Polcode was engaged to design and develop a Magento-based eCommerce platform tailored to our business requirements and integrated with our on-premise ERP system. The primary objective was to create a scalable, trade-focused online store that accurately reflects our branch operations, stock availability, and pricing structures.

A key element of the scope was the integration between Magento and our ERP. This included enabling automated order export, aligning stock levels across multiple UK branches, and ensuring data consistency between systems. The solution was designed to support complex fulfilment workflows, including both delivery and click-and-collect, with logic to allocate orders based on branch selection and availability.

Polcode also developed a bespoke EWI materials calculator, enabling customers to estimate the materials and costs required for their projects. This tool integrates directly with the product catalogue, enabling users to seamlessly add calculated materials to their baskets, improving both usability and conversion rates.

Additional functionality included implementing customer-specific pricing for trade accounts, ensuring that individual customers can view and purchase at their agreed rates. The platform was also built to support flexible delivery options, including in-house logistics and third-party carriers, with considerations for oversized or specialist items.

From a technical perspective, Polcode used a structured deployment pipeline, ensuring all changes were version-controlled and consistently deployed across staging and production environments.

What were the measurable outcomes from the project that demonstrate progress or success?

The project delivered clear, measurable improvements across operations, customer experience, and commercial capability.

Operationally, integration between Magento and our ERP system reduced manual processing by enabling automated order export and improving data accuracy. Real-time stock visibility across multiple branches minimised discrepancies and reduced the risk of overselling, streamlining internal workflows and improving efficiency.

From a customer perspective, the introduction of click-and-collect across our UK branches provided a convenient new fulfilment option, increasing flexibility for trade customers. The bespoke EWI materials calculator improved usability by allowing customers to quickly estimate material requirements and add them directly to their basket, reducing friction in the buying journey.

Commercially, enabling customer-specific pricing allowed us to reflect agreed trade rates online, strengthening relationships with existing customers and encouraging adoption of the platform as a primary ordering channel.

The platform also established a strong foundation for growth. We can now expand our product range more efficiently, support digital marketing channels, and track user behaviour through analytics to continuously optimise performance.

Overall, the project resulted in a scalable, fully integrated eCommerce solution that improves efficiency, enhances the customer experience, and supports long-term growth.

Polcode demonstrated a structured and professional approach to project management throughout the engagement. Work was organised clearly, with defined scopes, regular communication, and visibility over progress via staging environments and updates.

Deliverables were generally completed on time, particularly when requirements were clearly defined upfront. Where timelines shifted, this was typically due to evolving requirements or the complexity of integrating with our existing systems. In these cases, Polcode were transparent about impacts and worked collaboratively to realign expectations.

Communication was consistent and responsive. Queries and issues were handled promptly, and the team were proactive in seeking clarification to ensure solutions met our needs. They were also flexible when requirements changed, adapting their approach and providing guidance on the best way to implement new functionality within the existing architecture.

Importantly, they followed a structured deployment process, ensuring all changes were version-controlled and properly tested before release. This gave confidence in the stability of the platform and avoided issues associated with ad hoc updates.

I’m an executive at a Norwegian accounting company. We deliver accounting services online to clients in Norway.

What challenge were you trying to address with Polcode?

We hired Polcode to help us transition from our on-site server to a cloud solution. Our previous infrastructure team managing the on-site server wasn’t helpful in ensuring we were up to date on certain versions and compliant and secure with backups. We needed help migrating to AWS.

SOLUTION

What was the scope of their involvement?

Polcode has done due diligence on our current setup and helped us transition from moving our databases and hosting on the physical server to the AWS cloud solution. Initially, the team reviewed our current setup. The team had access to our database schemas, hosting, codebase, and repositories. Shortly after, Polcode delivered a short report on our current setup, risks, improvements, and a cost estimate for bringing this online to Amazon. In April 2025, we did the actual migration.

Currently, Polcode provides ongoing maintenance of our infrastructure and development needs.

We mainly work with four teammates from Polcode, including our project manager, Marta, an account executive, a QA specialist, a developer, and an InfraOps specialist.

What evidence can you share that demonstrates the impact of the engagement?

