What was the scope of their involvement?

ITVibes, Inc developed and delivered a new website featuring a secure login portal tailored for our clients, employees, and vendors. In addition, they designed, programmed, and implemented a fully customized CRM and project management platform, built as a cloud-based solution specifically for our operations.

Most off-the-shelf software includes far too many features, making it overly complex and difficult to train users. We wanted a system with only the functionality we needed, designed to flow exactly the way we work.

The custom CRM built for us eliminates unnecessary steps by taking a lead directly to a client while incorporating tailored follow-up schedules and response options specific to our products and operations.

The project management side was also streamlined to include only the tools we require. Custom detail fields were created for each project to match how we operate, along with templates built around our phases and tasks. Specific input options were added, and we now have integrated access to a document and photo library, as well as a straightforward project calendar.

We found them through an online search for our local area. We chose them because they had the ability to develop custom software tailored to our exact needs in project management and CRM.

The software's usability was the main measurable outcome. It had easy navigation and wasn't complex to use. It was easy to understand and didn't require more than an hour or two of training.

Everything was well-organized. They had constant communication, and their notes and instructions were easy to understand. The team outlined the tasks we had to complete, delivered on time, and followed up to ensure we were completing them. We communicated via email and Google Meet.

I’m the owner of Gradzilla, a graduation sales company.

What was the scope of their involvement?

ITVibes, Inc. has completely developed our website with a backend that allows us to generate reports. Initially, I provided them with a sketch and a sitemap of what I was looking for.

They started using WordPress, but it didn’t have all the pieces to get the static capabilities we needed. They’ve since made several changes to improve its functionality, ensuring we achieve the desired results for our company.

ITVibes, Inc. provides ongoing support. Every time we go to a school and something needs to be changed, they’re proactive in trying to fix it. We can send them a message, and they will fix it immediately. They have a whole team ready to help get our website perfect.

We’ve informed them about our longer-term goals, and they’re working on implementing them. We’ve also had discussions about what we’d like the website to look like next year, and they’re already planning for that.

We’ve worked with about seven teammates from ITVibes, Inc. Initially, we were assigned 3–4 people. Since then, they’ve added 2–3 more because of the short turnaround time we need. We have a salesperson overseeing the project, someone in charge of the technology, and someone assigned to make everything happen.

We started working together in June 2025, and the engagement is ongoing.

What evidence can you share that demonstrates the impact of the engagement?

ITVibes, Inc.’s work has financially benefited me because I haven’t needed to hire an extra person to manage things the way we were before. The website is doing the manual part, and I suspect that will continue to decrease my labor costs in the future.

How did ITVibes, Inc. perform from a project management standpoint?

They’ve done so much work in such a short amount of time; it still blows me away. They’re also extremely responsive. For example, I requested a specific report, and they delivered it within a week. There was also a piece of the report that wasn’t functioning correctly, so they fixed it and added two more reports to make it richer. We’ve had online meetings and a lot of communication. We primarily communicate via email.

What did you find most impressive about them?

ITVibes, Inc. is a responsive and efficient company. Even though they don’t know anything about our industry, they’ve done a wonderful job of asking enough questions to get the results we need.

Are there any areas they could improve?

No, I can’t think of any.

Do you have any advice for potential customers?

Communicate exactly what you want. If they don’t understand, they’ll ask follow-up questions. We’re really paying attention to our emails, and if there are too many questions, we stop and have a call. Everyone jumps on the call, goes through things, and resolves them quickly.
