What evidence can you share that demonstrates the impact of the engagement?

The CEO of the organization is actively engaged. At least two touchpoints, Scott (President & Co-Founder, Integro) has reached out to me independently to see how things are going and how satisfied I am. 

How did Integro perform from a project management standpoint?

Integro is quite thorough. Since we’re a financial institution, we communicate with their team through our network, using resources we’ve provided Integro. We also have daily scrum calls to see where we’re at.

What did you find most impressive about them?

Integro truly surrounds its clients with individuals with different expertise. We have access to an information governance strategist, a technology person, and a project manager to bring it all together. They do a good job of making sure that they have the appropriate people surrounding the project. 

Are there any areas they could improve?

No, everything's going well. We’re still working together.

I’m the information governance services manager at an insurance company that offers supplemental insurance to small, medium, and large businesses.

What challenge were you trying to address with Integro?

We have established a content assessment services division that is essentially looking to automate controls around information governance information retention and disposition. They were helping us to implement an IBM product there called StoredIQ.

SOLUTION

What was the scope of their involvement?

StoredIQ is a kind of content assessment engine that supports the ability to create indexes of unstructured data. That resides on a network file, share point, in your email, or whatever the case may be. It allows you to create policies and rules to filter and analyze the data and take action on it.

Since there was no custom development for the engagement, it was a relatively short engagement. The first part of the work was a needs assessment, and a sort of use-case development, and then the second piece of the puzzle was the actual software installation and contraction.

What is the team composition?

The core team was comprised of 3–4 individuals, consisting of a project manager, two technical leads, and then a business-process specialist who was just there for the first part of the engagement.

How much have you invested with them?

We’ve spent around $100,000 on their services.

What is the status of this engagement?

We worked together from April–July 2019.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement?

The implementation was very successful, the product is fully installed and configured. We are currently working to operationalize the product within our environment and expect to get more metrics out of that. We have been satisfied by all of the use cases that were outlined in the initial statement of work, and we were able to demonstrate those in the product review we conducted at the close of the project.

How did Integro perform from a project management standpoint?

They are excellent in that regard. We communicated with them through email, and they were very proactive about keeping us abreast of any updates in the project and any issues that they were facing.

What did you find most impressive about them?

Their team has an extremely high degree of professionalism. They are very clear in the way that they communicate expectations and deliver upon them.

Are there any areas they could improve?

I don’t think there is anything that I wish they could have improved.

Do you have any advice for potential customers?

It was really beneficial to bounce our proposed ideas and plans off of them and have them help us craft a final vision in terms of the final implementation of the product more collaboratively.

I work in the law department of a Fortune 250 insurance firm. I am responsible for our firm’s information governance and compliance.

What challenge were you trying to address with Integro?

We use IBM tools to protect information privacy, comply with statutory recordkeeping, and enhance essential capabilities of electronic discovery. We engaged Integro as a certified partner of IBM to assemble a complete end-to-end solution that addresses unstructured data in our organization.

SOLUTION

What was the scope of their involvement?

Integro put together a solution that used multiple tools to index, reclassify, and provide insights into our body of unstructured data and legal records. These tools include such as IBM StoredIQ, IBM Content Classification, and IBM eDiscovery. IBM StoredIQ supplies insights such as the most recent dates of access to each record and whether a piece of data is considered private information under privacy laws. IBM StoredIQ for Legal was also integrated as a workflow tool to notify data custodians about their duty to preserve obligation. It helps in the identification preservation and collection of relevant content for legal or regulatory proceedings.

What is the team composition?

We worked with a dedicated project manager as well as various technologists who architected and executed the solution.

How did you come to work with Integro?

We received referrals from IBM, and after assessing various candidates, we went with Integro. Their experience with specific products in the financial services market impressed us.

How much have you invested with them?

We’ve spent $500,000–$750,000.

What is the status of this engagement?

We started working together in August 2017. Our most recent engagement, which was a managed service, ended in February 2019. We’re now starting our third consulting relationship.

What evidence can you share that demonstrates the impact of the engagement?