We’re super happy with Polcode’s work. Our core issue was that we didn’t have full security, control, and necessary backup processes with our previous team. Although we don’t have quantitative KPIs, it’s a big thing for us to ensure we’re secure and confident that we have the proper processes in place and follow best practices. Our costs have increased compared to having a physical server, but that was somewhat expected because, usually, having your own server is cheaper.

How did Polcode perform from a project management standpoint?

Polcode hasn’t met the deadlines set. Regarding budgets, they’ve been well within their range regarding labor hours needed. However, the team has missed the mark on the cost for ongoing AWS in terms of the estimate. We use Jira for project management and communicate via Google Meet and Slack.

Successfully created a platform meeting K.I.D.S. Foundation requirements, enabling quick access to information about children’s hospitals. Implemented the Ukrainian language translation mechanism, which expanded platform accessibility.

Polcode's task was to build a learning prompt mechanism, the result of which is the preparation of a cold email communication scenario for prospecting campaigns.

What were the measurable outcomes from the project that demonstrate progress or success?

We shortened the time needed to prepare communication scenarios by 2x. Moreover, the project paid for itself after only 20 scenarios written by the model, i.e. in about 20-25 working days.

With Polcode we worked iteratively, from workshop to workshop, jointly analyzing the results obtained by the implementation of the prompt. After the 3rd meeting we developed a result that satisfies us. The project was completed within the planned time, mainly thanks to efficient project cooperation.

An excellent group of designers and programmers. Importantly - they were very solution oriented. For example, if I requested a new functionality, they took the extra steps to make sure they understood the "why" behind the request and then proactively offered multiple solutions (at different cost and timing levels) to achieve. They detail the pros and cons of each suggestion and make sure that the solution fits our needs. This is a process I appreciate very much with this group.

Are there any areas for improvement or something Polcode could have done differently?

They did a great job. It's sometimes a challenge working with a group that is 6-7 hours ahead of us (for example, if issues or client needs game up late in MY day, it was not reasonable to discuss until the next. Still, PolCode did a great job trying to minimize any negative effects of a wide time difference.

The primary objective was to work on the UX aspects of our Magento websites. The import/export functions were not functioning properly and the overall user experience needed improvement. Key deliverables were to fix the import function so we could update our products quickly and get the websites running better. We have a parts lookup feature that was not integrating as well as it should and they have addressed that.

The speed of the sites has increased. The conversions from the parts lookup page have increased. Adding content is much easier than before and it is live within minutes, not days.

The need was to development a custom kiosk application with map interface to help the customers find a dealership in their area. The customer selects State/Province which to serve up information cards, including QR code / VCard with dealership information. 

Challenge at the trade show: low-to-no internet connectivity, so this solution needed to run locally on the provided Windows OS machines. Data refresh was required periodically based on last minute client requests.

As founder of BizzyOwl I am involved in the start of a completely new online application. I was involved in all steps of the process from structure, design to development issues.

Polcode was involved in the full development of the online App, the aim was to properly connect the various models and methodologies within a stable and clear online environment. And make it work as a synergy.

How did you select this vendor and what were the deciding factors?

After a selection of a few suppliers, it was decided to discuss further with Polcode. Flexibility, accessibility and Polcode's advice were the deciding factors.

After an extensive workshop we came to an agreement about the project details and the route. The application has been worked on in various phases. Each sprint was discussed in advance and assessed and discussed behind. Development is mainly done in PHP Laravel environment and SQL.

In total about 8 people have been involved in this project, as far as I have been in contact with them. From project and account managers to developers and specialized hosting and server specialists. The accessibility of specialists in the various fields is one of the reasons for choosing Polcode.

Can you share any measurable outcomes of the project or general feedback about the deliverables?

As a new project, there is no measurable development to report, other than an achieved end result. Many further development and expansion phases will follow in the near future, but this is part of the business case.

I really appreciated their open and accessible management style. In an open conversation with project management, a project high about, to more detail with account manager and developers have helped to make this project more complete. Wherever it was always openly discussed what is feasible and essential.

the structure that was offered to properly discuss the sprints in advance in open feedback conversations. In addition to the extensive workshop prior to the project, this feedback resulted in the application being developed in a more complete and well-thought-out manner. Also with a view to future developments.

Are there any areas for improvement or something they could have done differently?

With a new project it is of course difficult to estimate exactly how much work is required to complete the tool. The link between what the client devises can be precisely translated into the UX design.
