We are a leading provider of value-added services that help small and mid-sized enterprises (SMEs). I'm the Operations lead, with responsibility for operations and technology.

We use a number of different systems to handle various parts of our relationships with clients. When we obtain a new client, the process of setting them up in all our systems was time-consuming and an opportunity for errors to occur. Our objective was to implement automated workflows that allowed us to enter data once and have it automatically populate our other systems.

SOLUTION

How did you select this vendor and what were the deciding factors?

We conducted a search of vendors who could provide the service we wanted using he Microsoft Power Automate environment. The deciding factors were proven experience with the technology and a willingness to learn our new systems to ensure the integration was a success.

They designed and developed a Microsoft PowerAutomate based solution that connected the following systems - our CRM system (Insightly) - our Project tracking system (ProjectorPSA) - our document signing system (Docusign) - our Sharepoint environment The team held weekly SCRUM meeting with our participation.

The incremental deliverables were successful integration of the different systems following our overall process. In some cases the team had to work directly with the system providers to overcome technical challenges.

There were 4 people involved; a project manager, a project lead and 2 developers. In some cases they brought in subject matter experts for specific issues that arose.

Can you share any measurable outcomes of the project or general feedback about the deliverables?

The original process that took hours or in some cases days of elapsed time to execute due to dependencies on people to deliver specific tasks. By automating the process, and taking people out of the loop, we reduced to overall time to under 15 minutes!

We held weekly meetings with the team. We used MS Teams as our communications tool; for our weekly meetings, sharing of files and asynchronous chat discussions. All meetings began with a discussion of the timeline and any issues impacting delivery.

What did you find most impressive or unique about this company?

We interacted with the entire team; my staff could go directly to the developers. This sped up the process as we were not constrained to communicating through the project manager.

Are there any areas for improvement or something they could have done differently?

We were very pleased with their work and have hired them for a follow-up project.

Because one of our key startup advisors had previous experience with Intelligenes, we had confidence going into the project that their solutions would be of the highest quality and that their customer-forward approach would be a great fit for our organization.

They designed and delivered a custom set of portals that could be easily accessed and navigated by our customers, and are currently working on the AI/ML aspects of the project.

3-4 core members worked with us on a regular basis, and we have had monthly check-ins with the most senior member of the organization.

We are well-positioned to launch the beta-testing phase of the project and are confident that with Intelligenes at our side, we will be successful in bringing this cutting-edge technology to our target market.

We have been very impressed with their rapid response to queries, and their flexibility in shifting focus as needed. The team has also been adaptive with bringing in the appropriate resources at each phase.

What did you find most impressive or unique about this company?

We found it refreshing that all members of the team have been equally invested in the outcomes of this project.

Are there any areas for improvement or something they could have done differently?

We like the use of figma for visualizing final outcomes and it would be equally helpful to see a visual representation of the interdependencies of various project elements as changes are being considered.

I’m the owner and founder of Check; we offer personal security services.

What challenge were you trying to address with Intelligenes Inc.?

After experiencing roadblocks with our prior development partner, we engaged Intelligenes to help us develop our app for iOS and Android.

SOLUTION

What was the scope of their involvement?

Intelligenes has provided us with application development and design services. After working with us to understand our concept, they advised us on the best development and design practices to ensure the app flowed well. 

Regarding development, we started with some source code from our previous development partner, which Intelligenes had to pare back because it was incorrect. They didn’t completely restart from scratch, but they had to do a lot of recon work to get the code back up to where we needed it. 

We haven’t released the product to the app store yet, but we’re working on the final testing phase to iron out the kinks.

What is the team composition?

We’ve worked with about 5–10 people on the Intelligenes team, including the owner and development team. 

How did you come to work with Intelligenes Inc.?

Intelligenes was referred to us by one of our peers. Since we don’t come from a technical background, it was essential for us to find a partner who could help us understand the process without belittling us. We screened several development vendors, and Intelligenes was able to speak to the development process in a relatable way, so we chose them.

How much have you invested with them?

We’ve invested about $30,000 in the partnership with Intelligenes. 

What is the status of this engagement?

We began working with Intelligenes in May 2021, and the partnership is ongoing.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement? 

The app is completely functional and works as we hoped it would. As with any development project, there have been bugs and crashes. However, the Intelligenes team has effectively and efficiently addressed those. 

Intelligenes has ultimately delivered our ideal application, and we hope to continue working with them post-launch. We’ve been so happy with everything they’ve done for us. 

How did Intelligenes Inc. perform from a project management standpoint?

We’ve been incredibly happy with the project management team; they’re outstanding. Intelligenes has been professional, responsive, and understanding, which we’ve appreciated. 

Their development input and collaboration efforts have been excellent, and we’ve enjoyed interacting with them. The overall experience has been so inspiring to us because we’ve been able to bounce ideas back and forth, which has improved the app. We typically communicate via Google Meet, phone, and email. 

What did you find most impressive about them?

I’ve been most impressed with their level of professionalism and communication. Intelligenes has maintained constant contact with us and have been very receptive to feedback. Other developers have given us pushback, but Intelligenes has been open to our requests, and they make the changes we ask for. 

Intelligenes has prioritized learning about the concept for our app rather than just developing it, which has been amazing. They’ve been very interested in learning about our goals for the app. Thus, they’ve been able to give us better feedback to make the app the best it can be.

Are there any areas they could improve?

I have nothing Intelligenes could improve on; we’ve had an incredible experience overall.

I advise hiring Intelligenes; they’ll help you achieve your goals and probably deliver a better product than you ever anticipated.
