Roman.ua

BACKGROUND

Please describe your company and your position there.

I am a Go-to-Market Team Lead for HyperX at HP Inc. In my previous role I was responsible for HyperX marketing in Eastern European region and Canada.

OPPORTUNITY / CHALLENGE

For what projects/services did your company hire Roman.ua, and what were your goals?

Initially we needed an agency we can trust who will help us with our social media and search PPC advertising in Eastern European region. Our partnership quickly expanded and involved Google analytics setup for our promotional activities on different markets as well. I know that there is a potential for us to do more in the future.

SOLUTION

How did you select this vendor and what were the deciding factors?

When Kingston Technology entered the gaming industry, we realized that we needed to improve our knowledge in the field of Internet marketing, and we began to look for professionals who would help us slightly improve this knowledge. We chose Roman. When we saw how he and his team approach work, how selflessly they treat their work, we realized that this meeting probably would not be the last one, and one single consultation resulted in a long-term cooperation with different departments and different areas of the company's activities.

Describe the scope of work in detail, including the project steps, key deliverables, and marking tools used.

Roman.ua agency was a key resource for our digital marketing strategy. Starting with social media ads and then adding search and display ads we were able to drive high-quality traffic to our partners’ websites. Later on we also worked together on setting up Google Analytis for our landing pages making sure that all events are trackable for the campaigns. We were able to get valuable learnings that helped us improve our future campaigns.

How many resources from the vendor's team worked with you, and what were their positions?

We work with team lead, a web analyst, and ppc managers. And agency owners when needed.

RESULTS & FEEDBACK

Can you share any measurable outcomes of the project or general feedback about the deliverables?

We had an incredible improvement of the quality of our social media campaigns. For example, the Roman.ua team decreased the CPC 8 times in comparison to another contractor forecast with high quality of traffic, high volume (more than 90 mln impressions in social media), and all our KPIs overcome.

How effective was the workflow between your team and theirs?

The communication was always effective and we never experienced any delays. They were flexible to utilize the project management software of our choice that was very helpful. We had regular meetings to discuss possible improvements and Roman.ua team was always easy to reach despite us being in different timezones. Being able to work with an agency that is capable of being flexible and accommodating working with a Global company is a rare find.

What did you find most impressive or unique about this company?

1. Always meeting deadlines. Reliability is crucial for our business.
2. They are experts in the field and would always bring new ideas.

Are there any areas for improvement or something they could have done differently?

Looking back, I think having more meeting time would be helpful rather than communicating through text.

BACKGROUND

Please describe your company and your position there.

I'm CMO at Point of Sale System. Since 2013, we have been helping businesses all over the world automate their day-to-day tasks. We have 16 000 clients in 95 countries around the world. Almost 200 employees work with us in our 2 offices.

OPPORTUNITY / CHALLENGE

For what projects/services did your company hire Roman.ua?

Agency made the audit of all our digital marketing activities a few years ago. They analyzed our Google Ads and Meta campaigns. Made suggestions on how to improve work with our email marketing. That audit was really helpful, we strongly improved the quality of leads and decreased CAC, as well new setup helped us to better understand which sources, platforms, and formats work better for us.

This year we have started to sell our software in the new philippine market. We had a problem with lead generation. We need to attract new customers with an acceptable payback period in the short term to determine if that market is profitable for us, and we decided to ask the agency for help with this task, taking in account the result of our previous work

SOLUTION

How did you select this vendor and what were the deciding factors?

We knew Roman the co-owner of the agency as a skilled marketer with broad experience in different niches, that's why a couple of years ago when we decided to attract an agency for marketing audit we knew who it will be. As well when we started to work we met a lot of good experts in the agency, everyone with whom we worked had a great experience and a deeper understanding of the source with which they work.

That's why when we needed consulting for a new Philippine market we decided to ask for help from Roman's agency again.

Describe the project in detail and walk through the stages of the project.

They deeply analyzed all historical data for campaigns and actions that we did by ourselves. They found mistakes in our Meta and Google ads and prepared a list of actions that we should implement. After a previous marketing audit, we decreased CAC and increased lead quality.

