The OpsKings project management team is second to none. At no point throughout our engagement was I left in the dark or unaware of exactly where the project stood at all times. I always knew:

We had weekly touchpoints and they were always willing to jump on an extra call if more time was needed. 

In addition, the project management teams provides complete tansparancy. All documents are open, all systems are accessible, and all problems/issues were raised immediately. The last thing you want from a project manager is a surprise, and we never got any from the PM team at Opskings.

I'm the founder and CEO of Contara. We're a Shopify and Klaviyo agency that helps subscription-focused consumer packaged goods (CPG) brands grow.

OpsKings built a completely custom Airtable database and interface on top of it for our team to use as a project management tool. They also built integrations into Slack using Make.com. For our business, we do A/B testing, and they built a completely custom reporting tool based on our A/B test data that allowed us to calculate the impact that we had on all of our clients.

We were able to achieve our goal of building a custom project management system and replace other software tools like ClickUp in the process. We also saw operational improvements in our business that reduced the amount of time needed to complete work. Since our reporting for our clients was auto-generated, we saved multiple hours a week where we did not have to go and manually gather data. In general, the team was able to keep track of their tasks much better.

Communication and collaboration were quick and easy via a shared Slack channel and recurring weekly meetings with our business analyst. OpsKings' project management was very structured most of the time. They delivered on time, but if they weren't able to, they let us know.

We quickly realized there were many areas we needed to deploy resources to, as we were experiencing a surge in growth for our fractional CFO services business, STAXX.

• We needed a completely custom and dynamic operations management platform. Between all scoped engagements across clients and for the 15+ employees that we have, we needed something that would be reliable, efficient, and contextual to our business. As we grew, the complexities and nuances in our operations became incredibly important to stay on top of, when we're handling company finances, accounting, CFO work, tax strategy, legal, etc.
• In addition, they helped us automate many different aspects of our business such as the onboarding process, triage management, cross-app connection points and APIs.
• We realized there were many different software and vendors out there to choose from, but most of them could not accommodate the various nuances of our business, let alone meet us where we are and be willing to go the extra mile. Being able to have OpsKings' team available to us daily, with weekly dedicated calls, was immensely helpful in quickly addressing the challenges we had. We were able to have custom deliverables and workflows built out for us that not just resolve our current level of growth, but scale with that growth as time goes on.

Only negative part was keeping track of all the moving pieces we had in our businesses and keeping track of progress on bigger projects. What impressed me most was their ability to look beyond simple process improvement. They didn’t just find ways to make individual systems more efficient, they took the time to understand our company’s broader goals and evaluated how each part of the operation either supported or hindered those objectives. Their recommendations were strategic and focused on removing the barriers that were limiting our revenue growth and overall performance. It was clear they were committed to helping us align our day-to-day workflows with our long-term vision, which made their insight incredibly valuable.

Are there any areas for improvement or something OpsKings could have done differently?

After going through the demo and experiencing the format of that meeting, I think it would’ve made more sense to focus on the four key initiatives while we had Kyle and Wade present, rather than spending time on the audit recap. I realized afterwards that they weren't as concerned with the detailed operational review, but would've liked to weigh in on the high-level direction and next steps. This really is my bad, not yours :) so not a critique of your approach, it’s more of a reflection in hindsight. It could be helpful, if the team is similar to ours, to ask ahead of time whether they’d prefer to focus on strategic initiatives during the meeting with top executives, and reserve operational recaps for a separate conversation with the ops team. 

Also, I didn’t realize our final call would be a recorded interview. It was totally fine on my end, but I probably would’ve prepared a bit differently had I known we’d be on camera. No big deal, thankfully I didn’t just roll out of bed, but a quick heads-up would have been helpful.
