Describe the scope of work in detail. Please include a summary of key deliverables.
Olearis is my outsourced Product Design department, Web Design department and Graphic Design department. On top of that, their excellent experience, both in their employees and in their founder, are consistently available to support with Company Strategy at any level (marketing, growth, programming, ...). They have built many successful apps and products and are happy to share their expertise and growing pains so you don't have to.
In detail, they redesigned my app, starting from initial research, competitor analysis, user interviews, ... all the way to finalised, tested and very deeply thought out designs. We have iterated a number of times in a highly professional manner. Their attention to detail at reasonable prices has allowed for great work, as often just investing the hours and continued brainpower to get to amazing and useable designs is necessary and they are willing to do that and great at it. They continuously work with me on new features, from ideation all the way to finalised designs and form that part of my product pipeline.
They have also supported me on redesigning my website, improving my SEO, providing graphics etc. for my marketing and similar points. These happen quickly, with minimal input from my side, as they are (relatively) simpler tasks and there is very little handholding from my side required. They just move, get it done, I review and give some feedback and its ready. And again, at a pricepoint that is attractive even though extensive hours are necessary and are being invested.
Overall I am incredibly happy working with them. It is also a lot of fun because their team has great personality, they care, they are good at what they do, they listen and in general we have fun :)
RESULTS & FEEDBACK
What were the measurable outcomes from the project that demonstrate progress or success?
New website (anki-buddy.com)
New app designs (app.anki-buddy.com)
Graphics for marketing (all Anki Buddy marketing material)
Improved SEO
There are constant deliverables in the form of new designs and it is clear these are great as the users use them (because together with Olearis we made sure they are useful and useable and look great) and the users love them (direct feedback from users). No negative feedback from users or metrics on any of the design choices yet.
Describe their project management. Did they deliver items on time? How did they respond to your needs?
Overall this works well, although they are less "German" than old school, traditional German agencies might be (I live in Germany). The timelines are generally met, the deliverables are generally to a great quality on the first go and if not are iterated on and imprvoed very quickly. They are excellent when responding to special concerns and when problems arise.
They give their employees a great deal of autonomy. As their employees are very good, this works very well, but it does mean that there is no super professional project management layer on top of everything like you might find in an (expensive and qualitatively worse) old-school German agency.
At least with me, we keep it clear that we are two or more people working together and sometimes something is forgotten by me and sometimes something is forgotten by them. One of my contacts is less responsive on Slack. Another gets stressed sometimes. For me, this is normal human behavior, enjoyable and preferrable to work with, and the results are simply excellent.
If you are expecting a super clean and professionally perfect communication with deliverables clearly outlined and project plans etc. (like a huge corporation might want form an old-school Agency that costs 5x more than Olearis) then I actually think they could do it, but it is not the service I am receiving, most likely because I don't want it. So make sure to communicate this expectation and they will probably set a dedicated project manager over everything, which will still be completely affordable.

This is the first time I am working with designers that are consistently blowing me away with how good they design for the user. I am a seasoned product manager and this is my 5th product, 2nd VC backed startup and I have worked with 7 designers so far.
Are there any areas for improvement or something Olearis could have done differently?
Not really.

