We hired Ejaw to design a web application to serve our business in a variety of ways. First, to provide a more socially-connected e-learning experience for our students with built-in social features, chat, gamification, and email/browser notifications, in addition to all of the things you would expect in a typical e-learning solution such as video/text content, downloads, and payment portals. 

They also built an instructor portal that allows instructors to keep easy tabs on students with automated tracking of student progress, ability to set followups, send chats, text, and communicate with students/admin alike. Finally, they created an admin portal with tons of back-end features to streamline business processes, such as payment collections, generating group assignments, assigning certificates of completion, gamification, and a killer course builder.

What were the measurable outcomes from the project that demonstrate progress or success?

A fully functional, beautifully designed web application with admin, instructor, and student portals fuly integrated. Delivered within one year of project start date. Delivered within budget.

Project management was rock solid. We made a mistake on our end of underestimating what we were asking for initially, but they did a great job of accommodating our growing desires for our app. As with any project, the relationship grows with time. We switched from project-based to ongoing development about one-year in, in order to streamline development process. 

Overall, they were very patient when needed, very creative and thorough business analysts, and highly-skilled technical engineers.

I think the only thing would be to have set more clear expectations from the beginning in terms of time, effort, and budget required to pull off a job of this magnitude. Admittedly, we were naive and had zero experience building an app before, which resulted in us thinking that you just snap your fingers and tadah, you have an app. 

The actual process is quite lengthy and challenging, but I guess you can't say that on a sales call. All in all, I'm very happy they didn't scare us away from the development process; this app will be a complete game changer for our business and will surely be the best investment we've ever made.

We provided Ejaw with a list of high-level requirements and engaged with their business analysts and designers to create a mock-up of the app. Our development stack included React Native on the frontend, C# and Web API for the middle tier, and Microsoft SQL Server on the backend. Everything runs on the Microsoft Azure platform, and we use GitHub as a code repository. The mobile app was built for iOS and Android.

They provided us with high-quality work. Ejaw was able to understand what we needed and turn that into features within the product to make it exactly what people would expect from a company like ours.

The project took longer than expected; we were initially told it would be around six months, but it took about a year. We also added a few features after we technically finished the first version of the app, so it required us to go back to development. Ejaw had good communication skills; we used Basecamp for project management and Microsoft Teams for communication.

EJaw Games had excellent business analysts and designers, which helped us produce the content we were looking for. They also had a great development team that was very transparent with us. When they weren’t sure how to do something, they were upfront about it, and never claimed to be able to do anything they couldn’t, which we found refreshing.

Are there any areas for improvement or something EJaw Games could have done differently?

In the middle of the project, we felt like some focus was lost; we don’t think it’s particularly their fault because it's just what happens during a long project. We probably should have considered their original estimates more of a ballpark estimate than a deadline.

They were not afraid to challenge me on my preconceived notions and gut instincts. It took me a while to get used to but its a credit to their product and industry expertise and I think that resulted in better product. Working with them was such a pleasure.

I'm an early riser, it would have been great if the team were able to accommodate this with early morning calls.

With several games in live ops, we needed extra art bandwidth to bolster our in-game seasonal content. We decided to look for an art outsourcing partner to produce a mixture of 2D and 3D seasonal art content on different themes.

SOLUTION

How did you select this vendor and what were the deciding factors?

We were recommended EJaw by another games development studio that we are close to.

We supplied EJaw with a mood board and a spec sheet of all the items we'd like produced to fit within the various parts of the game (some elements appear in the game itself, others in menu screens and promo pop-ups). The specs required that sometimes they work in greyscale, sometimes in colour, and for some of the assets to be 3D rather than 2D.

EJaw would then produce concept sketches, sometimes furthering those into colour concepts, before working up the final version and/or modelling the item in 3D. Deliveries included textured 3D assets, and flattened 2D elements ready for use in-game (plus some PSDs where requested).

How many resources from the vendor's team worked with you, and what were their positions?

We worked primarily with Maksym on a day-to-day basis, and he in turn forwarded on any of my notes etc to the artists working at EJaw. He also set the schedule for us and ensured delivery on time, keeping us up to date with revisions every step of the way.

Can you share any outcomes from the project that demonstrate progress or success?

Despite facing an unprecedented situation in Ukraine, EJaw *still* managed to deliver not just one season of work, but two! We'd be happy to continue working with them in future too once we have some more work lined up. I'd definitely say that suggests the project was a success!

How effective was the workflow between your team and theirs?

Project management was excellent, we found a really nice rhythm and received daily updates from Maksym and the team. First class at managing their time and our expectations.

What did you find most impressive or unique about this company?

Something that could not normally be said really, which is that in times of incredible hardship these guys still had the passion to keep going and deliver on their work. Once the war started, we were willing to just wait and hope that everybody was ok, but not expect any more work to come through.

Not only did they then continue, but we agreed to a second season of work and they flew through all of that too! I cannot thank EJaw Software enough!

Are there any areas for improvement or something they could have done differently?

We had some minor feedback after season one which they took on board (mainly around hitting some of the technical requirements on the final output), but from now on we have a great rhythm with EJaw and could easily work with them again on another season.

They offered a third person to manage the project, but we wanted to do it ourselves. They’re responsive too; we had some issues at the beginning regarding the hours, and they solved them quickly.

In terms of communication, we use Skype, Zoom, and daily phone calls.

I’m satisfied with the quality of their work and the communication with their team.

I don’t think there’s anything they can improve on — I receive everything that I expect.

We were referred to them by a few sources, and vetted them through a technical test and a general interview.

We used a lean framework to get them oriented and developing, using iOS, Droid and PC as our platform targets. We started with monthly playable clients, and eventually moved to two week and then one week playables.

Over the years, we've had over a dozen people from eJaw working with us, Devs, QA, Art, Designers and TPMs.

Can you share any measurable outcomes of the project or general feedback about the deliverables?

The most important deliverable of all: the game client, tested, hardened, maintainable and (nearly) ready for release. eJaw demonstrated great flexibility under changing conditions, and never wavered in their support. We knew from day 1, and every day since, that they would be the partner to deliver.

eJaw adapted to our own preferences in communication, even as they changed over time. They used every tool, met every request, and clearly communicated in English.

What did you find most impressive or unique about this company?

eJaw is goal oriented; this means they are not chasing a set of hours or a contract term, but worked with us to develop the right product, regardless of setbacks. It's very rare to find a company that wants to share the product vision.

Are there any areas for improvement or something they could have done differently?

It's hard to see something that isn't specific to the product or its unique development as an area of growth or improvement. Generally, a deeper bench, perhaps.
