We were looking for a company with a decent amount of AI experience in development, specifically deep learning. We don’t harvest user data, but we understand there’s an inherent value in training AI with this data, which our users also understand. We hired Neoteric to develop a slurred speech identification AI.

What was the scope of their involvement?

The software was built from scratch; we gave them a spec sheet and a technical definition sheet and discussed everything else with them. Neoteric developed the UX/UI for our flagship application in parallel with the AI. 

We focused primarily on security using the native facial ID on iOS and Android as well as the PIN because the app had to be convenient while maintaining the utmost security. We went with minimal login security and maximal use security, meaning before users started documenting consensual encounters, we used our AI software to verify that the person giving consent was who they said they were using their voice pattern.

Other key features included the custom-designed layout of our educational modules. These were animated videos that we had produced in-house alongside the framework for our quiz and testing system. Neoteric also had digital artists that created all the renderings, designs, and font types for us.  

We have a strict 100% pass requirement, and Neoteric created custom software to randomize the tests and ensure that after someone failed to reach 100%, the curriculum reset and forced users to rewatch all of the videos. Neoteric used Strapi on the backend admin panel, which makes it easy for us to change the app on the fly. They’re handling extended maintenance.

We had 6–8 people assigned to the project throughout our engagement. This included UX/UI developers, designers, a liaison, a lead coder, a QA person, and a person that handled the financial side.

We’d done a lot of research beforehand and were starting from the ground up and needed a company that would fit our flexible research needs. We found Neoteric on Clutch, and after vetting a few other companies, they were the only company that seemed to meet all of our specific needs within our very strict timeline.

We worked together between July–December 2022. We’ve finished the first version's development, but plan on developing further programs once we have more funding.

What evidence can you share that demonstrates the impact of the engagement? 

We’re still pre-revenue and don't have any metrics beyond consumer engagement, but we’re about to start a beta program with an academic institution. The crispness of the aesthetic is partially why we were able to obtain the beta program. 

We’ve had a high level of satisfaction with our executives and partners. Some of the employees within our companies had a few notes about optimization, so we shuffled some pages and options within the app, but for the most part, it has been received very well. We’ve reached a 96% degree of certainty with a sample size of 500 people; we expect that number to continue to grow in accuracy with more users. Everything they built has met our expectations. 

How did Neoteric perform from a project management standpoint?

During development, there were instances when staff changes occurred, but Neoteric was very quick to respond and shouldered the financial responsibility of getting people up to speed. 

We had weekly Zoom meetings at the start of the week and communicated via Slack. When the project got larger, we met twice weekly over Zoom and used Jira for project management. 

We had two bugs that did not impact the app's functionality, one of which was discovered by Neoteric’s QA department. The bug was handled in the background, and Neoteric pushed an update. The other bug revolved around profile pictures, and Neoteric reported that the bug was completely server-sided. 

What did you find most impressive about them?

They took the time to get to know our company and went very in-depth with their research to understand where we were coming from. Whenever we ran into issues or potentially new technologies we could use, they took it upon themselves to develop a prototype or a mock-up to suggest to us. We were impressed that they could deduce what we wanted and deliver beyond our expectations.

After a series of discovery meetings, it was clear that our current webpage was leading any person outside the organization completely off track. We don’t have many hard success metrics, but the metrics we do have are fairly standard. Our team checks the code’s health and gives overall feedback for Neoteric’s work. I can also be fairly hands-on since we’re a small team. What’s been truly nice about them is their strong sense of ownership. 

Moreover, their resources are also receptive to feedback, and they’ve been active participants in the coding process. The team actively shares what they know. Every time a problem happens, they step up and dig into the matter. From that perspective, Neoteric has served like our true employees. 

How did Neoteric perform from a project management standpoint?

Neoteric has been highly communicative. While we do our own delivery management, their team is good at following up and participating. They tell us when estimates seem inaccurate and then find reasonable solutions. They contribute to the making of highly sensible plans. On top of that, hitting deadlines and critical delivery goals has never been a problem for them. 

For project management tools, we use Jira for everything. We track every issue using tickets. Our teams also use Jira for communications and standups. Meanwhile, the complete code review happens on GitHub. Most of our communications happen openly and transparently. Their resources also quickly adapt to our way of working and communications.

The account manager that Neoteric has assigned to us has been truly easy to talk to and approachable. We never have to wait for an answer. If there’s an issue and we send him an email, we receive a quick answer. He’s always ready to hop on a call with us.

What was the scope of their involvement?

Neoteric provides our team with custom software development and several other projects. The first project we completed was a workplace organization app based on "5S methodology" that uses a list of five Japanese words translated as "sort," "set in order," "shine," "standardize," and "sustain." We added "safety" as a sixth step. The purpose of the app is to boost situational awareness at our company. The app enables administrators to draw the areas of the facility and link corresponding areas in Odoo. The app helps to see the inspection status of each area, the percentage of its completion, and its score in a numeric value.