Olearis developed a mental well-being mobile app for a digital therapy company. The team built a cross-platform app with UX/UI features, real-time messaging, audio input, and a responsive design.
Olearis had good communication and progress updates. However, concerns emerged over time in terms of billing transparency and verification. The client suggested a more clearly defined scope and verifiable proof of billing hours, although the engagement was completed. This review is an update by the client company. The original content is located below the new review. This review includes the service provider's response.
The client submitted this review online.
BACKGROUND
Introduce your business and what you do there.: I am the Director of Digital Therapies Limited
OPPORTUNITY / CHALLENGE
What challenge were you trying to address? Olearis developed and helped launch a cross-platform mental wellbeing mobile application for our company, including iOS and Android builds, backend infrastructure, AI chat and voice features, and app store submissions. From a delivery standpoint, the application was ultimately published on both platforms and core functionality (text chat, voice interactions, subscriptions, and backend systems) was implemented. Communication during the project was generally responsive, and regular status updates were provided. However, following the end of the engagement, I conducted a detailed post-contract financial and timesheet audit. This audit revealed significant concerns around hourly billing practices. In particular, I identified repeated and overlapping task descriptions across multiple weeks, uniform daily hour patterns, and a lack of verifiable proof of work (such as commits, work-diary evidence, or artifacts) corresponding to a substantial portion of the hours billed. While source code and assets were delivered, the documentation and evidence provided were not sufficient to independently verify that the billed hours accurately reflected the work performed. This materially changed my assessment of the engagement compared to my initial impression during active development. In summary, while the project did result in a launched product, I would advise other clients using hourly contracts to closely monitor billing, require strong proof-of-work practices, and ensure clear separation of scope between development and design services.
SOLUTION
What was the scope of their involvement and team dynamic? Olearis was engaged to provide end-to-end development and design services for a cross-platform mental wellbeing mobile application, including iOS and Android development, backend infrastructure, AI features, and app store launch support. The team typically involved 2–5 members, with communication handled through virtual meetings and messaging. While a working product was delivered, a later review of project records raised questions around how some effort was allocated across the team.
What's the status of this engagement?
The engagement has concluded, and the contracts were closed following completion of the project.
RESULTS & FEEDBACK
How did your relationship with your partner evolve? The relationship was collaborative during the active development phase, with regular communication and progress updates. Over time, and particularly after project completion, concerns emerged around billing transparency and verification of effort, which affected overall trust. As a result, the engagement concluded professionally but without continuation.
In what ways can they improve?
They could improve by providing clearer, verifiable proof of work for hourly billing, such as detailed task breakdowns and stronger documentation linking effort to deliverables. Clearer separation of scope between development and design services would also help improve transparency and trust.
What advice do you have for clients with similar needs to yours?
Clients with similar needs should clearly define scope and milestones upfront and closely monitor hourly billing throughout the engagement. Requesting regular proof of work and maintaining clear separation between development and design responsibilities can help ensure transparency and alignment.

Describe the scope of work in detail. Please include a summary of key deliverables.
Olearis helped us build and launch HearMeOut, a mental-wellbeing mobile application available on iOS and Android. Their team handled both the technical architecture and the full development cycle — from initial setup to production deployment.
The scope of work included:
Mobile App Development (iOS & Android): Building a fully functional cross-platform mobile app with smooth UI/UX, real-time messaging, audio input, and responsive design based on our Figma prototypes. Backend & Infrastructure Setup: Implementing a robust backend using Firebase (authentication, Firestore, storage, remote config) and integrating server-side components for secure communication with OpenAI’s API. AI Integration: Connecting multiple OpenAI models for text chat, voice mode, transcription, and safety moderation, including custom routing, caching, and cost-optimization logic. Subscription & Payments: Implementing in-app subscriptions (iOS and Android), including auto-renewable purchases, backend verification, and handling App Store / Play Store compliance requirements. App Store & Play Store Launch Support: Assisting with metadata, screenshots, build uploads, bug fixes, and multiple rounds of review feedback — including resolving Apple guideline issues. Testing & Quality Assurance: Extensive QA across devices, load testing for AI interactions, and fixing edge-case issues like audio timing, token cut-offs, and performance bottlenecks. Key deliverables included:
Fully developed and deployed iOS and Android applications Complete backend infrastructure (Firebase + server integrations) AI conversation engine with voice, text, transcription, and safety layers Subscription/payments system ready for production App Store & Google Play ready builds, including support during review Documentation for developers, technical handover, and ongoing support
RESULTS & FEEDBACK
What were the measurable outcomes from the project that demonstrate progress or success?
The collaboration with Olearis delivered several clear, measurable outcomes:
Successful launch on both iOS and Android: The HearMeOut mobile app was fully approved and published on the App Store and Google Play — a major milestone given Apple’s strict review requirements. Functional AI-driven wellbeing platform: The app now provides reliable, real-time AI chat and voice support using multiple OpenAI models, with smooth transcription, stable conversation flow, and no critical cut-offs. Improved performance and stability: Through their optimizations, the app maintains fast response times, reduced audio latency, and stable operation across a wide range of devices. Subscription system working end-to-end: Auto-renewable subscriptions were implemented, tested, and verified to function correctly in production for both platforms. Successful compliance with app store guidelines: Olearis helped navigate several Apple review challenges, resulting in full approval and public release. Positive early user engagement: Early users have been able to interact with the app without major issues, confirming that core features (real-time chat, voice mode, safety layer, etc.) are functioning as intended. Production-ready infrastructure: Backend systems, including Firebase, verification logic, and OpenAI routing, are now fully deployed and stable. Overall, the project progressed from concept to a live, functioning product with a measurable, real-world user base — demonstrating clear success both technically and operationally.
Describe their project management. Did they deliver items on time? How did they respond to your needs?
The project management was consistently strong. Tanya, the project manager, was highly organized, proactive, and easy to work with throughout the entire development process. She maintained clear communication, provided regular updates, and made sure I always knew what stage the project was in.
Olearis delivered the majority of milestones on time, and when unexpected challenges came up — especially around Apple’s strict review process — Tanya quickly coordinated the team, adjusted timelines when needed, and kept everything moving forward without losing momentum.
They were very responsive to my needs, often implementing changes or addressing questions on the same day. Even complex feedback related to AI integration, subscription logic, or app store requirements was handled professionally and with attention to detail. I always felt heard, and they made honest, realistic assessments about what was possible within the timeline.
Overall, their project management was reliable, transparent, and very user-focused, which made the entire collaboration smooth and dependable.

