What were the measurable outcomes from the project that demonstrate progress or success?

This project, once complete, will reduce the time needed for one of our primary processes from 90 - 180 minutes down to less than 15 minutes. The QA auditing also took an insurmountable amount of manual checking into an automated process with increased reliability over a short time.

Very attentive and reliable - continually checking for alignment. We did go over our timeline slightly but this was not due to Xmartlabs - we needed to shift priorities to focus on one aspect over another but this was done with intention and conversation around it, which is very different from my experiences with other tech firms.

I’m the Head of Engineering at Austin-based financial services company that provides full-service tax solutions. We help clients minimize their income and property tax liabilities while also donating a portion of our profits to charity and serving the community. I contribute cod, work with product stakeholders on roadmap and requirements, and guide the day-to-day work of the team in partnership with the XmartLabs project manager. The XmartLabs team encompasses the entirely of our software engineering and development resources.

What challenge were you trying to address with Xmartlabs?

At the start, our main goal was to improve the technology support of our business. We relied on an internal tool and a client-facing portal for our property tax business, but both were struggling to be reliable and meet the needs of our customers & staff members. Additionally, we had a lengthy backlog of desired features that had been waiting to be implemented.

What was the scope of their involvement?

Xmartlabs is responsible for our two main applications. For our internal tool, the main improvements have been around its reliability. Its performance was subpar and needed attention. The team has also expanded the capabilities for one county that we work in making our processes more efficient. Following that, we’ve expanded the tool’s usage into a new county with a different dataset, which has required data analysis, processing, and new code to make the data work with the existing feature set.
For our customer-facing tool, we’ve improved the security of the application, migrated to a new payment provider, expanded the payment options for customers, and worked to improve every administrative aspect of the application. Earlier this year, the team also implemented an entirely new customer registration flow that improves the user experience and gathers more data on how we can continue to evolve that experience.

I found Xmartlabs through a referral from a contact at another fractional project I work on. The strong recommendations from the references were a big factor in our decision. Both individuals described working with Xmartlabs for years across several projects and companies. The reliability, longevity, and continued trust they shared in the Xmartlabs team were key things I was looking for in a nearshore partner. I was also highly interested in a partner that was close to US time zones, cost-effective, and had a large enough bench to get started quickly.

What is the status of this engagement?

We started working together in February 2024, and the engagement is ongoing.

What evidence can you share that demonstrates the impact of the engagement?

We’ve increased the rate of payments from customers, bringing more revenue to the business. Many customers have opted for the new ACH payment method, which has reduced costs for customers and the business. Approximately 60% of customers have opted for the ACH payment method, saving customers and the company $27,000 in credit card fees in 2024. 
We’ve also seen improvements in turnaround times in communication and response to production issues. Problems that often wouldn’t get a response for 24 hours and a fix in 48–72 hours now get responses within 60–90 minutes and often a resolution on the same business day.

How did Xmartlabs perform from a project management standpoint?

Generally, they deliver on time and go above and beyond to do so. Any challenges we’ve had with delivery have mostly been attributed to unknowns with the project and codebase. We primarily communicate via Slack and email, with the team running daily video stand-ups that I also attend.

What did you find most impressive about them?

The level of communication and investment in the project has been impressive. Every team member speaks up with questions about the work, raises challenges they’re facing that could cause delays or shifts from the original plan, and is excellent at communicating directly with non-technical stakeholders. The team strives to produce the highest quality of work possible while keeping the business needs and timelines in mind. They often proactively bring iterative plans to the table to keep things improving on the technology and business sides.

Are there any areas they could improve?

Any feedback provided on concerns with a team member’s work has been addressed quickly with visible, positive results. The team turnover has been a minimal, expected level for typical technology workers.

We needed help with custom software development for our clients.

What was the scope of their involvement?

Xmartlabs has been helping us build a full stack application for one of our clients. We’ve initially evaluated what the project would need and done a rough scoping of the project, including its main deliverables and estimates. We’ve signed an SOW and started working with them.

Currently, they’re building a React and TypeScript app. We’re using Supabase for our backend engine and have done some Python work for analytics and data validation. We’re also using AWS services like S3 for file storage.

What is the team composition?

We work with a project manager, a designer, and two full stack engineers. 

How did you come to work with Xmartlabs?

I knew Xmartlabs’ CEO from business school. For this project, I received multiple quotes for execution from different potential providers, including Xmartlabs. I respected their ability to provide a transparent cost and timeline, so we chose them.

What is the status of this engagement?

The engagement started in October 2024, and it’s ongoing.

