Seeing our web design come to life with such precision shows off Kanopi's proactive attention to detail in the creation of these designs, as well as their meticulous notes and design assets.Describe their project management. Cam (our project manager) kept us on track (even ahead of schedule!) without making anyone feel rushed. He was always available and receptive to any questions, and he managed multiple teams from various departments and University schools with ease. During this project, he was also very proactive about talking to our IT team to ensure they were comfortable with new designs and website functions so that the hand-off to development went smoothly. We asked for an enhanced launch date at one point, which wasn't feasible with the project. Kanopi tried to make it work, but it ended up not being possible to launch it at that early date. Had we known sooner that it really wasn't feasible, it could have tempered some expectations on our end. Really, that is a very minor (and the ONLY) improvement I can think of.

I engaged Kanopi Studios to work on our WordPress sites. They’ve specifically focused on our accessibility project to make sure that we were compliant with upcoming legislation around site accessibility.

What was the scope of their involvement? 

Kanopi Studio had about six months to go through 16 WordPress sites for accessibility compliance. They came in guns blazing, making sure that all of our web assets were accessible to our end users. The team audited and remediated over 5,000 pages and adjusted the assets and copy as necessary. 

Currently, they’re working with us on four other major projects. We’re in the middle of a cybersecurity initiative with them to make sure that we’re security compliant.

What is the team composition? 

Overall, we’ve worked with about 20 contractors on various projects with a consistent team of 10. Our main contact is Jen (Senior Project Manager). As we get to different parts of the project, they’ll bring in other project managers to handle that specific portion. We’ve also worked with their CTO and some of their cybersecurity specialists.

How did you come to work with Kanopi Studios?

I knew about them as Drupal developers from being in the same community. When I took on this project, I reached out to them to see if they did WordPress and went through a proposal.

How much have you invested with them?

We’ve invested almost $700,000.

What is the status of this engagement?

This project lasted between April–December 2020. We hit the ground running around August and completed the accessibility project in time. The partnership is still ongoing.

What evidence can you share that demonstrates the impact of the engagement?

The difference between Kanopi Studios and the other vendors we worked with was night and day. They really set the bar for how a vendor should deliver and what to expect. The team has been so consistently good at rolling out items that we’re at the point where we’re not worried about their work. We know that they’re going to deliver quality work on time, and everything is going to be okay.

How did Kanopi Studios perform from a project management standpoint?

They do a really great job of managing their tasks. Even before they start working on a ticket, they’ll meet with us to make sure that they understand what’s going on and what’s expected of them. The team walks us through the requirements and works to figure out how the roll-out process. Their qualified developers then take care of the problem in the development stage. From there, they do an internal QA, and the project manager reviews the ticket before sending it to our team to verify.

On top of that, they’re running at least four major projects concurrently, all of which are tracked in Jira. They’ve set up a special labeling system so that they know exactly what’s going on at any given time in our Jira system. This means that Jen can pull up updates for me immediately because the documentation is so great.

What did you find most impressive about them?

We really just hired them to augment our team and help out occasionally whenever we got overwhelmed. But, when this accessibility project came up, none of my team knew anything about the criteria. 

We turned to Kanopi Studios, and they just brought on an accessibility expert to take over. She sat down with our team and stakeholders to walk us through what accessibility was and why it mattered. From there, she helped train our team on making changes and helped roll out both the code and copy.

They’ve been so good at what they do that we’ve actually started bleeding them out to other parts of our company. For example, by the time our internal accessibility team was ready to go, we had two months of lead time to get ahead on everything. That allowed us to help out with other parts of the company, bringing sites that weren’t from our group remediated.

No, I’m completely happy with what they’ve been doing.

You have to be direct and open. If you come to them with an idea (even if you don’t know exactly what you want) and ask them to be straight with you, then you’ll have the best relationship. We were trying to bring the website up to modern standards, increasing the accessibility and making it mobile-responsive.

What was the scope of their involvement?