What did you find most impressive or unique about this company?
What impressed me most about Olearis was their combination of technical expertise and genuine commitment to the success of my product. They weren’t just ticking boxes or completing tasks — they actually cared about building the app properly and making sure the final result matched the vision.
Their ability to handle complex AI integration, cross-platform development, backend architecture, and app store compliance all under one roof was genuinely unique. A lot of companies claim to offer “end-to-end” development, but Olearis actually delivered it.
I was also impressed by their consistency and reliability. Whenever an unexpected challenge came up — especially during Apple’s review process — they didn’t panic or shift responsibility. They calmly found solutions, advised me clearly, and kept pushing the project forward.
The level of communication and professionalism from Tanya and the team really stood out. They were transparent, patient with feedback, and always willing to dive into details or explore alternatives when needed. It felt like working with a partner rather than just a vendor.
Are there any areas for improvement or something Olearis could have done differently?
Overall, I’m very satisfied with the collaboration, but if I had to mention one area for improvement, it would be around estimating timelines more accurately for highly complex features — especially those involving new AI capabilities or unpredictable app store review requirements. Some parts took longer than initially expected, although this was largely due to the nature of the work and external factors.
That said, whenever delays appeared, the team communicated openly, adapted quickly, and resolved issues without compromising quality. Their transparency and willingness to go the extra mile made a huge difference.
In general, the experience was very positive, and any challenges we faced were handled professionally and constructively.

Company Responses
The service provider responded on March 11, 2026.
Although the project was ultimately successful, it ended unexpectedly.
The original scope was delivered on time and within budget, and the client confirmed satisfaction with the quality. The app was successfully published to both the Apple App Store and Google Play.
After that, the client returned to us with an additional feature, and after we tracked the initial 24 hours of work in progress, he said it should have been completed within 10-12 hours. Such an expectation was not communicated beforehand, and would not have been started by us if we had known it. We worked with an hourly contract, tracking actual time spent. In the end, we spent more time, but it was not approved and paid, which led to the contract termination.

Happiness Tracker App Design & Dev for Wellness Company
A wellness company hired Olearis to design and develop an emotional awareness and happiness tracker app using Flutter. The team was also responsible for launching the app on the App Store and Google Play.
Olearis failed to launch the app on Google Play and did not fix everything that the client had paid for. The team also missed multiple deadlines, and their progress slowed significantly after receiving payment. The client was forced to hire a new development team to complete the project. This review includes the service provider’s response.

