Please include a summary of key deliverables. The general project scope was to conduct a full content inventory of the College of Applied Health Sciences' website and offer suggestions for next steps. The site was sorely out of date and a fresh approach to content and UX was needed. Pixo interviewed stakeholders, conducted a content inventory, held at least two workshops with the marketing team and other participants regarding content creation, and presented a site map and other recommendations to a larger group of stakeholders, including the college's dean and department heads, among others.

**RESULTS & FEEDBACK**
What were the measurable outcomes from the project that demonstrate progress or success?Their recommendations and site map are the blueprint for the websites we're currently developing with the university's new Web Center of Expertise. Describe their project management. Did they deliver items on time? How did they respond to your needs?Pixo's team was very organized and ready, always, to work with us (if anything, our team were the ones needing to be kept to a schedule!). They were knowledgeable, the deliverables were extremely useful, and their team had a sense of humor about this rather culturally complex project.  What was your primary form of communication with Pixo?Virtual MeetingEmail or Messaging AppWhat did you find most impressive or unique about this company? The project with Pixo was one of the few experiences I've had working with a team exclusively in a virtual environment where things ran smoothly. There were few, if any, misunderstandings, miscmmunications, or unnecessary meetings. I have no doubt whatsoever that they are equally as effective in person, but the virtual nature of the project absolutely worked for us. Are there any areas for improvement or something Pixo could have done differently?Pixo did the best possible job with us and the (very) small team we had at the time.

**The Review** — Aug 25, 2023

**Feedback Summary**: Since implementing the system Pixo created, the client's productivity has continuously increased. The team is highly receptive and collaborative from a workflow standpoint, and internal stakeholders are impressed with the service provider's vast technical expertise and agility.
""They've been amazingly responsive whenever we uncover something that needs their attention.""

**BACKGROUND**
Please describe your company and position.I am the Editor, Bibliography of Asian Studies ofDescribe what your company does in a single sentence. The Association for Asian Studies is a vast, international professional association for all scholars of Asian Studies; it is also the publisher of the online Bibliography of Asian Studies, of which I am the Editor, with 6 other employees in the BAS, and which utilizes PIXO as our programming partner to create, enhance and maintain our online distributed bibliographic production platform for the BAS

**OPPORTUNITY / CHALLENGE**
What specific goals or objectives did you hire Pixo to accomplish? To migrate the distributed work of the BAS bibliographic and editorial production team from an antiquated system (FileMaker) producing records on individual PCs to then be sent by email for central editing, compilation, and export in CSV, into a modern, streamlined production framework with a centralized controlled-access web-based interface to increase producitivty of the team and of myself as editor, with XML output compatible with our online hosts (EBSCO)

