I am the Technical Director and CEO, of System Force I.T. based in England. We are an I.T. Engineering company focused on Client support, development and Customer satisfaction.

I have worked with Cyber Concepts, for many many years, and often use them to create applications for my clients, to forfiill a specific need. For System Force, we have on going workin implementing and creating systems to integrate with our services. Our Goal is to create a system that clients and engineers can use without any fuss.

How did you select this vendor and what were the deciding factors?

Selecting Cyber Concepts, was not a tough choice, we had worked with many of other companies, and did not get the attention to detail and communication that we required. With Cyber Concepts we do.

Because our system is so large, we split the project up into several modules, from, stock control, invoicing, engineering, helpdesk and sales. As we developed each module the system was put together.

The experience of Cyber Concepts, is vast, their knowledge is second to none. I have worked wiht I thinkk 8 or 9 members of staff.

Can you share any measurable outcomes of the project or general feedback about the deliverables?

Once the back end was launched, it minimised the time Accounts teams, needed to spend creating invoices, statements etc. Engineers can pass on any detail in service forms on site, instead of the traditional paper work, that then has to be scanned in. All in all we have all the information that we need in seconds, instead of hours !

Describe their project management style, including communication tools and timeliness.

Project management is the key. My main contact is brilliant and I am kept informed of the project status, milestones and issues.

What did you find most impressive or unique about this company?

Because we work together so well, we talk all the time, and the team at Cyber Concepts are like my second family !

Are there any areas for improvement or something they could have done differently?

I cannot think of any improvement that Cyberconcepts need, they are perfect the way they are !

I have worked in many important capacities including Vice-Chairman, University Grants Commission and Director-General of National Institute of Education. Prior to retirement from the University of Sri Jayewardenepura, I have served as Director of the Postgraduate Institute of Management (PIM), which he started in the early 1980s, for 27 years, during which time I made the PIM a fully self-financed institution in the university system of Sri Lanka.

Currently, I work as the Coordinating Secretary of the Hon. State Minister of Education Reforms, and Promotion of Open Universities and Distance Learning and as the Managing Director of Graduate School of Management

Our website was designed by the same team about 10 years ago. Since the website's design was outdated we got the thought of getting the services again from Cyber Concepts because of their quality of service and support provided for the past decade.

How did you select this vendor and what were the deciding factors?

Since the site needs to be marketed to the young generation we needed a team that has excellent understanding about latest web design trends. We also got to know that Cyber Concepts had done many education sector based websites for other clients, which is also another reason for us to choose Cyber Concepts again. Cyber Concepts team came up with an unique theme that perfectly showcases our services.

Describe the project in detail and walk through the stages of the project.

At inception they did a detailed analysis of our requirement by meeting via zoom. A week after the meeting they came up with 3 different mockups of the website. We picked one and did some improvements. They started building it, every 2 or 3 days they reported us with the progress and we supplied content and improvements, which we implemented on the latest version of the website.

Like that everything was done and hosted with in a month. We were also given a training on how to manage the Wordpress Content Management System used for our website by the Cyber Concepts team.

Can you share any outcomes from the project that demonstrate progress or success?

After the new website was hosted and properly optimized with search engines, we started getting phone and email inquiries which some turned out to be potential clients.

It was a very practical approach they had. Me and my team are highly comfortable in sharing ideas and thoughts while the website was being built.

What did you find most impressive or unique about this company?

They communicated and implemented the solution that stands out

There is nothing that I can tell that needs improvement with the work they did for us

Our company decided to enter the food and healthy lifestyle segment mainly into food products and travel & leisure. We needed a new website to advertise our initiative and to cater to customer demand that is generating and will continue to generate. We needed to outsource the web design to a partner who could do this for he company as we do not have our own inhouse web design resource.

What were your goals for this project?

We wanted a website that is professional to the reader eye while at the same time being user friendly. A primary criteria we needed is to be able to update and edit content of our products and services at the time we wanted so that the website was always current and updated with news, products and prices as well as being a platform of essential information about our products and product related items and activity.

We know Cyber Concepts Sri Lanka for many years and they have designed other websites before for us as well. We have a good relationship based on their efficiency and delivery standards and the flexibility of being able to approach them for solutions if and when needed even after the website is launched. The Directors of Cyber Concepts are a professional team of people on whom we can rely of effective delivery

Once we decided on our project we met the Directors and discussed the concept and broad outlines and found they understood our requirement well and were able to give us solutions towards the goal. Thereafter we were assigned to a wed designer on their team as a point of contact with whom the actual development would take place. During the design there were meetings on phone and in person to keep the overall design on the required road map and although there were patches of grey the design headed in the desired direction

The core team comprised of the Director of Marketing and Sales and the web designer.

Can you share any outcomes from the project that demonstrate progress or success?

The website is still in progress and major portion completed. We experienced delays primarily because the web designer assigned to the project sometimes was unable to comprehend the desired concept and struggled between own pre-conceived thought on how the design should be as against the customer need and a certain lack of innovativeness that should influence creative thinking. However with the intervention of the Director in charge of the project this was resolved and the project is headed in the desired direction.

How effective was the workflow between your team and theirs?