The team at Kanopi Studios developed a mobile-responsive website from scratch. They did all of the research, created the wireframes, and presented the idea. I had a stakeholder committee that reviewed all of their presentations. They also provided a copywriter halfway through the process to assist me with the writing. Along with having an accessible design, the website can be translated using Google Translate.

Our Department of Technology and the city & county of San Francisco had approved 12 vendors, which we issued an RFQ to. We received four responses from vendors who submitted proposals. After the four vendors came in to present their ideas, we scored them as a group.

I had a committee of different people in our department that were invested in the website, and we evaluated them based on that. Kanopi Studios came out with the highest score.

We selected them in December 2018. After the contract process that lasted several months, we started working with them in May 2019.

We maintain a website that does a lot of things for us. It's an advocacy website, a news hub, and a resource for our users. We found it needed some improvements, and we hired Kanopi to help us with maintenance, security updates, and sitewide changes to drive more traffic, improve conversions, and provide more information to our users.

What was the scope of their involvement?
We have them on a monthly retainer. They provide all the services I mentioned on an ongoing basis. They do development work on our WordPress platform. The first order of business was a full site audit. They went through all our backend code, and they made notes about things that were working well and outlined places we could improve.

We have a dedicated project manager and a technical lead. As needed, we also work with other developers and specialists.

Our team is very happy with them. So far, they've delivered all the improvements we've requested, and they troubleshoot very quickly. I knew the owner, Anne, when we worked with another agency, and Anne was part of the team who worked on my project. She was critical to the successful implementation of that project.

When I heard that she had started her own studio, I reached out to her to get a better understanding of what she wanted to do with her new company and what her focus and business philosophies were. They were in near-perfect alignment with what we needed, so the decision was easy.

For us, I believe this can be broken down into two areas. First, they provide ongoing PROACTIVE support and maintenance of our site. The website looks very professional, which is important for our business. If we have an urgent issue, Kanopi Studios resolves it as soon as possible. They have a system for marking the urgency of the projects, which has been working very well. In addition, they're able to come up with solutions that are creative and unique. I don't have the technical expertise, so I appreciate having a partner who is able to think through things and make recommendations.

They're very responsive and great communicators. We use Teamwork to keep track of the projects and we also use email and phone to stay in touch. 

What did you find most impressive about them?

They're always trying to find the solutions that will make us happy. They're willing to work with us, even when we have our moments of stress.

In a perfect world, they'd have more developers. However, they're very responsive, especially when it comes to urgent projects, so we haven't had any issues.

We work with 5–6 people. Our project lead is the main point of communication. The technical team members join the calls on a regular basis and support the project as needed. I expect the total number will grow as we move into the next phase.

Kanopi Studios didn't come in and try to maximize their dollars. From day one, they work to maximize their value. I trust them implicitly. They do very thorough technical audits, and they’re excellent at prioritizing the results. They separate minor issues with the website that can be put at the end of the queue from the ones that need to be repaired tomorrow. They focus their energies on high-impact, high-result tactics. 

They came to my current company and have performed just as well as they did for the previous company. I have a different project manager and technical lead, which speaks to the consistency of their process and approach. I highly recommend Kanopi Studios. 

How did Kanopi Studios perform from a project management standpoint? 

Their project management team is great. They do a weekly video call with us, and we can always tell that they’re giving us their undivided attention. Kanopi Studios’ project managers are almost overwhelmingly efficient. My challenge is keeping up with their process. Notes, next steps, or tasks from the meeting are documented and pushed out quickly.

Overall, they do a really good job of communication through weekly calls, emails, project updates, and Slack. The personal touch and super-efficient workflow have made this partnership a really good experience for us.

We had a 3 vendor competitive bid. We went with Kanopi as it was very clear that we would be a priority for their team and they made it abundantly clear they were committed to understanding our needs and outcomes.

We provided a business requirements document, a brief site map, a content audit and brand guide. Kanopi did not provide content (except for about 5 pages worth) or significantly source photos. We needed them to focus on the function and the design more than the written content.

