Stellar Soft

BACKGROUND

I am the Director of Software Engineering of Prep Network

Prep Network is a U.S.-based youth and high school sports platform that provides athlete coverage, rankings, recruiting resources, tournaments, and showcases.

OPPORTUNITY / CHALLENGE

• We hired Stellar Soft to support and extend two existing platforms: our WordPress multisite network for sports media content and our Laravel-based events platform.
• The second goal was to keep both systems stable, build new product features, and improve existing functionality.
• We needed a partner who could support our team as the business continued to grow across multiple sports verticals.

Stellar Soft works across our WordPress multisite environment, which powers content for several sports brands: school and athlete profiles, coach and scout tools, rankings, and recruiting resources. They also support our Laravel events platform, used for events registrations and operations. On both platforms, their work covers feature development, maintenance, bug fixes, and technical support as new product needs come up in media and events operations.

RESULTS & FEEDBACK

We now have a reliable development partner who helps us move faster without pulling focus from daily operations. Platform stability has improved and recurring technical issues have dropped. Additionally, we are able to quickly scale the team when larger projects need to be delivered.

Stellar has been responsive and practical to work with. They’ve integrated seamlessly with our existing processes for code review, QA, and release. From PM’s to developers they take pride in their work and that shows up in how they manage the work day to day. Progress updates come without us having to chase them, so we're not left wondering whether something is stuck. And when priorities shift, mid-sprint or otherwise, they adjust without the usual friction of renegotiating scope or timeline.

• Virtual Meeting
• Email or Messaging App

For the decade leading up to working with Stellar we have only staffed in the United States. It has been a challenge for us to find qualified developers for both Wordpress and Laravel. Expanding to Europe has proven to open a much deeper pool of talented developers without breaking our budget. I have been impressed not only with the quality of work delivered by Stellar’s team, but also with their ability to quickly find and hire developers who are a strong fit for our projects. As the director of our technology department at Prep Network this has freed me up to spend more time working on the business and improving our products rather than spending time reviewing resumes, interviewing, and all of the other headaches that go along with hiring developers.

We wouldn't change much. As we scale, we're looking forward to going even deeper on architecture and performance planning with them.

Describe the scope of work in detail. Please include a summary of key deliverables.

Stellar Soft is our ongoing Shopify development partner. They support both storefront improvements and backend systems that help us run the business.

The team has worked on many updates to our product pages and catalog browsing experience, making it easier for customers to explore our large range of trees and accessories. This includes improvements to filtering, product visuals etc. that help customers choose the right product.

They’ve also built seasonal promo features like countdown timers and sale logic that are important during our peak holiday periods.

SS also helped with email templates and order management, particularly for handling split shipments for big orders.

Overall, they act as a reliable technical partner who helps us keep improving the site while supporting daily operations.

RESULTS & FEEDBACK

What were the measurable outcomes from the project that demonstrate progress or success?

The PDP and PLP updates have made it easier for customers to browse our catalog and choose the right tree. Product information is clearer, which helps reduce pre-purchase questions and gives customers more confidence.

The site has stayed stable during our busiest periods like Black Friday or pre-Christmas rush. That reliability is important since most of our annual sales happen in a short holiday window.

Ongoing improvements and new features have helped us support steady growth and handle higher order volume while keeping customers happy, reflected in the number of our five-star reviews.

Describe their project management. Did they deliver items on time? How did they respond to your needs?

When we need something done before a big sale or have an urgent issue, the team reacts quickly and helps prioritize what matters. They understand how important timing is for a seasonal business.

They also understand how an e-commerce store works in practice. It’s not just about building features — they get how changes affect customers and day-to-day operations, which makes working together easier.

Communication is straightforward. If they see a risk or a better way to do something, they tell us so we can adjust instead of running into problems later.

We also have regular calls with the developer, which makes it easy to discuss technical details directly. That direct communication helps keep collaboration smooth and efficient.

Stellar Soft stands out because they understand both the technical side of Shopify and the practical side of running an e-commerce store. They don’t just build features—they think about how changes affect customers and everyday operations.

Are there any areas for improvement or something Stellar Soft could have done differently?

Right now we don’t really have major areas for improvement to point out. The partnership has been working well in terms of development, communication, and timelines.

Describe the scope of work in detail. Please include a summary of key deliverables.

The project involved building a comprehensive Magento e-commerce platform from the ground up for our new flagship brand within the company portfolio. The scope encompassed front-end and back-end development, custom integrations, and infrastructure setup designed to support multiple brands in the future while meeting a three-month launch timeline.

The technical foundation was built on Magento, configured as a multi-store platform to allow the company to efficiently launch additional brands in the future using the same infrastructure. We established complete development workflows, including version control, code review processes, and three separate environments for development, testing, and live production to ensure quality and stability throughout the process.

One of the most critical integrations was the checkout and payment system. We connected checkout with the company's proprietary payment infrastructure, implemented multi-currency support, and built intelligent pricing that displays the correct amount based on the customer's location across the US, Canada.

The complete project delivered a production-ready e-commerce platform with sophisticated subscription and one-time purchase capabilities, seamless third-party integrations, mobile-optimized design, flexible marketing tools, comprehensive analytics, and enterprise-grade scalable infrastructure. The entire scope totaling 2800 hours, including development, quality assurance, project management, and discovery, MVP of the project was delivered within the targeted three-month timeframe, ensuring we could launch before the high-season sales period.