Also, we got a lot of ideas on tracking our paid ads and finding new ideas on how to optimize our email marketing campaigns. During the last audit, we also found new ideas for attracting customers with not typical methods: outreach, crowd marketing, working with the local community, etc. .

How many resources from the vendor's team worked with you, and what were their positions?

We worked with Roman and Olga directly, they are co-owners of the agency. And I really appreciated that, because both of them have great experience and strategic views in the digital marketing field.

RESULTS & FEEDBACK

Can you share any outcomes from the project that demonstrate progress or success?

After first consulting we decrease CAC and as well found some new ideas on how to work with email marketing channels. After the last audit we also already decreased CAC, due to the right work with GEO targeting.

Now we are running a/b tests with new landing pages with the structure suggested by the agency and can see increasing in lead quality. Our sales manager also really liked the new, unconventional ideas for finding leads.

How effective was the workflow between your team and theirs?

We had two calls with them. During the first call we described all our problems and what result do we need in the end, during the second one we got a lot of useful information and a list of actions for implementation. This is a very good format, taking into account that we do not have much time to get a result

What did you find most impressive or unique about this company?

For me, the most exciting thing was that we worked with co-owners of the agency and they found time to work on our task by themselves.

Are there any areas for improvement or something they could have done differently?

No, I think all the processes that Roman.ua integrated have been working well for our lead generation efforts.

BACKGROUND

Please describe your company and your position there.

I’m the Chief Revenue Officer at iDeals Virtual Data Rooms. So, my area of responsibility is Sales and Marketing. iDeals is a B2B SaaS company, and our main product is a virtual data room, which is needed for secure and confidential data exchange during due diligence in M&A transactions.

OPPORTUNITY / CHALLENGE

For what projects/services did your company hire Roman.ua, and what were your goals?

At the end of 2018, on the one hand, we realized that we were capturing a significant part of that digital traffic in Google Ads, but it wasn’t clear how efficiently the money was being spent. Many indirect indications showed that the same volume could be used at a certain economy level.

On the other hand, the way our Google Ads and other connected digital channels developed wasn’t systematic, i.e. it was a new function, which had been developing for the last two years, and we had a feeling that there was a lack of internal expertise and understanding of how to work with these channels. And having such factors and such aims, we started entering the project trying to find who would be able to increase our internal expertise on the one hand and, on the other hand, help us solve the task of traffic cost optimization.

SOLUTION

How did you select this vendor and what were the deciding factors?

It was a classic long sale. It seems to me Roman first caught my attention 7-9 years ago as a marketing specialist in Ukraine. And year after year, I had a feeling they were the team I could try and start working with within my range of tasks. And probably the last qualifying criterion was the first stage of the project when we analyzed our needs and current position, and the Roman.ua team was conducting an audit. And the way they conducted it, accompanied by their findings, was a signal that we could proceed to work on the project.

Describe the scope of work in detail, including the project steps, key deliverables, and marking tools used.

They prepared a marketing audit and found growth points, took over PPC advertising management on Google, Bing, Facebook, and LinkedIn, optimized CPA and number of conversions on a budget of more than 100 000 USD per month, and conducted training in analytics for the marketing team. It took about 3-4 months to reach the point where we could draw conclusions and say: ‘Yes, really, here’s a period, here’s a period, we see the difference.’

How many resources from the vendor's team worked with you, and what were their positions?

Initially, only two people were working on our project. , but as our requirements increased as new projects emerged, we demanded more attention on the part of the agency. Right now, we're in touch with a whole team of specialists, including the PM, PPC specialists, a web analyst, and an email marketing specialist.

RESULTS & FEEDBACK

Can you share any measurable outcomes of the project or general feedback about the deliverables?

For one thing, we’ve managed to cut costs significantly. Taking the average costs, we’re talking about a 35-40 % reduction with a huge budget. Before the optimization, we spent more than 100,000 USD per month on PPC. Another achievement regarding the figures that I’d like to mention is that after the optimization was done, we increased the budget with the number of leads growing correspondingly.

How effective was the workflow between your team and theirs?

