**OPPORTUNITY / CHALLENGE**
What challenge were you trying to address with MindSea?We needed help developing and designing a clinician-facing dashboard and a patient app.

**SOLUTION**
What was the scope of their involvement?MindSea has helped us design and develop a clinician-facing dashboard and a cross-platform mobile app for patients. The idea is that patients can enter the symptoms they experience and the measurements they get from various medical devices they use at home. Ultimately, that data would be streamed to a dashboard that clinicians could review. Clinicians could see the patient's data and follow up with patients if they have abnormal readings.We had a high-level idea of the specific technology we wanted to build, but we didn't have the time or availability to thoroughly scope out what all the features would look like. MindSea walked us through that process, and we discussed what we wanted to build. We started from the ground up, listing our design requirements, what the technology needed to do, and the different scenarios in which it would need to be used.From there, MindSea built prototypes of the different app and dashboard screens using Figma to get feedback on what parts we liked and how we thought things could be improved. They've built the app for us once we were satisfied with that blueprint. We’re currently doing some internal testing.The initial prototype will be finished within the next few months because there's some bottleneck due to the app needing to be hospital-ready. MindSea also conducted iterative interviews with potential users. After that, we began with development; MindSea has been responsible for all the front- and backend development and design. The whole site is built with React Native, and we use a Java-based framework on the backend. The initial design work was created with Figma. The app is primarily made up of short videos arranged into lessons around topics; when a user logs in, they can see all of the videos. One of the challenges that we’ve had to overcome with MindSea is a way to seamlessly present those educational videos and ask users questions about the videos they’ve just watched. MindSea has also developed a web-based administrative tool on the backend where we can design videos and quizzes and upload them. Our Engineering leadership had some familiarity with Mindsea and so the introductions were made to get discussions started. We went through the project description phase, requirement gathering phase, estimation phase, and then an alignment on the kind of resources that we needed for the project. The Mindsea team was very professional through it all and very flexible in terms of adjusting to changes in requirements along the way.

The backend developer they provided was instrumental in the initial architecture of the platform. Additionally, he was the main developer in helping to get the project off the ground. Likewise, the frontend developers helped shape the development of the UI for our main project. The main project was successfully completed late last year and they stayed on to help us in our next phase of the platform development work.

I’m a fourth-year Ph.D. candidate in biomedical engineering at the University of Toronto. I also work in the Orthopedics Biomechanics Laboratory and Research Institute, which is part of the Sunnybrook Health Sciences Centre in Toronto. I focus on machine learning for the healthcare industry, specifically analytics physiotherapy with inertial sensors in smartwatches. Additionally, I help manage the studies going on in our lab, as well as hundreds of patients.

What challenge were you trying to address with MindSea?

We were taking a new study off the ground. Previously, we had validated our technology using commercial smartwatches to pull in data and analyze it using machine learning to predict when patients were doing physiotherapy. However, that wasn’t providing any feedback to the patients or physiotherapists, so we needed an app that could present feedback about how well and accurately patients were doing their physiotherapy at home.

We also wanted this app to show the feedback in real-time to patients and physiotherapists as patients were doing the exercises using the app. That way, when patients return to the clinic, physiotherapists would be able to provide them with advice and support as needed. We needed an external company to help us develop this app, so we hired MindSea.

**SOLUTION**
What was the scope of their involvement?

MindSea helped us develop our app for Android devices, although we might create an iOS version in the future. We actually purchased Andriod tablets to be used for a study for both patients and physiotherapists using this app.

One of our requirements was using data from the hospital, but we had to adhere to strict regulatory guidelines. One of the solutions that we came up with was implementing a separate database to store our patients’ data, which was previously only accessible to Sunnybrook’s staff. MindSea helped us create this separate database to store patients' data and walked us through accessing it and interpreting it. Now, any debugging can be done using this database, which is accessible to MindSea.

What is the team composition?

We’ve worked with up to half a dozen people from MindSea at a given time, depending on the part of the project we’re working on. The project manager has been our main point of contact throughout this project.

