synced with different platforms to generate accurate data. The team delivers all reports through Google Data Studio.

What is the team composition?

I mostly worked with their director of strategy and associate director of online advertising. They both bring a lot of experience to the table.

How did you come to work with WebMechanix?

I found them through a recommendation from my former manager’s colleague and held some introductory calls with them. They presented a strong pitch, and we were impressed with the amount of time and work they’d put into our account. After listening to their recommendations, we felt convinced to work with them.

How much have you invested with them?

They’re a bit more expensive than other agencies, but you get what you pay for. So far, we’ve spent between $7,000–$12,000. It’s a performance-based model; the better they performed, the more we compensated them.

What is the status of this engagement?

Their work started in January 2018 and is ongoing. As far as I know, their contract will end in January 2019 and won’t be renewed simply because we were acquired by another company that already has an agency on retainer.

What evidence can you share that demonstrates the impact of the engagement?

WebMechanix brought down our cost per conversion significantly. When we first began, we spent over $200 per PPC conversion, which they reduced below $100. As for paid social, they pushed our costs down to $50 per conversion.

How did WebMechanix perform from a project management standpoint?

They hold weekly calls and always accommodate us if we need to reschedule. The team is also very responsive, taking the time to answer all of our calls and emails. Because I was still learning a lot in my role, I appreciated that they guided me through the process and mentored me rather than just working on our account. They helped me gain more knowledge to further my career.

What did you find most impressive about them?

WebMechanix is very knowledgeable. Their team breathes and lives what they do. Whenever we have a question on our side, they always have an immediate answer, no matter how tricky the subject. No, there’s nothing I could think of for them to improve. While they’re a bit pricier for an agency, we definitely get what we’re paying for. I’m always willing to pay a little more to get their level of service and experience.

I’m the marketing manager for the IT consulting arm of a large accounting, tax, and audit firm.

What challenge were you trying to address with WebMechanix?

Our main goal was to accelerate our SEO efforts to increase website conversions. We only had two marketing people on staff to develop and implement our strategy. It was increasingly difficult to meet the goal with limited staff and we lacked the necessary expertise.

What was the scope of their involvement?

WebMechanix helped us with SEO and other digital marketing efforts. Their scope of work was threefold. First, they helped us our use of HubSpot, which was our marketing platform, hosted our website, and was our tool for email automation. They reviewed how we utilized the tools that HubSpot provides to achieve the most potential, specifically for email marketing. With that, they helped us with email nurture campaigns, writing content that we would then review. They helped us think outside the box to try different approaches to those messages. They also reviewed our website and SEO efforts to optimize the pages that lacked organic traffic. They provided monthly analytic reports. Finally, they helped us experiment with different digital marketing trends for calls to action.

We’ve ended our retainer but they’re still willing to help us. We’re going to pull them back in again soon.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement?

WebMechanix brought deep knowledge of how to increase website traffic. The biggest benefit to us was the optimization of our webpages. We had increases of 25–30% in traffic due to their SEO efforts. We also had increases in clicks within our nurture emails from their writing. Their creativity made our emails more interesting.

How did WebMechanix perform from a project management standpoint?

Our current project manager is great. Our original project manager left at some point and we were a bit nervous but the transition was seamless.

We’ve often met in person. They spent a lot of time listening in order to understand how we work and adapt to that. That approach—and specifically the in-person meetings—made us feel like we weren’t just another client. We’ve become quite close over the years.

What did you find most impressive about them?

Their willingness to learn. When we first started working with them, they didn't have necessarily a portfolio of work with IT consulting companies like ours. Our sales cycle is longer than most. We’re not a product-based company so some techniques that would work for those types of firms won’t work for us. Within a few months, our project manager understood our industry as well as people who had worked with firms like ours for years. Their understanding meant they could use targeted marketing tactics to help us see success.

There’s nothing that I can think of.