Describe the scope of work in detail. Please include a summary of key deliverables.
The company was hired to design and develop my app using Flutter and assist in launching it on the App Store and Google Play.
At first, everything seemed to be going well. However, after I had already spent the maximum promised budget on design, they suggested keeping it the same as the prototype, even though it was far from what I had originally shown them as my preference. I had to make several adjustments myself to improve its appearance.
Once the design was implemented on the phone, I noticed something was off. Despite this, the designer kept insisting that everything was correct. To verify my concerns, I hired three independent designers to conduct an audit, and they all pointed out the same issues. Eventually, the company made the necessary fixes.
When development began, every new build they sent me would break something that had previously been working. After we agreed to break up, we agreed that they would upload the final build, and I would have two weeks to report bugs, which they would be responsible for fixing. However, they only managed to upload it to the App Store, never fixed the reported bugs, and after five months, we got rejected by Google Play four times.
I had to hire a new development team, and they got the app live on Google Play within just one week. After all this, the company demanded payment for work they didn’t complete. When I requested compensation, they only refunded me $300, even though hiring them for the same job would have cost thousands.
RESULTS & FEEDBACK
What were the measurable outcomes from the project that demonstrate progress or success?
The app was eventually built, but they were unable to upload it to Google Play. Additionally, they did not complete or fix everything that I had paid for.
Describe their project management. Did they deliver items on time? How did they respond to your needs?
When I first contacted them, I showed them a similar app to what I wanted to build. They provided me with a roadmap stating the project would be completed by the beginning of March. The app they referenced was three times bigger than the MVP of my app.
However, in the contract, they estimated the timeline from mid-February to mid-April. At first, I wondered why the timeframe was the same for my app, which had significantly fewer features, but I accepted it, thinking it would still be ready in March.
They didn’t finish it by April, and we only managed to launch the app in June. After receiving all the money, their progress slowed even further, with them claiming their developers were working on other projects. By November, I had no choice but to hire new developers to finally complete the project.
What was your primary form of communication with Olearis?
Virtual Meeting
Email or Messaging App
What did you find most impressive or unique about this company?
Nothing. I wish i never worked with them.
Are there any areas for improvement or something Olearis could have done differently?
They promised I would be in direct contact with the programmers, but after asking a few times, I was never able to communicate with them. With my new team, I now chat directly with the programmers and can get a fixed build within an hour. With Olearis, it would take 1-2 weeks.
I wish their CEO, Alexander, wasn’t that rude.
I discovered that the designers included in their portfolio the ideas I wanted for my app, which they are now using in their own project. This was a clear violation of the NDA, as they were not allowed to use my concepts.
Additionally, they added a similar feature that we had developed for my app into their own app before mine was even launched—without informing me that we were actually competitors.
Company Responses
The service provider responded on April 16th, 2025
We appreciate the opportunity to share our perspective regarding this review, which stands out from our usual positive feedback. Unfortunately, the collaboration in question was exceptionally challenging due to the client’s unreasonable and unprofessional behavior. The collaboration was emotionally draining, negatively affecting our team’s motivation and finances.
At Olearis, we take pride in delivering high-quality work, as demonstrated by dozens of glowing reviews on our profile. We value transparency and honest feedback, but this review misrepresents the reality of our work together.
Below, we address the specific claims made in the review:
Claim: “The designers used my app ideas in their own project.”
Fact: This is false. We never re-used the client’s ideas. The app’s core idea—“MyQualia points”—was never used elsewhere. Features like mood tracking are standard in many apps. No code or proprietary content was reused.
Claim: “They violated the NDA.”
Fact: Absolutely not. We fully complied with all terms. No confidential information was disclosed or reused in any way. If needed, we can provide proof of compliance.
Claim: “The design had issues confirmed by three external designers.”
Fact: The design met best practices and was initially approved by the client. Later, subjective changes were requested based on personal preferences and feedback from friends, which we implemented at no extra cost.
Claim: “The app wasn’t published due to design flaws.”
Fact: The delay on Google Play was partly due to legal and business-related issues, not technical ones. These matters were under the client’s control but were unfairly attributed to us.
We remain committed to providing exceptional service and maintaining professionalism in all our projects. We hope this response will help potential clients understand the context of this review and evaluate our services fairly.

