OPPORTUNITY / CHALLENGE

What challenge were you trying to address with HMH Sistemas?

We engaged HMH Sistemas with the primary objective of modernizing and standardizing our fleet operations across multiple PACE programs, particularly to bridge inconsistencies between our San Diego and West PACE workflows.Our key goals included improving data integrity, automating manual processes, and enabling reliable comparisons between staging and production environments. Specifically, we needed a solution capable of parsing and validating large transportation datasets (trips files), identifying discrepancies using critical keys such as CSN, MRN, and appointment times, and generating actionable outputs to support operational decision-making.Additionally, we aimed to enhance operational visibility by implementing tools that allow our dispatch and administrative teams to quickly detect mismatches in trip scheduling, patient data, and routing details—without requiring deep technical intervention. Reducing turnaround time for data validation and minimizing an error were critical success factors.From a scalability standpoint, we also wanted a modular system that could adapt to different regional requirements, support bilingual interfaces (English/Spanish), and integrate seamlessly into our existing workflows without disrupting ongoing 24/7 operations.Ultimately, our objective was to transition from reactive issue resolution to a more proactive, data-driven operational model, where discrepancies are identified early, processes are streamlined, and service reliability for our patients is consistently improved.

SOLUTION

What was the scope of their involvement?

HMH Sistemas has developed five deliverables for us, including two web and mobile apps for Rx deliveries parcel services, two web and mobile apps for NEMT services, and a manifest parser web app to process our client's trip requests.HMH Sistemas has developed all these apps from scratch. The team has been involved in the whole process, including providing engineered solutions to specific company requirements, designing frontend assets, building frontend components, creating backend web services, and setting up all the required infrastructure to support the software solutions.

What is the team composition?

We work with a project manager and a team of 10–15 people.

How did you come to work with HMH Sistemas?

We found HMH Sistemas through a referral. We chose them over other options because they were a great culture fit, had good value for the cost, and had company values aligned with ours.

What is the status of this engagement?

We started working with HMH Sistemas in July 2021, and our engagement is ongoing.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement?

HMH Sistemas has established a specific set of key features that are aligned with milestones identified along the requirements gathering stage. These features include processing a full trip manifest, scheduling trips, executing trips, processing deliveries, scheduling deliveries, and delivering prescribed meds.Thanks to HMH Sistemas' work, we've reduced the trip's manifest processing time from one day to less than one hour. We've also reduced the amount of people required to process the trip's manifest from four to one. Moreover, the volume of drivers involved in the Rx deliveries activities has gone up from five to 25–30 on a daily basis, performing over 100,000 deliveries a year.

How did HMH Sistemas perform from a project management standpoint?

HMH Sistemas delivers on time and is always able to provide experts when any sort of emergency occurs. Along the years we've been working with HMH Sistemas, deliverables have been planned, programmed, and delivered on time. Adjustments are common in software projects, and this case is no exception. However, HMH Sistemas has accomplished these adjustments within a reasonable timeframe.Our primary form of communication with HMH Sistemas is in-person meetings, virtual meetings, and email or messaging apps.