Our ongoing project is the development of a performance management system for employees called Balanced Score Cards. The main intent of the app is quarterly strategy maps that show in real-time the status of a quarter. These are mapped to Balanced Scorecards that are tracking actual vs a Triade of targets (TTS - Threshold, Target, Stretch).

It also allows the automatic collection of data from other apps, as well as manual collection.
Regarding technologies, they used Angular, TypeScript, and JointJS for the application itself. Jasmine and Karma were used for unit testing, Cucumber for E2E tests, and GitHub for sharing CD.

Neoteric is a critical player in this project. This project is in a complicated niche, and their team did extensive R&D for it. They're a trusted vendor who makes a significant impact. As a playable game is a minimum for receiving user feedback, we don’t have any yet.

How did Neoteric perform from a project management standpoint?

We have a shared Slack channel, so everything’s transparent. For paperwork and contract-related topics, we communicate via email. I also meet with the team twice a week.

We follow a Scrum methodology and run against weekly sprints. Sprint planning reviews take place every Tuesday and Thursday, and there’s a backlog grooming session.

I’m satisfied with how their team manages the project. When we decided to take a couple of different directions, Neoteric rolled with the changes and didn’t fuss about them. They initially set a structure and have adapted it as our circumstances have changed.

What did you find most impressive about them?

We had problems configuring and integrating facebook app with our system and external provider Smooch. We struggeled both with app review permissions and changing our source code as well. We came across Neoteric during our search for IT solutions provider via linkedin and IT platforms. We ended up with four companies. All of them were informed that this task is time sensitive and crutial to our project in terms of our alfa-launch schedule and investor relations.

The most important factor for us was Neoteric's proactive attitude. After the initial talks and signing NDA they started with thorough review of our code and previously configured facebook app, and came up with a propable solution within one busienss day. And that was their time and resources investment - becouse we were not charged for that initial audit.

They deployed testing environment to understand the scope of the problem and to design and test all implemented changes. We were under a lot of pressure to deliver on a tight timeline, and they were able to meet our deadlines. That was remarkable and seemingly impossible. We’re just starting to launch, but they’ve performed incredibly across metrics so far. 

The final app will serve as an open-source tool, aiming to reach disadvantaged youth across developing countries to help them reach more opportunities. Their work will have a huge impact in tons of ways, so we’re looking forward to its launch.  

How did Neoteric perform from a project management standpoint?

They’ve been excellent, clear communicators. We meet either once or twice a week, and they have a clear way of structuring their work. When they go through the onboarding process, it’s very well explained. They also do frequent assessments to manage or pivot the project as needed. Their team is always making sure the project is running the best way it can. If there’s something wrong, they’re trying to pivot and improve.  

What did you find most impressive about them?

I haven’t worked with another firm that matches their professionalism, quality of output, and reasonable costs. They’re amenable to their clients and produce very high-quality work. I recommend them to everyone. If I had the opportunity to work exclusively with them, I would.

Neoteric has also managed to fulfill our engineering needs across a lot of different disciplines. They’ve launched exceptional experiences that are high-profile consumer-facing digital products. They have steadily improved and evolved over time. They’ve met and exceeded our expectations.

Our product manager is both an advocate for business needs, as well as for the team and their capabilities. It’s been incredibly helpful. The people who do the development work can keep as focused as possible on what they need to do, while I can keep informed and be flexible with the day-to-day needs of the business.

We release things together multiple times per week, and we’re also on a very specific sprint schedule. Neoteric has been flexible and able to cooperate according to the needs of the project.

We are constantly looking at new technologies to prove (or disprove their feasibility) in the aviation industry. We saw an opportunity with recent advances in automatic speech recognition to be applied in the unique setting of a cockpit: It's noisy, many people may be talking at any one given time, pilots from al around the world are speaking in different accents (albeit usually in English), but the communication language is restricted to a standardized phraseology.

What were your goals for this project?

Determine whether or not state of the art machine learning models were adequate enough to be implemented in a cockpit setting. "Good enough" means high performance, not just for safety but also for acceptability.

Pilots have a lot to do. If the application for which automatic speech recognition was implemented doesn't work nearly all of the time, it will quickly become a garbage function.

**SOLUTION**
How did you select this vendor?

We had experience with them in the past. They could quickly scale up and down the resources we needed, e.g. start with an AI engineer and swap out for an iOS developer when we were ready to build the application. Proximity to the office in Gdansk, Poland.

We provided the business use case, and limited sets of training data. They built a pipeline to train an automatic speech recognition model, in addition to other open source training data, and once they'd refined the model, built it into a demonstrator application for iOS. They chose how to build the pipeline, train & tune the model, and how to deploy it for mobile.

Two AI engineers, a scrum master and an iOS developer. At the beginning of the project, the AI engineers were more online, towards the end, the work shifted towards iOS development.

Can you share any information that demonstrates the impact that this project has had on your business?

We saved costs in developing an automatic speech recognition solution before the technology was ready. Rather than building a subpar solution, we tested various hypotheses in the research phase with Neoteric to determine whether or not the technology is worth the investment.

