Datelia designed and implemented a custom solution to digitize and automate our payment reporting and control process. The project included a secure and standardized web form for regional representatives to submit payment reports, a centralized historical database, and a rules engine with automated alerts to identify inconsistencies and irregularities. They also implemented a Looker Studio dashboard to give our team better visibility into the information and support the control process. The engagement included requirements gathering, solution design, development, testing, documentation, and user training.

What were the measurable outcomes from the project that demonstrate progress or success?

The solution replaced a payment reporting process that relied heavily on spreadsheets and manual controls with a centralized and automated workflow. Payment reports are now captured in a standardized format, historical information is consolidated in one place, and validation rules automatically flag inconsistencies for review. This significantly reduced the amount of manual work required by our Treasury team and made the process more scalable, traceable, and reliable as our operation grows.

Datelia designed and implemented a custom operational intelligence platform covering supplier pricing, quotations, commercial approvals, and management analytics. In Phase 1, they built an automated ingestion process for price lists from up to 300 suppliers, AI-assisted SKU normalization with human feedback, historical price tracking, configurable cost alerts, and a PostgreSQL data layer. They also developed a multimodal quotation assistant that receives requests through Telegram using text, audio, or images, maps them to our products, applies pricing rules, and generates quotation drafts for human validation through a web control panel and branded PDF output. Phase 2 expands the platform to WhatsApp Business and email, adds agentic follow-up after quotations, integrates quotation-to-order conversion and bidirectional synchronization with Paljet ERP, and implements an executive BI center for conversion, sales performance, supplier cost trends, and geographic demand analysis.

What were the measurable outcomes from the project that demonstrate progress or success?

The first phase replaced several manual steps in our supplier-price and quotation workflow with a centralized digital process. Supplier lists can be processed and normalized into a common database, price changes and commercial conditions are traceable, and predefined rules flag cost anomalies before a quotation is issued. Sales requests can also be interpreted from text, audio, or images and converted into structured quotation drafts for human review. Phase 1 was completed and accepted, and we have continued into Phase 2 to extend the same workflow to WhatsApp and email, integrate it with Paljet ERP, and add management dashboards. This progression from an initial core implementation into a second phase is itself an important outcome of the project.

Datelia managed the project in phases with clearly defined milestones, validation points, and deliverables. They took the time to understand our pricing, supplier, quotation, and approval processes before implementing the solution. Communication was clear throughout the first phase, and the team was responsive when business rules or operational details needed to be adjusted. Phase 1 was completed and accepted, and based on that experience we decided to continue with a broader Phase 2 covering omnichannel communication, ERP integration, and business intelligence.

What did you find most impressive or unique about this company?

What impressed us most was their ability to combine AI with the controls required by a real commercial operation. Instead of trying to automate every decision blindly, they designed human-in-the-loop validation for SKU mapping, pricing exceptions, and quotation approval, while allowing the system to learn from corrections over time. They were also able to connect document processing, natural-language requests, pricing rules, auditability, ERP integration, and BI within the same operational architecture. 

Are there any areas for improvement or something Datelia could have done differently?

We are very satisfied with the work delivered so far. The project involves several dependencies, including our ERP and external communication platforms, so coordination between systems and third parties is naturally one of the most challenging aspects. Datelia has handled those dependencies transparently and with a practical approach. The fact that we completed and accepted Phase 1 and then moved forward with Phase 2 reflects our positive experience with the team.