We had a total of 17 people, between internal resources and Kanopi. Our main point of contact was Tim, as the project manager and Jason, as the main developer. Kim was our initial designer and she worked very hard to understand our aesthetic focus and balance our brand between authoritative and approachable.

Can you share any information that demonstrates the impact that this project has had on your business?

This was a complete redesign, positioning us as the authority in our field. This redesign helped us focus on our audience.

How was project management arranged and how effective was it?

We had weekly calls for project management, and my developer and Jason (Kanopi) developer also had frequent calls. We did agile development and discovery and in 12 sprints we only extended 1 deadline by 24 hours. We used Teamwork, which was great for task management and documentation.

What did you find most impressive about this company?

We had access to a host of resources at any given point in time. I never felt like Kanopi couldn't address an issue or didn't have the bandwidth to support us. I loved feeling like our teams meshed and that as people, I get along with them!

From a technical standpoint, Kanopi Studios has a tremendous knowledge of Drupal. Along with their internal developers, the team is well-connected and plays a significant role within the larger Drupal developer community. In 2013, we redesigned our site from the ground up, moving our robust website from a proprietary setup to Drupal 7. Our goal was to build an attractive, efficient site that our staff could easily manage and constantly improve.

We interviewed several vendors. The deciding factor was the founder's professionalism and our ease in interacting with her.

We evaluated our mission and organizational goals throughout the wireframe design, architecture, site management, and launch. We interacted extensively and scheduled many conference calls. Since the launch, we've continued with ongoing improvements, development, and maintenance.

Because our website evolved over 15 years, it was a rat's nest of dysfunctional systems. Building a new home and importing a huge database into Drupal was extremely challenging, but they made it happen.

We're constantly improving our website and launching new development projects. We are working on a text-to-speech project and an API that will expand and improve site performance and features.

What was the team composition?

We mostly spoke with our project manager, information architect, and UX expert. We had limited interaction with the graphic designer and technical team, so I'm not sure how many people were involved. After launch, most of our interactions have been with our project manager and technical lead.

Can you share any information that demonstrates the impact that this project has had on your business?

The most obvious impact has been the improved, responsive site design and streamlined website management. It's easy to add and edit content. Another unexpected impact has been the expansion of Drupal site features. For example, it's easier to host RSS feeds of our podcasts and audiobooks, feed them to platforms like Stitcher and Spotify, and add Spanish and Korean translations of our website.

We had 11,507,718 unique page views in 2018, and mobile device and tablet sessions accounted for more than 3.9 million total visits. The website is key to reaching new audiences and younger demographics. For example, 48% of our online readership in 2018 was under the age of 35, and nearly 47% of all sessions occurred on mobile devices. Their team makes this ongoing creative growth possible. Looking to the future sets us apart.

How was project management arranged and how effective was it?

They're professional and systematic. The founder has managed the entire process. While quite responsive to our ideas and suggestions, she keeps the project on track and under budget. Our current project manager and tech lead are fantastic. They're quick to respond to and solve problems.

Since we're a nonprofit, it's important that they are also cognizant of our budget and timeline. They break down invoices, so we know how they spend every minute and dollar.

We communicate weekly through video conferencing, but they are regularly available through email and Teamwork and are always open to schedule meetings. The entire team is extremely responsive, accommodating, and pleasant. Their customer service is impeccable. Sometimes the founder calls, out of the blue, to see how things are going. They make us feel like their most important client.

What did you find most impressive about this company?

I've never worked with a company that balances customer service, friendliness, work quality, deadlines, and professionalism so well. They are simply the best. We are pleased to work with Kanopi Studios and always recommend them. I've worked here for nearly 18 years, and hiring them was the best website-related decision we've ever made.

We should have been slightly more hands-off. They accommodated our constant requests and changes, but we should have stepped back and let the experts run with it.

As a result, the migration’s scale and a proposed website redesign proved more than our internal resources could handle at once. We hired Kanopi Studios to accomplish this project for us.

What was the scope of their involvement?

