The scope of work covered the end-to-end design and development of an AI-powered calling and CRM platform for our home health agency, automating both inbound and outbound patient, clinician, and referral communications while maintaining HIPAA compliance throughout. 
Key deliverables included: 
- A functional voice AI calling system with a central reception agent and specialized department agents capable of intelligent call routing and escalation to live staff when needed. 
- A unified data layer consolidating information from multiple scattered sources into centralized databases that refresh automatically, giving the AI accurate, up-to-date context on every call. 
- A HIPAA-compliant call flow handling caller verification, consent, and secure information handling, with emergency detection and escalation built in. 
- An automated post-call system that generates tickets, posts call summaries to the care team, updates records, and sends notifications without manual intervention. 
- A comprehensive CRM dashboard covering patient management, ticketing, campaign creation, automation building, agent configuration, user roles, and analytics. 
- An outbound campaign engine supporting the full patient lifecycle from welcome calls through discharge follow-ups and referral relationship management.

The project delivered strong, measurable results that reflected both solid execution and effective collaboration. Deliverables were consistently completed on time, and in several cases milestones were finished ahead of schedule thanks to proactive planning and clear communication throughout the engagement.

Their project management was organized and dependable throughout the engagement. The work was broken down into clear, logical milestones, which made it easy to follow progress and know exactly what was being delivered at each stage. Deliverables were consistently completed on time, and in several instances items were delivered ahead of schedule. Timelines were communicated clearly up front and then actually met, which made the whole process predictable and easy to plan around. They were highly responsive to our needs. Questions were answered quickly, feedback was taken on board and acted upon, and any adjustments we requested were handled without friction. Overall, their combination of structured planning, on-time delivery, and strong responsiveness made them a reliable team to work with.

 What stood out most was their ability to take a large, complex, and highly technical vision and turn it into something structured and achievable. Rather than getting overwhelmed by the scope, they broke everything down into clear stages and executed methodically, which gave us confidence at every step. Their depth of understanding was also impressive. They didn't just build to spec, rather they grasped the nuances of our industry, including the compliance and real-world workflow considerations that come with healthcare, and factored those into their decisions proactively. Above all, the combination of strong technical skill, thoughtful problem-solving, and consistent communication set them apart. They felt less like an outside vendor and more like a genuine partner invested in getting the project right.

Are there any areas for improvement or something Developers Den could have done differently?

Honestly, there was very little to fault. If I had to point to anything, it would be that at times the pace of progress moved quickly across a lot of moving parts, and slightly more documentation along the way would have made it even easier to keep everything organized on our end. That said, none of this detracted from the overall experience or the quality of the work. Any small questions that came up were resolved quickly, and the team is always open to feedback. Overall there was nothing significant I would have asked them to do differently.

Aivoria provides AI solutions for Dutch SMEs and marketing agencies, and Developers Den has built the platforms that our business runs on.The scope has covered four portals: Main deliverables have included full stack development of the portals, AI model integrations, multi-tenant and white label architecture, user and client management, secure EU-based hosting, and ongoing technical support and iterations as we prepare the platforms for market launch.

Developers Den has delivered a working prototype that works well without too many complications. Although we still have to improve it a bit, the team has far exceeded our expectations for an MVP. For example, we’ve reached our goal of 50% growth in active users per month 35% quicker than planned.

• Footer integration and on-demand schedules page worked flawlessly, with clean formatting, fast load times, and no reported user errors.

One area for improvement would be clearer expectations around pricing. I was surprised that the enhancements after the MVP ended up costing more than the MVP itself. More upfront clarity on how future work will be estimated would help avoid surprises.