How did you come to work with MindSea?

Someone from our lab was in charge of the initial development, and he came up with the idea for the underlying machine-learning technology for physiotherapy analysis. He identified various companies and interviewed them.

After interviewing MindSea, he got feedback from people who had worked with them previously. Ultimately, he chose them based on the interactions he had with them and their proposal.

How much have you invested with them?

We’ve spent around $200,000 CAD (approximately $157,000 USD). Our initial contract was for $176,000 CAD (approximately $138,000 USD), but we’ve had a couple of additions along the way.

What is the status of this engagement?

We started working together in August 2020, and our partnership is ongoing. However, it is on pause. After MindSea developed the app and the database, it was our turn to do all the work on the hospital side to get the permits and recruit patients to kickstart the study. We will have patients and physiotherapists using the app for the next 4–5 months, and based on their feedback, we will go back to MindSea and ask them to implement changes to the app as needed.

**RESULTS & FEEDBACK**
What evidence can you share that demonstrates the impact of the engagement? 

The fact that we now have patients using the app in the clinic and have had great feedback from them so far is evidence that what MindSea did works. The app is very intuitive to use, at least for the first few patients and the physiotherapists, although we will tend to have some older patients using it who may need help. Still, the fact that we’re actively conducting the study is proof that MindSea was able to deliver what we needed based on the project’s requirements.

How did MindSea perform from a project management standpoint?

MindSea’s project management is very good. Based on previous experience, I was really impressed when they spent an entire day with us mapping out our exact needs so that they could have a thorough understanding of our project. They also helped us have a thorough understanding of what we were looking for regarding the app design. This was a very useful activity.

MindSea is also very responsive and has quick turnaround times. We identified 1–2 minor bugs along the way, but they rapidly corrected them and didn’t interfere with the patient data collection.

Additionally, they’re very good at communicating and giving feedback along the way to ensure that we know at which stage of the project we are. For example, we’ve used different applications like Trello to see what they’re working on. They also created a Slack channel for us so that we could get instant feedback. In addition to that, we communicate via email, and we’ve had weekly meetings at certain points of the project.

What did you find most impressive about them?

MindSea’s project management distinguishes them from other providers; they’ve done a very good job in that regard. 

Are there any areas they could improve?

I can’t think of something that MindSea could improve on.

MindSea has developed two Android apps to be used in clinics. One of them is for patients to use their smartwatches to track their own physical therapy performance. The other one is for practitioners. There’s also a web portal associated with it for managing users. The staff developed a Wear OS app that runs on the connected Android smartwatch. 

The app allows physical therapists to onboard patients and assign exercises and diagnoses in an initial appointment. The patients can use their respective app to go to an exercise library within it and watch videos with instructions on how to do them correctly. As they perform the exercises, they’re connected to the smartwatch, which tracks reps, compares their performance to their personalized baseline, and gives reports on their progress and accuracy to motivate them. 

All the information is securely shared and provides objective data for the therapist to treat the patient.

My main point of contact is Reuben (CEO). 

How did you come to work with MindSea?

I didn’t select MindSea, one of our founders did when I came on board. However, I was familiar with the team because I had shortlisted them for another development project for a startup I worked with. I think the staff was hired because of their expertise in the medical technology space, and the fact that they’ve won awards for their work both in Canada and the US. 

How much have you invested with them?

We have spent around $135,000. 

What is the status of this engagement?

Our engagement started in December 2020, and it’s ongoing. The main project is now completed, so we’re currently working on a few more revisions.

**RESULTS & FEEDBACK**
What evidence can you share that demonstrates the impact of the engagement? 

This has been an elastic kind of project where not all details had been predefined. Even so, we came in around 13% over estimates, which is pretty good. MindSea always has been able to find workarounds when we’ve had changes in the scope — they’ve been good and agile partners. 

