They built a strong backend API that safely connects the new system to our existing electronic health records, plus an admin dashboard for managers to oversee care plans, access, and compliance reports. Feedback from families has been overwhelmingly positive, with more than 120 thank-you messages expressing how much more connected and reassured they feel. One standout example is a daughter living overseas who said daily photos of her mother in music therapy gave her a sense of peace she hadn’t felt in years. The system also completed a major data migration with zero downtime, ensuring our clinical operations were never disrupted.

Before starting development, their UX designer and lead developer spent two full days in one of our homes, shadowing staff during rounds, observing family visits, and listening to daily challenges. This hands-on experience shaped the final product, for example, seeing a nurse struggle with repeated logins led to a simpler session-based login system, and noticing areas with poor Wi-Fi helped them design offline capability. They didn’t just follow our requirements; they understood the reasons behind them and often anticipated needs we hadn’t fully expressed. This human-focused approach played a major role in the project’s strong adoption.

For constructive feedback, the main area for improvement was the initial onboarding and security clearance process, which felt a bit slow. Because we require strict background checks and cybersecurity training, the early setup took longer than expected, and a more streamlined, parallel process could have sped things up. We also would have liked more shared knowledge across their developers to cover planned leave more smoothly; when their back-end specialist went on holiday, progress slowed slightly due to the highly specialized work. A built-in buddy system or stronger cross-training from the start would have helped. Once we mentioned this, however, they quickly introduced a shadowing plan to fix it.

Video updates were helpful. It showed how the project was progressing. They also provided me with logins to test it out along the way.