We now know what steps need to be accomplished and what increases in performance we need to hit before we can start talking about production-ready technology.

Arranged for the most part by us, with a scrum master sending daily reports. The developers/engineers were responsible for breaking down high-level requirements into more manageable user stories and tasks.

We’re a reseller of phone systems but we also bought our own phone system. We have a legacy system in place that we use to try to sell our products to potential customers. The challenge was to rebuild that system to a modern 21st-century system.

What was the scope of their involvement?

They’re mainly responsible for the frontend development and AI on the project. They support us in building the UI that our telemarketing team will be interacting with. They also engage with us in building some AI which will help us improve and increase sales in the future. We provided wireframes and sketches because we have a UX designer. They picked them up and went from there. We had discussions around technology and we agreed on one but I don’t remember what it was.

What is the team composition?

There’s a project manager/scrum master who helps coordinate on their side. There are three senior frontend developers and one junior frontend developer. We also have a solution architect helping us as well. There were two AI developers we worked with as well.

How did you come to work with Neoteric?

When I was looking for a company to work with, the important aspect for me was the culture within their organization, the methodology that they follow, and whether they’re easy to deal with. At the same time, I wanted them to have some structure in place. We had quite a few conversations around how they work as a company. We had some workshops we did at the beginning of the engagement. Through that, I felt they were the right company for us to work with from a cultural point of view and a human point of view. They’re very good people to deal with and very open to change. They’re also very reasonable.

What evidence can you share that demonstrates the impact of the engagement?

We managed to achieve the tasks we had set every two weeks. If there are any problems that come up, we solve problems as we go. They achieve the objectives we set for them. We’re satisfied with what they’ve delivered so far.

How did Neoteric perform from a project management standpoint?

Project management is very good. They’re often more on top of things than we are. They’re very clear with the scope of the project and what they’re able and not able to do. They’re good at documentation. We work in two-week sprints. We use Jira and Teams.

What did you find most impressive about them?

They’re honest and very responsive to change. They always have great ideas on how to solve problems. I was very impressed with the experience they have, the quality work they deliver, and the high standards that they have. They have very good processes in place.

Be open and honest with them. They’re an open and honest company. If you’re upfront, they’ll try to find the best way to help you to solve your problems.

We wanted to try them out, and we just needed to offload some of the work from us to them.

What was the scope of their involvement?

We did two projects with Neoteric. Our first project web development project with them where we needed a certain functionality in the frontend. It was a graphical feature or a special advertisement where a video would be playing, and we developed that with them.

We gave them a dummy as a template and they basically reprogrammed the whole thing so that it would actually work for us. This was a test pilot to see if we could outsource some work to them.

We also did a data exploitation project where we explored some of the data which we collect, and the focus was on understanding our data and maybe deduct AI possibilities or projects from it.

We had a lot of questions around our data which we couldn’t really figure out on our own because we lack certain skillsets, such as statistical or mathematical skillsets. Neoteric helped us set up a base project on where we would be able to start with the whole data topic at our company.

They provided workshops and 2–3 week-long sprints with a physicist who dove into the data and looked for certain relations that might have been there and were trying to verify or falsify a lot of things. He basically tried to verify things we were assuming about our data.

Examining the data, they looked for relations or tried to verify or find out new things about the data. They generated a report and presented the data to us. We could then deduct some information from that.

We have worked with three people, and there were two more people that were involved in the meetings.

How did you come to work with Neoteric?

They were recommended to us by a colleague of mine. He was at a roadshow event and told me that we should check them out to see if they could help us with our data project.

We started with them in January or February 2020 and it’s ongoing.

What evidence can you share that demonstrates the impact of the engagement?

With the data project, it is quite hard to measure because we are still in the exploration phase. It isn’t a numerical thing, but we basically are building up an idea right now on how this data could work for us, how AI could play a role in the future, and what the road would actually look like. This has been pretty helpful for us because we are always generating ideas and brainstorming about stuff, but we never really had a practical way of approaching this whole thing. With Neoteric, I know that we have a partner there which could actually help us get started with this whole data thing. It was very broad and I am pretty sure they will help us actually lift off with the data stuff.

How did Neoteric perform from a project management standpoint?

From the data project, it was pretty good at the beginning when we did the kickoff. During the project, generally, it was pretty good, but sometimes communication was a little bit slow. Overall, I would give them a B+ or A-. 

What did you find most impressive about them?

In general, their spirit is quite good, and I think the data team has a really interesting structure. I met some of the AI team there in Poland, and they really lived the whole research idea. It is different than working with normal software developers. They really have a scientific approach which is extremely interesting and something I think is really helpful if you are just starting with data. They keep you open-minded, and they have their own culture there which is quite cool.

Are there any areas they could improve?

With these kinds of projects, you always have some starting problems on how to provide the data or providing them with the right data. There was a little bit of a back and forth, and we had a little bit of a delay of two or three weeks until we really could get started. There was a bit of a miscommunication from sales to the start of the project. This could have been smoother, but it was still good in my opinion.