Olearis provides a mobile app, backend, and API development for an air purifier manufacturer. The team has built Android and iOS apps and helped with backend API builds, backend releases, and integrations.
The iOS app is smooth, and Olearis has helped refactor a solution to reduce its memory requirement from 10 GB to 30 MB. The team meets timelines, communicates via Slack, and uses Jira and Notion for project management. Their flexibility with the budget and ability to accommodate needs stand out.
A Clutch analyst personally interviewed this
client over the phone. Below is an edited
transcript.
BACKGROUND
Introduce your business and what you do there.
I’m the director of software and services at Mila Cares. I lead backend development, software development, backend services infrastructure, and security. Our company builds home air purifiers and helps our customers understand their home air quality.
We also give our users the capability to solve air quality problems. We build both the hardware, software, and firmware for our appliances. We do the full stack, including electrical engineering and software development for web and mobile apps on iOS and Android.
OPPORTUNITY / CHALLENGE
What challenge were you trying to address with Olearis?
We had previously launched our air purifier specifically for China, but we needed their help with our mobile application. We had worked with Olearis in the past and knew they had the skills to develop the mobile apps we needed, integrate the UI we designed, and ensure that it was tied together with our mobile app and backend.
SOLUTION
What was the scope of their involvement?
Olearis has been with us from the very start. The deliverables started with the mobile applications. The team built applications for iOS and Android. The mobile applications allow our customers to control their air purifiers and see all the sensor information that the air purifier can monitor, including particulate matter, humidity levels, and temperature sensors, to name a few. We provided all that information within the mobile application.
Olearis was responsible for building the application, integrating it with an authentication provider, and integrating the APIs we had in our backend with the mobile application. Olearis has also helped us develop those backend APIs.
Usually, a new project starts with a specification. It might be a business spec at first, and then we work with the team to develop the technical specification of all the requirements we need to implement, as well as the associated costs and timelines. From there, we start the development phases, an alpha phase at first. They do QA and provide beta testing services as well.
After the alpha phase, when we have a deliverable ready to iterate on or test, we might send improvements or request changes. Often, in the design phase, Olearis offers feedback about design considerations or technical requirements if the design requires something special on the backend.
We then have a beta phase with beta customers. Our beta customers have signed up to help us with the beta level of testing. They're in our pre-production services and can access the mobile applications or some features that aren’t available yet in production. They help test these areas, offer their feedback, and get to see what’s coming in the near future.
Olearis also helps with releases for the backend and the mobile applications themselves. They’re part of everything. We tend to do our own designs internally or as a separate resource, but they’re part of that process as well. If we need new assets or don’t think about something in particular, they remind us of areas that we might need more focus on.
The team uses Swift for iOS. On the Android side, they use Kotlin and Flutter. Some areas of the backend are integrated in Java, and they’ve helped us integrate other areas with C# to give us more advanced processing power. We’ve also developed some backend services with the team in Python and Java. They’ve also done a lot of backend services for us, both in the APIs and in Node.js, Java, Python, and C# development.t.
Olearis has also helped us with service-level integrations. The team has helped us look at alternatives for our authentication provider and other open-source libraries or tools that we could employ most effectively in our organization. Our appliances use the MQTT protocol to speak with our backend services. The appliances send sensor information to the backend, and the backend can store it. We’ve stored it in an InfluxDB database, which Olearis has helped us set up.
With EMQX clusters, the team has helped us build and organize them. It’s essentially the communication hub between the appliances and our backend servers.
What is the team composition?
The team fluctuates based on our needs. Right now, we have 3–5 developers from Olearis, but we’ve had up to 7–8 working all at once. We've also worked with a project manager and Oleg (Founder & CEO), who helps and is always on our weekly calls. He also helps with project management.
How did you come to work with Olearis?
We initially found them on a freelancer platform. Back then, Oleg was working with us directly. Olearis didn’t exist when we first met. As our needs grew, he was able to bring in more engineers, and he formally started his business.
What is the status of this engagement?
We started working together around the first quarter of 2016, and our relationship is ongoing.
RESULTS & FEEDBACK
What evidence can you share that demonstrates the impact of the engagement?
Most recently, we integrated a weather forecasting solution. To process it, at least 10 gigabytes (GB) of memory would be required. One of Olearis' backend engineers rebuilt the service, saving significant resources by reducing the memory requirement from 10 GB to 30 megabytes (MB). The processing time has also been drastically reduced.
The particular format for the weather forecasting information we’re able to pull from the internet is in an image format. The engineer was able to parse the image format and extract the particular bits that contain the information in order to parse the weather forecasts. That was a huge improvement on a very recent service.
Another area is our iOS applications, which are incredibly smooth. We’re floored every time Olearis creates such smooth transitions and experiences in iOS. We bring them a design, and they’re able to bring it to life in every way we could have asked for. QA has also been a huge help for us.
Many of our customers are always looking for more services, so that’s something we’re trying to provide them. We’re also looking to simplify existing services further. It’s a long range of areas, from better tools to manage their subscription services to being able to create accounts outside of our mobile applications. Olearis has helped us with stability. We’ve had some concerns about our stability on the backend in the past, and they’ve really helped us scale to improve that reliability.
How did Olearis perform from a project management standpoint?
They’re pretty good at meeting deadlines. If we have a hard deadline, they strive extremely hard to reach it. It varies depending on the project, but Olearis is always working extremely hard. With the few teammates we have assigned to the project, they’re able to consistently meet our deadlines and timelines. I have no concerns there.
Usually, if there is a concern, it’s more that we’ve tried to do too much in too little time. That’s more of an issue outside of Olearis' team. The project might be delayed because of reworking designs, which is not something that is really their concern.
We typically communicate in Slack. We also have weekly meetings to review the priorities for the upcoming week and any priorities that need a little extra attention or for upcoming deadlines. We use Jira for managing specific assignments, and we store documentation in Notion.
Are there any employees from the service provider's team that you would like to give a shout-out to in this review?
We've worked with Oleg for over 10 years, not just on this project but on others. He's incredible, and I can't thank him enough for the work he's done for us over the years; I look forward to many, many more years working together.
Dmytro (Former Software Engineering Team Lead & Frontend Developer) has been a powerhouse in Android development and backend services. Ruslan (iOS Engineer) is a senior engineer who's able to integrate incredible experiences in iOS as well. Vitaly (Python Developer) is a recent addition to the team who also has great experience. He joined our team about a month ago, and it's been an absolute pleasure working with him.
What did you find most impressive about them?
Olearis is able to find expertise on a whole other level that we haven’t had anywhere else. If we have a particular project need, they’re either able to find somebody with that expertise or pull somebody in who already has that expertise. They’re also able to learn it on the fly.
That aspect has been incredible because they’ve been able to move mountains for us in the past and continue to do so. We also greatly appreciate the flexibility they offer. As budgets grow or shrink, Olearis has been able to accommodate our business and customer needs.
Are there any areas they could improve?
There isn’t anything they’ve specifically had to improve on themselves. They’ve always worked with us very closely. If we ever have any concerns, we’re able to openly discuss them and find ways to improve them.
Usually, it’s the process of business where we sometimes need to outline things better for them. However, there has never been something they haven’t been able to improve over time through discussions and better collaboration.
Do you have any advice for potential customers?
Clear timelines and specifications really help. Know and understand what you want. If you don’t, be open about that and clearly say it. Work with Olearis to develop those needs.