Our business has gotten quality work from their team. Before the revisions, the delivery of the final product took a little longer, but that’s because of the dynamic nature of the project, not so much because of the developers themselves. The cost has been slightly higher than estimated, but that’s usually how things work out. 

How did MindSea perform from a project management standpoint?

Our team has held weekly meetings and used Trello. We’ve also used Figma to review designs together.

What did you find most impressive about them?

MindSea seems to attract quality people. Our project has had a few personnel changes — which is normal in the tech business — and the newly hired employees they’ve assigned to us have been really talented. 

I like that initially, the staff spent a good amount of time doing UX research before diving into the design — that was appropriate and professional and helped us understand our customers better. MindSea’s real strength lies in their UI/UX research processes which allow them to be more effective. They are not just focused on the customer that’s hiring them, but also on the end user experience. 

Are there any areas they could improve?

The team can get better at estimating scores. We’ve had some situations in which a Scrum phase gets a low score on its estimate and when we dig deeper into it, it suddenly has a giant Fibonacci number on it. A phase can look small, but it can involve 10 subtasks to complete it. 

At times, they’ve also rolled out with bugs that we wished they had caught before. However, these are pretty minor quibbles.

The more you can invest at the beginning of the project, the fewer surprises you’ll have later on. Take the time to make sure that your requirements and business objectives are as clear as they can be and are very well understood to make the most out of the relationship and send the staff down the right path.

I'm the co-founder of a company called Constant Health, which is a digital platform.

What challenge were you trying to address with MindSea?

We have a brick-and-mortar operation called Bariatric Medical Institute and have been doing medical weight management for the last 17 years. We understand the clinical side of weight management and wanted to get into the technology side. However, we were super apprehensive about getting into tech because the complexity of building a good app can be incredibly difficult. Building an app itself can be easy, but building a good app is hard. We wanted to find experts that could help us do build an app we could be proud of.

**SOLUTION**
What was the scope of their involvement?

They did a little bit of everything in this complex development project. There are five parts to it: the Android version, the iOS version, a clinical portal, a patient front web portal, and a service-side portal. It was a large-scale endeavor, so we broke the project into bite-sized pieces. We wanted to work with a team that was adaptable and able to work with us as we went forward.

When we first started, the scope was just the iOS build. There were two reasons for this: the expense of building the app for various platforms in a native environment and our desire to pinpoint common mistakes through testing to learn from them in future builds. By starting off with one platform, we helped ourselves avoid similar mistakes on the second platform.

We had a little bit of design work, to begin with. We were working with a company here in Ottawa, but they only deal with design. They were partnering with another development agency, but we decided to abandon that engagement because we were worried the designs wouldn't make sense with the development if we were working with two separate partners.

After reviewing their mockups with MindSea, we saw that there was a lot of rework to be done. Our previous partner was designing a solution for a hybrid platform rather than a native one, so the mockup only provided a somewhat general idea of how the project should go.

What is the team composition?

I'm very hands-on, so I met with their entire team at the start of the project. I flew out to their office and met with 10 people: three developers, four designers, the CEO, and everyone else on the team. Since then, I primarily worked with a project manager, who is also the lead designer.

As time passed, I've been more involved with the developers as well. I have been lucky enough to work with the same lead developer who is doing the server and iOS work. The project manager and lead developer are the people that I regularly interact with.

How did you come to work with MindSea?

We may have found them through Clutch. From there I met with their former CEO, who I'm still friends with. He was great at his job, despite only being there for a month. They seemed to understand what we were trying to accomplish better than the other teams we considered. We met with five different agencies, and MindSea seemed like the best fit.

At the time, Bill (Former CEO), had gone through a fairly meaningful weight loss himself and appreciated the issue we were trying to solve. Aside from them being able to make pretty solutions, they also had a real belief in what we were trying to do. That was what allowed us to start working with them.

We've spent at least $400,000–$500,000 at this point.

MindSea has a share of Constant Health, which was part of the deal. They worked at cost to help build out the app because it was such a robust project. Our work evolved from there. Through government funding we received, MindSea actually has lent us some of their employees to go on our payroll. It truly is a partnered venture that we're doing together.