Since the company is small, and the management of the company is involved with the tasks and is communicating with the client, many things can be changed effectively and quickly.

What did you find most impressive or unique about this company?

The main value is their level of flexibility and desire to go the extra mile if the situation requires it.

Are there any areas for improvement or something they could have done differently?

The lack of middle management is due to the company's size.

BACKGROUND

Please describe your company and your position there.

I am the CMO of a large software company. We help 30 million MacOS/iOS users empower themselves with technology.

OPPORTUNITY / CHALLENGE

For what projects/services did your company hire Roman.ua?

We ordered an audit of our email marketing because we simply didn’t have enough hands to do email marketing, and it was in some half-abandoned state. There were a lot of set up email chains, but even some basic settings, a basic check of whether everything works fine, was simply unnoticeable for us. Therefore, we needed a fresh look, professional, from the outside, to see what does work and what is just poorly set up or is not set up at all.

SOLUTION

How did you select this vendor and what were the deciding factors?

What I liked in the pre-sale process was when Roman asked, ‘Are you sure that you need email marketing and audit of email marketing?’ Because the person was focused on the result, he saw that we actually have a lot more opportunities in the business, and there are things, critical things, where he could be even more helpful for our business, our company than email marketing. This immediately gave us a feeling that we could cooperate productively.

Describe the project in detail and walk through the stages of the project.

It was a 360-degree audit with the implementation of improvements with my team on the go. The audit contains such parts: funnel, deliverability, email deliverability, look and feel of emails on different platforms, database collection, email coding, sending frequency, content plan, trigger email and welcome series, the management of the channel. The only and most basic expectation was a fresh look from a professional at what was going right and wrong with us. I’m quite confident that we got quite an excellent result – we were handed a comprehensive, deep, global and elaborate report. Indeed, there are many basic and simple things that we did not do and even did not know about them, simply because, as we got used to, we thought that everything was always good and it was hard to do something better. But as it turned out, even the basics were far from being completed. That’s why we have something to work on. Based on the results of this report, a lot of changes have been made, and actually continue to be made. Even at the moment, there is still some work that hasn’t been completed yet.

How many resources from the vendor's team worked with you, and what were their positions?

We communicate with Roman during our audit.

RESULTS & FEEDBACK

Can you share any outcomes from the project that demonstrate progress or success?

We increase email deliverability by 24% with direct impact on revenue growth from email channel.

How effective was the workflow between your team and theirs?

Quite effective and custom-tailored for us. The communication didn’t go through me — email marketers worked on our part, and communication was set up well. They gathered for meetings, sat and analyzed each case separately, reviewed, double-checked, and such a sufficiently high-quality, lively work was going on. It was so much unlike the usual thing when you ordered something, and then after a while you received it, and that’s all.

Everything was aimed at us, at the client, and we liked it, and we received such a detailed audit. There were also a lot of tips on email marketing besides the audit, from the integrity of the database to prospecting, to checks for spam filters and everything else, and a bunch of tips on other areas where Roman managed to notice what could be improved.

What did you find most impressive or unique about this company?

They saw the big picture and dived deep into our project with great precision and data-driven decision-making.

Are there any areas for improvement or something they could have done differently?

The only thing that maybe I personally didn’t like and that I think not only Roman, but together we could do better is actually communication, because at one time we parted, trusting each other completely, and postponed the question for later. It really was a non-priority. What I can advise everyone who orders such services from Roman is to order priority things. Roman was initially right that there were things that were much more important and could help us, and at that time we were not busy with them. That’s why we postponed work with the audit and its results for later. But the audit was done well.

My name is Chyngys Barynov. I am the co-founder of the B2B SaaS Worksection. Worksection is a cloud service for project management with a built-in timer. It's perfect for teams of technical and creative people, such as digital agencies, consultants, developers, etc.

OPPORTUNITY / CHALLENGE

For what projects/services did your company hire Roman.ua, and what were your goals?

We had a goal to establish a predictable flow of leads that would fit our unit economics. We also need help setting up end-to-end analytics and enhancing our B2B digital marketing in general.