Do you have any advice for potential customers?

With the web development stuff, I still think this can be helpful if you need to offload some work from your own organization. It was a very small project and it was quite good that it wasn’t connected to our other stuff in our company because I think it was a little hard to integrate them into all of our processes. If I would recommend something, I would tell anyone to just start with one small project that isn’t related to anything else in the company if that is possible. You can then get an idea of how they work and the quality they generate.

Our organization underwent a very large migration from our data centers to the cloud. This also happened in conjunction with a company split where we sold a part of our business to another organization. 

Along the way, we needed to move items from our legacy data center to Google Cloud, and we were on a tight timeline. We needed flexible resources to achieve this goal because there was a temporary spike in the work we had. So, we were looking for contractor resources to help us out, which is why we hired Neoteric. 

**SOLUTION**
What was the scope of their involvement?

Our relationship with them has evolved since we started working together. However, for the initial project, which was related to migrating some of the legacy European systems to the cloud, they worked with us on some of the requirement gathering.

Additionally, they were actively involved in designing the technical solution and all the implementation. The team also worked with us on another project where they built out a couple of UIs that helped to make one of our proof of concept (POC) products a little more usable.

Most recently, we've had a third engagement with them that has included a backend service component and a UI component.

What is the team composition?

We work with four engineers, a team lead, and a scrum master and project manager. 

How did you come to work with Neoteric?

When she heard I was looking for partners for this project, one of the engineering leads within our organization put me in touch with Greg (CTO) with whom she had previously worked. Afterward, I and a couple of other people went to Gdańsk, Poland where they’re based and spent a couple of days from them.

We worked with them on the data migration project from July 2019–January 2020. We’re still working with them on another project.

What evidence can you share that demonstrates the impact of the engagement? 

We were very satisfied, and still are, with Neoteric’s work in general. They put the customer’s needs first and are willing to deal with ambiguous problems. Migrating an existing system isn’t easy, but they managed to do it successfully and on time. 

How did Neoteric perform from a project management standpoint?

Project management is definitely one of Neoteric’s strengths. In any project with a tight timeline, there are often corners you have to cut at certain points of time. In order to do so, you have to identify them early enough to make the right decisions, and the team did this very well.

Their communication is very strong, which is important when working with a contractor shop. Karina manages all of the sprints in an agile format and is in communication with the stakeholders and me.

What did you find most impressive about them?

All of the engineers and project managers at Neoteric are very comfortable communicating in English. I am also impressed by their willingness to learn new tools and technologies in order to work within the confines of our organization’s existing set up.

Are there any areas they could improve?

They tend to push back against the customer and not take what we say from a technical perspective at face value. That’s the one thing that they can improve on, although it’s not a major issue.

Do you have any advice for potential customers?

Ask for a project manager and clarify basic requirements early and revisit them regularly. It’s important for stakeholders and the team to meet regularly, and we did this on a biweekly basis. Another key part was integrating them successfully into our engineering development environment and giving them access to tools fairly quickly.

By doing this, the team was able to know early on exactly what they needed to learn and plan accordingly. They told me that what often  happens with other clients is that it takes time for them to get access to the different elements that they need to complete the project, which is a big obstacle when engaging with contractors.

I’m the CEO of Business Intelligence Group, a business solutions company that provides AI and consultancy to private healthcare organizations.

What challenge were you trying to address with Neoteric?

A group of our clients was trying to find solutions for the cancer pathway. It was an AI solution that would allow organizations to plan their capacity in order to better meet demand.

A particular goal of this project is to reduce delays for patients on cancer pathways. It’s quite unique, and the benefits are going to be quite huge, once we’ve developed an MVP that we can deploy to different organizations and once we’ve carried out further development.

The scope was provided by six organizations working together. We partnered with Neoteric to create software using machine learning to analyze data from these organizations over a series of years.

**SOLUTION**
What was the scope of their involvement?

The initial piece of work with Neoteric was investigating whether our hypothesis was possible. They carried out tests over a series of weeks, and built the algorithm for us, proving that it would work. The next stage was of course to expand that. We went to Poland for two days to ensure that we captured every aspect of what we were trying to deliver. 

After those two days, the project management lead and team were able to collate an accurate document covering exactly what it was we were trying to deliver. Once we approved it, we moved to the product development stage.

Neoteric built the software from scratch using various technologies, including Python and Open Library. We’re using technologies like Qlik and SQL Server to present the data that’s continuously being calculated. 

The team gave us a number of options in terms of the visual output and has also started to use linear regression. There was a lot of statistical modeling required for creating this product.

What is the team composition?

We work with three developers — one senior, one frontend, and one backend — a senior data scientist, and a project manager. We’ve worked very closely with their CTO, their director of business development, and their CEO. 

How did you come to work with Neoteric?

After researching a number of companies that had clear examples of using machine learning to create products, we contacted some Hungarian and Polish companies. Neoteric had the most robust portfolio. 

