As a small but expanding retail operation, we found ourselves in need of a platform that would meet all our warehouse, supply chain, and stock control needs. We operate in a niche lifestyle market, and our (often handmade) products rely on a secure flow of raw ingredients from our international network of suppliers. Due to the nature of these ingredients, they are often out of stock. Souqbox has more than delivered on our need for control, intuitive supply chain management, and strong vertical development. It's been key in our strategic growth plans.

RESULTS & FEEDBACK

What were the measurable outcomes from the project that demonstrate progress or success?

Dead stock reduction of 80%. Supplier out of stock impact reduction of 45%. We thought we would not see much improvement on this matter as we thought we were quite 'on it'. This was a key result for us. 20% reduction of hours worked in our warehouse. Shop product availability improvement of 12%. Shop overstocking reduction of 10%. Supplier shipping costs reduction of 15%. Overall balance between investment in Souqbox and cost reduction for us is 1:6.

After a thorough one on one assessment of our needs, we received a balanced proposal inclusive of timeline and staff training requirements. This proposal was followed to the letter and executed on time comfortably. Filling the platform with all datapoints was far more efficient than we had expected and results came in quicker than we had anticipated. Our staff was trained in use of the platform in a down to earth and expert fashion, questions were answered quickly and knowledgeably.

What did you find most impressive or unique about this company?

Our whole team suffered from what I would call 'software-anxiety'. We developed our business based on spreadsheets and a variety of stock control programs that did not integrate. We realised we had to make a change to improve our ways of working and allowing one program to take centre stage. The ease with which this transition was executed and supported was most impressive to all of us.

We needed to update and modernise our software applications, and needed a partner we could trust in accessing our systems and to believe in their competence to deliver the modern, leading edge products we were designing.

We started by modernising the UI, so that the front end performance improved and the end user experience was engaging. Next step was to upgrade the back end systems, architecture and the entire CMS solution, which is a back bone of our products. This was a massive undertaking but they delivered and did so very well. 

Next was the security upgrades, permissions and things like 2FA integration and analytics. All designed, agreed, developed and delivered. Very assured and competent approach to our programme.

What were the measurable outcomes from the project that demonstrate progress or success?

Functionality is a huge measure of success for us, and upon each milestone, we simply tried and tested the work and it always worked. So being able to confirm on a UAT environment, then test and pushed to production meant we could always see and try it in real time, and this meant all the difference.

The project management was always detailed and in writing. They utilsed tools like Youtrack to observe change and progress and the automated way in which progress was witnessed, allowed you to see where your investment was going, a thing you don't always see very easily when developing.

What did you find most impressive or unique about this company?

The people within it are without question, top drawer in their knowledge and their appetite to please and get it right. Pride and professionalism stands out in souqbox's processes and procedures. So, between the people being great and their systems being effective, I'd say the impressive part was in the whole thing, and not specific to any one thing.

Are there any areas for improvement or something souqbox could have done differently?

For us, they engaged and delivered to our timescales and when we needed acceleration, they did so, even at some cost to them I'd even say. I can't think of an instance that was poor or unnecessary, so I'd have to say their formula seems to be right.