I agreed to get going with them in September 2020, and the project is still ongoing. We're still using them for Android work. With two of their employees also doing some of the work on our internal payroll, we are doing all the server, iOS, and web portal work internally.

It is usually one of three things: the person is incredibly successful, the person is not so successful but the clinician doesn't know until they come back, or the person is not so successful and chooses not to come back out of embarrassment.

Through their help with our product, we've been able to remove embarrassment and feelings of failure during this process because of the real-time feedback for the clinicians through a client's struggles. From that standpoint, it has been incredibly successful. In a typical weight management program, there's about 40% attrition, and we currently have about 14% attrition.

How did MindSea perform from a project management standpoint?

Communication is awesome through Slack and definitely not a problem. I learned working with technology is like building a house. There is definitely scope creep and changes through the process that complicate things. We either learn new things, problems present themselves, or there are new features you want to build out, so I definitely take some blame in terms of delays.

I'm sure some of it is on their end too. Things like staff turnover or people are getting spread too thin with multiple projects could both be issues. They're about average when it comes to deadlines, but I wouldn’t put all the blame on them.

What did you find most impressive about them?

The team I work with is phenomenal. Warren (Senior Product Designer & Design Team Lead) is a rockstar who I couldn’t be happier with. We've become genuine friends and the same can be said about the teammate who onboarded us.

With the team that I have been dealing with thus far, it's a friendship as much as it's a business relationship. That is always something that I want to strive for because I believe in real partnership. Lots of people talk about partnership, but it’s not always achieved. They came through on that end.

Are there any areas they could improve?

The price became an issue at times because the number of hours they originally estimated was way off. They came down on price because their estimations were off, but that's probably the biggest issue. we faced. They resolved this, but they were 40% off their estimated hours required to build the product. That was a big deal and pretty problematic. 

They did rectify it as best as they could. I have to be reasonable as well; they’re not going to work for free, and that has been the only real issue we've had with this project.

Do you have any advice for potential customers?

Be involved. When I talked to the team, I asked what I can do to make their jobs better and easier. The difference is having someone from the company involved on a regular basis. We had a Slack channel, and I was always involved in meetings. When problems came up, I always responded within a couple of hours maximum. That makes a big difference.

From their perspective, it is super helpful because it allows them to get answers quickly and move faster. From my perspective, it was helpful because I understood the process and associated problems that occurred. That made a big difference in understanding their pain so they could appreciate my pain. Issues become more of a conversation at that point, as opposed to just working in our own silos.

We turned to MindSea to help us build a mobile solution that addressed those questions and more.

What was the scope of their involvement? 

MindSea developed a mobile app that provided insurance agency owners insights around their business so that they could take action. It was a cross-platform solution built using React Native. Our engineers did the backend while theirs worked on the frontend.

One of our concerns around mobile app development was adoption — we wanted to make sure that we were building something that our users wanted. Insurance agents aren’t the most tech-savvy population, so we needed to make sure that our mobile solution would be something that they’d actually want to use.

Initially, MindSea helped us understand what the feature set would need to look like. I brought some sketches that I’d brainstormed with some others in the company, working with their team to bring them to life. They did a bunch of workshops to explore user personas, looked at what our users cared about and how that varied across the audience, and then started talking about features.

All of this culminated into a feature-value matrix that plotted all of our ideas out. This helped us understand the value that our solution would have for our users, and it became a really good foundation for our product roadmap and MVP. 

What is the team composition? 

We had a designer who also ran the show as a project manager. She drove all of the meetings and made sure things stayed on track, but she also gathered requirements and translated them into designs. There was also a main developer who oversaw a team.

How did you come to work with MindSea?

I looked at five companies that came in through a mix of referrals, cold emails, and Clutch. I mostly wanted a partner that thought how we thought to meet us where we were. We knew our customers really well, so we didn’t need a giant deep-dive to learn about our customers. MindSea struck the right balance between analyzing our target users and respecting our institutional knowledge.