Kanopi Studios analyzed all of our content and developed a plan to migrate those files to the new version of Drupal. They had to recreate the functionalities we had in place by integrating the off-the-shelf modules that come with Drupal. If a replacement module wasn’t available, they were required to create the unique code themselves. This process included designing and developing a new backend that’s capable of storing all of our content. Once they executed the migration, they completely redesigned our website’s frontend. Ultimately, they delivered a responsive site that works well on all devices.

We worked with an assigned project manager, 2–3 developers, a UX resource, and a designer. Different parts of the project required different expertise, but we interacted with roughly six people over the course of the engagement.

As with any project of this size, we had to stay on top of everything and spend the extra time to keep communication clear. The project manager was responsive and kept us informed regarding their progress. They met the promised delivery dates, so we’re happy with their overall performance.

### UCSF Department of Surgery
The Department of Surgery at the University of California, San Francisco is one of the leading surgical departments in the world with a rich history of scientific, educational, and clinical advancements.
 
Their site consisted of over 80+ domains ranging from research-focused, to patient-focused, to those geared towards residents. All were built using a proprietary CMS with no cohesive way to navigate between the various domains. Even worse, many of the domains/departments were creating their own layouts, navigation, and design signals, so there was little consistency between them. Additionally, there was also no content strategy whatsoever.
 
UCSF needed an inspiring design worthy of its status as a world-class medical school with a growing, innovative, and diverse environment. 
 
We began with deep discovery work. Seven rounds of  interviews with key decision makers, heat mapping, surveys, analytics research, and more informed every phase of the project, helping set clear goals for a successful outcome.
 
We created a template for site maps that would fit the bulk of the 80+ domains, making them flexible enough to allow swapping out items for each specific lab. Content was retitled and reorganized, so it would appear on the site in the right place at the right time for the right audience. 
 
As for the back-end, it was clear early on that we couldn’t tackle all the domains at once. We created an iterative approach to launching them, with the client prioritizing the rollout order. We used Domain Access to allow a single Drupal instance to maintain all 80+ domains so that each one would either have its own unique content or share content used on other domains.
 
UCSF Department of Surgery now has a site with an intuitive user experience that reassures patients and inspires future residents. The new site also follows accessibility standards, with video controls in addition to font size, alt text, and contrast needs. 
 
The site was acknowledged with a 2024 Web Excellence Award.


### Exploratorium
Being one of the first 600 websites ever launched on the internet is undeniably an exciting claim to fame. But 30 years of existence meant that the Exploratorium website had been managed and touched by a lot of people. When Kanopi entered the picture, the site had been on Drupal 7 for several years. It was suffering from a lack of unified design as well as a lot of unnecessary customization; numerous content editors and developers had built their own sections of the site in a variety of ways over the years, finding “creative” solutions to the same problem. It was time to overhaul and tidy up the site.
 
This project was a true collaborative and integrated effort between the Kanopi and Exploratorium teams. Starting with the initial joint work of collecting feedback and input from its key audiences, Kanopi delivered a streamlined content administration experience that is organized and a seamless experience for users with fast performance and speed on both desktop and mobile.
 
Consolidated content types accounted for audience needs and event types but provided a streamlined and faster back-end workflow for content editors. In order to reach more audiences, the site was built as multilingual — providing English, Spanish, Chinese, Filipino and Hawaiian to start — using Drupal Core.
 
An estimated 20,000 entities and 20,000+ media items were migrated over two years, in addition to migrating 8,186 nodes to nodes with 11 content types, 2,973 nodes to paragraphs, 1,978 to media entities, and 29 vocabularies.