Once we had a discussion with them, they came up on top of 15–20 other companies we had spoken to. The CTO, CEO, and director of business development were the three key people we initially approached to explain what we were planning to do.

How much have you invested with them?

The initial stage cost just under $10,000.

What is the status of this engagement?

We started working with Neoteric in December 2019, and our engagement is ongoing. There are different aspects we’re going to be working on with them.

**RESULTS & FEEDBACK**
What evidence can you share that demonstrates the impact of the engagement?

We used accurate data from the last few years, and the goal of the module was to calculate to the best possible accuracy, relative to that real-life data. The accuracy rate was just over 80%. Considering that this was just an initial model, we only had a 19% error rate. 

Neoteric developed quite a strong model, and we’re continuing to strengthen it to make it even more accurate, using data from more years. The prediction of the model was pretty close to the real-life data. 

The software is initially being used by one organization, the pilot organization in the group. It will then be deployed to all organizations at a later stage.  

How did Neoteric perform from a project management standpoint?

The team is very professional. There was a total of four core team members allocated, but their senior members were also very much involved, checking up on where we were at each stage and supporting us with the project. The customer service was outstanding.

They allocated a project manager who, along with the lead developer, supported us in carrying out the initial scoping exercise. They called it an AI sprint. The location difference wasn’t an obstacle because Neoteric used platforms we were comfortable with, including Slack. 

They often called using videoconferencing tools. In addition to the two touch points we had during the week, there was also communication throughout the entire path of the project. There was no communication gap. 

What did you find most impressive about them?

I’m impressed by their experience and understanding of what we’re trying to do, as well as their creative approach to bringing our idea to life. The communication of this team is really second to none. 

It feels like they’re an extension of our team, as opposed to just a company trying to gain profit. They spent a lot of time working on it, going above and beyond, and their hospitality was really great when we went to Poland.

Are there any areas they could improve?

The only thing in terms of room for improvement is the language barrier. We sometimes have to doublecheck what they mean, because they speak English differently. That’s really minimal, though. They speak great English, our interpretations just need to be elaborated on sometimes to make sure we’re on the same page.

Do you have any advice for future clients of theirs?

They’re absolutely open to having regular communication. It’s just a matter of going there and understanding how the company works. We went over there and saw how they worked, what their offices looked like, and who their teams were. 

It enhanced the relationship, and it made them feel like the project was truly theirs. It feels like an extended team, as opposed to a third party that’s been asked to do something, which is something we don’t always see.

**SOLUTION**
How did you select this vendor?

We needed to scale up rapidly, so we looked for local and near-shore IT service providers. We found about Neoteric on Clutch and selected them out of a pool of 12+ companies. We received a comprehensive and down to earth evaluation of our project goal (in terms of team size and duration) and were seduced by the quality of the people we interacted with (notably their ability to tailor their deliverables to our specific requests).

Neoteric provided us with a team made of back-end, front-end and mobile developers, along with some project management support and QA. Neoteric was responsible to design, implement and to setup automated testing on the application. We delivered detailed functional requirements that we discussed and adjusted hand-in-hand with Neoteric's team as part of refinement sessions. We interacted with Neoteric complete team from sprint 0 (back in July) up to the last day of the project in December the same year).

Neoteric provided a total of: - 3 back-end developers - 3 front-end developers - 1 mobile developer - 1 project manager - 2 QA engineer - 1 account representative (for the contractual and administrative work) The team size started on day one with 6 people and scaled up to 9 (excl the account rep.)

**RESULTS & FEEDBACK**
Can you share any information that demonstrates the impact that this project has had on your business?

We achieved a functional MVP that generated a lot of interest from our customer. We remained roughly on time (we extended the initial contract by a month to cleanly close the collaboration) and within budget. The commitment demonstrated by Neoteric to our project success was tremendous. From day one, we met with professionals in all roles who demonstrated their skill, experience and contributed excellent feedback into the product team to improve the quality of the final product we delivered.

How was project management arranged and how effective was it?

After a couple of sprints to find the exact velocity of the team, we managed to have a very high percentage of delivered commitment after each two-weeks iterations (even achieving a couple of 100% sprints). We collaborated using JIRA for the backlog definition and work tracking, AWS CodeCommit for the source code, Google meet for our remote meetings and Agile ceremonies and finally Slack to ensure a constant contact between the development/QA team and the product team. We never actually met face-to-face but the communication and transparency was exemplary from one end of the project to the other. We achieved a very high level of trust and responsiveness between Neoteric and us. Never has language been an issue. We had quite a few perfectly fluent people on the team and all members had a perfectly functional mastery of the English language (both written and spoken).

What did you find most impressive about this company?

We felt as partners in our endeavors and not "another customer". The commitment offered by the team was top-notched, especially when deadlines were closing on us. We had complete transparency and an extremely polite and professional communication from all parties during the whole project. My team tells me they’re a great company. We’re still in the process of incorporating their work into a product. However, we're able to build models in a visual way thanks to them. That’s a big accomplishment because most AI work is programming-centric, requiring a data scientist or an AI expert to build models. By our estimate, the app will help build AI models at 40%–50% faster once it is fully implemented. That will loosely translate into several man hours of coding saved.

