For what projects/services did your company hire EffectiveSoft?
We hired them to develop the user interface for our product. We wanted them to build a variety of features, including data visualization tools, patient records management tools, and medical data security features, and data export and import tools.
We were also hoping for a product that could be embedded in an online transaction processing (OLTP) design and could support middleware by interacting with an instrument control tier. This would include complex database design.
What were your goals for this project?
We have a handle on the hardware side of the product, but we needed help with our UI design. We wanted our interface to be high-quality, modern, and easy-to-use. We needed an experienced, responsible, and responsive team that could deliver these components in a fast and cost-effective manner.
SOLUTION
How did you select this vendor?
We selected EffectiveSoft over two other strong Java development shops based on several criteria. They had good reviews, relevant experience, demonstrated efficiency in communication, and clear and understandable proposals for the financial aspects of the contract. The team quickly provided impressive samples of work that were done in advance, and this served as an impetus to start the contract engagement.
Describe the project and the services they provided in detail.
EffectiveSoft provided several key elements that augmented the overall functionality of the product. The team designed the UX of about 12–15 instrument control and data visualization screens. They also built a UI and middleware using JavaFX and Spring Boot.
The team made substantial contributions and suggestions for the architecture, tools, API selection, and modularity of the product. They embedded the OLTP design using SQLite and the Hibernate API. EffectiveSoft also provided QA services that included test case definitions.
What was the team composition?
We have a UX specialist who was available at the initial stage and works with us on an ad hoc basis. We also have a full-time engineer who focuses on UI and middleware development. We have another full-time engineer that focuses on database and backend development, as well as middleware development. We have a full-time QA engineer and part-time project manager who coordinates scheduling and communication.

Can you share any information that demonstrates the impact that this project has had on your business?
The core functionality that we requested was designed within our timeline, and the quality was good. This allowed us to demonstrate progress to our management team, our investors, and the doctors who were involved with building the instrument.
All of the involved parties specifically noticed the freshness and intuitiveness of the UI, as well as the fast software response times. EffectiveSoft helped us prepare the software tier well in advance of the scheduled hardware delivery times. We’ve been able to start and extended testing and end-user evaluation phase.
How was project management arranged and how effective was it?
From the very beginning, both of our teams had agreed on a common understanding of Agile as a project management workflow. EffectiveSoft acts in full accordance with the related base principles. They’re clear in how they define each deliverable and prioritize continuous integration and improvement through a robust testing environment.