Integro indexed 130 terabytes of data—or about 445 million electronic files—for us. They’ve provided insight to help identify 12 million files using Social Security numbers and to determine which is data is redundant, outdated, trivial, or still needed by our system. They’ve also helped us capture 62 million electronic records so that we can fulfill our obligations for record retention and disposition.

How did Integro perform from a project management standpoint?

The team does regular management check-ins to make sure that the project is on track and any issues are quickly resolved. Integro handed off all necessary documentation so that our internal IT resources can take over the work if needed.

What did you find most impressive about them?

Integro works hard to put the customer relationship first, which we appreciated. They regularly tackled technical challenges and initiatives outside our original scope without complaint. Their technical expertise is one of the talented team’s many strengths. 

Are there any areas they could improve?

No, I can’t think of anything. In such a large-scale program concerning so much data, we ran into challenges that were to be expected, but we’re overall thrilled with Integro’s work. 

BACKGROUND

Introduce your business and what you do there.

I’m the manager of the information lifecycle management group at BBVA Compass. We’re a nationwide bank holding company, though most of our offices are located in the South. My team ensures that our data retention complies with standard regulations.

OPPORTUNITY / CHALLENGE

What challenge were you trying to address with Integro?

After we conducted an audit 4–5 years ago, we realized that we were keeping information for too long, so we needed to come up with a defensible disposition strategy. Essentially, we wanted to increase our compliance with our data retention policies.

We chose an IBM product to help us accomplish this. Initially, IBM performed an assessment of our situation to identify the appropriate tools for implementation. They compiled a list of technologies that would assist us, and we approached Integro to help us implement them.

SOLUTION

What was the scope of their involvement?

We did our initial discovery phase with them on site, starting at our headquarters in Birmingham before moving to our other offices. Over the course of the engagement, they’ve implemented a number of IBM’s software to meet our project needs. This includes Atlas Process Management and eDiscovery to support our retention syndication, StoredIQ Suite to locate and index the types of information we have, and FileNet Content Manager, which served as a repository for our shared drive and Microsoft SharePoint information. In the future, we hope to tie the latter tools into Atlas, which would allow us to syndicate the retention across all three platforms, but it’s not something we’re currently looking at.

In addition to those tools, Integro implemented IBM Content Collector (ICC) for files and SharePoint to help us move data from its current state into FileNet as well as IBM Connections Content Manager (ICCM), which is the knowledge base used for auto-classification. They’ve also implemented a navigator for Microsoft Office and IBM Content Navigator (ICN), which interfaces with the end user.

Finally, they installed IBM InfoSphere Optim, which enables us to start archiving data from retired systems and shut down the hardware. We plan to continue utilizing Optim for growth management starting next month.

What is the team composition?

We typically work with six people: four dedicated members and two backup staff. Our project manager serves as our main point of contact and has been with us since the beginning. He also serves as the liaison between us and another partnering company that helps manage the Optim project.

How did you come to work with Integro?

After IBB’s assessment, we sent out a public RFP to find potential vendors. I had used Integro for a past installation project and had great success with them, so I decided to go with them again.

How much have you invested with them?

We’ve spent between $1 million and $5 million thus far.

What is the status of this engagement?

Their work began in March 2016 and is ongoing.

What evidence can you share that demonstrates the impact of the engagement?

Although we haven’t taken full advantage of all the software that they’ve installed, we’ve seen strong results so far. In general, we’re able to use the programs that they’ve implemented to find important data that, otherwise, would have been hard to locate.

How did Integro perform from a project management standpoint?

Considering the scale of the project and number of tools involved, we’ve encountered a few challenges in terms of coordination. On our side, we didn’t know what we didn’t know, and, on their side, they didn’t know what to tell us to make sure that we were installing all of the necessary tools at the right times. However, they’ve excelled at documenting the entire project for us. They record all of our Webex meetings so that we can review them, and their user guides and knowledge transfer are top-notch.

What did you find most impressive about them?

I appreciate how approachable everyone is. If I have any issues, I know that I can reach out to anyone from the top down for help. Their CEO regularly contacts me to ensure that the project is moving as expected, and he listens to my concerns and ideas.

Are there any areas they could improve?

As I’ve mentioned, it’s difficult to know what to ask in order to teach us what we don’t know. However, I’m not sure if there’s a solution to this. Aside from that, there were occasions when they introduced something on the backend that I would have preferred on the frontend.