SOLUTION

How did you select this vendor and what were the deciding factors?

There were many other agencies to consider, but knowing Roman’s scrupulous approach to trivia, we decided to turn to them.

Describe the scope of work in detail, including the project steps, key deliverables, and marking tools used.

They did a lot of work to make our digital marketing more structured and scaled. What was done:

• checked the old Google Ads campaigns, improved them, and restarted
• set up different remarketing audiences based on our customers’ journey
• set up new Google Ads account structure and new campaigns with different hypothesis testing based on user’s intent
• set up display campaigns from scratch
• LinkedIn and Facebook Ads new campaigns set up
• regular optimizations and improvements of PPC campaigns
• end-to-end analytics set up considering our SaaS business model and payback period
• email marketing from scratch set up
• email deliverability checked and monitoring system set up

How many resources from the vendor's team worked with you, and what were their positions?

We worked with a project manager, PPC specialists, a web analyst, an email marketer, and B2B digital marketer.

RESULTS & FEEDBACK

Can you share any measurable outcomes of the project or general feedback about the deliverables?

The Roman.ua team increased the number of leads 17 times (!) and decreased the CPL by 15%. And also they implemented end-to-end analytics from clicks to money.

How effective was the workflow between your team and theirs?

The guys are competent and easy to collaborate with. I liked how Roman’s team worked because they made very detailed checklists in Google Docs of what needed to be done. It is laid out so clearly to me, and probably, my grandmother would get it if she read this instruction. And I really like that we are staying connected.

What did you find most impressive or unique about this company?

They analyzed our data much better than we could.

Are there any areas for improvement or something they could have done differently?

I didn't really have any problems with guys. I really like the fact that the guys are very competent and easy to contact. The only thing is that we had a little delay in email marketing implementation, but it was temporary and was solved.

BACKGROUND

Please describe your company and your position there.

I’m the Chief Information Officer and Manager at the online store Antoshka.ua RedHead Family Corporation is a leader in the children's merchandise market and the largest family company in Ukraine. The company’s business includes the country’s largest chain of children’s shops (Antoshka) and the national distribution of children’s goods.

OPPORTUNITY / CHALLENGE

For what projects/services did your company hire Roman.ua?

The goal of our cooperation was to build reports and analytics at the start of an e-commerce project so that we could view and analyze traffic, conversions, and other KPIs through all possible channels, evaluate the effectiveness of investments, ROMI, and also correctly distribute our marketing activities. Also, we did a MailChimp integration, email templates, and other e-commerce activities together.

SOLUTION

How did you select this vendor and what were the deciding factors?

At that time, our company did not yet have enough qualified in-house specialists in e-marketing and online sales analytics. We attempted to start work with several agencies, but they were unsuccessful. Roman.ua was recommended to us by our Magento CMS contractor. The decisive factors were the professionalism, speed of response, and excellent understanding of our needs by the agency (besides, roman.ua, at that time, was one of the first certified Google partners in Ukraine). Subsequently, we were repeatedly convinced of the correctness of our choice.

Describe the project in detail and walk through the stages of the project.

• MailChimp setup and integration. It includes
  • statement of TOR for integration with Mailchimp;
  • statement of TOR for optimizing forms on the site;
  • layout, design, and customization of welcome letters;
  • layout and design of the main 3 types of letters: with goods, promotions, news;
  • letter layout for off-line retail Layout and design of the popup subscription form (using Popup Dominator).
• Setting up an OWOX BI and analytics aggregated reports, integration with Google Analytics.
• Analysis of marketing effectiveness by traffic sources.
• SEO Recommendations.

How many resources from the vendor's team worked with you, and what were their positions?

Project manager, email marketer, web analyst, and agency owner as a consultant.

RESULTS & FEEDBACK

Can you share any outcomes from the project that demonstrate progress or success?

All tasks for the MailChimp project were performed in the best possible way. This allowed us to systematize and streamline the interaction with approximately 25,000 online retail customers through the E-mail channel. It also helped us to attract approximately 60,000 customers from our off-line retail during the year. The aggregated report was created, configured, and integrated with CRM, GA, and OWOX BI.

