Jos Bookstore is a new player in the e-commerce market in Ukraine that set out to create a modern online platform for selling books and audiobooks. To launch the business from scratch, the team was looking for an ERP solution that would not only cover all operational processes, but also be flexible, scalable, and compliant with Ukrainian legislation.

• Odoo implementation goals: To create a fully automated online book and audiobook store from scratch, ready for scaling. Ensure that all business processes comply with Ukrainian legislation, including accounting and taxation. Build an efficient and integrated infrastructure for eCommerce, logistics, customer service, and product management.
• The tasks that were faced before implementation: Set up full-fledged accounting following Ukrainian standards, with the ability to submit reports and replace 1C. Organize commodity accounting and warehouses to control balances, receipts, movements, and reservations of goods. Automate sales and procurement processes, including pricing, discounts, and margin analysis. Integrate an ERP system with an online store platform (OpenCart) to synchronize products, prices, customers, and orders. Integrate with Nova Poshta's WMS system to ensure fast order processing and delivery tracking. Provide support for the call center by transferring the necessary information from ERP to an external system. Introduce a loyalty program with point accumulation, discounts, and promotional codes.

The Self-ERP team implemented the Odoo ERP system, integrating it with the main tools for eCommerce and logistics. 

The main areas of automation included:

Accounting for Ukraine:
A custom module fully compliant with Ukrainian reporting requirements was installed.

 Implemented:

HR accounting and payroll module.
Foreign trade: import of goods, currency transactions, exchange rates
VAT, fixed assets, and inventory accounting
Regulated reporting and integration with tax authorities

Warehouse accounting:
Implemented a multi-warehouse accounting model with precise control of balances, reservation of goods, and logistics scenarios.

Sales and purchases:
Sales and procurement processes, supplier accounting, margin control, and margin analytics have been automated.

Product catalog management:
Implemented support for physical and digital products (audiobooks), custom fields, data import from publishers, and accounting for semi-finished products.

Integration with OpenCart:
Synchronization of products, prices, orders, customers, and balances between Odoo and the OpenCart website is provided.

Integration with WMS Nova Poshta:
Automatic creation of invoices, transfer of track numbers, real-time monitoring of delivery statuses, etc.

Integration with the call center program:
The transfer of information about orders, customers, payment, and delivery statuses for the work of operators is provided.

Loyalty programs:
A system of points, discounts, and promotional codes has been implemented, with the possibility of flexible customization for promotions and marketing campaigns.

Customization:
Dozens of small adaptations have been implemented: additional reports, modified printed forms, filters, fields in orders and product cards, etc.

RESULTS & FEEDBACK

What were the measurable outcomes from the project that demonstrate progress or success?

Full automation of the back-office:

 The ERP system covers all processes: from the import of goods to their delivery to the end customer.

Integrated omnichannel model:

 Thanks to the combination of Odoo + OpenCart + WMS + call center, the company gained complete control over the business.

Transparent financial accounting:

 All operations are conducted in a single system, which simplifies the preparation of reports and work with regulatory authorities.

Improved service efficiency:

 Thanks to integration with the call center and logistics, order processing has been accelerated, and the number of errors has been reduced.

Throughout the project, all tasks were completed following deadlines, budgets, and the expected scope of work.

Regular status meetings were held.

Every 2 weeks, hourly reports were sent with a description of the tasks completed and the time spent.

A complete documentary base related to the project was also provided, including recordings of all meetings for internal training.

Supply Chain Management: Configuration of procurement, inventory, and manufacturing modules enabled WOODSON & BROS to effectively manage all stages of production and product delivery, from raw material procurement to shipment of finished goods. 

Shopify Integration: SelfERP set up Odoo integration with our online store on the Shopify platform, ensuring automatic data exchange for orders, customers, and products. Additionally implementing advanced automation for our custom processes.

Accounting and Management Reporting: SelfERP configured accounting and management reporting modules, allowing our accountants to maintain accurate records of financial transactions, control expenses and revenues, and obtain detailed analytics for making management decisions.

Conclusion:

Supply Chain Optimization: Through automation of procurement, production, and sales processes, our company was able to reduce annual costs by more than $24,000 (or 20%), reduced handling time and accelerate order delivery by 15%. 

After implementation, we had all the capabilities even in the first year for further development and expansion of the system's functionality as the business grew up to 3 times and gained x3 net profit per year.
