At first I worked with individual developers. The Django developer was responsible for the backend and REST API, and I was impressed by how independently he was able to work on this part of the project. Given a clear list of requirements, he was able to design and build a robust and scalable backend that met our needs with prompt delivery of new features and database changes.

The React and React Native front-end work was much more collaborative, and the developer reviewed and tested the apps together with me. He was able to incorporate my feedback and make changes as necessary, which helped to ensure that the final product met our requirements and was user-friendly.

Later, we added a project manager who was able to manage the development process effectively, coordinating tasks and deadlines for three developers. His excellent communication skills helped to keep everyone informed and coordinated, and allowed me to meet less frequently with the team while ensuring product quality and timely delivery.

Still, the team is awesome; the solutions engineers stepped in and didn’t hand us off to the next person. We liked that about them.

Trust them. They know what they’re talking about, specifically on the AI side. We spent a lot of time trying to convince them we were right when we should’ve just sat back and listened to them in the first place.

I’m the technical co-founder of Blossom, a company that offers a set of tools to help conduct user research and bring the research to where the work happens. Everyone at software companies uses different tools, depending on which department they’re in. Our tools help take the user research and the findings from user interviews and bring that information to all the tools that the rest of the company uses. As technical co-founder, I’m responsible for writing code, planning architecture, delegating technical work, and other tasks of that nature.

What challenge were you trying to address with Oak-Tree Technologies?

We were already working with software developers from other agencies on developing our product, but we needed more support. These companies didn’t have more backend software developers available, so we started looking for other resources to add to our existing team. We wanted these developers to be able to join us, get up to speed very quickly, and be productive.

At the time, our product was useful only for individuals, so our main challenge was making our product useful for teams as well. Additionally, we needed to meet a very important deadline due to some commitments we had made.

What was the scope of their involvement?

Oak-Tree provided us with a backend software engineer to help us build out the features we were working on. Given that we were looking to make our product useful for teams, these features included creating workspaces, inviting team members to the projects, sharing information, and other capabilities of that nature. The backend development language for the features was Django.

When Oak-Tree’s developer joined our team, this person immediately started working with me on designing these features from a technical perspective. After the design, they started implementing the features, checking in with me daily. We iterated on these features until completion.

I worked with two people from Oak-Tree: a backend software engineer and a business development person who was also an engineer and acted as support.

How did you come to work with Oak-Tree Technologies?

I went through Upwork searching for different development agencies or independent developers, focusing on agencies with a good track record and a lot of experience. I interviewed between 6–10 providers — both agencies and individuals — including Oak-Tree. Given that they and other companies were based in Ukraine, I scheduled the interviews at a convenient time for them.

The purpose of these interviews was to dive deep into their technical experience by talking about the projects they had done in the past. Most development companies have technical competency, but they present challenges regarding communication and availability. Thus, I also evaluated those aspects during the interviews, and Oak-Tree was very strong in that regard.

What is the status of this engagement?

We found Oak-Tree in November 2021, and we started working together in December 2021. We completed the features in February 2022, just as the Russian Invasion of Ukraine started. Due to this situation, we ended our collaboration.

Given that we’re a small startup, I really appreciated that I could talk with Oak-Tree’s resource every single day and get a sense of their progress. Furthermore, I got the chance to review the code they wrote and the decisions they made, which contributed to our success. It was a high-quality engagement overall.

How did Oak-Tree Technologies perform from a project management standpoint?

Oak-Tree’s project management was great. We worked very well together, actively discussing estimates and answering questions about the project. Once we clarified our doubts, they dove back into the project.

I was really surprised with Oak-Tree’s ability to meet our goals and openly communicate when surprises happened. We checked in every day; both of their resources joined our Slack, and we had open communication with them. Via Slack, we mostly texted, but we also had calls and asynchronous communication. Additionally, they used Coda for project management.

What did you find most impressive about them?

Everyone from Oak-Tree had a lot of technical experience. Most providers I found fell into two categories: they either were independent developers or development agencies. Most agencies paired up a software developer and a business development person to support their developer. However, what made Oak-Tree different was that the business developer they provided us with was also an engineer, so it was really easy talking to him about the technical aspects of the project.

We hired Oak-Tree Technologies to do custom software development for us.

SOLUTION

What was the scope of their involvement?

Oak-Tree Technologies worked on updating our API to be consumed by external users. They also closed a bunch of initially opened endpoints that were available for developers. Some of these endpoints were related to querying our API under a load of extended queries for specific company data, which is what we provide for our clients or the people working in those companies.

First, the team defined the means of the endpoint to be consumed externally and created a data endpoint, mapping and documenting them. The second phase involved changing the software on the backend, the servers, and the codebase. The third phase was all about security testing and reinforcement.

The Oak-Tree team dealt with some legacy code and introduced a sufficient amount of new code to change the way our API works. They used the Pyramid framework along with Linux, Ec2, and Nginx for hosting.

We met through Upwork. We talked about the details of the project, agreed on a budget, then moved forward from there.

The results were not linear because Oak-Tree Technologies worked on a new feature that affects different kinds of customers. We did see the improvement in that we can now offer this as a feature, which didn’t exist before, to a client. It's very good for business, and it enables us to build a better portfolio of products and offerings.

How did Oak-Tree Technologies perform from a project management standpoint?

They were very good in terms of project management. I particularly liked the professional way in which we communicated; we conducted daily meetings to keep each other updated on our progress. 

We use Jira internally, but we didn’t utilize it with them since it was a limited-time project. We simply outlined the scope in a roadmap document, and their team did the documentation about the endpoint used and the query language, which helped structurize the project.

We used Zoom, Telegram, Teams, and emails for communication.

What did you find most impressive about them?

They were flexible and proactive at the same time. Their experience was evident in their good understanding of the project and in their helpful ideas and suggestions. 

Are there any areas they could improve?

They could spend their time a little bit more efficiently, especially in the initial stages. We had made documentation a priority at the beginning of the project, and, as a result, spent more time on it rather than on the code.

Be open to their suggestions because they’re very knowledgeable. Leverage their expertise instead of telling them what to do.