### Global Brain Health Institute
GBHI works globally to reduce the impact of dementia, specifically in marginalized communities. But their website didn’t position them as the world-class organization they are; it had minimal design and was outdated. The focus of the site was largely on their Fellowship Program, but it was missing information about the Pilots/Projects they support and it didn’t capture the true story, vision, and purpose driving GBHI’s work.A lot of their content was documented in downloadable PDF brochures and documents making it less accessible, and that content needed to be migrated to the website and positioned in a way that told the real story.
Kanopi worked with GBHI on content strategy, starting with a full content audit of their existing site. We were able to map their current content to their ideal site map, and then identify the gaps in content. From there we determined where we could pull content from, and where we needed to write and develop brand new copy. We worked closely with the GBHI team — interviewing key people in the organization—to capture information in their words, so we could tell their story. Simultaneously, we helped GBHI get clear on their tone and voice, and develop brand guidelines for the way they write.Through this process, launched a site that shows hundreds of projects, pilots, and advocacy initiatives, and Bios for their fellows, faculty, and staff. We also launched brand new pages like “Who We Are”, and a “Training” section that explains their fellowship program in full detail.
The new site allows GBHI to educate the public on their wide array of initiatives and celebrate the people behind the work. Their content is now presented in a cohesive way that captures everything they aim to share with the world. They’re able to attract new fellows, collaborators, and supporters.
After the launch of the site, GBHI saw a 30% increase in website visitors as compared to the previous year.


### Flagler College
Since 1968, Flagler College has given students a rich liberal arts education in a small, supportive environment integrated within the thriving culture and history of St. Augustine, Florida.
 
Discovery work and research confirmed that their site was no longer serving its audiences well, and was beset by issues including:

non-intuitive navigation
lack of clear pathways
unimpressive visuals and branding
slow page speed
high bounce rate

It didn’t stop there. Users described their struggle to find information about programs and financial aid with words like ‘puzzled’ and ‘confused. A poor mobile experience only made things worse.
 
Yet no other page created quite as much frustration for users as Degrees and Programs — which also happened to have the most traffic. No filters or search functionality resulted in a seemingly endless list of programs that forced users to scroll the whole page.
 
The redesigned site would need to be relevant and engaging for users and make it easier for the Flagler team to edit and maintain content.
 
A collaborative approach to discovery resulted in extensive research upfront, including:

reimagined personas
user testing
a content audit
stakeholder surveys
qualitative research
competitive analysis

Simplifying the navigation was a priority. Wireframes focused on the pathways from the home page so the finished designs would get visitors where they needed to go without having to rely on the navigation. Our content strategy provided a plan to guide decision-making around creating and modifying content. 
 
The Flagler College team now has a website with a fresh design that’s youthful and confident. The updated back-end resulted in an improved page load speed. 
 
Administrators have complete control over the site; they can add and change components, structure, and visual elements as needed. All content is tagged and categorized, with every piece of Flagler content now serving a purpose and with its own specific success metric.


### National Council for the Blind in Ireland (NCBI)
NCBI creates accessible learning and literacy for the nearly 1.3 billion people worldwide who live with some form of distance or near vision impairment. They needed an easy way to make their materials available in online formats to support their goals and vision, and to have the site be AAA compliant, the highest possible compliance.
By working with Kanopi, NCBI was able to make their content available in accessible online formats through the Bookshare project. With features that include searchable text, synchronized text and audio, highlighting, and customizable font size and contrast, NCBI is empowering people with reading barriers with access to new opportunities for learning and literacy.
NCBI now has a AAA compliant site, with 800,000+ titles available to users. This impressive metric was an important measure of success for the team, indicating that they were able to give their audience wide-spread accessibility and access to educational content.


### International OCD Foundation (IOCDF)
The International OCD Foundation (IOCDF) exists to help those affected by OCD and related disorders to live productive and full lives. The IOCDF aims to improve access to effective treatment through research and training while fostering a supportive community for those impacted by OCD and the specialists who treat them. They also are fighting to end the stigma surrounding mental health issues more widely.
 
The IOCDF’s existing resource directory provided a wealth of information about therapists, support groups, programs, and clinics to assist people living with OCD. They wanted to expand their services and make it simple and straightforward for people with OCD to find the support they want and need. The IOCDF wanted to modernize its resource directory, focussing on user needs and improving user experience. In addition, because their old directory was built with ElasticSearch and relied on depreciated code, it wasn’t as sustainable or future-proof as it could be.
 
