We start by outlining the news segment or podcast we want to produce and provide assets for RivalMind to use within the video. The team has created a news set and has broadcasted the first news segment based on what I've sent them. After filming the videos, RivalMind edits and sends them for us to review before delivering the final version. Although RivalMind provides marketing services, we publish the videos on our social media and send them as part of our marketing campaigns.

What evidence can you share that demonstrates the impact of the engagement?

We measure success by the engagement of the videos delivered by RivalMind. We send the videos via email with a link and some basic information about what the video entails. All of our videos' open rates are triple what they are for a general email. Around 80% of customers who open the email also view the video, which is way higher than other products we do. RivalMind's video results are excellent because the audience usually likes videos better.

How did RivalMind perform from a project management standpoint?

RivalMind delivers work on time and within budget. We've never had an issue regarding budget, and RivalMind is quite inexpensive. RivalMind always delivers within a couple of days and communicates well via email.

We wanted to have a new website and went through a rebranding process. We brought RivalMind to help us with our website and SEO needs. For context, our former website before the COVID-19 pandemic was up for two and a half years. We needed a new, more user-friendly website for remote teammates. It needed to have more video interactions and usability in terms of backend editing and navigation.

What was the scope of their involvement?

We initially reached out to RivalMind to strategize and come up with a new website that would serve our needs after the COVID-19 pandemic. That included the ability to make edits and small modifications to the website easily. The initial phase was establishing a process for developing a new SEO-friendly website. Having good SEO was a priority in the beginning for us since we wanted higher recognition from the public as we grew. From there, they started building the site using Duda. 

So far, the site has been developed, and we’re going to start working on its SEO elements. We’ll be doing keyword research, backlinks, and content writing starting this month. Meanwhile, we’ve also had issues with our Airtable, where we have an internal filtering system that helps people locate different groups to join within the church. It’s an independent technology that aligns with Duda, and RivalMind has been helping us with its issues. 

In terms of features and functionality, the website has a sermons and resources page. We’re able to show and list our sermons in a new way. It’s like a blog with a nice and clean format. Our viewers and listeners can find audio files and PDF attachments there. Moreover, the site has a dropdown menu, which helps users find our service times and locations more quickly than the old website.

They’ve assigned a project manager who’s stayed with us throughout the process. This manager has worked on keeping us on point in terms of timeline and budget. We’ve also worked with other teammates as the project went along, including their CEO, a technical director, and Jessica (Director of Creative Services). Our team has brought in a third-party designer to work with the RivalMind team.

When we came across RivalMind, we knew that they had the primary services that we needed. They were also local, so we hired them.

We engaged them in September 2022, and the engagement is ongoing.

We’re happy with the website. It’s more visually engaging, so we’re happy with its aesthetics, look, and feel. RivalMind has also helped us solve our ease of navigation issues. The simplicity of how they built the website is truly helpful. We’re a complicated organization in many ways, and solving the issues on the website has been an important feat for us.

In terms of bugs and other issues, one thing that comes to mind is the mobile experience, which takes a lot of work to get 100% on the first try. RivalMind and our team have done a lot of trial and error to test the site out, and we’ve made the site look good so far. 

How did RivalMind perform from a project management standpoint?

RivalMind has a project management system, but we primarily use email to communicate. For the most part, the emails are effective. We’ve used commenting tool on the backend of the website, so we’re able to leave comments and edits. Their members can see those comments and resolve them.  

What did you find most impressive about them?

Jessica has kept us on point in terms of our timelines. She has been responsive, knowledgeable, and helpful.

Are there any areas they could improve?

Jessica’s bedside manner could be a little bit softer. Sometimes, she has a highly matter-of-fact and corporate approach to doing things. However, we’re a nonprofit and not corporate-oriented, so there are a lot of gray areas when discussing things.

Moreover, for communication, things sometimes get lost in emails, especially when we’re truly busy. It would’ve been more helpful to have a project management system that all of us could utilize regularly. Additionally, we’d like a little more interaction with their technical team here and there. That way, we’ll ensure we’re meeting milestones along the way. 

Do you have any advice for potential customers?

If there’s an aspect of your website that’s truly important to you, be clear and upfront about it in the beginning. Keep on it throughout the process. 

For context, we had a couple of complicated sections that caused us trouble on the previous website. We had special meetings about those sections early on, but RivalMind didn’t include them in the contract. As a result, they got pushed to the last minute. It felt a little stressful in the end. As a result, our recommendation is to make sure you’re checking on the important sections of your website — don’t assume that it’s as important to them as it is to us.

What was the scope of their involvement?

RivalMind designed and developed our website from scratch. We initially had an interview with RivalMind’s designer to give them our feedback, and with that, RivalMind’s designer started working. We shared pictures, references, and our company’s information with RivalMind. 

We asked RivalMind to create a professional and approachable website, and they came up with several proposals. RivalMind took time to know our personalities and portray our company’s style. 

Our site’s goal was to advertise our company and attract new customers. We needed to inform them about our services and give potential clients an idea of our capabilities. Our site is like a brochure of our services — it’s not an e-commerce site. 

RivalMind educated us about which tools were best according to our budget. They created the site on WordPress and trained us on how to manipulate and update it after its launch. RivalMind also provided technical assistance, and whenever I had questions, I contacted RivalMind to assist us.

