We have an online chocolate shop and a separate warehouse system. The problem was that there wasn't a connection between the two applications. Whenever I changed something in the warehouse, I had to update the shop manually — and the other way around. I always needed a developer to handle it, which wasted a lot of time.

8seneca rebuilt the entire shop from the ground up. On the admin side, they built a new dashboard that connects directly to the warehouse, so all the manual back-and-forth is gone. This cut our day-to-day work by about 80%. Now we can adjust most of the shop settings ourselves without needing a developer. For the customer-facing side we had the website redesigned so it looks great on any device and work well with search engines. 8seneca added also an AI chatbot that recommends chocolates based on what customers like.

8seneca team took care of everything — hosting, domain setup, and getting it all live.

The most impressive attribute of 8seneca has to be their dedication and commitment towards the product. Throughout the entirety of the project’s phase, they showed clear and transparent communication, and they were willing to put in overtime to resolve any issues. They were proactive and accountable with their work, so despite a one week delay, all deliverables were reliably handed over with all bugs fixed, proving their ownership towards the project.

Are there any areas for improvement or something 8Seneca could have done differently?

Overall, we appreciate the dedication shown by the team, especially the overtime put in to resolve final issues. However, there are two key areas for improvement:

Documentation: We require more comprehensive and detailed documentation regarding the use and maintenance of the implemented application to ensure a smooth handoff.
Quality Assurance & Timelines: While the team’s communication during the bug-fixing phase was excellent, the high volume of late-stage bugs led to a one-week delay beyond our deadline. In future sprints, we would like to see more rigorous internal testing earlier in the process to ensure stability before the scheduled release.

We needed to develop a B2B ordering system for customers to automate the ordering and delivery process.

What was the scope of their involvement?

8Seneca has designed and developed a B2B e-commerce platform integrated with our internal warehouse system. The team has also created automated shopping lists that recreate old orders, so customers don't have to search for emails or papers. 8Seneca has handled everything from design, integration, and development to setting up the server-side infrastructure. The team has also launched the system and provided support. In the future, we plan to create native apps for customers.

8Seneca has launched the system, which works properly and is well supported. The system has allowed our team to focus more on customer service and less on the daily routine tasks of processing orders via phone. We consider the project a success.

How did 8Seneca perform from a project management standpoint?

8Seneca's response time and adherence to deadlines are exceptional. The team has delivered the integrations and third-party support before the deadlines. The only problems with deadlines have occurred when the third parties haven't cooperated efficiently, but that's not 8Seneca's fault. We communicate via email and messaging apps.

8Seneca has provided us with feedback and the most modern and innovative solutions during the process. The team has been able to implement new technologies before we even ask for them.

We should have started the project only after third-party systems were ready for integration. Then, there wouldn't have been any issues with timing. However, that wasn't possible because we needed to launch the system as soon as possible.

Based on this analysis, structured AI prompts and response templates are developed to ensure clear, consistent, and helpful communication while still allowing staff to review responses before they are sent.
