They integrated the application with Spotify, so users can listen to music while rating each song’s effect on their mood. When the app detects that the song has improved a user's mood, the song gets added to a feel-better playlist specifically for the user. The application also makes recommendations for the feel-better playlist based on other users’ positive reactions to songs. The app also tracks moods over time and asks users questions based on their behavior to help them dig into their psychological responses to music.  

Since launching the application, the idea box team has continued improving the functionality and supporting our maintenance requests.

We’ve worked with three team members from idea box. Our primary point of contact has been Adam (Managing Director).

After going through a negative experience with our previous partner, we searched for potential service providers online. Then, we interviewed five companies and were most impressed by idea box. They possessed the required skills and went above and beyond to share ideas for the app before we’d even signed a contract. What challenge were you trying to address with idea box?

We were trying to create a new clinical tool to enhance the effectiveness of the treatment being delivered, which we hoped would provide new business for our company. We hired idea box to build a web application for us.

**SOLUTION**
What was the scope of their involvement?

The web application is essentially an enhanced LMS that houses various psychological evidence-based activities. In addition to these activities, the application also allows users to create profiles and includes other services such as pulse checks and fact sheets. 

There were a few delivery stages, but we started with the backend, which involved setting up the LMS and users. There are four different layers of logins for users: clients, clinicians, administrators, and HR. We also had to figure out how each separate login connected with the others, and how to input and create activities in a way that was easy for everyone involved. 

We honed in on the frontend next, which mainly consisted of ensuring that the site was user-friendly, and that the visual and UX design all worked well. Next, we moved to the additional services where we built pulse checks, a gamification tool, and a few other elements. The last phase consisted mainly of testing and resolving any issues we found. The website is hosted on AWS. 

What is the team composition?

We had one main point of contact, but there were about five people on our team. 

How did you come to work with idea box?

We found them on Clutch. We looked through reviews and did a few interviews with a couple of companies, but we liked idea box the most and decided to move forward with them.

What evidence can you share that demonstrates the impact of the engagement? 

We’ve seen significant uptake from our clinicians and clients, and the feedback has been very positive. Users have noted how easy it is to interact, navigate, and input activities. The design is also very aesthetically pleasing and engaging. 

How did idea box perform from a project management standpoint?

Overall, they had great project management. There were a couple of issues that we didn’t initially anticipate, but they were handled effectively. We utilized Trello and Jira for communication and tracking progress. 

What did you find most impressive about them?

They were very responsive to everything we brought to them, and resolved any bugs that appeared quickly. They were invested, passionate, and incredibly easy to work with. The team from idea box wanted to deliver a high-quality product, and they worked with us to make that happen. 

Are there any areas they could improve?

There were a couple of times that we thought their communication could have been better, but we worked together during the COVID-19 pandemic, and communication was difficult in general during that time period.

I work for ESL FACEIT GROUP, one of the world’s largest e-sports providers and broadcasters. I’m the head of sales and marketing within Australia and New Zealand.

What challenge were you trying to address with idea box?

We ran an event in Melbourne, and we needed to create a very specific mobile experience that was effectively a digital scavenger hunt that relied on QR codes. We needed to build the experience’s concept from the ground up.

**SOLUTION**
What was the scope of their involvement?

idea box helped us build the entire experience for our event from scratch. We put together a brief containing the workflow and user flow and how the attendees would engage with them, which idea box and myself used. We had back and forth where they provided troubleshooting and advice as we developed the concept. 

Based on the brief and a call we had, they built the wireframes and mock-ups in Figma to show us what the app would look like. Initially, we wanted to build a mobile app for iOS and Android. Halfway through development, we pivoted our approach to a web-based application that idea box developed using React. They designed the app and helped us prototype it. Once we changed it to a web experience, they also provided hosting and support for the product once they finished it.

The app was a digital scavenger hunt during our event. Attendees could navigate this event by scanning QR codes at individual points of interest spread around the venue. The app guided users from one code to the next, and with each QR code they scanned, there was an activity for them to partake in, or the code would give them points. Users amassed points and went to certain locations where they could cash them in to spin a prize wheel and win several prizes.

What is the team composition?

We worked with 5–10 teammates from idea box, though I mostly dealt with Adam (Managing Director).

How did you come to work with idea box?

I googled app developers and looked at a few websites and reviews. Additionally, I got a few quotes from companies, and idea box’s was in the middle; they weren’t too expensive or cheap. Moreover, they seemed very straightforward and transparent, their previous work was good, and I liked their attitude.

How much have you invested in them?

We spent around $75,000 AUD (approximately $49,000 USD). 

What is the status of this engagement?

We worked with them from June–September 2022. We won’t use the app until our event next year, and we plan to engage idea box again for updates and additional features.

**RESULTS & FEEDBACK**
What evidence can you share that demonstrates the impact of the engagement?

One in every three event attendees engaged in the experience, and it had many positive reviews. Working with idea box was great because they were helpful and attentive, and they solved challenges proactively. We had bumps on the road due to lack of time — we rushed them. Although they had a lot of small issues to work through, they were quick to fix them. For example, we had problems the night before the event, and idea box was up until 2 a.m. fixing them before we went live. 

How did idea box perform from a project management standpoint?

They were very good at project management. Most of the deadlines were very tight, and they dealt with that pretty well. The team was time-efficient and good at communicating, following up, and doing things when they said they would. As a result, they had a very short turnaround time. 

