We went through the discovery process with Haipe Studio and worked with a strategist and designer. We took a while to determine the entire product vision and strategy we wanted to work toward, but after that, we got buy-in from our end client and moved forward. During the discovery phase, we spent time digging into users' functional and emotional needs. Once we had a good grasp of this, we started to lay out everything in Figma and worked through an iterative process to produce finalized designs for the client.

We currently don’t have any hard metrics because the project has not been launched, but our end customer was very pleased with the work. Everything they gave us was approved and promoted by our end customer’s C-suite leadership and board.

They addressed everything that we brought up and were willing to work with us, so there is nothing we can come up with at this point.

We brought in Haipe Studio to build out an RPA strategy and automate the worst of it. The project scope covered a full audit of our manual workflows to identify what was actually worth automating, development of intelligent bots to handle the cross-system data reconciliation and reporting, and an automation design framework we could extend ourselves as new use cases came up.

What were the measurable outcomes from the project that demonstrate progress or success?

The engagement ran about five months start to finish, with the bots going live in phases starting around month three. The reporting automation alone cut what used to be a two-day manual process down to under two hours. We've seen close to a 60% reduction in hours spent on the reconciliation work it replaced. No major errors or downtime since rollout, which matters a lot given the bots touch client-facing reporting.

We met weekly through a mix of Zoom calls and Slack, with a shared Confluence space for documentation. On our side, I worked directly with our Director of Operations, who managed day-to-day coordination. That upfront diagnostic work ended up being more valuable than we expected, since it reshaped what we actually asked them to automate.

What impressed me was how disciplined they were about not automating for the sake of it. A couple of workflows we assumed were good candidates, their business analyst pushed back on and explained why the ROI wasn't there yet. That kind of honesty isn't common with vendors billing by scope, and it saved us from sinking budget into automation that wouldn't have paid off.

If anything, I would say their initial timeline estimates were a bit optimistic. The workflow audit phase ran about two weeks longer than planned once they got into the weeds of how tangled some of our legacy processes were. Overall, a genuinely capable team, and we are looking at a second phase to automate parts of our QA workflow next.

The project scope covered Haipe Studio building a conversational AI layer for tier-1 customer support (built on GPT-3 and fine-tuned with our own product documentation), a computer vision module for automated document/invoice processing on one of our ERP modules, and a lightweight recommendation engine that suggests relevant product features based on usage patterns. They also handled the model evaluation and testing pipeline, which we didn't have in-house at the time.

The chatbot went live about four months into the engagement and took over roughly 30% of our tier-1 support volume within the first two months, which freed our support team to focus on more complex cases. The document processing module cut manual invoice handling time by close to 35% on the pilot ERP module. Both are still running in production without major issues.

What did you find most impressive or unique about this company?

What stood out most was how pragmatic their engineering team was, they didn't try to oversell us on a bigger AI stack than we needed. When we asked about expanding the recommendation engine earlier than planned, they pushed back and recommended we validate the chatbot's performance first, which was the right call. They also documented the fine-tuning process well enough that our own ML team could take over minor adjustments without going back to Haipe every time. That kind of knowledge transfer isn't common with outside AI vendors.

Are there any areas for improvement or something Haipe Studio could have done differently?

If I had to point to something, it would be the first couple of weeks of onboarding, getting them fully up to speed on our internal architecture and data structures took a bit longer than we expected, mostly because our documentation wasn't as clean as it should have been on our side either. Once that friction cleared, the pace picked up significantly. Overall, solid technical team, and we are already scoping a second phase with them.