Introduce your business and what you do there.
I’m the IT director for Van Havermaet, an accounting and law firm that also does corporate finance and business consulting for family companies in the neighborhood. We have 200 employees. We are the largest accounting and business consulting firm for family-owned establishments in our area.
OPPORTUNITY / CHALLENGE
What challenge were you trying to address with EffectiveSoft?
I wanted a complete renewal of the environment of our company, which meant that some of our applications needed a full technology update. We handle all the functional and architecture specifications internally. We needed a partner that would understand our needs and translate them into an application.
SOLUTION
What was the scope of their involvement?
We are currently building a customer portal. We do the functional specs and they translate it into technical architecture. We approve the architecture, see how it can scale, and then they start implementing. Our very complicated application was built solely by EffectiveSoft.
We have a very difficult social law system so if someone has foreign employees from the European Union that work in Belgium, our firm is the place to come. All of the exceptions are included in the software. We have lawyers and experts that figure out what the specific laws are depending on the economic branch that you need to work in including building, support, window cleaning, etc. If people outsource from one of the European countries to Belgium, the social law must be followed, and we take on that responsibility completely. We translate this legal and operational expertise into an application that can be used by our service organization.
They are creating specific work templates so that we can generate all of the legal documents from another system. We have one ERP system that has more than 3,000 instances to create all the financial documentation for the government. We need to generate all the documents for these customers. These documents are now in the reissue state. By the end of the year, we will switch to the new document system.
What is the team dynamic?
There are three people on the EffectiveSoft team including one project manager/functional analyst and one senior and one junior developer. We have someone that handles some of the administration like invoicing, etc.
How did you come to work with EffectiveSoft?
We contacted different companies in Eastern Europe to see if there would be a match in culture and technology stack. We needed .NET technology with web interface. We spoke with the management team and the developers from EffectiveSoft to see if they could take the project forward. We learned how they operate, their rules around development, how we follow up the testing skills, and if they would provide translation from Dutch.
How much have you invested in them?
We spend $15,000 per month.
What is the status of this engagement?
We started working with them in July 2016, and the work is ongoing. The last phase of acceptance testing is going on now.
RESULTS & FEEDBACK
What evidence can you share that demonstrates the impact of the engagement?
The quality is good. They have a great level of knowledge. They’re not afraid to ask questions. If they don’t agree with something, they tell us. We like their open spirit. We don’t write a full statement of work in detail. We just give them a general idea of where we want to go, and we discuss our options. Their level of interaction and their ability to understand us and talk with us on the same level has been very good. They understand our need to have some sense of control and follow up of the product.
How did EffectiveSoft perform from a project management standpoint?
If we need to talk to them, they’re available within a couple of hours. If something goes wrong, they call us. We have never seen them, but we’ve had a great collaboration over Skype weekly or daily. We also use email and JIRA for Scrums, communication, and documentation. It’s like they’re in the next office. We have multiple offices across Belgium, so we’re used to communicating without seeing people. We can share screens and see what’s going on. They also use our architecture documentation tool, Enterprise Architect from Sparx, to create the documentation. Our own internal development team works together with their team, and it’s been perfect.
In Belgium, we have three official languages and the fourth language is English. Their English was exceptionally good and very understandable.
What did you find most impressive about them?
They are the right mix for our type of company. With the complexity of our applications, we really needed a completely stable team. It takes months to understand what these applications do and how they are integrated into our systems. That’s why we chose a small, dedicated team.
We have been pleasantly surprised by their governance, how they follow up, and their open communication. They have good ideas on how to do things differently because of their technical expertise. If we have ideas, we have very constructive discussion around them. The quality has been exceptional. The delivery was fast and very good.
Sometimes we wanted to start into a new area and they took training for that. A week later, the developers knew what they had to do and they were complying with the new technology.
Are there any areas they could improve?
There are some delays getting over the border to them, but overall it goes very smooth. Communication can always be better, but I have no complaints. It’s not often that we have such good collaboration.

What business challenge were you trying to address with EffectiveSoft?
We had lost our chief technology officer 24 months prior to the engagement with EffectiveSoft. We needed a provisional CTO who could help us build our functional prototype.
SOLUTION
Please describe the scope of their involvement.
We had some ideas regarding the technologies that we wanted to use, but EffectiveSoft provided some already-built solutions that proved helpful to us. The software that EffectiveSoft built for us is primarily a text mining and text analysis app with some social networking features.
I estimate that the size of the team working for us was two to three people. We interacted exclusively with our project manager.
How did you come to work with EffectiveSoft?
We found them through a web search. They were the only company considered for the project. The reason for choosing an offshore provider was strictly cost. We didn't have experience in working through such a relationship, but it proved a learning experience.
Could you provide a sense of the size of this initiative in financial terms?
The total development was around $21,000.
What is the status of this engagement?
The project was completed four months ago [January 2016]. We're re-engineering the minimum viable product in order to integrate IBM Watson. We plan on engaging EffectiveSoft for this task as well. We don't plan on working with them on any additional projects at this time as we're unsure about EffectiveSoft's ability to integrate the IBM Watson technology into what has already been built.

Could you share any statistics or metrics from this engagement?
Cost-effectiveness is one important positive point about EffectiveSoft. They're also responsible and very creative when figuring out solutions for our requirements.
How did EffectiveSoft perform from a project management standpoint?
Timeliness was a factor in the work. EffectiveSoft generally delivered the product on time. Their project manager remained available to us throughout. We used a project tracking platform, but ultimately came to using Skype for communication because of the fast nature of the changes that we needed to implement. EffectiveSoft provided a project management to us by default and also gave us the source code for our app.
What distinguishes EffectiveSoft from other providers?
They went out of their way to remain cost-effective. We are a bootstrapping startup, a fact of which EffectiveSoft was aware. They offered us many financing arrangements in order to make the partnership work.
Is there anything EffectiveSoft could have improved or done differently?
It may have been helpful to be able to speak with some of the developers themselves, but the project manager did a good job in providing an interface. Overall, EffectiveSoft's customer service was above average.

We are a manufacturing company specializing in the design and production of spa baths and pool accessories such as filters, jets, electronic controls, and so on. We are readily integrated, having our own engineering team and big production facilities. We are a medium-sized company with almost 1,000 employees. We design, build, and test our own molds and parts, after which we package and ship our products.