RESULTS & FEEDBACK

What were the measurable outcomes from the project that demonstrate progress or success?

The most significant achievement was meeting the hard deadline for high-season launch, which was critical for capturing peak revenue opportunities. From an operational efficiency standpoint, the platform shifted content and campaign management capabilities directly to the business teams. Marketing can build and deploy landing pages for campaigns without creating development bottlenecks, while content teams can manage blog posts and informational pages independently. This autonomy accelerates campaign execution and reduces ongoing operational costs. The analytics implementation provided immediate visibility into customer behavior across the entire funnel, from initial ad click through purchase and subscription management. This data infrastructure enables continuous optimization of marketing spend, product offerings, and user experience based on actual customer actions rather than assumptions.

Describe their project management. Did they deliver items on time? How did they respond to your needs?

The team demonstrated excellent project management throughout the entire engagement, consistently meeting all milestones and ultimately delivering the complete platform within the agreed three-month deadline. This achievement was particularly impressive given the complexity of integrations and the tight timeline required to launch.

Communication was structured and reliable, with daily check-ins via Slack that kept everyone aligned on progress and immediate priorities, complemented by weekly video meetings on Zoom for deeper discussions and strategic planning. Whenever we reached a significant milestone, the team organized demo sessions to walk us through completed functionality, ensuring we could review and provide feedback before moving forward. This cadence struck the right balance between staying connected without creating unnecessary meeting overhead.

The team showed strong adaptability when requirements evolved during the project. While most scope changes originated from our end as we refined our understanding of what we needed, they handled these adjustments professionally. Their flexibility aligned with our business needs, and they were always willing to discuss how changes would impact timeline and resources.

What was your primary form of communication with Stellar Soft?

• Virtual Meeting
• Email or Messaging App

What did you find most impressive or unique about this company?

What truly distinguished this team was their genuine sense of ownership and accountability for the final result. Unlike many development partners who focus primarily on completing assigned tasks, this team approached the project as if our brand's success was their own. This wasn't just evident in their work quality but in how they engaged with challenges and communicated throughout the process.

A defining moment came when something went wrong during development. Rather than becoming defensive or trying to minimize the issue, the team immediately took responsibility, clearly communicated what had happened, proposed multiple solutions, and executed the fix efficiently. Their transparency during that situation and the calm, solution-oriented way they handled it demonstrated a level of professional maturity that's rare to find. It reinforced our confidence that we had chosen the right partner.

The team brought valuable expertise and insights that extended well beyond the initial launch phase. While we expected solid technical execution, what we didn't anticipate was the depth of strategic guidance they provided after the platform went live. They actively helped us understand how to optimize the system, suggested improvements based on early performance data, and shared best practices from their experience with similar projects. This post-launch support felt less like typical maintenance and more like an ongoing partnership.

Are there any areas for improvement or something Stellar Soft could have done differently?

Overall, the collaboration was highly successful, and any issues we encountered were relatively minor and typical of complex technical projects. There were occasional pain points during development, though they weren't frequent enough to significantly impact progress or our confidence in the team. Like any project involving multiple integrations and tight timelines, we experienced some communication gaps and misunderstandings along the way. However, what mattered most was how quickly these were identified and resolved. The team was responsive in addressing any confusion or miscommunication, ensuring that gaps never lingered long enough to become real problems. This is somewhat inevitable in projects of this scope and complexity, and their ability to course-correct quickly minimized any negative impact.

If there's one area for potential improvement, it would be continuing to refine proactive communication during critical phases. While the team was excellent at responding to issues and flagging problems, even more upfront communication about potential challenges or decision points could further streamline collaboration. That said, this is more of a minor refinement than a significant concern, as their overall communication approach was strong and effective throughout the engagement.

Describe the scope of work in detail. Please include a summary of key deliverables.

Stellar Soft's team helped us design and set up a SaaS platform for our own use. The proposed solution had a performance dashboard, automatic reporting, and gamification aspects to make employees more motivated. They used React, Laravel, PostgreSQL, and AWS to make a product that could grow and be safe. The deliverables were system architecture, frontend and backend modules, QA testing, and deployment.

RESULTS & FEEDBACK

What were the measurable outcomes from the project that demonstrate progress or success?

As a CEO, I tend to look at impact through the lens of our monthly HR reports and operational metrics. Within just two quarters after launching the platform, we saw a clear shift: employee satisfaction scores went up by about 10–12%, while voluntary turnover in key teams dropped by roughly 10%. That alone made a noticeable difference in our hiring and onboarding costs.

The tool also helped us address workload balance: overtime hours per employee went down by 12–15%, and the share of tasks delivered on time increased by about 9%, without the usual “firefighting.” What stood out to me was speed combined with quality: our idea-to-production cycle shortened by around 12%, and at the same time the percentage of features accepted on the first QA pass grew by about 10%.

Finally, adoption spoke for itself: within 90 days of launch, over 80% of our staff were using the platform actively. For me that’s the clearest indicator that it didn’t just exist as another system, but became part of our daily workflow. Overall, it led to less burnout, more predictability, and a more disciplined approach to execution across the company.

Describe their project management. Did they deliver items on time? How did they respond to your needs?

Additionally, while performance optimizations were strong, there may have been opportunities to involve the client more in the iterative testing process to ensure even smoother user adoption. Lastly, although post-launch support was solid, an even more detailed, early-stage training program could have further minimized the need for ongoing support and facilitated an even quicker transition for users.