The project Director is easy to communicate with, available for contact outside regular hours if required and always able to provide a solution to any glitches or situations that came up. In addition the Directors valuable inputs and guidance on some processes that resulted in a better output than asked was highly appreciated and valued.

What did you find most impressive about this company?

Cyber Concepts deliver what is asked. They are professional in the delivery. They have also highlighted their efforts to satisfy the customer. This valued personality of the company gives the assurance and comfort that even if there could be glitches and unexpected issues that surface the solutions for it can and is found for a positive result.

Are there any areas for improvement?

On a scale of 1-10 we would rate them as a 8 with 10 being excellent. An area of improvement perhaps is to educate the actual designer of the project to be a bit more pro-active and give a closer ear of understanding to the customer need and apply it or if what is asked in not practical to deliver, to suggest / give an alternate solution.

We are a regulatory authority for utilities such as electricity water and petroleum. My company is Public Utilities Commission of Sri Lanka (PUCSL)

We hired Cyber Concepts for many projects. Especially for the projects relating to obtaining information from the licensees in electricity distribution and petroleum market players

What were your goals for this project?

We wanted to ensure that all data relating to distribution of electricity and petroleum were received to us in a timely manner, so that we can evaluate the performance of the licensees with regard to serving the general public

SOLUTION

How did you select this vendor?

We had competitive bidding process. Cyber Concepts offered a quality bid which was value for money and with a practical and realistic time plan.

Describe the project and the services they provided in detail.

The project is a web based solution that lets the licensees submit their data at regular intervals in a standard formats prepared by PUCSL. We arrived at the formats with discussion with the licensees and also obtaining the feedback on feasibility by Cyber Concepts. The licensees are notified via emails when the submissions are due. They are allowed to submit the data in csv formats. The submitted data is then validated for their accuracy based on the type of template used. If all data submitted were valid, the licensee’s data is accepted to the system. The administration user responsible for the data at PUCSL goes through the data using information on previous submissions and he may raise queries and accept or reject the data. The accepted data by the administration user is used to generate many decision making information in form of graphs and tabular formats. This information is used to evaluate the performance of the licensees by the higher management of PUCSL. Cyber Concepts handled the designing, development and implementation of the solution.

What was the team composition?

Cyber Concepts team was managed by the Project Manager – Krishnajina Rajapathirane, who is a director of the company. She is B.Sc graduate. She was involved in gathering the requirements and handled the task of Business Analyst.

Although she was front ending the project, we met the team members several times at meetings. The team consisted of a tech lead, senior programmer and two programmers. Additional programmers were brought in where necessary, to meet the project milestones.

RESULTS & FEEDBACK

Can you share any information that demonstrates the impact that this project has had on your business?

We are able to monitor the performance of the licensees very regularly and take necessary preventive actions when needed. The licensees has no issues in submitting the data and we receive them regularly.

How was project management arranged and how effective was it?

The project was managed by Mrs. Krishnajina Rajapathirane. She was available for all meeting, that were scheduled throughout the project. PUCSL project steering committee consisted of myself and the key stakeholders of the project. Additional users were co-opted when needed.

Regular meetings were arranged to discuss progress and issues faced by the development team and also to request improvements to the solutions. With this arrangement, all project members were aware of the objective and the scope of the project and therefore we did not overrun the completion in a big way.

What did you find most impressive about this company?

Its their consistency in providing support and services. The enthusiasm of the team members from the start of the project to finishing was very much appreciated. All members were fully aware and were educated on the project and their solutions brought up was simple and practical.

Are there any areas for improvement?

They are in the middle range of ICT solution developers and better to move for the industry standers/ certification to deliver best solutions with security .

Can you share any outcomes from the project that demonstrate progress or success?

Cyber Concepts fulfilled our objective by making our service more visible to targeted user groups. Likewise, the website received positive feedback from internal and external stakeholders.

How effective was the workflow between your team and theirs?

Arosh (Executive Director of Sales & Marketing, Cyber Concepts) served as the project manager. He understood our requirements, prioritized our requests, and delivered the expected outcomes within given progress milestones. Whether we were collaborating online or at onsite meetings, communication remained very professional.

What did you find most impressive about this company?

They demonstrated professionalism and a high level of technical competency. We were particularly satisfied by the effort the vendor put into understanding and ultimately meeting our objectives. The team performed so well that we recommended them for another government website development project.

Are there any areas for improvement?

Cyber Concepts provided a significant amount of technical advice and support, but it would have been helpful to receive some creative counsel. Cyber Concepts should consider implementing more innovative and creative approaches, as this would strengthen the quality and scope of their services.

We have worked with them in the past as an e-commerce portal designer, and for this project, we needed a new version of our website. Our challenge was updating the price on each product to match the current market rate of the material. We needed an admin to be able to enter these details and expect the price of the product listed on the frontend to match the entered rate.

We wanted to reach a worldwide audience.

Cyber Concepts analyzed our business practices and adapted them for online operation. They purchased a Magento theme and molded a functional website with a visually appealing design. They also provided a facility to update product prices automatically through changes to the component material prices. Other services included the installation of a shopping cart integrated with a banking partner’s online payment gateway and custom-built order tracking and management. They hosted the site on their server platforms and provided SSL.

During Skype calls with the managing director and and senior web designer, we discussed their progress and explained the necessary changes. After each session, they set the next milestones and recapped our discussion.
