What challenge were you trying to address with Polcode?

We needed to develop a cold lead generation system for a large client.

SOLUTION

What was the scope of work done?

We brought Ula (Senior Software Engineer) and Joanna (Senior Project Manager) from Polcode onboard to help us develop a cold lead generation system for a large client. The existing automation prototype was validated, but we needed to migrate it onto an AWS ecosystem for reduced operating costs, predictable development lifecycle maintenance, and better compliance management.

Ula and Joanna managed everything from the client Kanban to the CI/CD pipeline. They developed multiple Docker containers to run as scheduled ECS tasks that integrated flawlessly with the client systems. They also managed the debugging lifecycle and staging environments to not put the company at risk. The client posed multiple feature requests, and they handled them with grace and efficiency. Truthfully, I could've passed client meetings over to them, and they would've fully managed the entirety of this project!

The main deliverable was a lead generation ecosystem that integrated with third-party data providers, their enterprise CRM, and a lead nurturing program that drafted responses based on internal procedures for later-stage sales.

We worked with two teammates from Polcode.

How did you come to work with Polcode?

I found them through a posting I put up on a job board for a development contract we had. I was initially looking for a solo developer, but Polcode quickly changed my outlook in a positive way.

What is the status of this engagement?

We worked with them from February–June 2025.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement?

We generated nine figures of quarterly lead opportunities with a 20% reply rate and 18% positive response. There were zero runtime or data errors after the initial week of deployment. The operating cost in the long run will be 25% of the original cost to do their current volume of lead generation.

These metrics were tracked using analytic suites built into the CRM and lead nurturing software. Revenue projections were calculated by the average revenue per project for the client multiplied by the total quantity of projects with a positive response from the lead generation

Generating these results for our client allowed us to double down on marketing and sales initiatives. Having access to raw, capable, and trustworthy talent is very difficult to find. Not having consistent availability makes it very difficult to run continuous marketing campaigns and sales initiatives to bring in more projects. However, Polcode enabled us to have the confidence to invest heavily in client acquisition.

How did Polcode perform from a project management standpoint?

Delivery times were impeccable, with very few delays. Each delay was well justified by the technical complexity of the ask. Fulfilling these delays added very minimal delays that were subsequently offset by early deliveries for the next sprint.

The level and quality of communication were my favorite aspects of this engagement.

Are there any areas they could improve?

I generally like to leave constructive feedback to continuously improve, but I have a hard time thinking about how Polcode could've improved for this project.