**SOLUTION**
How did you find Pixo?ReferralWhy did you select Pixo over others?High ratingsPricing fit our budgetGreat culture fitReferred to mespcialized niche application workm similar to our'sHow many teammates from Pixo were assigned to this project?6-10 EmployeesDescribe the scope of work in detail. Please include a summary of key deliverables.A customized 20-year-old application in FileMaker whose original programmers were long gone was being used by the whole team of Associate Editors of the Bibliography of Asian Studies published by The Association for Asian Studies to produce and edit hundreds of thousands of bibliographic records for inclusion in the online BAS hosted for subscribers on EBSCO. Over the years, the old system became less and less effective, productivity and accuracy suffered, data integrity was being lost, and our online database hosting service (EBSCO) was not able to assist in quality control, and was intending to migrate ALL of their databases to XML input, rather than the BAS's old FileMaker output in CSV. The parent Board of Directors of the AAS was losing patience with the diminishing quality of the product and the expense of producing it with such an ineffective production framework and tool. PIXO was contracted to work with us and with EBSCO to design a much more streamlined data production application (with controlled-access online data entry instead of individual PC-based FileMaker app), with a more efficient user interface for the Associate Editors and for me as the Editor of their records, that would maximize the value of each keystroke, use intelligent data validation in each field, create one-click data export from from the server to EBSCO, and improve our overall productivity of the whole BAS operation, with XML output compatible with EBSCO's data-integration setup for bibliographic information. In the first phase, PIXO worked with the existing dataset (over 130 fields of interlocking data in nearly 1 million records in FileMaker and CSV) to understand the field structures and dependencies, and modeled new data structures for us that better matched the bibliographic needs of BAS end-users and their searching practices. Then they programmed the new web application for us, provided our team training in its use, and ran pilot runs and testing in a Staging server, using all the re-mapped migrated data. The XML output of this pilot data was then tested by EBSCO and approved for compatibility. PIXO then launched our production server, which they continue to run on AWS on our behalf. Later phases included lots of debugging and algorithms for fixing internal problems in the legacy data and sessions with me and the Associate Editors team for tweaks to the UI to further improve everyone's efficiency. Although we have greatly increased productivity in the new Pixo setup, we continue to partner with PIXO for a large set of future enhancements and tweaks to optimize this complex system even further. S, and which utilizes PIXO as our programming partner to create, enhance and maintain our online distributed bibliographic production platform for the BAS

**RESULTS & FEEDBACK**
What were the measurable outcomes from the project that demonstrate progress or success?Annual production (and accuracy) of records created for the BAS has skyrocketed since implementation of the system PIXO created for and with us. Board of Directors is very happy with the results and with the return on investment. End-users of the BAS are now getting more accurate and up-to-date research support bibliographic data from the BAS, and susbscriptions have increased.Describe their project management. Did they deliver items on time? How did they respond to your needs? We work collaboratively to establish specific sub-tasks and needs and to timeline each of them, and they always met those expectation and were proactive in reporting challenges or unexpected hiccups. They've been amazingly responsive whenever we uncover something that needs their attention outside the planned development timeline. What was your primary form of communication with Pixo?Virtual MeetingEmail or Messaging AppWhat did you find most impressive or unique about this company? The BAS is a highly specialized product -- I was very impressed with how PIXO dove into the complex and interlocking data structures needed to make it work properly, and how quickly they grasped and even anticipated when those needs would turn into in terms of the application they have been building. Are there any areas for improvement or something Pixo could have done differently?None that I can think of now

## Portfolio & Awards

### Resource app for academic researchers
The Office of the Vice Chancellor for Research and Innovation at the University of Illinois assists all faculty, staff, and students across campus in their research efforts. Their IT department asked Pixo to lead the design and development of a custom web application that would compile, organize, and maintain an ever-changing list of technology resources from various data sources across the university's huge Urbana-Champaign campus. The goal was to give researchers a single source to search for equipment, training, and advice.

The solution: Prioritize infrastructure first, then iterate
Considering all the client’s needs, we focused on creating a fully customized experience for both front-end and back-end users. For back-end users, the ability to pull data from university APIs and from within the content management system was a priority. For front-end users, our solution also included a robust system for searching and filtering, ensuring user-friendliness and accessibility.

During the first of two phases, we created the technical infrastructure and a basic front-end for the system. The focus was getting all the pieces to connect, including:

A transactional database

An information warehouse

Query APIs

Supplementary custom import connectors

In the second phase, we iterated on the front-end user interface. Through UX research, design sprints, and testing, we upgraded the UI to allow researchers to browse and filter more easily, based on feedback from campus researchers.

### Illinois Early Childhood Asset Map website
The Illinois Early Childhood Asset Map (IECAM) collects and analyzes data related to early childhood services from various state agencies and makes the data accessible to the public — including grant writers and policymakers focused on improving the lives of children in Illinois. We partnered with the IECAM team to build a new user-centered site using the Symfony framework and a content-first approach.