It was done in order to evaluate the effectiveness and optimally distribute the advertising budget by approx. 10 traffic sources based on the assessment of the main indicators for each traffic source: conversion, order value, order efficiency, average check, ROMI, etc. S

EO optimization was carried out as well:

• the work of sitemap.xml and robots.txt files was carefully checked;
• web-site was scanned using Xenu and Netpeak Spider;
• analysis of search queries was done along with about the promotion of goods to the top of the organic search.

All tasks were completed on time and in the most efficient way. The communication was prompt and effective.

How effective was the workflow between your team and theirs?

Roman was a responsible and efficient partner, always respecting commitments, possessing profound knowledge and understanding of e-commerce. His expertise in e-commerce is profound, and most importantly, he knows how to put it into practice and does it effectively.

What did you find most impressive or unique about this company?

Roman and his team are not afraid of taking risks, they are very flexible, and you can always find a middle ground with them, even if your points of view have grown apart for any reason.

Are there any areas for improvement or something they could have done differently?

Nothing that I remember.

BACKGROUND

Please describe your company and your position there.

I am the Founder of Dobovo.com and the Operations Director of this booking system for daily rent. Dobovo — marketplace for daily rent that communicates with 2 user types: guests who book accommodation and owners who rent the accommodation out.

OPPORTUNITY / CHALLENGE

For what projects/services did your company hire Roman.ua, and what were your goals?

We’ve needed a high-level contractor to be an external CMO for our project.

SOLUTION

How did you select this vendor and what were the deciding factors?

Our CTO found their website. He liked your approach and experience and we decided to try. It was sort of an experimental project. We found a team that can solve our problems, and we put on your shoulders everything new to us, everything we had no expertise in.

Describe the scope of work in detail, including the project steps, key deliverables, and marking tools used.

They generally work mostly on these 3 areas:

1. PPC management, including high autonomy from task creation to implementation and analysis.
2. Email marketing, including promo, trigger, and welcome emails for 3 different audiences: guests, owners of daily rent, and partners.
3. Web analytics and BI implementation. But they also help us with wider, strategic questions on management, sales process, investments, and finance as needed.

How many resources from the vendor's team worked with you, and what were their positions?

Project manager, CMO, PPC specialists, email marketers, web analyst.

RESULTS & FEEDBACK

Can you share any measurable outcomes of the project or general feedback about the deliverables?

We have been working with the Roman.ua team on PPC, web analytics, and email marketing since 2015. I can definitely say that the team works for us as a high-level contractor. I’d even put it this way: they fulfilled us the role of the CMO for our project with a huge amount of work done.

For example, they set up an email automation system with more than 300 trigger emails. They set up PPC and control other contractors. They always find the real bottleneck and never sell services with a low value to our business.

We’ve achieved 98.6% deliverability and not a single downgrade or hit by Mandrill filters over the whole period, with over 200,000 submissions per month

How effective was the workflow between your team and theirs?

We really liked that technically the process in your company is set appropriately. Tasks that we give you are either in work, already completed, or you return them back. So, the case when a task is simply lost can never occur, which brings nothing but joy.

What did you find most impressive or unique about this company?

I’m glad they always keep up with trends and look for new ways to solve our problems with the latest technologies and not by just increasing the number of billed hours.

Are there any areas for improvement or something they could have done differently?

Yes, there were some inconsistencies in the little things, and you learned a lesson from each failure. And if, for example, a business process misfired, then they reviewed this business process, put another person in charge, and as a result, we reached a level at which the number of errors in this exact business process tended to zero

BACKGROUND

Please describe your company and your position there.

I'm the CTO of the network of medical centers "Harmony of Health" which provides public health services. It has its own clinical laboratory, performs surgical interventions, and conducts outpatient and inpatient appointments.

OPPORTUNITY / CHALLENGE

For what projects/services did your company hire Roman.ua?

We had a task to increase the number of leads and sales in our network using digital marketing channels. It was a challenge because there are a lot of regulations in our niche from Google and other ad networks. Roman.ua team helped us to find a strategic solution to get traffic, leads, and conversions for years with adherence to the rules of advertising systems.