I'm not familiar with the details of their project management, but they delivered everything on time and on budget. We plan to work with them again. I'm confident that they'll deliver the same proficiency.

I am the director of product management for a software solutions developer in the truck haulage area. We develop systems that track and trace assets—both trucks and trainers—through in-cab driver terminals, using Android software, temperature monitoring, and engine diagnostics. We sell a single overarching product, which requires bespoke development for some of our larger customers. As with most outsourcing collaborations, our challenges were scaling dynamically, onboarding talented developers for specific projects, and scaling the team back down as requirements died off. We were looking for a long-term partner that could offer this.

**SOLUTION**
What was the scope of their involvement?

Neoteric generally provides development assistance within our predefined roadmap. There are many projects that we’d like to get done during the next couple of years, and they’re helping us achieve those faster.

We gave them smaller pieces of work until they essentially became another one of our teams. Neoteric collocate with one of our many software teams, working in the exact same systems and with the same transparency as everyone else. We essentially work side-by-side, even though they’re remote.

One of the products they worked on was a job management system. Haulage companies receive orders to move goods from point A to point B, and must line up each one of their trucks and drivers to process as many loads and drops as possible in a day.

Neoteric created a section within our existing product that dispatched jobs to drivers and vehicles, plotted those jobs along maps, and gave drivers directions. Those jobs are transmitted to the driver’s in-cab device, so that he can mark them as started, completed, or in-progress. We can also specify a few more parameters.

At the moment, Neoteric is a key member of the design and development team on a very complex project that focuses on driver regulatory hours. Rather than coming to them with UI requirements, we gave them very complex legal requirements and a backend that required complicated calculations.

They have worked on the whole frontend lifecycle. The normal process involved requirements gathering, breaking those requirements into more concrete elements, getting architectural direction, and proceeding to development, QA, and release. Oftentimes, outsourcers will handle the small engineering piece in the middle, which accounts for 30% of the process. The rest is the management and design of the product, and this is where Neoteric stepped in.

They can step in early in the development lifecycle, take rough requirements from myself and other product managers, and add value to them right away. They can design the product themselves, come up with a solution that fits, and then handle the engineering, QA, and release. These are all time-consuming pieces of development, so outsourcing becomes less valuable if we have to take care of them in-house. This is where Neoteric has shone.

What is the team composition?

We’ve brought them in slowly, starting with very small projects and getting into larger and larger ones. The time-tracking project is two months old, so we’ve taken on a full team for it. Before that, Neoteric had much smaller teams, or even single developers.

Rather than a project manager, their team has a product owner. This is a much more influential and involved role. 

How did you come to work with Neoteric?

First and foremost, we were interested in Neoteric because of their modern skillset. Compared to other outsourcing companies, they provide a higher level of transparency. This aligned with our internal approach, and it was the most difficult thing to find when working with an external company.

Neoteric essentially spoke our language in terms of Agile system development and the general velocity around continuous release cycles. It was important to find someone who could move at our speed without acting like a rabbit in the headlights. It’s obvious when we find someone with this quality, and we identified it quickly in their team.

Neoteric wasn’t the first group we approached—we went to several outsourcing companies before settling into a relationship—but they offered great value for money in terms of relative daily rates. Geographically, we narrowed the search down quite a lot, not wanting to go as far as the Far East. We found similar nearshore development teams, but they were managed in the U.S. and came at two or three times the price. Neoteric offered similar quality, but at a very good price.

We started working with Neoteric in May 2017.

What evidence can you share that demonstrates the impact of the engagement?

Our key performance indicators are clustered around a team’s overall success, and Neoteric measures up with the rest of our developers. Velocity—the speed at which they can complete high-quality work—is an important factor for us. They’re on par with the internal teams we’ve had for the last decade, working at the same rate and delivering the same quality. This is significant, since it normally takes a long time to onboard someone. Neoteric making this jump in a matter of months is quite impressive.

How did Neoteric perform from a project management standpoint?

We deal with them on Slack on almost an hourly basis, which has been very helpful for us. We have daily standups and two demonstrations per sprint. There’s been a good chain of communication, from their architects to the UI designers. They use our Balsamiq platform to show us exactly what we’re going to get before they deliver

In terms of metrics, Neoteric has delivered on every sprint. They keep normal timesheets, but we don’t request any specific status reports. We just ask that they use our internal systems, Jira and Confluence. If they’re working correctly and updating their systems, all the reports and metrics we require will come from of that. As such, we don’t need a project manager.

We’ve flown them to our head office, where they spent a whole day and met our teams. We did this because we envisage a long-term relationship with Neoteric, and wanted to make them feel like a part of the overall team.

What did you find most impressive about them?