Kanopi created a new, dynamic directory that is scalable and includes an entirely updated user journey. From clear filters to an interactive map and provider list, the overall experience helps people living with OCD looking for support to connect with providers more easily. The updated editorial experience empowers the IOCDF team to provide additional resources with ease, as and when needed.
 
The IOCDF now has an engaging, accessible website that meets the needs of its users. Site visitors can find the support and assistance they need faster than ever before thanks to simplified filtering functionality. They can also access vital information about therapists and programs with just a click of the mouse. The IOCDF team is able to update content quickly and easily, keeping their website current and correct for the people that matter the most to their organization – those living with and affected by OCD.


### Physicians for Human Rights
Physicians for Human Rights (PHR) needed a scalable, sophisticated experience that would look great on any device and be supportive of their varied content. Using Gutenberg in WordPress, Kanopi was able to translate strategy and designs from a design partner into the complex functionality and content strategy needed, resulting in a more sophisticated and versatile system for editors, and an improved experience for site visitors.




### Cohen Veterans Network
The Cohen Veterans Network’s mission is to improve the quality of life for veterans, including those from the National Guard and Reserves, active duty, and their families. Their vision is to ensure that every veteran, active duty service member, and family member is able to obtain access to high-quality care that enables them to lead fulfilling and productive lives.
 
In six years, CVN had grown from 2-3 clinics to 12-15 clinics throughout the United States. Meanwhile, their website hadn’t been significantly updated. Its design and functionality had become outdated, and were no longer relevant to core user groups including veterans, families, and active military.
 
The new site would need defined pathways for their core groups, updated functionality, updated design and improved navigation.
 
We modernized the site design and architecture, enhancing their existing personas and leveraging their current branding. We updated the overall look and created new pathways for their core user groups. We also restructured their sitemap to develop the new pathways, added technical features, and updated their site to the newest version of WordPress to increase overall functionality.
 
An improved clinic locator and multilingual capabilities for Spanish users allowed CVN to better connect with its core user groups. 


### Sunnylands
For more than 40 years, Ambassadors Walter and Leonore Annenberg welcomed political, business, educational, and entertainment leaders to Sunnylands, their 200-acre winter home in Rancho Mirage, California. In 2001, the couple established The Annenberg Foundation Trust at Sunnylands to preserve the estate as a place where world leaders could meet to discuss issues of national and international importance.
 
Sunnylands’ website, while stunning, was not intuitive in their pathways for their two very important audiences. This caused a higher volume of physical phone calls for simple and foundational information, which led to friction both within the organization and with its relationship to its audience.
 
By modernizing their visual design with an artistic aesthetic, Sunnylands now has a website that reflects their mission and brand while also catering to the needs of visitors and retreat guests. A refreshed content strategy and tone has helped Sunnylands meet user expectations while letting their impressive history tell the story.
 
With improved navigation and accessibility, potential retreat guests can quickly find what they need to help Sunnylands secure on-site meetings of global leaders, influencers, and strategic decision-makers, thus saving the internal team time and helping users find what they need much more easily.
 
Armed with a tailored website growth plan, Sunnylands is well-equipped to continuously enhance its website to meet their users’ and the Foundation’s needs well into the future.


### Golden Gate National Parks Conservancy
Golden Gate National Parks Conservancy cares for trails, facilities, and natural ecosystems in area parks while providing education and community programs. Kanopi created a responsive Drupal site with a unified content structure to connect multiple departments. Additional goals were flexibility, easy maintenance, and a stellar mobile experience for park users on the go. The result? A design that celebrates San Francisco’s natural beauty with a 25% increase overall for all goals and conversions.




### COIT Cleaning & Restoration
COIT offers cleaning services as well as 24/7 emergency restoration. Their 100+ locations serve over 12 million homes & businesses across the US and Canada. But their site was a mess with a dated design and poor navigation. Drupal 8 was the perfect choice to clean COIT’s house: it accommodated all the requirements and needed complexity, while allowing for a focus on design. Geolocation, streamlined forms, and management of franchise promotions improves the customer experience.
