The scope of work focused on migrating from Office 365 to Google Workspace, including migrating our domain, email addresses, data, and files while ensuring compliance with UK and EU GDPR requirements.

During Discovery, this work included an analysis of our current usage and expectations around new systems, ssessing dependencies and risks associated with migration, conducting comprehensive planning and stakeholder discussions, and underdoing data and application preparation.

During Delivery, this work included executing the migration from Office 365 to Google Workspace and the migration of the domain, validating the transfer of all data, providing recommendations on Google Workspace usage, and answering any questions and addressing any issues along the way.

During Embed, this work included developing training and documentation to ensure smooth user adoption, developing a comprehensive transition guide, addressing post-migration bugs and problems raised by users.

RESULTS & FEEDBACK

What were the measurable outcomes from the project that demonstrate progress or success?

• All users transitioned to Google Workspace and new domain email addresses prior to our September website launch.
• All user groups set up replicating our Office365 groups prior to our website launch.
• All data migrated from Office365 email addresses and forwarding in place to new email addresses.
• All users provided with a comprehensive guide addressing what their steps were in the process with an FAQ.
• All user questions answered and issues addressed in a timely manner.
• All users feel comfortable and supported in the transition process.

Nigma was incredibly timely and responsive. They scheduled a weekly update meeting to walk through the status of our work together and kept our team updated on our Slack channel for the project. They kept the project moving along smoothly and in a timely fashion, ensuring everything was complete well in advance of our website launch.

When we hit roadblocks -- which were entirely out of their hands -- they investigated and came up with solutions and alternatives, meaning that we always kept on track with our work.

They were reliable and communicative at all times. If I sent them a message, I knew that they would reply within the day, if not within the minute!

What did you find most impressive or unique about this company?

Nigma Software's caring, collaborative, and communicative approach to work is very impressive and unique. I think when folks are seeking digital transformation services or IT support, they often experience and have come to expect a more cold and impersonal approach. This is not the case at all with Nigma. 

From the start, it was evident that Nigma cared about our organisation even beyond this project. They wanted to know about our agency, the clients we often work with, what kinds of project we do and how that work pushes forward social change. They saw us as partners to work alongside into the future, not simply as customers to provide a service and call it a day. 

I loved getting to brainstorm together. Never once did we feel like we were being told what to do while working with Nigma, but rather that we were building something collectively. Nigma has a warm and thoughtful approach to their projects that makes us certain that we will continue working with them on any activities or projects we can!

None that I can think of.

From day one, the Nigma team was incredibly easy to work with and helped guide us through the entire process, making what could have been a daunting experience feel manageable. I’m a content creator at Pipo. Our app supports wide-ranging expression through a seamless, all-in-one AI creation platform.

What challenge were you trying to address with Nigma Software?

We needed help to set a clear objective and develop a prototype in a timely manner.

SOLUTION

What was the scope of their involvement?

Nigma Software is developing a low-fidelity clickable prototype to validate the user journey. The team is also providing product support as needed and conducting discovery reports and surveys, including key assumptions, user research insights, product canvas, user flows, and future functionality. 

What is the team composition?

We’re working with one teammate from Nigma Software.

How did you come to work with Nigma Software?

We found Nigma Software through a referral. We chose them because they were professional, communicated effectively, and offered a prototype solution for our project.

What is the status of this engagement?

We started working together in April 2025, and the engagement is ongoing.

What evidence can you share that demonstrates the impact of the engagement?

The clickable prototype and survey responses are the measurable outcomes of our project with Nigma Software. The surveys measure user engagement and constructive feedback, while the prototype measures feature validation and ease of use. We quantify user engagement and constructive feedback from the surveys by asking users whether or not they would recommend or use the tool.

How did Nigma Software perform from a project management standpoint?

Nigma Software’s project management is professional, timely, and communicative. The product is delivered on time. We communicate via Google Meet and email.

Nigma Software is very flexible and easy to work with. They take the time to help us understand the workflow and what we need to achieve our goal.

It is a resourceful page on the website that attracts users on to BITCNI's website. BITCNI members engage with us to add their resources on the HUB. It is quick and easy to update in WordPress.

Nigma use Trello to log new items of work or issues which is easy to use to keep track of progress or a timescale. Conor is prompt to respond outlining if he needs further details or to update us on timescale.

Nigma provided regular release updates showing the functionality of features as they were brought into production.

They consistently delivered tasks on time, and their proactive communication ensured that any issues were addressed well in advance. Their attention to detail and commitment to staying on track made the entire process exceptionally smooth and efficient. Working with Conor and his team was a highly positive and productive experience.

Nigma's handling of deliverable status was impressive, but there's an opportunity for improvement. Providing more detailed and frequent updates on deliverables would enhance transparency and keep clients better informed. This small adjustment could make their already solid project management even more effective. However, Nigma's commitment to delivering results is commendable.