I am the IT director.
OPPORTUNITY / CHALLENGE
What business challenge were you trying to address with EffectiveSoft?
We decided to build a custom ERP [enterprise resource planning] system. We have a platform in place at the moment, managing all aspects of our business, but the software is 10 years old, so it needed a redesign. We first worked with an overseas group, which proved completely unsatisfactory and was a disaster. We decided to fire them, and we started the search for a new vendor that could assume the responsibility for the development work.
SOLUTION
Please describe the scope of their involvement.
EffectiveSoft took over the project from our previous team, bringing us close to deployment.
During the project, we also came to need a small application for our online warranty system. EffectiveSoft built and deployed that as well. They've worked efficiently and with exceptional attention to detail.
Initially, we worked with a 10-15-person team, including several architects, developers, and QA specialists. Currently, our team is composed of 5-6 people. EffectiveSoft has an office in San Diego and they provide us with a dedicated contact person. He acts as an analyst and project manager for us.
How did you come to work with EffectiveSoft?
I interviewed several candidates, including EffectiveSoft, ultimately choosing them. The price was definitely a major consideration, given that I interviewed mostly overseas groups, but competency in .NET development was most the important factor in my decision. We are a Microsoft shop and our current system runs on their products. EffectiveSoft displayed a proficiency in .NET development and they have an office in San Diego, so we can work directly with one of their staff members in order to show them the different aspects of our business. This was a significant determining factor. Other groups only had development teams overseas, so communication was a much larger concern.
Could you provide a sense of the size of this initiative in financial terms?
The total development cost has been almost $500,000. Our original estimation was $300,000.
What is the status of this engagement?
We have been working together for around four or five months. The original project is very close to deployment. We are currently testing the alpha version of the platform. It will end up being the first phase of our work. We plan to involve EffectiveSoft in phase two as well, assuming everything else goes according to plan.
RESULTS & FEEDBACK
Could you share any statistics or metrics from this engagement?
The quality of the prototype has been very good. The small issues that we find are fixed extremely quickly. There have been specification changes along the way. EffectiveSoft reacted very well to them, adjusting the software as necessary. For example, warehouse management is a part of the software. We employ certain algorithms in order to direct pullers to the orders. We originally used a run-stack for location mapping, but we decided to change that in order to better suit our business needs. This has been addressed very well and technology vendors don’t always offer that kind of flexibility.
How did EffectiveSoft perform from a project management standpoint?
We have exceeded the budget, but that was due to us making significant changes to the technical requirements, not because of any negligence from EffectiveSoft. The project definition was not very precise to begin with.
Our project manager gives us estimates for different tasks in terms of time and money. He writes analyses and creates specifications for the overseas teams. We track those and ensure that they are met accordingly. We mostly communicate through email, but he is always willing to come on-site.
What distinguishes EffectiveSoft from other providers?
The estimations given to us were precise and the quality of work is very good. They have solid expertise in terms of database development and business application design. With the previous development team we used, I had to constantly monitor the table and database scheme designs. EffectiveSoft has been right on the money. I stopped monitoring them and now only glance at the work once every month.
Is there anything EffectiveSoft could have improved or done differently?
They're very adaptive. The have been building software that can fit our needs, even though they sometimes don't understand our business precisely. When that happens, their team is willing to come to us or schedule Skype sessions through which we show them our warehouse and how operations are handled. Whenever there was something that didn't satisfy us completely, we could talk to them on the phone or write an email, instead of creating lengthy specifications.

