We were moving to a work-from-home environment for a remodeling task, so we needed someone to help us migrate our computer hardware and software and make sure everything works correctly.

After setting an appointment with BRITECITY, they came to our office to move all our computers and managed our servers to ensure they were running smoothly.

They then set up our employees for remote work and once the remodeling job was completed, they set the computers back up in the office.

Here at Hampton, my goal is for our IT Dept to not be just an expense line, but rather a strategic differentiator that helps the company win and even thought we are a fairly large company, we are still considered to be in the SMB category and we don’t have a full range of experts on staff to manage every important IT function. Having a great partner to augment my team is important to our success.

briteCITY works with us in a couple of different ways; they’re on contract for some IT services, but we also have projects with them. We delegate some recurring or repetitive tasks like such as server patching or management, but we also work with them on projects like policy creation or certain software deployments were they come alongside my team and assist us with training and expertise, for these we normally negotiate a project scope and contract.

I mostly communicate with Chad (CEO), but we probably work with around 4–5 people from their team.

I’ve known Chad for a while now as he has worked with one of our partners 15 years ago. When I realized that he had started briteCITY, I gave them a call and started engaging with them again.

Our ongoing partnership started in November 2020.

What evidence can you share that demonstrates the impact of the engagement?

I don’t have any concrete numbers but compared to our previous provider, I find briteCITY to be more responsive and capable. We get more results, our projects are accomplished sooner, and their pricing is very competitive — the money we spend with them, is money well-spent.

I find them extremely reliable and timely with their deliverables, so I don’t have to worry too much about our projects. We typically communicate through email and phone.

The best thing about working with them is that both our company’s core values are extremely compatible.

They don’t work hard enough to sell themselves, so I’m usually calling them to ask for certain services. I encourage briteCITY to make an effort of telling me more about the services we may need.

This would be true with any other vendor you’ll work with, but you’ll get the most out of the engagement if you’re fully prepared.

When I call them, there’s usually no one available, so we have to wait for a response.

I’m a rector at the Church of the Messiah Santa Ana. As a small nonprofit, we have about 15 employees and a budget of just over $500,000.

What challenge were you trying to address with briteCITY?

We were in a really bad place in terms of our IT setup and equipment. One of our volunteers was knowledgeable about what we needed and would offer to help us whenever he had free time. But aside from him, we didn’t have a solid support system for our IT needs. That’s why we turned to briteCITY.

SOLUTION

What was the scope of their involvement? 

briteCITY manages our IT needs, from our emails and server to our hardware. Their team started by assessing our system and creating a list of tasks that needed to be done. We tackled each project based on what we needed most and what we could afford at the time. It was really about rebuilding everything from the ground up. 

First, they advised us to work with a new telephone company so that we could upgrade our internet. They set up our phone system, purchased and installed a WiFi network within the church, and hired a company to redo our cabling system. Our previous method was crazy — we had so many cables that we couldn’t figure out what was what. Then, they recommended that we purchase a firewall to keep our information safe.

The most recent project was upgrading our email servers. Before, we used GoDaddy, which had a limited capacity. I’d have to go in every two days to clean up the inbox just to receive new emails. briteCITY helped us find better pricing through TechSoup, and we transitioned to Office 365.

What is the team composition? 

Brandon L. (Technician) is my main point of contact. He’s supported by Gilbert (System Administrator), Scott (IT Professional), and Kyle (IT Professional). They’re an amazing team and are the main reason I still work with briteCITY.

How did you come to work with briteCITY?

We’d originally found them through a company called NIXSYS IT Services. Their owner noticed that we were a small nonprofit that needed help, so he reached out. He met with us to go over some of the services his company could provide, and I was attracted to the affordable price structure. After I presented their pitch to the board, we entered a contract with them.

Eventually, NIXSYS was acquired by briteCITY. briteCITY kept all of the original employees from NIXSYS, so we continued working with them given that we’d had such a great experience. 

How much have you invested with them?

The original plan with NIXSYS costs about $280 per month, which covers basic maintenance (additional projects cost extra). They’re still honoring that contract, but I’ll have to check to see if there are any changes that will come with our renewal.

What is the status of this engagement?

We’ve been working with them since January 2020.

What evidence can you share that demonstrates the impact of the engagement?

Given the resources that we have, briteCITY has accomplished all of our projects within a reasonable timeframe, and I’m deeply grateful to them for that. They’re knowledgeable about our systems, which makes them quick to troubleshoot any problems.

The team is also professional and easy to work with. I’m not an IT person, so I have to try to explain the issues I’m facing with layperson’s terms. They’re good at translating their technical language in a way that I can I digest, which helps me understand why we need to do something. That level of communication has been very valuable to me.

How did briteCITY perform from a project management standpoint?

Their management is excellent. Sometimes I feel like I’m the only customer they have — they spend a lot of their resources to get the job done. It’s unbelievable! I don’t have to run after anyone to figure out a problem. It’s just one phone call or email, and they’ll take it from there.

What did you find most impressive about them?