We are a large transportation company. I lead our information lifecycle and security governance program.

OPPORTUNITY / CHALLENGE

What challenge were you trying to address with Integro?

We had purchased most of IBM’s information lifecycle governance suite, including StoredIQ and StoredIQ for Legal. We needed help installing, setting up, and rolling out both tools.

SOLUTION

What was the scope of their involvement?

Integro has worked on a couple of projects with us, implementing and deploying our IBM suites. We’ve also brought them in for additional best-practice consulting, as well as for smaller projects throughout the year.

Staff training was a part of the implementation plan. We laid out what the system requirements were, Integro helped us get those things built, and showed us how to use them, and how to go about building our own customizations later.

How did you come to work with Integro?

They were recommended by IBM as a partner when we first started looking at StoredIQ and StoredIQ for Legal. Alex Berv, their account executive, was brought in from the beginning, to help us make the evaluation, so it was a natural fit to bring Integro in as an implementation partner.

How much have you invested with Integro?

So far, we’ve spent around $56,000. We have around $25,000 left in our budget.

What is the status of this engagement?

We made the initial purchase around July 2016. Integro was brought in shortly thereafter to scope what the statement of work needed to look like, and what the project plan needed to be. The initial engagement ran for a couple of months. There is a possibility of doing more work, but the IBM implementation has been our focus for the last year. We’ve kept Integro on an ad hoc basis.

We plan to meet with IBM and discuss some technology solutions in a couple of weeks. We have identified some of the things we’d like to do with Integro based on this.

RESULTS & FEEDBACK

Could you share any evidence that would demonstrate the productivity, quality of work, or the impact of the engagement?

Everything came together well. Integro has been helpful in making sure that we’re getting full use of the tools. They’ve actually helped us make contacts with the offering managers at IBM which we hadn’t established on our own and brought us in to participate in user groups which Integro runs on behalf of IBM.

We haven’t measured time savings. One of the things that Integro helped us do was coordinate our legal hold notification process. This is not something that can be easily quantified in time spent but, from my personal experience, we have had 15–20 hours per matter removed from this office for just the immediate legal team. Before, it was a matter of sending emails and checking for read receipts. It was horrible.

The process involved a combination of high-level attorneys and people from the information governance team. I represented the IT side of the hold matters and worked with one of our staff attorneys for each one of these cases. It’s hard to justify the work in my area through a business-value return. It’s more about risk avoidance, and not having to worry about getting sanctions because something wasn’t done. This is more valuable for us, and it’s the kind of thing that is justified as a matter of “hasn’t happened, but could happen”.

How did Integro perform from a project management standpoint?

They have a personal approach. We haven’t been shuffled around with multiple consultants who didn’t know whom we are or what we do. Integro took the time to determine what it was we were trying to get out of the project and gave suggestions when we weren’t reaching far enough.

What did you find most impressive about Integro?

They’ve been great at addressing crazy questions we came up with, giving answers based on what their other customers were doing.

Are there any areas Integro could improve?

They’ve been extremely responsive and proactive. I’m not seeing any deficits.

What tips or recommendations could you share that might increase the likelihood of success with Integro?

Let Integro help you scope the work upfront, and give yourself additional room, so that, when requirements are changed (which will likely happen from the customer’s end), some wiggle room is built in. We padded our original scope hours, and it’s been helpful to have the ability to call Integro for additional work, within those remaining hours.

We handle imaging systems and the governance of corporate records in one of the world's largest financial services company.

I am the head of the ECM team.

OPPORTUNITY / CHALLENGE

What challenge were you trying to address with Integro?

Our company was undergoing a cleanup effort meant to eliminate what we call unstructured data, consisting of files sitting in LAN shares, SharePoint sites, public email folders, and so on. Like many companies, we struggled with managing redundant data, and purchased a new tool from IBM called StoredIQ for this purpose.

SOLUTION

What was the scope of their involvement?

StoredIQ was a new tool for us, so we contracted Integro for its installation, performance tuning, and for training sessions.

A member from Integro worked with us at our location. He worked with our clients in order to classify the data belonging to them. We wrote classification expressions, which involved communication with our end-users.