The challenge: Make data easier to find and understand
IECAM’s website struggled with its two main directives: pointing data-savvy audiences directly to their database and helping novice audiences better understand the available data. As a result of messy information architecture and an outdated CMS, the site was overrun with duplicative and unhelpful pages.

The solution: Consider both the front- and back-end users
For back-end users, Pixo prioritized easier website maintenance. A more user-friendly CMS meant authors would be less likely to allow outdated and redundant content to pile up. This improvement directly correlates with a better front-end user experience. Pixo performed a quick and agile discovery phase, to find out what IECAM’s audiences actually needed from the website. The old IECAM site had too many content types, an overly complex taxonomy, and too much flexibility. We determined IECAM’s content authors would be better served with a smaller set of features that are actually helpful for their core audiences.

Based on research and testing performed during the discovery phase, our content strategy team created an information architecture to help even the least data-literate users find the content they need.

We also prioritized accessibility in content, design, and development, not just because funding sources required it, but because IECAM aimed to reduce barriers to their public service and make the experience better for all.

### User interface app for a portable soil test system
360 Yield Center makes products that help farmers increase accuracy and efficiency in the field. One of these is 360 SOILSCAN™, a portable system that helps growers determine how much nitrogen application the soil needs. Initially, the tool’s rudimentary control panel fell short with users, so the company came to Pixo for help.

The challenge: Make a tool easier to use without changing the tool itself
With 360 SOILSCAN, the company brought an innovative product to market, but the control panel was not intuitive. Redesigning the device’s control panel itself wasn’t an option, so we created a sleek and simple-to-use iPad application that could communicate with the device over Bluetooth. The ease of use and easy connectivity increased the adoption of the device.

The solution: Get to know real users and focus on meeting their needs
Our UX team started by observing growers and agronomists in the field to see how they interacted with 360 SOILSCAN™. We identified common problems and constraints, such as low connectivity, glare, small buttons, and the potential for many distractions between tasks. Once we understood how the early adopters were using the device and the context in which it operates, we began planning improvements.

The result: An app that increases productivity
The new interface is modern and sleek. It walks the grower, step-by-step, through preparing the soil sample to getting an accurate nitrate ion count, which enables faster decisions about the effective use of fertilizer. The key to success with this product was fully understanding the users and the operating constraints before designing the interface and making platform decisions.

### Bibliography database for a scholarly association
The Association for Slavic, East European, and Eurasian Studies (ASEEES) is a scholarly society that maintains the American Bibliography of Slavic and East European Studies, a resource for academic researchers. The group previously relied on a large university for hosting and support, but when that relationship changed, they turned to Pixo for a new solution.

The challenge: Migrating data in a time crunch
ASEEES had a quick timeline to get their new system up and running, but they also saw this as an opportunity to streamline their processes for indexing and improve their data integrity when connecting to an information service such as EBSCO.

The solution: A phased approach to a new database
We broke the work into two attainable milestones. First, we produced a minimum viable product (MVP) with simple authentication; the ability for indexers to enter the necessary information for journals, subject headings, item types, authors, and reviews; and the ability to output these items in a format that EBSCO could consume. Completing this milestone in time was crucial, as it gave indexers time to work through the backlog of more than 150,000 items already in the bibliography.
Meanwhile, we got to work on the second milestone: developing the remaining aspects of the application that would serve ASEES in the longer term, including an improved user experience, improved authentication, and proper user management and permissions.

The result: An app that will go the distance
ASEEES faced a complex database migration, the challenge of maintaining integration with a critical third-party service, and a tight deadline that couldn’t shift. So we started by helping split the work in a way that could meet their deadline and still provide the long-lasting, quality application that ASEEES needed. We then used our technical expertise to ensure that years of scholarly work were preserved and made the jobs of indexers who care for this work more simplified and stable.

### E-resources portal for libraries in Illinois
The Consortium of Academic and Research Libraries in Illinois (CARLI) is a shared services organization that provides software, support, and electronic resources for academic libraries in Illinois. When CARLI needed to replace the portal for libraries to purchase these services, they selected Pixo based on our experience translating complex workflows into user-friendly web applications.

