We needed to update our core LMS system, and build bespoke components which met the needs of our clients.

We searched online for vendors, and selected one from several that we interviewed. Over time, this company transformed into eCodesoft and we continued to work with the same team of developers who understood our requirements and were proactive in creating solutions to challenges we faced

The working practices developed over time. We initiated work after visiting the company in person to ascertain capabilities and capacity, then engaged them on a fixed term contract with specific deliverables. Following this we moved to an ongoing rolling contract of support and bespoke development.

How many people from the vendor's team worked with you, and what were their positions?

We started with a larger team for the initial development work, and later on scaled down to a service and support basis, with additional development work by one or two developers. The same project manager worked throughout this engagement, and was very good at responding to our needs. We worked through Skype and discussed matters almost every day. There was never a time when he was 'too busy' to talk. We felt like valued clients.

RESULTS & FEEDBACK

Can you share any measurable outcomes of the project or general feedback about the deliverables?

After initial development and launch we rolled the system out to 50 + UK government organisations, and engaged in a program of user feedback for feature requests. These formed a coherent roadmap which the developers took on. The general feedback from end users was incredibly positive, and at the two year renewal point the clients who stayed in the project remained for 8 more years, very satisfied with the system, the enhancements, support and development costs.

Following the initial project plan and deliverables being completed, we moved to a simpler communication protocol using Skype. The project manager was online and responsive to this almost every day. Since we were deployed in a different time zone, several hours behind the development team, any issues we reported were fixed and by the next business day the problems were resolved.

Clients remarked on how fast the fixes came, often reporting late in the afternoon UK time, only to find them resolved before the start of work the next day. This is testament to the responsiveness and depth of understanding the development team had.

What did you find most impressive or unique about this company?

The most impressive were their professional approach, timely manner, responsiveness to queries, and expertise in all matters related to web application development. In normal outsourcing we have found team members have a high rate of turnover, but with eCodeSoft this is not the case. Whilst some changes were inevitable, most of our developers stayed on the project for years at a time.

Are there any areas for improvement or something they could have done differently?

It is difficult for outsource companies to know whether to work only to a client brief as provided, or to make suggestions and improvements to the brief. Some companies would not appreciate the changes suggested, whilst we certainly did. If anything, we would have liked eCodesoft to be more proactive and help with suggestions and enhancements by explaining options available right from the start. However, over time, this was the point we reached, and it proved to be extremely useful to us.