Our on-site contact from Integro did most of the work, but I also interfaced with their sales group, admin staff, and project manager. We collaborated with Integro through a mix of remote and on-site work, which helped reduce costs. About 2/3 of the work was done on-site. We also gave Integro one of our own laptops, through which they could connect remotely for the rest of the work.

How did you come to work with Integro?

We learned about Integro at an IBM User Group meeting. We swung by their table and had a few discussions. Integro is an IBM partner, so they came recommended by our local IBM team for information governance work. We didn't look at any other candidates, at least not in-depth.

How much have you invested with Integro?

I cannot disclose that information but it was quite large.

What is the status of this engagement?

We started working with Integro at the fall of 2015. We purchased a certain number of service hours from them, and have used about 2/3 so far. We can use Integro sporadically, which has been very helpful to us. We plan to contact Integro for larger, more strategic projects, but have only used them for one engagement so far.

Could you share any evidence that would demonstrate the productivity, quality of work, or the impact of the engagement?

We started working with Integro from ground zero. The specialist assigned to us had a great demeanor and took the time to document and explain things for us, so we were very happy with Integro's services.

How did Integro perform from a project management standpoint?

In terms of back-office staff, we mostly dealt with our project manager. She has been wonderful in terms of managing our budget. Everything was transparent and thorough. Integro let us know proactively how many hours we had left, were quick to return phone calls, and had a great staff. All the estimates given to us were respected. We didn't use any project management tools. Communication with Integro was mostly done through email and phone.

What did you find most impressive about Integro?

Integro's team is specialized in what they do and offered us exactly what we needed, without trying to sell us anything outside of the scope. Not being pushy in the sales process was refreshing to me.

What tips or recommendations could you share that might increase the likelihood of success with Integro?

No. Integro sits at the top of the list from my perspective.

I work for a natural gas pipeline company. We provide services to both the MP companies and the companies that sell the gas. We transport the natural gas using our own pipelines.

What is your position?

I am an IT [information technology] manager.

OPPORTUNITY / CHALLENGE

What business challenge were you trying to address with Integro?

The very first project that we engaged them on, I was working for a company that was purchased by Energy Transfer, and the way we were sending and receiving emails wasn't going to work for our new company. We engaged Integro to redesign the way we were going to manage our emails. Because of the system complexity, the expertise and stuff like that, we ended up choosing them.

Please describe the scope of their involvement in more detail.

We have expanded the scope of their involvement over time. There have been multiple projects that we have engaged them on. We've engaged them on both software and consulting work. They're an IBM-certified partner, so they're well versed with software from IBM that we use here. One project was for scanning. Another one was for records management, data collection, and content classification. We've used them mainly for IBM software processes.

How did you come to work with Integro?

I had met them through other relationships and through some trade shows, I knew who they were.

Could you provide a sense of the size of this initiative in financial terms?

Around $300,000 on an annual basis.

What is the status of this engagement?

Our relationship is ongoing.

Could you share any statistics or metrics from this engagement?

They've come in on or under budget every single time. They've pretty much hit all of our deadlines. When there are issues, they do stick with it and will stick it out for the long haul. If there are any issues, they fix them. That's pretty much it. It's hard to quantify their efforts because they are mostly working on internal software processes and customizing things. I can tell you that the features and functionalities they have been working on have always panned out.

Their communication is pretty clear, too. If there's an issue, they address it quickly and openly. They've been very easy to work with in situations like that. They really haven't been difficult at all. It's been a very positive experience.

How did Integro perform from a project management standpoint?

They have a project manager for each project, and we have a project manager on our side, so they basically collaborate. From a team standpoint, our technical people work directly with their technical people. It's worked our very well so far.

What distinguishes Integro from other providers?

In general, the quality of the work by Integro is well above average. If I look at other partners that I've used, it really comes down to the individual professionalism, and it really depends on the individual there, whether they're working for them or not. But I would say overall, probably professionalism.

Is there anything Integro could have improved or done differently?

I'm pretty satisfied with how they manage the client relationships. The project management is fine and documentation is fine. I guess probably the only suggestion would be some additional cross training of the resources on multiple products. IBM has multiple products, so cross training on six products, instead of just one. That would definitely be beneficial for us.

