We used Mobbiz to streamline HR, payroll and compliance workflows that involve several steps, checks and handoffs. We work with multiple overseas clients, so the challenge was not just automating a simple approval. Different clients can have different requirements, and we already had tools and processes in place that could not cater those requirements but at the same time we did not want to replace them. Mobbiz was flexible enough to sit alongside those existing systems and give us a more structured way to manage the workflows around them.

What were the measurable outcomes from the project that demonstrate progress or success?

The main improvement was having a more consistent process for payroll and compliance work. There was less reliance on manual follow-up, and it became easier to see where something was in the workflow and what needed to happen next. It also meant we could improve the process without disrupting the tools our team was already using. For us, that was important because replacing an existing system just to automate the workflow around it would have created more work than it solved.

They were responsive and willing to adjust the setup around how we actually work. Our workflows are not completely standard because we support different overseas clients, so there were many details and rules to account for. They were able to work through those with us rather than forcing the process into a fixed template.

Their methodology and flexibility. A lot of tools are fine for straightforward approvals, but our processes have multiple steps and can change depending on the client or situation. Mobbiz gave us more control over those rules without requiring us to build custom software. We also liked that it did not have to replace the systems we already use. It works better for us as a workflow layer around the existing setup Their methodology is a major differentiator. They helped us fully systematize how we work, standardize our data and processes, and automate a significant portion of our operations—all within weeks and without disrupting the business. Their approach is exceptionally agile and non-invasive, enabling projects to be rolled out quickly and seamlessly.

Are there any areas for improvement or something Mobbiz Solutions could have done differently?

Because the platform is very configurable, it helps to spend enough time defining the workflow properly at the start. More ready-made examples for common processes could make that initial setup easier, but the flexibility is also one of the reasons we chose it.

We use a lot of different AI and research tools, but the difficult part is managing the process around them. A client engagement can move through LLM audits, prompt research, competitor analysis, authority and citation work, implementation, and then ongoing performance monitoring. Mobbiz helped us turn that into a more structured workflow. Instead of replacing the tools we already use, it sits around them and helps manage the steps, rules and handoffs between them. That was a much better fit for us than trying to force the whole process into a generic project management tool.

What were the measurable outcomes from the project that demonstrate progress or success?

The main improvement was consistency. We could take a complicated process that has a lot of moving parts and make it more repeatable from one of our own clients to the next. There is less manual coordination between stages of the work, and it is easier to track what has been completed, what is waiting on something else and what needs attention. We were also able to do this without changing the AI and marketing tools our team already uses.

They were easy to work with and understood that our workflow was going to keep changing. AI visibility is still a fast-moving field, so we did not want to build something rigid that would be outdated in a few months. The no-code setup made it much easier to adjust the process as our services evolved.

What did you find most impressive or unique about this company?

How customizable it is without needing us to build our own software. Our process is much more complicated than moving a task from “to do” to “done.” There are approvals, different paths, recurring checks and several tools involved. Mobbiz gave us a way to manage that complexity while keeping the tools we already use. That is the biggest difference we noticed compared with using a normal project management database or trying to build the whole process ourselves. Their methodology is a major differentiator. They helped us fully systematize how we work, standardize our data and processes, and automate a significant portion of our operations—all within weeks and without disrupting the business. Their approach is exceptionally agile and non-invasive, enabling projects to be rolled out quickly and seamlessly.

There is a bit of upfront thinking required when the workflow is complex. You need to be clear about your stages, rules and exceptions before automating them. More templates for complex service-delivery workflows would make that first part easier.