Kleanapp hired Olearis for the full service development of a mobile app on Android and iOS. The ask was to create a first-of-its kind mobile app that would allow for truly on-demand booking of cleaning services. They began with consultancy services and market analysis, UI/UX design and a seamless development phase toward our successful release. They were especially skilled at creating algorithms and functionality that would allow consumers to customize orders based on hundreds of factors, accurately creating and reflecting these orders for providers to accept and complete . Now they are working on post-launch updates based on market feedback and Kleanapp expansion goals.

We found Olearis to be excellent listeners at the foundational level and throughout the entirety of the project. They asked all the right questions to truly understand the end goal and professionally evaluated areas that were not possible or recommended due to budgeting, expired trends, or repetitiveness. We believe it is because of this that the process and deliverable were incredibly smooth, and the end result perfectly captured the vision. Olearis operates at a very senior level on all fronts of the project, especially development. We were repeatedly impressed with their skills and ability to solve complex problems in a timely manner.

The first is the quality and speed of the development. The team there is doing some really great work and doing it quickly.
The second is the quality of the leadership. Oleg clearly cares about his team and cares about building strong partnerships for the long term, rather than just transactional relationships. He gets what his clients are trying to accomplish and works with them as a partner to achieve them.
The third is the sense of partnership from the development team. They are not just building, they are engaged and thinking critically about what we're doing and making suggestions that are making the idea and execution better, which is definitely resulting in a better product at the end of the day.
Are there any areas for improvement or something Olearis could have done differently?