BACKGROUND

Please describe your organization your role and responsibilities.

I'm the IT [information technology] program manager for infrastructure for a large home security company. I manage a project management team and a portfolio of about $20 million, along the lines of application hosting, data center management, and hardware acquisition refresh.

OPPORTUNITY / CHALLENGE

What was your goal for working with Integro?

My goal was to relocate a content management system from one data center to another as effectively and efficiently as possible. It is a sunset platform for us and we did not want to undergo any costly upgrades or enhancements. We wanted to forklift it and ensure it came up and ran in the target location.

SOLUTION

Please describe the scope of their work.

Integro primarily helped us with subject matter expertise during the main engagement. This is a fairly complicated system using three different databases and two different computing platforms. The resident resource there is an identified subject matter that we've used for years.

When we go to IBM for support, they sometimes subcontract to Integro in this particular resource. So, we ask for that expert by name.

What was your process for selecting Integro with which to work?

I don't know. My role is on the hosting end of it, with respect to the application development solution. Someone else manages the overall solution. My job is to make sure it runs as it's supposed to.

Is the work still ongoing?

No. It was completed successfully in August of 2014.

Can you provide a ballpark dollar figure for the size of the work that they’ve done for you?

That engagement was about $66,000. The engagement lasted about three months on an IBM system.

Are you satisfied with Integro's work?

Yes. I got exactly what I was expecting.

Do you have any statistics or metrics to track improvement from the project?

I don’t have any metrics. We had some level of subject matter expertise on our end, but there was value having someone with a deeper skill set that we could go to if needed when some of the critical cutovers were being completed. That level of insurance was mostly what we paid for.

Is there anything unique about them that really makes them stand out, compared to other companies?

Some of their pragmatism. We went to a few other competitors, and their response was very predictable. They quoted million-dollar upgrades, extended testing times, and possible system development work that we didn't want to engage in. Integro was able to understand our needs and assist us in the way we wanted.

Looking back on the work so far, is there any area that you think they could improve upon or that you might do differently?

The only thing was that the particular resource we were looking for is in high demand. If I could have brought them on board exactly the way we wanted them, that would have been great. I understand that sometimes, you have to compete for qualified resources, and we were able to make it work. In the end, it worked out, but it would have been nice for it to be a little earlier in the project.

I work for an oil company based in Texas.

What is your role and responsibilities?

I’m the project manager for an ATLAS upgrade for the law organization. Currently, I hold the position of the law administrator for our matter management process, our hold order process, and I’m also the paralegal supervisor.

What was your goal for working with Integro?

The goal was to have an efficiency review of our current system, ATLAS, and then move forward with the upgrade. 

SOLUTION

Please describe the scope of their work.

Both consulting and training were involved in this project. We met with them, went through a discovery process, and did some consulting. They made recommendations as to improvements and showed us the enhancements of the system. They also came onsite and gave us the administrators’ training, as well as end user training.

What was your process for selecting Integro with which to work?

I’ve worked with Integro before on some reports last year, and we were impressed with their work product and their customer service. So, we engaged them as a preferred vendor from IBM.  

Can you provide a ballpark dollar figure for the size of the work that they’ve done for you?

It was about 500 hours of work for this engagement on Integro’s side. The work is ongoing.

What were the results of the project?

Actually, this week, we’re planning on doing the freeze production, and then doing the upgrade later this week, during the weekend. There may be some follow-up during the next week or two, but other than that, that would probably end the project.

Do you have any statistics or metrics to track improvement from the project?

We are satisfied with their work. They definitely do a great follow-up. They’ve pushed forth since the project started back in March or April [of 2014]. We’ve had some challenging stops during the whole project itself, and we had a Cher [Myer], the project manager for Integro, set the weekly meetings and everyone attended and followed up. Integro has done a great job in troubleshooting our issues and trying to make the system function correctly.

Is there anything unique about them that really makes them stand out, compared to other companies?

I really haven’t worked with other firms other than IBM, and their customer service far exceeds what I have seen IBM provide.

Looking back on the work so far, is there any area that you think they could improve upon or something that you might do differently?