What evidence can you share that demonstrates the impact of the engagement? 

We’ve hit our monthly delivery goals for the entire year, so we’ve had a 100% on-time sprint delivery. Moreover, the tools that Xmartlabs has created have allowed our client’s staff to save about 50% of their people’s hours on operational processes. Overall, their work quality has exceeded our expectations.

How did Xmartlabs perform from a project management standpoint?

We set high-level goals, and I build out a month-based timeline. Xmartlabs then translates that into epics inside of Jira, which roll up to the month. From there, they set sprint goals and create tickets with individual stories. We use Slack and Notion for communication and project management. We also use Google Drive and Microsoft Office products. The team uses various tools, including Cursor, Figma, and Android Cloud Code.

What did you find most impressive about them?

Xmartlabs’ design work is superb for their price point, which is pretty incredible. Their work helps drive value throughout all our other services. They’re a great engineering firm with a ton of experience in user-centered design and fast iterative coding. They have a great set of designers who are super familiar with modern practices. 

They don’t just do user design work; they’re also great at doing UI and UX research work. Moreover, they have a solid engineering team that can execute the research and designs that have been made. Overall, we’ve been impressed with their engineering cadence and velocity.

Are there any areas they could improve?

The biggest problem we’ve had is that they’re in demand. When I want to expand the team, I can’t do it immediately because most of their staff are busy.

Xmartlabs is a great company to work with, especially if you want fully integrated software deliverables.

What challenge were you trying to address with Xmartlabs?

We needed help with the design and development of a backend and mobile app to support our hardware.

SOLUTION

What was the scope of their involvement?

Xmartlabs provided the ideal flexibility in staff augmentation services. We were able to start with a larger team to design the system and then integrate a smaller team into our engineering workflow for development and maintenance. We started with a standard quoting process, but with Xmartlab's guidance were able to break up the quote into periods that required more-staffing and experience versus periods of lower staffing needs.  

Xmartlabs owned the development and deployment of our backend, which was hosted in AWS and primarily written in Node.js/javascript. They were also our sole developers for our mobile app, which was written primarily in Flutter, and is available on the App Store and Google Play Store. It's worth noting that our app had to work closely with our hardware, communicating over a complex Bluetooth protocol, and coordinating state with the hardware product. This experience is uncommon in the app development world. Xmartlabs also had to implement a custom graphical UI and custom visualizations of the time-series data we collected.

We started with 6–8 team members, and now we work with 3–4 people, including a backend engineer, a mobile app developer, and a project manager.

The main project took place from July 2022–July 2025. We have an ongoing maintenance contract with Xmartlabs.

What evidence can you share that demonstrates the impact of the engagement?

The app was successfully launched about 1 year ago, and has around several thousand active users. That number might not sound like a lot, but for our company, the app supports the hardware and does not operate alone. Xmartlabs has done a great job. The quality of their work meets our expectations.

How did Xmartlabs perform from a project management standpoint?

Communication with Xmartlabs was easy, and they delivered on time and within budget. Our engagement evolved over a 3-year period. We started with well-defined deliverables, but transitioned to a time and materials contract to better integrate their team with ours and develop features that spanned server-app-hardware. We used Jira to keep track of our engineering efforts and Slack for daily communication.

What did you find most impressive about them?

Xmartlabs' engineers are fantastic. They didn't just do the work they were told, they provided meaningful and thoughtful suggestions that shaped our product. The engineers that we worked with were also supported by a larger team internal to Xmartlabs, which thanks to their internal reviews, also provided excellent suggestions. We didn't have in-house engineering talent to do the work and appreciated the ability to scale the engineering resources as needed, but also retain the expertise of many. We're very happy with their work.

I can't think of anything they can improve on.

Xmartlabs is smart, and their work is excellent. I recommend working with them because they're cost-effective. Additionally, being in a similar time zone has been incredibly helpful.

We needed to test the validity of a product idea, build a prototype, and conduct market research.

SOLUTION

What was the scope of their involvement?

Xmartlabs carried out a product discovery phase for a data-driven MVP aimed at improving member engagement metrics within the client’s organization. They documented interviews and testing results and provided evidence and data from continuous testing points.

After that, they built a prototype and validated the MVP. The team analyzed and defined the data model structure and worked on an Argyle API integration proof of concept. They also defined the infrastructure and MVP architecture.

Xmartlabs delivered working prototypes, backend infrastructure, survey results, focus group series, and slide deck support. The working prototypes allowed us to communicate product ideas to the client and test value propositions to end users. Customers said the design was excellent, and end users appreciated the intuitive interfaces that allowed them to consider the value proposition.

