The scope of the project was to develop bespoke software to manage our production line, designed to be scalable as the business grows. Prior to this project, our production operations were managed using Excel, with data transcribed from SOPs created in Sage 50. Office staff would input the data, assign it to a production number, and then check and print the associated check sheets to be distributed to the production line. The work was then double-checked by the Prep team, with any amendments handwritten on all sheets before being returned to the production line. Once production was complete, the paperwork would be returned to the office for invoicing in Sage.

The key deliverables we requested from Koderly were:

A web application that could be tailored to each department, allowing them to complete their work digitally without relying on paper.
A reporting feature to analyze quality and efficiency, enabling us to make the production process more streamlined and effective.
A smart and streamlined order entry system to assist the admin team, reduce errors, and simplify the process of adding orders to the software.
To achieve this, Koderly proposed workshops to fully understand our current processes and gather insights from different areas of the business. Following these workshops, they used an agile approach to build the software in stages, aligned with our production workflow: Admin → Prep → Sewing → Upholstery → Assembly → Quality & Dispatch.

Working with Koderly also prompted us to analyze and improve our existing processes prior to deploying the software, ensuring that the system would be both efficient and tailored to our operational needs.

What were the measurable outcomes from the project that demonstrate progress or success?

Since implementing the continuous workflow enabled by the software, we have reduced our lead time from 7 working days to 3 working days, representing a significant increase in production speed. We have also minimised errors on orders through the simplified data input process.

Additionally, the reporting feature allowed us to identify a training issue within the assembly team for one of our products. By retraining the employee involved, we have reduced delays caused by parts being returned by the quality team, further improving efficiency.

We agreed on an agile approach to the project. From the start, the team at Koderly communicated the process clearly to the team at Ergosol, which made us feel informed and included. We had weekly meetings with Ste and Thandi, who would raise any questions with us and keep us updated on the next steps. We felt comfortable providing feedback and confident that our input was heard when our needs changed. They managed our expectations well and were clear in their updates.

The entire team was fantastic to work with, and it truly felt like a collaboration between us as the customer and them as the service provider. They offered suggestions to solve problems we didn’t even know we had because they took the time to understand our business and genuinely cared about creating a piece of software that was functional and adaptable to our evolving needs.

From the outset, we were impressed by how well Kodely understood our company and the way we work. They took the time to visit our site, observe our processes, and listen carefully to our requirements. This understanding was evident in the mock-ups included in their proposal, which perfectly matched our expectations and effectively sold the project to us.

The proposal may have been a bit tight for completing the software to how we exactly wanted it, we were left with a few outstanding jobs which

Koderly have made significant improvements to both the security and functionality of our CQC Compliance platform. In addition to this, they have scoped and built new areas and functionality within the software and have worked extremelly hard to understand the strict regulatory framework that the software needs to be built around. 

I have been blown away with their dedication to understanding our world and the CQC framework.

Koderly is extremely efficient in their project management. Project managment by Elsie has been fantastic throughout. We are kept up to date with regular sprint planning and sprint review meetings, and additional back log refinement sessions in between to break down chunkier pieces of development. Naturally along the way, there have been urgent pieces of development that have been unexpected and Koderly have always been flexible in adapting their work to ensure these are met.

Since the introduction of the Remote Database Administration services, the project has delivered strong and consistent results, with noticeable improvements in system reliability, performance, and operational efficiency. Koderly are developing our internal and bespoke system to increase its functionality and capacity. There are a number of key elements of our work that our system cannot currently accommodate, which is resulting with us doing a lot of the work manually or through old systems. To overcome this challenge, we have worked on mapping out how our business operates and looking at how those processes can be integrated. 
In doing this, other areas have been identified where improvements can be made to speed up our system, delivering further wins for our company. Once the above has been completed, the task then is to do a full review of our system and see how it can be enhanced to offer our employees a system that better assists them with their work, rather than hinders or frustrates them.

The measurable outcomes are the releases that will be integrated into our system over an extended period and eventually the completion (or near completion, as development never ends) of the backlog of tasks.

One of the great strengths of Koderly, which we are finding, is their project management. They understand that IT is an essential part of a business and that the company needs to be a part of the development process, so that other areas of the company can progress in tandem. With us Koderly run on a sprint cycle which updates us on their progress and also provides us with deliverable on a regular basis.

The business had a 'key person risk’ - in the form of a sole IT Consultant. We have 3 items of bespoke software development, that were critical to business process, used code that was unavailable and not understood by other team members, the work was undocumented, never shared, or published. A key component would effectively be lost as a direct consequence of the absence said specific IT consultant. Which was identified as a risk to the business. Koderly helped us to:

• log the source code centrally and gave the business access to it
• stabilised the platform and the code being used
• understood our business processes to effectively implement change
• project manged changes using a sprint planning model
• stabilised, changed and gave the team confidence in the warehouse manager software in time for the annual stock take

The client has the confidence in knowing that their critical systems are fully supported and has better knowledge of their own systems. Koderly ensures that both functional enhancements and bug fixes are prioritised and progressed in accordance with business priorities.

Prior to hand over from the incumbent consultant, Koderly were tenacious and drove several aspects of the project to achieve deadlines set by the business.  

Koderly set regular meetings, and we had a hard deadline for the business-critical stock take project which was achieved. 

For the ongoing support, we have a 4 weekly sprint meeting where we prioritise tasks, and review progress.