I don’t know if I can speak to that right now. There might have been a few small things. For example, starting with some of the trouble shooting with IBM earlier on, to try to get resolution on some of the technical issues that we’re having. That has not been resolved yet. They’ve definitely done the follow-up, it’s a matter of IBM figuring out what’s wrong with our system.

So as far as Integro’s concerned, they’ve worked towards getting the resolution as quickly as possible.

BACKGROUND

Please describe your company.

We are a $1.2 billion Credit Union in southern Arizona with approximately 450 employees. All of our business is domestic. We have some credit union members who are serving overseas in the military.

What is your role and responsibilities?

I am the assistant vice president in the information technology group. I am primarily responsible for our content management systems, records management systems, and business intelligence systems.

OPPORTUNITY / CHALLENGE

What technologies are used?

We are using the IBM DB2 Content Manager System with the IBM Records Manager as the primary system. We use Kofax for our scanning systems, and we use EMC Centera’s for the backend and storage.

What was the business goal or challenge you were trying to address when working with Integro?

We were looking for a company that had a very in-depth knowledge of all aspects of what we were doing with the IBM Content Manager, IBM Records Manager, and Kofax systems. Integro came highly recommended by IBM.

SOLUTION

How did you find Integro to work with?

We were originally working with a different IBM vendor who is no longer in business. IBM recommended Integro as an alternative.

Looking back, do you think IBM was a good platform for your organization?

When we looked at the marketplace in 2003, IBM was one of three vendors that we decided to look at. We were attracted to the strength of the functionality that we saw in their systems as well as the strength of the issues that we were going to be working with at that time. Our decision was to select the IBM Content Manager system.

Describe the scope of the work that Integro did?

Integro came onto the scene about five years ago . We already had the IBM system in place.  However, we didn’t have the IBM Records Manager software and we relied very heavily on Integro to get that software installed. Integro got it up and running, and we’ve worked with them closely on supporting some of the various utilities and programs we’ve got in place. 

Even though we do have a lot of paper that we scan every day, the vast majority of the records we bring into our system are imported electronically and never see print. That would include virtually almost of our teller receipts, and most of our signature cards. These documents are all generated through our core system. We render them out to a directory as an image and we’ve got an importer/collector utility that we use to ingest them right into the IBM Content Manager system. 

Integro has been very instrumental in helping get those utilities in place and supporting not only the Kofax system for paper but also helping to support the importer/collector utilities for bringing things in electronically.

When was the last project completed?

Nothing has been real recent. Most of the work that we’ve done for the last year has been on the IBM Records Manager software. Integro put that into place and they now understand how it works and functions. We use it for records retention and records management nearly in real time with that software.

What was the size of the initiative in a dollar figure?

The records management project was probably a five-figure project.

How has Integro performed?

Integro’s performance has been stellar. Integro provides a prepaid support package where we prepaid a particular amount of hours. If we ever have an issue, we submit a ticket and they’re on top of it. The resources and the responsiveness from Integro have been fantastic. They are great.

Do you have any stats or metrics to track improvement?

We don’t have any metrics available. We’ve been using the IBM system in total since 2004. I can share that the amount of space required to store physical paper has probably dropped in half because of what we’re doing to get content into a system like this rather than relying on boxes of paper on shelves.

One of the major challenges with records management has been that many of the vendors just don’t understand the difference between a time-based retention where something has a flat-fixed retention rate, such as a receipt, where it’s just a flat seven years from the date of the transaction. There are also events, such as a future event-based retention, where there is a retention period of maybe seven years for a loan, but at seven years from the time that loan pays off. You can’t predict that with a typical ECM system. Integro understands the intricacies of this software.

Is there anything else that’s really unique or special about them? 

Integro seems to take a genuine interest in how systems are being used, and the overall efficiency and effectiveness of the systems for their clients. They offer consulting about improvements. The resources have been very knowledgeable, and we can tell that they really care about the client. It’s not just money for them, they do care about delivering top-quality results to the client. 

Do you have any improvements to suggest for Integro, or is there anything you would do differently during the projects?

I have no issues with Integro. My only problem was with some of the features with the IBM suite and other platforms.