Xmartlabs had exceptional project management. They always delivered on time and met our needs. We had twice-weekly standup meetings.

What challenge were you trying to address with Xmartlabs?

We needed help with custom software development.

SOLUTION

What was the scope of their involvement?

Xmartlabs provides end-to-end custom software development services, including UI/UX design. The team has worked on our existing MVP to analyze it and offer improvements to the architecture. We’ve had feedback sessions, which have fed into Xmartlabs' scalable solution design.

Once the design was ready, the team assigned a project manager to scope each feature and create tickets in Jira. Xmartlabs has also assigned frontend and backend engineers to support us in developing the solution and testers to ensure the functionality is ready for production. The team has also helped us with deployment and production testing.

Xmartlabs uses Figma for design and Notion as a knowledge center. Regarding the architecture, the team has built the backend on Django infrastructure using Python and PostgreSQL. For the frontend, they’ve used React and TypeScript.

As for features and functionality, the software is a marketplace where brands can launch jobs, and local creators and marketers can apply for those jobs. The brand can then review the applications and approve the creator. Xmartlabs has built a scheduling system so marketers approved for jobs can schedule and verify their visits. The system can do this with hundreds of users simultaneously. Xmartlabs has completed the original project and continues to enhance the software.

What is the team composition?

We work with a backend architect, a principal backend engineer, a full stack engineer, a frontend engineer, a tester, and a project manager.

Xmartlabs came highly recommended because they had worked in similar industries at the intersection of hospitality and media. The team was recommended for their ability to build scalable and secure solutions and grow into AI capabilities.

What evidence can you share that demonstrates the impact of the engagement?

More than 762 brands use our platform, and over 3,000 creators have scheduled appointments. In addition, more than 23,000 creators have applied for jobs on our platform. The jobs done through our platform have generated over 100 million content views.

Overall, I’ve thoroughly enjoyed working with Xmartlabs. We see the value in continuing to invest and expanding our investment with them. I couldn’t be happier with the quality of their work. Nobody’s perfect, but whenever we’ve presented them with improvement opportunities, they’ve always been collaborative and genuinely cared about improving our collaboration.

Xmartlabs delivers on time and within budget. The team communicates well, and we share a Slack group for direct access. We talk every day and have daily stand-ups. Any time the timeline has needed to change, it’s been because of a changing scope and our evolving understanding of the features. It’s been a group effort to hit the timelines. The only real area for improvement is how we can use tools more smartly and effectively. We can continue to adopt new tools to improve our collaboration. We could implement AI tools to make the engineering process more effective and profit-oriented. We should use smart technology and systems to solve problems rather than just solve problems for people.

Xmartlabs has a very strong set of contributors. Areas for improvement were more related to back and front end communications. This meant front end work ran ahead of the back end, leading to disconnected front end screens which demonstrated progress but which have required a lot of refactoring to ultimately make functional.

This was not always well communicated however I don't think that was intentional. Going forward, a greater focus on rewarding collective progress rather than individual progress would be more balanced. Understand need for team motivation however needs to be rebalanced to base positive feedback on both individual as well as collective. Value is created from end to end functional components as well as individual components.

The various software products built by Xmartlabs have different success metrics associated with them, but Xmartlabs' progress is primarily measured in terms of velocity and executing projects on-time with minimal bugs.

Project management is shared between Tastemade and Xmartlabs, and projects are generally delivered on time except in cases of unforeseen complexity or scope/priority changes. When the scope or priority changes, Xmartlabs responds quickly to the needs of our business.

New API endpoints that tied to new Data Collections in our DB. We are rapidly developing and prototyping new features. Working on detailed and documented sprints we are able to create new features at a consistent rate.

The team has been quick to respond and deliver on time. There are a lot of shifts in development between sprints that are handled well. Project management portals are always up to date and progress is visible to me as a client whenever i need to know.

• We are rebuilding our entire website using Phoenix LiveView. Each release incorporates new features and/or bug fixes, working toward the end goal of having this new website replace the existing one, once the development and migration process are complete.

Best I've ever encountered. Our project manager is incredibly capable, available and conscientious.There are many excellent tools and procedures in place to help make the team's work flow and progress clear and transparent. Everyone on the team is also quite available and approachable, so it is easy to reach out with question, ideas, concerns, anything. I feel that they are truly invested in providing an excellent service to their clients, and take the necessary steps to do so.

The project is taking quite a bit longer than originally anticipated, but this is not unexpected for any development project (and especially one of this size), and they have been absolutely wonderful about working through this with us to make sure we are able to achieve our goals.
