We needed to build and maintain reliable end-to-end automated test coverage for our most critical workflows, particularly across production accounting, AP, cost reporting, and related production management areas. Our goal was to reduce the significant manual testing burden on PMs and engineers, catch regressions before they reached customers, and give teams faster, clearer feedback through well-documented and reproducible bug reports.We also wanted the test suite integrated into our staging and CI/CD processes so it could eventually serve as a dependable release-confidence signal. The work initially focused on critical production accounting and custom reports workflows and expanded across areas such as AP invoices and transactions, budgets, purchase orders, vendors, vendor payments, accounting reports, and exports.QA Wolf’s main deliverables have included a structured test outline covering our priority workflows and their key variations; more than 120 automated end-to-end flows running against our staging environment; scheduled test runs, with support for deployment-triggered runs and continued work toward deeper CI/CD integration; manual investigation of test failures to distinguish product defects from test or environment issues; detailed bug reports with reproduction steps, recordings, expected versus actual results, and priority levels; ongoing test maintenance as our UI, workflows, and acceptance criteria changed; visual checks to identify layout and rendering issues that functional assertions might miss; weekly reports showing suite health, passing and failing flows, new coverage, blockers, and open bugs; and Linear integration and revalidation of resolved issues.

What evidence can you share that demonstrates the impact of the engagement?

The clearest measurable outcomes have been the growth in automated coverage and the number of issues detected before reaching customers. Within the first two months of the pilot, QA Wolf had 26 active tests across production accounting and custom reports, completed approximately 3,000 test runs, and proactively identified 11 bugs before customer impact.The suite has continued to expand from those initial 26 tests to more than 120 monitored workflows across AP invoices, budgets, purchase orders, vendors, payments, accounting reports, and exports. By August 2026, a typical weekly report showed 121 flows passing and four requiring investigation.We’ve also gained consistent scheduled testing in staging, weekly reporting on suite health, and structured bug reports with reproduction steps and recordings. This has given our teams earlier and more consistent visibility into regressions. While we haven’t formally measured the exact number of engineering or PM hours saved, the reduction in repetitive manual regression testing and initial defect investigation has been a meaningful outcome for us.

QA Wolf’s project management has been organized, proactive, and transparent. They’ve established a clear onboarding process that includes a kickoff, product walkthrough, test-outline review, regular progress check-ins, and ongoing coverage planning. Weekly reports and blocker recaps give us visibility into completed automation, suite health, open dependencies, and where Wrapbook’s input is needed.For the most part, they’ve delivered against the timelines and priorities we’ve agreed on. When work has been delayed, it’s generally been due to dependencies such as staging access, test data, project configuration, email handling, or clarification of expected product behavior. These blockers have been communicated rather than left to surface unexpectedly.QA Wolf’s team has also been good at following up, adjusting priorities, and reallocating the available test budget as our needs have changed. There have occasionally been many messages or follow-ups to manage, but overall, the engagement has been well coordinated.

What I’ve found most impressive is that QA Wolf feels more like an extension of our team than simply a testing tool. Their team doesn’t stop at creating automated tests; they continuously monitor the suite, investigate failures, maintain coverage as our product changes, and work directly with us to resolve blockers.The investigation behind each failure has been particularly valuable. We’ve received clear reproduction steps, recordings, and context that have helped distinguish real product defects from test or environment issues. Their responsiveness in Slack and willingness to adapt coverage as our priorities have evolved also makes the partnership stand out.That combination of automation, ongoing maintenance, and hands-on collaboration is what feels most unique compared with a traditional testing platform that our internal teams would still need to operate and maintain themselves.

The main area QA Wolf could improve is the clarity and signal-to-noise ratio of the test results. Known non-critical bugs, staging instability, and test-related failures can all appear alongside genuine regressions, making it difficult to understand the application’s health without investigating individual flows. Clearer dashboard separation between critical regressions, known bugs, flaky tests, and environmental failures would make the suite a more dependable release signal. Reducing duplicate reports and automated notification noise would also help.Earlier alignment on what a “green” suite means for Wrapbook — including prioritization, tagging, and treatment of known bugs — could have prevented some later back-and-forth.It would also have helped to establish a more detailed environment-readiness checklist at the beginning, covering test data, project configurations, email access, permissions, and workflows requiring isolated projects. Some coverage was delayed while these dependencies were discovered and resolved. These challenges were shared with our environment, but identifying them earlier would have made onboarding and coverage expansion smoother.

There is very little I would describe as a major area of concern. One opportunity for improvement would be to continue adding more proactive reporting and insights as automation coverage grows. Holding weekly virtual meetings kept good visibility on priorities and the constant reporting on blockers, verified bug/regression test results, and the visualization on their platform of test result history as the suite grows over time is plenty of indication of success in growth and completion of coverage goals. Getting near immediate notification of failing tests helps the team triage and solve problems with rapid turnaround. The ability to have frank, face-to-face virtual updates with managers and testers alike keeps the focus as high as my organization needs it.

Following a successful POC, we signed a year-long engagement and continued expanding coverage. Are there any areas for improvement or something QA Wolf could have done differently?

The main area for improvement would have been clearer alignment earlier in the engagement around test creation velocity and how quickly full value would be realized during the POC. While this was addressed through open communication and course correction, tighter expectation-setting during the sales and onboarding phases would have reduced early uncertainty.

Additionally, ROI modeling could benefit from clearer upfront assumptions and time horizons to make the value narrative easier to interpret without follow-up clarification. Beyond that, QA Wolf was receptive to feedback and consistently adjusted their approach as the partnership evolved.

Describe the scope of work in detail. Please include a summary of key deliverables.

We had a list of over 200 tests that we were performing manually each month to ensure the quality of our software. Our plan negotiated with QA-Wolf included 150 automated tests. They did the work of taking our list of 200 manual tests, then creating a list of automated tests that would cover such. It then fell to me to go through this list and cut things down to the requisite 150. QA Wolf then wrote those automated tests over the course of 4 months.

During this time and going forward, QA Wolf runs the entire suite of automated tests against a deployed instance of Plextrac. If any tests fail, they investigate to see if the test needs to be fixed to accomodate small changes the occurred in Plextrac. But if they determine that their tests found an actual bug, then they report such to me and my team.

What were the measurable outcomes from the project that demonstrate progress or success?

QA Wolf managed to convert our entire list of manual testing while staying in the test budget we were given by management.

Every week, the tests get ran, and QA Wolf finds bugs that have occurred that wouldn't otherwise be caught.

They held biweekly meetings with us to check in on any questions we might have. But they also had an open slack channel where we always got answers within an hour if we ever asked anything.

Everything that's been promised within the specified time frame is delivered on time.

The one thing that sold us on them compared to every other company we looked at was the ability to have control of the tests that were written if we ever decide to part ways.

But on top of that, the idea that they maintain the tests instead of just writing them and running them was a must for our decision.

Are there any areas for improvement or something QA Wolf could have done differently?

Technically, no.

What’s considered a “test” that gets charged for is smaller than what I would normally intuit. This is something I expected coming into this service. And ultimately, I understand the approach from their perspective. Nonetheless, I’m occasionally taken aback when I pitch something as three or four tests. But then they come back and say, “No, we need to break this up into ten tests”.