As for communication, we used phone calls and emails. They used Figma to update me on visuals during the design phase until the coding started.

What did you find most impressive about them?

idea box was down to earth, easy to work with, and very eager to do a good job. They were also very attentive; they gave us the time we needed and got things done, even if it meant staying up all night the night before the event.

Are there any areas they could improve?

Although I'm not a seasoned client, if I had to give them feedback, it would probably be to say 'no' more readily and not take on all the client's demands. We asked for many random things, and they would say 'yes,' which may have made their life harder because they had to work rush to meet the deadline. However, that's a minor criticism.

Make sure your brief is good and spend time with idea box. Give them a chance to ask questions and ensure they have all the necessary information.

**SOLUTION**
How did you select idea box and what were the deciding factors?

We talked to several different agencies initially and one thing that stood out immediately was that idea box was an expert in tech. Many of the other agencies we met with gave the impression of being more like advertising agencies with limited expertise when it comes it building complicated software systems.

idea box on the other hand clearly displayed an extremely deep understanding of tech and software development and made us feel confident in their capacity to deliver on what was needed.

Describe the scope of work in detail, including the project steps, key deliverables, and technologies used.

We came to idea box with wireframes and prototypes. idea box really took time to understand what we were trying to do with our app and software & took the UX/UI to the next level. After refreshing the prototype with update UX/UI, Adam (Director) and his team started building it from scratch.

They provided regular updates and were also flexible and agile when it came to iterating and improving on different aspects of the project as they arose. This project was quite complex but they developed a very intricate backend and frontend architecture to meet the needs that were required.

They also had no problem setting up a range of things like automated SMS, reminders, automated emails, server migration, & app store submissions. idea box's attention to detail was also excellent & if ever a bug was found they worked very quickly to rectify it.

How many people from the vendor's team worked with you, and what were their positions?

Adam was our main point of contact throughout the project and he managed a team of about four developers who built the front- and backend. Early on when we were refreshing the UX/UI, one of Adam's UX/UI designers provided some really great input too.

Can you share any measurable outcomes of the project or general feedback about the deliverables?

We launched our product recently and the feedback and response so far have been excellent. Customers have been quick to use the product and extremely impressed with the overall look, feel, and operation of the app. I can definitely say that idea box delivered 110% on what we set out in the original scope of works.

Adam was really great to deal with. He always made you feel like he had time to talk and they did a great job of explaining complicated software development challenges in an easily digestible manner. I think what is most impressive and unique about idea box is that Adam and his team are clearly very clever and highly skilled software developers who you can quickly tell actually get a real buzz and enjoyment out of developing and producing new software products.

Other agencies often gave the impression of being nice and 'shiny' but with little depth when it came to tech development. idea box on the other hand you tell from the start was all about producing great new software.

Are there any areas for improvement or something they could have done differently?

Not really. This was a circa $200k project and idea box really did a fantastic job. Of course, when developing new software bugs and glitches will inevitably arise but idea box was great at solving these extremely quickly.

From a project management standpoint, their team performed well. Adam was our project manager, focusing on face-to-face interactions with our team. We had meetings regarding design structure, architecture, and how we wanted everything to flow.

We also held progress meetings where we went over any changes. If there was a change, their team would go back to development and then meet back up with us. As a project manager, Adam was responsive. When we had issues, he was always on top of them.

Because our end users had disabilities, it was important to create as accessible a design as possible. Their team was extremely helpful in providing UI examples that would best fit our users’ needs. We ended up going through about 30 versions during user acceptance testing (UAT), tweaking some of the cosmetic elements to arrive at the final outcome.

After completing UAT, idea box swiftly finalized the design and lodged the app for approval in Google Play and the App Store.

We worked directly with the lead developer, which simplified a lot of the communication and allowed us to complete the project within the expected timeframe and outcomes.

Our app is currently still at the launch stage due to organizational alignment and restructuring on our end. However, it’s still active, and we constantly use it for client demonstrations.

Therefore, there were significant delays in us being able to deploy different research elements. idea box created the frontend as completely white label so we can change the colors and the overall look of the interface quite quickly.

Phase one has been deployed. It's only been live for 12 months, and we’re already in six or seven countries. We run about seven apps on the platform, and it's responsible now for probably half of our business. We have much bigger expectations for it in the future. 

For us, success is where the platform doesn't break. Due to issues with our previous platform, we didn't do as much pre-testing as we would’ve liked. That was quite a risk. A few things didn't work because of the lack of testing. Now there’s a clear picture of what success looks like for the next phase. We'll continue to work with them over the coming months to make sure at least 95% of messaging gets through, as well as rectifying any other issues. 

How did idea box perform from a project management standpoint? 

Adam doesn't over commit himself, but he does sometimes overthink things, which can cause a delay. I’ve been upfront about how to manage that trait, and it’s seemed to work. 

What did you find most impressive about them?

I most appreciate their honesty and integrity. Also, they're true developers. I've been disappointed over the years with other firms that tell a wonderful story in the pitch process but can’t deliver on during development. Previous developers used third-party software, which meant the IP we own was limited since they used someone else's IP for the key elements.

Their main weaknesses are in administration management. As a small business, I need them to invoice earlier in the process.

Sit down and get agreement on all milestones. Have clear stage dates for each milestone. Make sure the payment terms are clear and tie payments to the milestones.