When it comes to IT services, the team knows their stuff, and they’re there for us when we need them. If I tell them about a problem, they won’t stop until they’ve solved it. 

Are there any areas they could improve?

No, I can’t envision anything that they could be doing better. These people are doing a great job, and I’m really impressed.

I’m the director of finance at Optimum Employer Solutions. We’re a professional employer organization that handles HR, payroll benefits, and worker’s compensation for small and mid-sized companies.

We don’t have anyone in-house that handles our IT. Because we’re a service provider, having good IT is critical to our business. This is why we hired briteCITY.

SOLUTION

What was the scope of their involvement?

They’re our managed IT provider so they handle all our IT-related services. Recently, we migrated to Microsoft Teams. We had been using Slack and GoToMeeting. briteCITY also migrated our phone system to Teams. We had migrated to Microsoft 365 a while ago, and they helped us with that as well. When we get new hires, they set up all their new hardware and software.

I work with a few technicians.

We were with another company and they got acquired by briteCITY. That’s how we came to work with them. We were concerned that the level of service might go down or pricing might go up but we were pleasantly surprised that the transfer was seamless.

We invest about $40,000 a year with them.

Our ongoing engagement started in June 2018.

What evidence can you share that demonstrates the impact of the engagement?

Their services are excellent. We normally email a ticket in, and their response time is very quick. If we have an emergency, we can call and get someone very fast. I don’t receive any calls or complaints from my internal team, so that’s a signal that things are great. The support is stellar and their pricing is right in line with our budget.

How did briteCITY perform from a project management standpoint?

Their project management is excellent. Every month, I meet with our main contact to go over status updates and future work. briteCITY is great. When I have an issue, I send an email and immediately get a response acknowledging they got the email and will contact us. Their follow-up is fantastic. When they resolve an issue, they email us outlining what they did and how it got resolved.

What did you find most impressive about them?

Their response time is exceptional.

Are there any areas they could improve?

There have been a few instances when we haven’t received our hardware as quickly as we would’ve liked. That’s out of their hands though and more due to the shipping delays caused by COVID-19.

Overall, it’s been a successful collaboration. IT issues occur every day, but they’re resolved as quickly as they pop up.  

How did briteCITY perform from a project management standpoint?

For helpdesk tasks, members of my team submit tickets to their representatives. Their team addresses and closes tickets, and general IT problems are solved that way. If I need anything, I reach out to their principles directly and am able to take care of any issues from there. 

What did you find most impressive about them?

They’re available to us 24/7 and resolve all issues effectively.

I don’t have any feedback here. They handle everything well and solve problems as they come up. That’s all that matters to me.

We needed support to deploy new backup services and servers.

What was the scope of their involvement?

We migrated from our old system to VEEAM, which gave us a lot more flexibility. Questions and challenges came along with that added flexibility.

briteCITY walked us through the process of setting up the backup servers and services in addition to setting up a significant portion of them. Their technicians answered our questions about our previous practices and best practices for VEEAM. They also helped us with the monitoring services too.

I primarily worked with one technician. However, there were at least three different people on some of the calls.

Our CIO found them through a networking event during which a colleague recommended briteCITY. We then had an introductory call with them and chose them based on their knowledge. Their team was professional and answered all of our questions. When we posed questions, they brought another technician onto the call to ensure that they properly answered our questions.

We knocked out the project in November 2020.

Their team was able to hit our metrics. They were able to successfully backup, restore, and test our services.

How did briteCITY perform from a project management standpoint?

Project management was one aspect of the engagement that impressed me. We had to press our past vendors, which wasn’t the case with briteCITY. Their team followed up and pushed me when I had tasks.

There was a ticketing system, but we frequently communicated via email and phone calls. They made their cell and work numbers available. If I had a question, I received an answer right away.

What did you find most impressive about them?

I was impressed by their knowledge and project management skills. This was by far the simplest deployment that we’ve ever had. It was a low-stress experience for me because briteCITY stayed on top of it.

I didn’t have any issues, so it’s hard to say. I wish that I’d found them sooner.

briteCITY integrated a VoIP phone system and set up all of our phones — on- and off-site. We transitioned from one service to another, and they transitioned our resources, including extensions and recordings. Their team established the physical Internet in our office location.

Their team continues to manage services to support our phones. They host our phones and VoIP server remotely. If we have any issues, we contact them to help us.

Our phones work, which is one success metric. briteCITY also expanded our capabilities, so it wasn’t just a one-to-one transfer. When we chose their system, they suggested and implemented additional functionalities. Their team gave us different options that actually helped us. They were enthusiastic and helpful.

How did briteCITY perform from a project management standpoint?

We mostly communicate via text or phone calls. Their team first critically assessed our workflow and adjusted the schedule based on the availability of experts. We had a hard deadline for the Internet migration They let us know when we needed to start and delivered on time. For the phones, their briteCITY delivered ahead of the deadline.

briteCITY is transparent and has a great work culture. Their team’s productive and busy but not overworked.