Our site is SEO-friendly, and RivalMind also educated us about marketing tools, including Google Business Profile. We might work with RivalMind again for digital marketing. RivalMind also redesigned our logo and presented 3–4 proposals, which we edited and narrowed down to one logo.

Our main goal was to attract potential clients. RivalMind met our needs, and we felt like they could read our minds.

Overall, everything related to our website was a mess, so we were looking for someone who could help us update our website and implement SEO tactics so that we could use it as a fundraising engine.

RivalMind provides us with SEO and website maintenance services. Their scope has included keyword research and blog writing. They’ve also updated our website to bring it to an updated version of WordPress.

Initially, our biggest challenge was that the site was outdated. Thus, after RivalMind updated our website, we moved our hosting services to them because we realized it was our better option all around. Now, we’re discussing and figuring out the next steps for our engagement.

Thanks to RivalMind’s SEO services, we’ve seen an over 100% increase in organic search traffic, and our blog posts have had an increase in the click-through rate. As a secondary result, our fundraising efforts have been going considerably well. Whereas other nonprofits have decreased their fundraising, we’ve actually seen a slight increase, which is a huge win for us.

However, the increase in our fundraising can’t be directly related to RivalMind — they’re just doing SEO for us. Therefore, our next step will be trying to see how much of that traffic really converts into money.

How did RivalMind perform from a project management standpoint?

RivalMind has performed really well. They’ve taken care of their contractual obligations, doing what they’re supposed to do when they’re supposed to do it. Moreover, our budget is pretty much fixed unless there are additional projects here and there.

Overall, RivalMind has gone above and beyond for us, so we’re not even looking for anyone else. We’ll keep working with them because we’re sure that they’ll do a great job. As for collaboration tools, we mainly communicate via email, phone, and Zoom. We call them directly to discuss what’s going on, and they use emails to send us reports.

RivalMind’s willingness to work with us as a nonprofit organization on a tight budget is outstanding. For nonprofit organizations, it’s always difficult to convince service providers to spend some money initially to make money. RivalMind has been very willing to go with us through that process, work within our budget, and prove to us that they can get the job done. We’re very thankful for that, and we’ve developed a great relationship.

RivalMind has gotten better at communicating and understanding our needs over time. They’re growing with us and evolving, so they’re getting to the point where they need less of our input to do the work we need.

Listen to what they have to say. It might not sound right to you at times, but RivalMind really knows what they’re doing. If you work with them and give them a chance, it’s going to work out for you.

RivalMind has taken our web traffic from zero to where it is today, and it keeps increasing every month. On the last performance report that RivalMind sent us, the hits to our site had increased tenfold over the last 18 months. 

Additionally, RivalMind provides us with an extensive performance report with more information than I can actually use. These reports show which pages our users visit more, and which search terms they use to find our site. I noticed the word Wrecktify is the most used search term, which means RivalMind is getting our company’s name known in the market.

RivalMind’s team was excellent at communicating by phone and email. They were responsive and quick to address issues. We used Basecamp for project management, but RivalMind stopped using it at some point. They met deadlines and stayed on budget, and there was no disappointment. 

What did you find most impressive about them?

I was most impressed by how deeply RivalMind’s staff cared about our project — we built strong relationships. RivalMind’s complete organization is based on customer service. 

Are there any areas they could improve?

Our biggest challenge was blog content creation since pregnancy resource clinics are sensitive to the locale they’re in. We found it difficult to get our ideas across to RivalMind’s team. However, we understand this is a difficult topic and realized the content needed to be created with the consultancy of experts.  That’s why we decided to seek another service provider.

Do you have any advice for potential customers?

I recommend customers communicate clearly with RivalMind. Be kind and open to expressing your ideas because RivalMind will do their best to meet your expectations and not disappoint you. If they’re not experts on a certain topic, they’ll do their best to complete the work.

Introduce your business and what you do there.

I’m the VP of operations at Alpine Demolition Services LLC. We’re a full-service demolition contractor in the Chicago area. We do the demolition of buildings, from houses to large commercial buildings, bridges, water tanks, and wastewater treatment plants. We do all kinds of demolition with machines on the commercial and infrastructure site. We also do interior demolition, and we’re a full union contractor.

RivalMind has designed and developed our website from scratch. They’ve also helped us with our SEO. They email the articles they’re going to post. We also go over the selected keywords and our SEO ranking.

I work with 2–3 people from their side.

We were looking around at local websites and saw that they were the people that made those websites. They’re also based in the same area as us.

We’ve spent $30,000–$40,000 so far.

What evidence can you share that demonstrates the impact of the engagement?

We’ve started to get a lot of organic requests from people conducting Google searches and from our website. Also, we feel like their efforts have driven a lot of businesses toward us.

How did RivalMind perform from a project management standpoint?

They’re doing a good job from a project management standpoint. We usually communicate through email, and they also come to our office at times.

What did you find most impressive about them?

I don’t really know because we haven’t worked with anyone else to compare them.

I can’t think of anything that RivalMind could do differently.

Respond to them and pay attention to the emails and questions they ask. They will ask us questions every month in order to update our content and keep it relevant.