I’d also add that it was great to see them work through some of our initial technical questions like when we were choosing the right platform for our app. MindSea was the only company that I talked to that said they couldn’t be sure which platform was right for us until they fully understood our scope. That showed a lot of humility and trust in the process.

But, that’s what we got with MindSea. They took our ideas and solidified the UX design in the exact right direction for us. The team had great ideas around how to resolve complicated UX issues, and the end quality exceeded my expectations.

MindSea was really good about always hitting deadlines. They pushed the agenda forward to drive future development and were transparent about how things were trending.

What did you find most impressive about them?

Again, what set them apart was their ability to strike a balance between meeting us where we were and pushing us to adopt other best practices. We could see that manifest both in their agile process and the actual end product. 

During discussions around feature sets, they would work to understand why we needed a feature before gently pushing back to guide us toward a better mobile experience — even if we might’ve given something up in the process. It was a compelling, healthy way to think through problems.

We’d been working with another team that wasn’t as invested in our product as we would’ve hoped. MindSea was invested in our product and offered up suggestions to enhance our UX. I wanted to deliver a photo app as close to the launch date of the iPhone 4 as possible. Time to market was my main concern. I could have either ramped up on iOS development and made the app myself or hire a team to help bring the product to market a lot faster.

MindSea helped us develop several apps. The most successful products are a suite of apps that replicate the experience of sitting in an old school photo booth. In particular, there are two apps that are thriving right now. One of them is designed for recreational use such as taking selfies with friends. The other is more capable, designed for people who want to set up photo booths at events.

While I was involved in the development process day-to-day, my focus was on the overall design. We worked together but MindSea built the app. Initially, the app was for iPhone. MindSea ended up porting it to Android. They helped develop other versions for the iPad as well as a universal iteration. As iPhones and iPads changed with various screen sizes and different iOS iterations, MindSea has been the one bringing it forward for each new device and operating system. Their team also built software, which made it easy for me to quickly deploy branded versions of the app.

What is the team composition?

From QA to development teammates, I’ve worked with probably 15 people over the course of our collaboration. MindSea has design, development, and test teams who are experiences on both iOS and Android platforms. They also have a seasoned web team who helped build web components for a couple of my apps.

How did you come to work with MindSea?

I searched Google to find that a lot of app dev companies were overseas with non-English speaking teams. It seemed that there was always going to be a go-between which didn’t seem efficient to me. I found MindSea online. I held a typical interview and hit it off with the founder, who understood my vision for the initial app. I talked to the team members who would be helping to write the software. There were no layers between me and the people who were actually getting their hands dirty with the software.

What is the status of this engagement?

I started working with them in 2010, and our engagement is ongoing.

What evidence can you share that demonstrates the impact of the engagement?

MindSea captured my vision for the app really well. In the app store, the first product performed well. It was featured in the list of top 10 photo apps for the first couple of years. We made our Android version because Amazon asked us to develop an iteration exclusively for their app store. Businesses contacted us to port the app for their respective stores and each was willing to pay for that privilege.

Without MindSea, I wouldn’t have built the app in time for the iPhone 4 release. They were able to perform development tasks in parallel, which I would’ve had to do in series. It would’ve been a much longer process to launch the app without their team. If I didn’t have them onboard to help bring my ideas to light, some products might have never seen the light of day.

How did MindSea perform from a project management standpoint?

We hold video calls but MindSea uses Slack and Trello religiously. With Trello, we can see what’s been triaged and what’s being worked on presently. We’ve used slack for any day to day communication. When we had big releases and had more than just one person on their team working, the scheduling was met with the same rigor with which they used their organizational tools.

There was no software for a long time in the development process. I really appreciate and resonate with their design process. Before any software is written they work extensively to first explore, document, and design the software. They call it their blueprinting process. They rightly want to make sure that a product is captured on paper when it’s inexpensive to make changes and explore different ideas. It was a super helpful process, helping save time, money, and consternation.