The challenge: Understanding workflows and stop-gaps
Librarians use the CARLI portal to select e-resources that they want to purchase, but the existing system did not accommodate many other parts of the workflow required to complete the process. A series of spreadsheets and email communications were used as stop-gap measures, making it an extremely inefficient operation that could derail at many points. This inefficiency had been a source of much frustration for all users, including vendors, librarians, and CARLI staff.

Pixo first performed a discovery phase to understand the problems in more detail. Our research highlighted potential challenges, including:

Volume, complexity, and variability of the data
Need for flexibility, such as product name changes and merging of member libraries
Large amounts of vendor data that have to be ingested
Transactions worth millions of dollars annually
Sensitive proprietary and confidential information

The solution: A suite of complementary custom apps
Rather than rely on one product to do it all, we delivered a suite of three applications to manage the brokerage workflow for all of the academic libraries in Illinois. The suite includes an application for the office staff to manage all data, an application for vendors to log in and set pricing, and a “shopping cart” application for librarians to select products. The applications included roughly 40 screens, some with massive amounts of data that required special handling outside of the framework for which we built a custom API and data storage layer.

### Interactive games for alumni engagement
The University of Illinois Foundation came to Pixo with an idea to test new strategies to engage millennial alumni and increase giving. The team knew what they wanted to accomplish but needed the technical expertise to build and implement a suite of web-based, university-themed games.

The challenge: Generate fun, gather data
Our goal was to create beta versions of three games that provide fun for users while gathering data for the client. In the early stages, we collaborated with the client to define success, iterate on potential business models, and explore the cost vs. benefits of various development tools.

To be successful, we determined the game suite must provide:

A delightful, nostalgic connection between alumni and their alma mater, particularly millennial alumni.
A mechanism to collect alumni data, such as demographic information and engagement metrics.
A way to test alumni interest in philanthropic giving and the potential for future donations through the game suite.

The solution: A budget-conscious approach
For development, we used a build-fast approach to stretch the client’s limited funding. We utilized existing Unity templates, applying workflow customizations and the client’s custom graphics. For data capture and analytics, we set up a Matomo integration, allowing Illini Ngage to securely access user data from the gameplay and relate that back to user information gathered. The team also integrated Google Sheets so our client could adjust and customize survey questions embedded throughout the games simply by updating the content in the spreadsheet.

The result: An experience that connects people to campus
We delivered beta versions of three web-based games — basketball, trivia, and a puzzle — that are optimized to delight Illinois alumni on both desktop and mobile. Illini Ngage has been able to take these beta versions and iterate as their goals evolve.

### Website redesigns drive economic growth
The Office of the Vice President for Economic Development and Innovation (OVPEDI) and the Illinois Innovation Network (IIN) serve vital and inspiring missions — harnessing the innovation capacity of Illinois universities to drive economic impact throughout the state and beyond. Redesigning both websites in tandem allowed us the multi-angle perspective to make sure we created a comprehensive view of both.

The challenge: Connected organizations with different audiences
The two organizations are connected administratively, with the IIN emerging as a signature project of the OVPEDI office. Pixo needed to help these separate but connected organizations communicate their connection while also targeting different audience groups.

The solution: Separate sites informed by audience research
We began by clarifying the sites’ respective audience groups and content priorities. The IIN’s goals of fostering collaborative research require them to share both foundational content and timely updates with a broad range of audiences in Illinois, from researchers to lawmakers.

The OVPEDI website, by contrast, needed to provide evergreen information to a narrower audience group.

To determine a user-friendly site structure and messaging, our content strategist collaborated with stakeholders and interviewed intended audience members. Stakeholders engaged with visual design to build a complementary vision for the new websites, and content strategy and engineering collaborated on a clear back-end interface for content authors.

