Most of the management was in my hands but the way the team worked in collaboration, it is just too good. Most of the tasks were completed on time and with minimal error ratio.

Since our company is a Pharmaceutical company, performance monitoring of manufacturing processes and personnel at our manufacturing facilities on a daily basis to capture plan vs. actual on a granular level and growing up the hierarchy was crucial to us.

We needed mobile application expertise to help us design & build the application as processes in plants had many complexities which were dynamic too.

Also, since we have a huge employee strength, we needed a mobile travel-desk application through which our employees can book tickets and manage travel itineraries. This application was managed by another colleague of mine.

What were your goals for this project?

We wanted to track the plan vs. actual on a daily basis so that we could identify the bottleneck processes and also have a transparent mechanism to measure the performance of plant operators to reward the top performers.

We wanted the application to be very light and easy to use as it needs to be used on a daily basis in remote-locations in a plant and also host it on cloud.

How did you select this vendor?

The vendor was already chosen when I took the project. They were gathering requirements by making plant visits to understand the As-Is processes.

I took over the project in Apr ’17 when we were designing the scope, architecture and the flow of application.

Before we finalized the scope and architecture of the application, we made multiple visits to multiple manufacturing sites to understand the nuances in each facility and the application being robust enough to fit all needs.

As the processes were different, we built an application that was most complex.

We initially piloted in one of our plants in a site for 2 months to gain user-feedback, address any technical challenges, and motivate the users to use it on a daily basis.

On successful usage for 2-3 months, we rolled it out to other plants in the site and are about to deploy it to other sites, post few modifications. We have built reports and dashboards to measure and track the metrics, which have been very fruitful.

What was the team composition?

The team from the vendor had a Project Manager who was looking into the project full-time and Project Lead who was managing it over-all.

The core-team composed of developers and quality testing resource who were working off-site and a lead developer who travelled with us for plant visits.

RESULTS & FEEDBACK

Can you share any outcomes from the project that demonstrate progress or success?

2-3 months into the roll-out of the application across a site, we were able to identify the key drivers and performers of the month through a validated process which helped improve morale among the plant users.

The reports helped plants identify deviations from the plan and drill down to the root cause. Currently, all users at the plant are aware of their daily tasks, which goes up the hierarchy and constitutes of the monthly plant level plan vs. actual.

This has given more visibility to the plant heads of the actuals.

How effective was the workflow between your team and theirs?

We had weekly status calls with the Project Manager and frequented plant visits and face-to-face meetings to ensure every detail was captured.

The team was supportive and patient enough to configure the application to the dynamic complexities that arose during the implementation phase.

What did you find most impressive about this company?

The way they patiently handled the changes in the application design was impressive. They are technically sound and have good understanding of the system and our proposed design.

So, when they configured, they accounted for all the scenarios which saved lot of re-work.

Are there any areas for improvement?

We would have been happier if we had enough time to enhance more dashboards, but given the time constraints, we are much happier with their quality of work than rushing up to finish complex dashboards.

Application is already a success in the United States and the SEA market. We are already working with Affle to develop an updated version of the app, which will be released in April.

The product was going through a major migration. With the migration, the old mobile application that was outdated, also needs to be refreshed. Thus, we threw a tender to source for a vendor that can undertake the task. Affle was selected due to their experience and cost competitiveness.

Our procurement team threw a tender. We then have an evaluation team to evaluate the vendors based on our pre-determined criteria. The vendor with the highest score was selected.

Upon appointment, we had kick off meeting where we established the communications channels, escalation points, SLA etc. Requirements were also gathered through user stories. Once that is completed, we move on design phase where both teams went through few iterations. Once confirmed, they went on to the development phase. Followed by testing, troubleshooting, fine-tuning, production testing followed by deployment.

What was the team composition?

We were happy to be appointed a senior project manager. Most of our communications is through her or involving her. She serves as a bridge to her backend tech team, designer, architect as well QA.

We receive feedback that the design of the new website is much cleaner and nicer. The app was also more user friendly.

Communications and workflow was clear and effective. While it is unavoidable for issues to be raised through various channels (e.g. whatsapp, emails, skype, slack). The project manager put in effort to streamline the communications. This has helped keep the communications clear.

What did you find most impressive about this company?

They're willing to go the extra mile to ensure that our needs are met. We had occasion where we require urgent troubleshooting and the overseas team was willing to head back to office on a public holiday to assist. We appreciate that support.

We needed them to create our mobile and web applications.

What was the scope of their involvement?

Affle Enterprise built our mobile application for iPhone and Android platforms based on my high-level sketches. The app connects users in need of services with users who provide them. Their team implemented a couple of APIs such as Google Maps and a payment platform. The product also involves tracking, budget setting, and chat functionalities, so it’s comprehensive. The web application includes the same services. We’ve completed the web and Android application. Right now, we’re waiting to launch the iOS version.

What evidence can you share that demonstrates the impact of the engagement? 

The quality of their work has been high. The web app’s in good order and the mobile app’s intuitive. The product was designed smartly. The web app has both a mobile and a PC view, which I didn’t even ask for. Affle Enterprise executed beyond what I've asked and as a customer, I’m satisfied with the end product.

The only point of conflict has been that there’ve been a lot of changes to the products. Changes to the code after you’ve already started writing it can be problematic. There’s been a bit of tension in that capacity but everything else has been smooth sailing.

How did Affle Enterprise perform from a project management standpoint?

The project management has been good. There has been a lot of dialogue to which Affle Enterprise has been responsive. Their team has been patient with me. I’m not well versed in mobile applications or coding, so they’ve had to do a lot of handholding.

What did you find most impressive about them?

Affle Enterprise has a vested interest in supplying value to their clients. Their team wasn’t shy about pointing me in the right direction. I can always reach out to them for advice because they realize I’m new to this process. Their team has gone out of their way to explain concepts and encourage me to take ownership of processes that I could’ve done had I understood. They've been patient with me.

Are there any areas they could improve?

They have a variation order of pricing, so changes seem to be quite expensive compared to the entire project. Transparency can be improved.

I would recommend them. They’re an ideal fit for someone who wants to create a mobile or web application and—much like me—isn’t versed in development. There’s a lot of learning and Affle Enterprise is willing to support it.