SOLUTION

How did you select this firm and what were the deciding factors?

The decisive factor when choosing an agency was a good reputation, successful cases, reviews, and recommendations of other companies.

Describe the project in detail and walk through their service package.

First of all, I want to say that the Roman.ua team always does more than you expect! But nevertheless… A non-disclosure agreement has been signed. After that, an audit of the site and the ads advertising accounts was conducted, and possible indicators of return on investment were approximately calculated. The next stage was the distribution of roles and responsible persons in the contractor and customer teams. After determining the test period of six months, cooperation was started.

According to the results, we, as a customer company, were satisfied with the results. After that, they moved on to the second package of recommendations and began developing and implementing the "end-to-end analytics" system. As a result, we have good numbers and know each advertising company's ROI indicators. We can monitor the dynamics and analyze and plan future budgets.

How many resources from the vendor's team worked with you, and what were their positions?

The number of employees may have changed when we tested the traffic increase hypotheses. We were always in touch with a project manager, a PPC specialist, an analyst, and occasionally the agency owner, who controls the quality of services, which is impressive.

RESULTS & FEEDBACK

Can you share any outcomes from the engagement that demonstrate progress or success?

During the first six months of cooperation, the growth was about 600%!!!. In the future, there was more work for the cost of one converted client. Due to constant optimizations and work with end-to-end analytics, we have a constant growth of all indicators that are important to us.

How effective was the workflow between your team and theirs?

Very effective. They've always delivered more than expected.

What did you find most impressive or unique about this company?

Almost all routine processes are automated, from invoicing to campaign moderation. Good mix of automatization and custom-tailored manual approach. Fantastic analytics, and impeccable reports. Flexibility to wishes.

Are there any areas for improvement or something they could have done differently?

Today, we are satisfied with everything, and we are very glad that we had the opportunity to give feedback to such a wonderful team.

BACKGROUND

Please describe your company and your position there.

I am the Director of Digital Marketing in a leading online visibility management SaaS platform that has been used by 10,000,000 digital marketers worldwide.

OPPORTUNITY / CHALLENGE

For what projects/services did your company hire Roman.ua?

We had sophisticated web analytics tasks and issues with Google Analytics. There were different options and contractors on the market, but I needed a consultancy to choose the right way of solving the issues with Google Analytics Enhanced Ecommerce and sampling issues for our high-load SaaS.

SOLUTION

How did you select Roman.ua and what were the deciding factors?

I was introduced to Roman by my colleagues. They knew about his expertise from public speeches and word of mouth. I was surprised by Roman’s deep understanding of tech details. And taking into account the nature of our project, this was a key advantage that made his company really unique to me.

Describe the project in detail and walk through the stages of the project.

Roman was helping us with the transition to Enhanced Ecommerce in Google Analytics and make this metrics suitable for our non-ecommerce business model. He told us about different ways of overcoming Google Analytics sampling - and that was cost-effective solution.

In addition, he dispelled my illusions about how the calculated metrics are formed in GA.

How many resources from the Roman.ua team worked with you, and what were their positions?

As expert, coach, and consultant, it was only Roman in our consulting and teaching process

RESULTS & FEEDBACK

Can you share any outcomes from the project that demonstrate progress or success?

Whereas it’s hard to estimate direct profit from implementing data warehouse projects and building a metrics framework, I’m sure to say working with Roman saved us tons of analysts and data engineers' time and also brought the decision-making process in our company to a new level.?

How effective was the workflow between your team and theirs?

We had need-based meetings, and every time I had a question, I was sure it would be answered within 2-3 business days via calls and online meetings with Roman.

What did you find most impressive or unique about this company?

I was surprised by Roman’s deep understanding of tech details. And taking into account the nature of our project, this was a key advantage that made this company really unique to me. Sometimes small details of data gathering and storage in GA can play a critical role, especially with large-scale non-ecommerce projects where built-in metrics are not 100% suitable for implementing.

Are there any areas for improvement or something they could have done differently?

I can’t remember anything significant.