The result: Clear messaging with visual impact
Pixo delivered two websites that communicate a clear purpose with an engaging graphic style. We also made sure to create user-friendly admin interfaces, so the client would have fewer barriers to keeping their content up to date.

### Scheduling system for student career services
The Career Center at the University of Illinois helps students plan for their futures, providing guidance on job searching, resume writing, and interviewing. The database that powered these services needed a modern makeover to keep up with student demand and improve their experience.

The challenge: Ad hoc processes create chaos
Students engage with The Career Center from freshmen orientation all the way through landing their first internship or job. The busy center lacked a central system to keep track of these appointments, relying on an outdated database and scheduling through front desk staff. This created more work for staff, inconsistent records, and a less than ideal student experience.

The client needed a custom application that could not just schedule appointments but collect data about each student interaction. Without this data, students could not count on continuity between appointments, especially if they weren’t able to meet with the same career coach for each visit. And, staff wasn’t able to effectively report on student outcomes to evaluate the services they provide.

The solution: One system to reach multiple goals
To understand how a new application could make a meaningful difference, the Pixo team dove in to fully understand the array of services and workflows. We spent time at the center observing activities and talked in-depth with staff and students.
The result: Easier advising for both students and staff
For The Career Center, this major upgrade in technology has led to less chaos. Students no longer have to call or drop in to make an appointment, so with fewer phones ringing and people in the door, front desk staff have more time to help those arriving for appointments.

### Multisite platform for a vibrant fine arts college
The University of Illinois College of Fine & Applied Arts offers renowned programs in multiple art and design disciplines. When the college marketing team came to Pixo, they were hindered by several standalone sites for each program that were hard to navigate, hard to update, and inconsistent with the university brand. We equipped them with a multisite platform that makes content and site maintenance much easier, as well as a new design for each program website to better connect with prospective students.

The challenge: Eight websites going solo
To create a strategy for eight separate websites (the college + seven academic unit sites), Pixo conducted discovery research to understand the college’s and each unit’s unique audiences and struggles.

The seven programs suffered from the same challenges: every site was built with different technology, making content authoring and tech support a headache — and there was no visual or brand consistency between them, a missed opportunity for the college. Our research revealed that every academic unit had similar content needs, including degree information, faculty bios, research, news, and events. They also had the same primary goal: to appeal to prospective students. But just as the schools and departments vary widely in subject matter — from design to dance to architecture — so do their audiences. And as an arts college, they placed a high value on the individual expression of each discipline.

The solution: A multisite platform
Considering the overlap in content needs but the desire for visual difference, we designed and developed a multisite platform solution in WordPress for FAA.A multisite is a content management system that supports creating multiple websites from the same codebase of shared functionality. With a multisite, you get a set of tools that can be shared across all websites for content authoring, design, and maintenance.

### International web platform for Precision Planting
Precision Planting makes technology and hardware that allow farmers to customize and upgrade their farming equipment, available through dealers around the world. After Pixo successfully built and launched the flagship website for Precision Planting in North America, we helped the company expand their web presence as their operation grew globally.

The challenge: Global alignment with local flexibility
When expanding to international regions, Precision Planting needed product information and branding to be consistent across all websites. However, languages vary by region, as do product offerings, so built-in flexibility was key.

To further understand site goals and requirements, Pixo content strategists interviewed Precision Planting representatives in five international regions. We learned that the types of content that customers find convincing and useful are universal: product specifications, research, and event notices. We also learned that any research and data published about the products should be specific to the region’s crops and language. The biggest priority for representatives was for product specifications to be a reliable reference for potential customers.

The solution: A regional template and centralized product catalog
We created a custom content management system with a template that can be reproduced as the company expands into new areas. The template allows regional managers to showcase their own news, research, and events with images that reflect farming practices and crops in their area. Features can be turned on and off as needed, depending on the location or staff’s capacity for updating content.
