Describe the scope of work in detail. Please include a summary of key deliverables.

1. Solution 
a. Site will be designed using Bootstrap 4 grid, to make sure all the UI elements work flawlessly on Mobile, Tablet and Desktop. 
b. The development will happen using the latest version of WordPress CMS. WordPress is a highly flexible and scalable CMS with over 40% of all websites currently running on WordPress making it the goto option for choice of CMS. 
c. Maria DB will be our choice of Database. We will also be using our framework plugin Awesome Enterprise (GPL) and a few other required plugins. 
d. The development will happen without any pre-built WordPress theme or editor and will use a plain vanilla theme “Monomyth” and Gutenberg Editor (WordPress default). 
e. A moodboard will be created and will be used as reference for skinning all common elements across the website such as headings, CTA buttons, and more. 
f. A VPS Hosting is recommended for hosting the website. Cloudflare CDN will be used for global content delivery. 
g. We will set up 3 environments in total i.e Development, Staging & Production. We will also be setting up all DNS configurations for the same. 
h. We will be taking care of On-Page SEO, integration with Google Analytics and initially submitting the sitemap to Google Webmaster. 
i. We will also be migrating all posts/content from the existing website to the new one while maintaining all SEO rankings.
 j. We will be using our in-house project management tool named “Plot” to manage the project & its tasks. The ShikshaLokam NGO team will also be provided access to the said project management tool, allowing them to view and track progress of various tasks. 
k. We will assign a project manager for the ShikshaLokam NGO Website who will serve as a single point of contact for all their website maintenance needs.

3. Design & UI 
a. WPoets will interview the stakeholders of ShikshaLokam in order to understand and further apply their design needs. 
b. WPoets will create a fresh UI for the website and present them by means of Wireframes & Mockups. 
c. Once approved, the pre-built designs will be taken into development. 
d. WPoets will also design custom illustrations for use in the website (up to 5) as per client needs. 

4. On-Page SEO & Analytics 
a. The initial sitemap of the website will be submitted to Google Search Console. 
b. On-Page Technical SEO hygiene will be implemented for all pages across the website. This includes implementation of SEO Friendly URLs, Image ALT Tags, Anchor & Title Tags, Meta Tags, Header Tags. c. FAQ (FAQPage, Question, Answer) structured data will be added in the required format. 
d. We will also be scanning URLs for broken links, redirects & Google Search Console errors and resolve them. Any redirects will be implemented as needed. 
e. We will also set up Google Analytics (GA-4). Integration with other analytics tools such Hotjar or Microsoft Clarity will also be implemented on demand. 

5. Speed & Performance 
a. WPoets will implement best practices while building the website to set it up for highest speed and performance. 
b. WPoets will achieve a score of 90+ on Desktop & 70+ on Mobile for Google Chrome lighthouse report. 
c. WPoets will also ensure that the website clears Google’s Core Web Vitals assessment subject to design limitations & use of 3rd party scripts. 
d. WPoets will also set up caching at various stack levels to optimize performance and website delivery. 

6. Website Security 
a. WPoets will be implementing security measures in accordance with OWASP to protect the website from vulnerabilities and unauthorized access. 
b. SSL Certificates, GDPR Compliant Cookies & Privacy Policies will also be implemented. 
c. Fail2Ban will also be set up on the VPS to block intrusions. New rules will be added regularly to filter repeated attack patterns. 
d. We will perform regular scans & security checks on the website for malware or other vulnerabilities. 

7. Testing 
a. Cross-browser testing will be performed to ensure accessibility across various platforms & devices. 
b. Thorough functional and regression testing will be performed to ensure website functionality and performance. 
c. WPoets will actively work with the ShikshaLokam team in order to monitor, analyze & optimize the conversion rate & user experience. 
d. All updates are reviewed, tested and then finalised to be published in order to minimise back and forth on errors. 

8. Forms & Managed Dashboard 
a. Addition of Contact Forms on the website on desired pages & regular checks to be done to ensure delivery. 
b. Addition of forms for Newsletter Subscription on desired pages. 
c. Saving all enquiries to the WordPress Database and making them available via the backend dashboard. 
d. The managed dashboard will allow sorting, filtering & downloading of enquiries in CSV Files. 
e. Email notifications for all enquiries on desired email IDs. 
f. Integrate Intercom and Freshsales CRM into the website so that form fills are automatically added to the CRM system as leads.

We faced some challenges at the start of the project; the alignment between the proactiveness needed and the passive role of the POC felt a little challenging, but both teams communicated and solved the problem. We set up structures together for smoother interactions & work. Now it's more coherent with no friction at all. There was a delay from our side as well when we were revamping our narrative, but the Wpoets team was quite cooperative in that sense.

I’m the digital corporate communication manager at a manufacturing company. We develop and manufacture high-quality, system-critical elastomer components for the healthcare, automotive, industrial, and food & beverage sectors, enhancing safety and sustainability worldwide.

We needed help migrating our existing corporate website from the CMS Kirby to WordPress. The website had to be transferred 1:1 to WordPress with the same design and content, and it had to be done in a short timeframe.

What was the scope of their involvement?

The agency’s primary scope was the 1:1 migration of an existing corporate website from Kirby to WordPress. While the structure, design, and content were largely carried over, they rebuilt the entire site in WordPress, including all templates, components, and backend logic. This included implementing a complex, multi-level sitemap across several business units, enabling multilingual functionality, and integrating tools such as forms, newsletters, and HR systems. They also set up a flexible backend for content management and inquiries. In addition, they handled on-page SEO, analytics (GA4), performance optimization (Core Web Vitals), security best practices, and thorough testing.

The full structure, design, and content were seamlessly transferred, ensuring continuity across all pages and functionalities. A key indicator of success was the smooth go-live: the transition was executed without any downtime, allowing us to replace the old website without interruption to users or business operations. This ensured a stable user experience and no disruption to ongoing marketing or lead generation activities.

The scope of work for the NJ Kids Online website project involves migrating and rebuilding the site from Agility CMS to WordPress over a 4-5 month period. The work is divided into seven distinct phases:Detailed Scope of Work

Phase 1: Discovery, Analysis & Content Audit: Includes research on similar websites, analyzing user behavior patterns via Google Analytics, implementing heatmaps, and conducting design workshops.

Phase 2: Architecture & Technical Design: Focuses on designing the WordPress architecture, creating custom migration scripts, and planning the structure for the calendar, listings, and articles.