Their AngularJS, Node.js, and Java Microservices skills were quite impressive. Neoteric has a good knowledge of open-source JavaScript libraries, so, rather than designing a product from the ground up, they found off-the-shelf tooling. We hate reinventing the wheel, and want to get to the value quickly. If this means using good open-source libraries, then we’re happy to do so. Neoteric has brought a lot of knowledge in this area.

Are there any areas they could improve?

Communication, QA, and velocity could be improved across all our teams, so I don’t want to single out Neoteric. They’ve been receptive to everything we asked them to do, and have performed well so far.

Do you have any advice for future clients of theirs?

The best way to get motivation from an outsourced team is to trust them to be a part of the overall lifecycle—from design to delivery—and not just hand them a design document and expect to get something good back. The process needs to be much more collaborative, which is why we onboarded Neoteric early in projects and treated them like any member of the team. Outsourcing differently than this comes with poor results.

What was the scope of their involvement?

We were developing a new product called Emergency API. The platform includes a frontend where customers can design workflows and interactively or graphically make them more intuitive.

Neoteric utilized Rappid in development of the frontend of our app. We initially broke the project down into multiple phases, and started with a proof of concept. Their team developed a proof that visually represents the workflows. We set up a specific agreement, and they were able to deliver within 3 weeks, which was really fast.

We made the decision to continue working, and thus moved on to the second phase, which was to build a fully-functional, but not finished, product. The first phase was a fixed contract, but the second part was more open-ended due to the requirements we gave them. They worked with us as we developed those requirements. We’ve almost finished this phase.

We identified Rappid in research of the best interactive, graphical tools for building web apps. In Poland, we have a page called GoldenLine, which is like a combination of Quora and LinkedIn. I noticed that the CEO of Neoteric was very active, helping many people on that platform. We had a few meetings and I was confident they were the one.

Our revenue has increased fivefold, which more than justifies our decision to go with Neoteric.

How did Neoteric perform from a project management standpoint?

When something went wrong from my side, Neoteric showed me how to communicate with them. They taught me the Scrum methodology and I’m glad I know these processes now. Every day, the whole team (myself included) had daily stand-ups in person, on the phone, or via Skype.

They were responsive. If I needed some decision made, I just called the project manager and I found out everything I needed to know. Plus, they always met deadlines and project milestones.

What did you find most impressive about them?

With previous vendors, the communication wasn’t that good. Now that I’ve worked with Neoteric, I understand what was wrong before. Now, every project that I do, I use what I learned from them.

Are there any areas they could improve?

They could be more diverse gender-wise. There are many men and only a handful of women. Other than that, I can’t imagine how to do it better.

### Improving the Performance of GPT-4 by 1900%
Spren saw potential in utilizing generative AI to provide users with recommendations and answers to their questions and increase user engagement. They had an idea to integrate the GPT model into their chat. The model would then combine user context with an industry-specific knowledge base to provide users with reliable answers and recommendations.
Considering the accuracy and cost-efficiency, we used GPT-4 for the large-context requests and text generation and GPT-3.5 for the less complex tasks, such as user context extraction.
Every input we had – user queries, user context, knowledge base – was changed into vectors (embeddings) stored in the JSON files. Additionally, the knowledge base content was stored in a Pinecone vector database. It increased the solution’s performance and made it possible to introduce a relevance score to improve its accuracy.
The framework we used to connect all the elements (GPT, Pinecone vector database, search, etc.) was Langchain. This simplified the architecture and allowed for a faster implementation.
Thanks to implemented solutions and optimizations, we managed to decrease the bot’s response time in the mobile app from ~40 seconds to ~2 seconds. This significantly improves the usability of the solution to the end users.

The project for the biggest online yoga studio and the biggest online community for yoginis in Poland. The Client aims to help people enjoy their home sessions by providing users with an online platform to choose videos and practice at their favorite place.
When we started the project, they were already the biggest online community for yoginis in Poland. They were big enough to feel the constraints of the available off-the-shelf solutions for fitness providers.

### 10 weeks to build a course recommender system
When the Client approached us, they were struggling with a challenge related to their employees development. In simple terms, they were searching for a way to help their managers grow, advance in the company structure or to move between the positions within the organization.
Back then, the process of choosing courses for their employees was conducted manually. It required a lot of decisions to be made both by the employee and by the manager of a chosen department. ### Gen-AI-powered chatbot with multi-level access
Corporate knowledge databases are often built of loads of unstructured data: files, reports, notes, etc. Most of the searching methods through these documents are ineffective as they require a lot of manual work.
 
Moreover, depending on the companies’ internal policies, different departments, or even specific roles, may be authorized to access certain documents. When implementing generative AI to help users search for information through the knowledge base, it is crucial to indicate what pieces of information they are authorized to access, and develop a chatbot with multi-level information access.
 
Not to mention the LLM’s hallucinations!
 
To deal with these challenges, we used Retrieval Augmented Generation. RAG is an AI framework for retrieving information from external sources of knowledge to ground LLMs. Thanks to that, the model is able to provide users with accurate, up-to-date information that comes from the designated data sources (e.g., the reports), and there is no need for additional training.
 