Our company name is Nissin Foods. We’re based out of the United States and we manufacture Top Ramen® products. We house a lot of the data centers for the international conglomerate that spans Thailand, Singapore, Mexico, and so forth.
What is your position?
I work in the IT department. I’m the senior systems analyst, and I basically manage anything relating to business intelligence.
OPPORTUNITY / CHALLENGE
Could you describe the business challenge that you were trying to address EffectiveSoft?
We’ve spent years trying to pick the perfect consulting company, and most of the companies we’ve worked with look good on paper but fall short when projects begin to roll out. EffectiveSoft was the next company that we wanted to try. They were clearly different from other companies, even though we still had our guard up a little bit. Everything sounded great on paper, so we gave them a small project so we could test the practical application of their approach and development methodology. So far, we like what we see.
SOLUTION
Could you describe the scope of their involvement in greater detail?
For the scope of this project we needed to find an application solution that was cloud-based or a web application. The key was speed and performance. We wanted to make sure that we were not going to experience any performance issues. We wanted to make sure end-user wouldn’t be experiencing defects.
We have a system in-house that we built with Microsoft SharePoint. The original developer, who developed this transactional form-based application, hit a roadblock when there was a performance issue and couldn’t implement a fix or workaround. As a result, we had to go out and search for a different solution. When EffectiveSoft came along, they suggested that we go to the cloud. We’re not really a cloud-based company, so when they suggested the cloud, our only concern was just to make sure that the application satisfied the user’s requirements. Reliable and consistent performance was the key driver for this solution.
How did you come to choose EffectiveSoft?
My supervisor actually found them first and I’m not really sure how he did but I wouldn’t be surprised if he found them online.
What is the status of your engagement?
We’re not really completely done yet. We started with them initially in November or December of last year [2014]. We were going back and forth just communicating with them about project requirements. When we decided to go through with it, the project probably started circa January of this year [2015]. If the project continues the way it’s going, we’re confident that it’s going to be done within our budget and in a timely manner. And we’ll use it as a basis to expand their role.
RESULTS & FEEDBACK
Could you share any statistics, metrics or user feedback that would demonstrate the quality of their performance?
So far, the quality of the work they’ve delivered has been excellent. They’re very professional. There were times we were expecting feedback from them and we hadn’t heard from them. Every time I tried to contact them, they responded. You feel like they put you in first priority, and that was the key thing.
They were very collaborative and they were very responsive. If we had a set of requirements for them, they understood that. If for some reason our requirements had shifted and changed a little bit, they discuss amongst themselves whether they could do it and would come back and say, ‘Yes, we’re able to do that.’ We liked that approach because it showed they were adaptable.
They were very flexible with us in that respect, and not to mention their prices are very competitive out there, so that was another thing we appreciated.
When working with EffectiveSoft, is there anything that you’d consider unique about their practice?
They’re honest. When they say they’re going to deliver something, they deliver it. And if something comes up that requires more time, they’re upfront about it, rather than falling off the radar and forcing us to chase them down.
What advice, if any, would you give to a future client of theirs?
It’s very important to define all your requirements in the beginning on paper and to document everything; that way, they can understand your true scope of requirements and they can come back to you with probing questions, which ultimately results in a better solution.
Before we started any projects they encouraged us to write down all the requirements for the project down on paper. They would look over everything and we would go back and forth with them on email. Everything was documented on email, and we liked that process. If there were any errors or things of that nature, you can always go back to the documentation itself. There was constant follow-up from them. With other companies, communication tapers off after a while, but that didn’t happen with EffectiveSoft.

BACKGROUND
Please describe your organization.
[We are] a medical coding software company. We create and support software that's used by hospitals and consultants to perform the medical coding function. We're about 10 years old, and we started from scratch.
What is your position?
I'm the CTO [Chief Technology Officer].
OPPORTUNITY / CHALLENGE
Could you describe the business challenge that you were trying to address with EffectiveSoft?
We needed to develop software that we could get to market quickly, and do it at as low cost as possible, while still having a quality product. We don't develop a lot of products, we develop a few and then we maintain them forever, so we needed to make sure the product we were developing would be maintainable and of great quality.
Could you describe the scope of their involvement in detail?
They worked on the user interface, not so much the design of the user interface itself, but the implementation of it. They also performed a lot of back-end coding. We had a contractor working with us stateside on the visual components of our solution. We'd deliver those components to EffectiveSoft so they could implement them.
SOLUTION
How did you come to work with EffectiveSoft?
We contacted EffectiveSoft because they're an offshore group and their cost estimates were considerably lower than the ones proposed by onshore developers. We selected three candidate companies and took small pieces of the application that we needed to develop anyways and gave each of them a different piece and had them to do that work. Then we evaluated each company on their planning, execution, and testing of the piece of the project we gave them. EffectiveSoft was the clear winner of that evaluation.
Can you give a sense of the size of the initiative?
It was probably about half a million dollars.
What is the status of this project?
The solution is live. We released that product, but we continue to evolve and maintain the application for our users. We created another related solution that is a Web Services-based solution, and EffectiveSoft has been a key participant in that development effort as well.
RESULTS & FEEDBACK
Could you share any statistics, metrics or user feedback from this project?
I don't have any solid metrics to share, but one of the key bits of feedback that I've received, and experienced myself, is that we really liked working with EffectiveSoft because they're active partners. We don't simply hand them requirements or designs and then they silently implement them and then throw it back over the wall. There's quite a bit of back and forth with them. We usually iterate several times before deploying a functional component. They often came up with variations on what we asked for that turn out to be better solutions in the long run.
We consider it extremely rare to receive defective code from them. We have a team of four people from EffectiveSoft, and one of them is a QA [quality assurance] specialist. We've worked with two QA specialists and they both did a thorough job of testing everything before they delivered a product to us. We're very appreciative of that.
When working with EffectiveSoft, is there anything that you'd consider unique about their practice?
We find them to be an active participant, so not only do we get good implementation, but also we end up with a better design based on their input. I think that's really the key thing. We've had vendors in the past that have only worked on the tasks we've given them, always working within the confines of our requirements, but never really offering any new insights. EffectiveSoft is much more proactive with their clients, which is great.
In retrospect, are there areas in which you think they could improve as a service provider?
I can't really think of anything. English was not their first language as they're based out of Belarus, so there was some language difficulties occasionally, but mostly that was limited to verbal communication. It was a little harder to understand them when we did phone calls with them. That's probably why they stressed written communication so much, but that's OK because their written communication was excellent. Their English was very good.
What advice, if any, would you offer to a future client of theirs?
I would say you need to be comfortable doing things through instant messaging, and whatever case tracking, and requirement systems and so forth. I think relying on those systems is good not only because of the language gap, but also from a tracking perspective, to make sure that the communication is documented and easily reviewed by everybody. I can't stress that enough. The documentation is a big deal.