Now, instead of searching for the right report and then looking for the information in that report, the users tell the Gen AI-powered chatbot what they need to know, and the model returns an answer with a reference to the original document — saving up hours of research work. Assigning different levels of authorization to different roles or departments makes it easy to manage access to confidential information and comply with corporate policies.

### Diagramming solution for performance management
Our job was to support Nanoramic in developing the BSC app, an implementation of the Balanced Scorecard strategic planning and management system. The project aimed to create a revolutionary tool that would effectively present performance data reports with the functional division into departments and chapters, and combine the correlations between diverse entities’ results with the external outcomes of the whole company.
The solutions were to create tree structures that group all the metrics reported by employees and devise a Strategy Map bounding in real-time KPIs with the strategic goals.

### The new chess experience with a 4-players chess
When Quaternity approached us, they had an offline, physical version of the chess game and wanted to bring it online. We started with developing the back-end of the app, with a complex game engine at its heart. Later on, the whole front-end development was moved to Neoteric as well so we could take care of the platform development holistically

### Diagramming innovation in the healthcare industry
What kind of problem was the product supposed to solve?
One of the most significant challenges of Japanese healthcare is the problem of an aging society and the enormous number of patients per 1 doctor. To face this challenge, Japan divided the land into thousands of regions and assigned one or two supporting centers to every one of them. Experts working in those entities aim to diagnose and group older patients before handing them to private clinics. Thus doctors in private companies have more time and can be focused on curing ill people rather than handling routine checkings. 
 
And what kind of solution was dedicated for this problem?
The idea was to provide software solutions that would help the supporting centers increase effectiveness of their services. 
 
The project we worked on aimed at creating an app that allowed users to gather information about the patients through customized questionnaires and organize it. Also, it supported coordinators in making decisions about which healthcare provider they should recommend to a certain patient, and unified the diagnosis process management among various supporting centers.

### Exploring the Power of Progressive Web Apps

The aim of the project was to create a high-quality, feature-rich product that would demonstrate the capabilities (and the limitations) of a progressive web app (PWA). It was meant to serve as an example of what can be achieved with a PWA and, at the same time, as a “playground” where developers could experiment, validate their hypotheses, and test out the ideas for the new features.

### 11 Weeks To Build A Successful Prototype
The story behind Appoint.ly’s development goes back to 2016 when we identified the market need for an all-in-one easy to navigate solution for booking meetings online. Back then, meeting scheduling looked way different than it does today. Our team of developers in Neoteric decided to change it and develop a new product – a SaaS tool that would change the way people book meetings online.
Now, Appoint.ly is a web-based appointment scheduling tool. The app is fully integrated with Google calendar, iCal, as well as a number of other popular scheduling tools. ### Supporting the leading Oil & Gas enterprise
Al Zamil Heavy Industries is a leading Saudi Arabian company that supplies a wide range of products and solutions to the Oil & Gas, Petrochemical.
What the Client needed was to:
→ build a new website that would reflect the brand identity

→ improve the conversion by making it easy to contact the company through their website.
Working closely with the Al Zamil team, we designed and implemented the new website. Starting with the session with the Client’s team, we analyzed their needs and goals that served as a baseline for the first designs. As the majority of Al Zamil’s customers are based in the Middle East, it was important to make sure that the website follows both: general usability guidelines and local design standards (e.g. adapting it to the Arabic UI by mirroring the design right-to-left).


### Building AI Models 40-50% Faster
The Client applies AI and NLP to extract and blend structured data from the IoT and operational databases, with unstructured, free-flowing data from Tribal Knowledge and the Internet of Everything. They then use Big Data based in-memory technology to perform deep learning to identify patterns, risks, and opportunities previously impossible with traditional analytical tools.
Problem: No experience with RappidJS. The process of building AI models is difficult and time-consuming.
Solution: Creating the visual designer app that is similar to a flowchart tool and is focused on building graphical representations of pipelines. The built solution allows companies to visually compose AI applications.
Result: The Client estimates that the app will help build AI models at least 40-50% faster once fully implemented, which translates into several manhours of coding saved

### Mobile application for the real estate
Most real estate transactions are made with the involvement of 3rd party agents, which imposes additional fees on both buyers and sellers. These costs amount to roughly 6% of the real estate value! Before we started developing Skillhunt, we noticed two problems related to recruitment in the IT industry:

### Crypto Market Fintech Platform
The goal was to build a platform that would be able to manage thousands of transactions and scale to hundreds of thousands requests at the same time.
In the end, we've managed to build a FinTech platform that is:

secure due to the microservices architecture, double backend and using a Virtual Private Cloud
fully scalable to hundreds of thousand requests at the same time

This project was about building an application component to help build AI models in a visual way without the need for programming.Using JointJS, an open-source diagramming library, we developed the Pipeline Composer application that helps companies to visually compose AI applications. The visual designer app can even be used by people who are not technical.