Please describe your company.
We provide medical alarm monitoring units as well as monitoring service for people who require assistance in that area.
What is your position?
I am the director of IT [Information Technology] strategy.
OPPORTUNITY / CHALLENGE
What was your goal for working with EffectiveSoft?
We were using a turnkey system that wasn't meeting the specific needs that we had concerning user interface and connection with the different vendors that we work closely with, like the company that provides us with SIM cards for our cellular devices. We discovered that we were doing a lot of redundant work in the form of duplicate data entry. As a result, we engaged EffectiveSoft to help us solve some of these problems. We didn't have the internal capabilities or staff to handle this kind of project in-house.
SOLUTION
Please describe the scope of their involvement in greater detail.
We had five of their developers working with us for about 40 hours a week. They were working on our website integration, accounting system integration, customization of applications, creating portals for our installers, and our system for delivering information to our field engineers for them to perform their work. Right now, we have four full-time resources from EffectiveSoft who work with me directly on various projects.
What was your process for selecting EffectiveSoft?
I believe it was their prior director of business development who reached out to us and I had worked with them previously. Essentially, they found us at the right time.
Can you give a sense of the size of the initiative?
We've spent about $15,000 a month for the past two years.
What is the status of the engagement?
Our relationship remains ongoing.
RESULTS & FEEDBACK
Could you share any statistics, metrics or user feedback that would demonstrate the quality of their performance?
One of the big things they changed was in the billing department. It would take us two weeks to record individual payments for one month's worth of service. Those two weeks were condensed down into two hours of time by a process built by EffectiveSoft. In that sense, we've seen tremendous improvement in process efficiency. We now have additional time to dedicate to other priorities. Internal stakeholders have all been very impressed with the way EffectiveSoft has worked with us, and the quality of their deliverables has always been great.
Is there anything unique or special about EffectiveSoft that really makes them stand out?
They're very quick to understand the problems at hand. I've dealt with other developers who've always wanted to do things their way. With EffectiveSoft, however, they were flexible. I've been very impressed with their flexibility. I'm always satisfied with their level of responsiveness and ability to deliver assigned work on time and within budget. Any time that we've gone over budget, it's because of something we did not properly specify, or something we overlooked. We've never had an issue where we've had to talk about money on the table.
In hindsight, are there areas in which they could improve?
No. I would have to say that if there was anything that needed to be done differently, it was because of something we decided to do, not EffectiveSoft.
What advice, if any, would you give a future client of theirs?
They're really a great bunch of people, and they're great to work with. Sometimes, their language skills aren't as good as you might like them to be, but I know that they're all actively engaged in improving their English. For clients who don't have a tolerance for imperfect English, that might be an issue. They're also pretty strict with using JIRA project management system. They like the client to be familiar with that application to post any issues and keep a running correspondence.