What did you find most impressive about them?

MindSea has struck a great balance between being big enough to produce world-class work and small enough that I could reach out to teammates directly. There wasn’t a huge chain of command that filtered my messages. I didn’t have to navigate a huge bureaucracy. Their size is a great asset. No one’s phoning it in. They really care about their work and even take pride in it.

I'm the senior product manager at Excentus, a loyalty marketing company focused primarily in the convenience retail space, which includes convenience stores, wholesalers, and fueling stations.

What challenge were you trying to address with MindSea?

There were a few challenges we needed help with. First, we wanted to update our entire experience within the fuel rewards program since we hadn't made any updates to our digital pieces in over four years. Secondly, we wanted to improve engagement within the program. Lastly, we wanted to digitize the entire experience.

What was the scope of their involvement?

MindSea set up a design thinking workshop, where we laid out a blueprint for building the app. While our own internal team did the actual development, MindSea provided three rounds of in-person user testing with about 12 different users, who viewed 50-60 screens that they had created prototypes of. Using that feedback, they helped us build a prototype in InVision and retested it to ensure we'd resolved all of its issues. 

What is the team composition? 

Since our project was so complex, we not only had a lead designer managing the project, but also three full-time designers as well as their CEO heavily involved in every aspect of the engagement.

I had worked with MindSea before at a previous company and recommended them to our company for the project.

What evidence can you share that demonstrates the impact of the engagement?

Our team is extremely happy with the prototype MindSea helped us develop. It's one of the most exciting projects we've worked on in a long time. We've also received a lot of positive feedback from users during testing, who are eager for the app to go live. The strategy MindSea laid out for us was very thorough, yet easy to understand and well received by our customers, members, and internal executives. We're very optimistic about how this product is going to transform our business and the program as a whole. As a result, our biggest partner has prioritized our program as their top initiative for 2019 and 2020, giving us a lot of visibility. 

How did MindSea perform from a project management standpoint?

They were very responsive and one of the most accessible teams I've ever worked with. We had bi-weekly video calls with their team and met with them in-person three times.

What did you find most impressive about them?

They're very good people and genuinely interested in building amazing products for their clients. They take ownership and pride in their work and developed a good rapport with our team. My internal team continues to request that we work with them again, so the experience has been very positive and we look forward to continuing the relationship. 

Are there any areas they could improve?

No. They performed a culture review a couple years ago and asked me the same question, but I couldn't think of anything.

Dedicate as much time as possible towards the collaboration in order to help their team succeed while educating yourself on the process. They have some highly knowledgeable people on their team that can help guide the project, providing creative solutions along the way.

DZ: They developed our app for iOS. We’ve done user testing and come up with an MVP, and are now moving to other platforms.

SS: I initially constructed a PowerPoint presentation from data that I collected, with a basic walkthrough and flow from a user perspective. MindSea used that material combined with our feedback to build mockup designs.

What is the team composition? 

DZ: Taylor (VP of Client Experience, MindSea) was the project lead from the very beginning. We also worked with a business rep, and had a main contact for development, who took part in weekly meetings. She was also the point person for user testing while developing the MVP and blueprints. There was another member working in the background, on the software development.

How did you come to work with MindSea?

DZ: In a previous position, I’d worked with an individual who’d developed an app with MindSea and who talked highly of them. We wanted a professional process for taking the app from idea to business and when talking to MindSea, they went through their process, stages, and everything that surrounded those—we liked what they had to offer. 

SS: They picked up every idea we had, and they kept us on track in terms of goals and road mapping. 

How much have you invested with them?

DZ: It was around $25,000 CAD (approximately $19,000 USD).

What is the status of this engagement?

DZ: We started working with MindSea in late April or early May 2018, and finished in July. We’ve done the iOS portion, but we realized that we need to develop the administration web portal side.

What evidence can you share that demonstrates the impact of the engagement?

DZ: They were able to deliver an MVP along with blueprints and user testing within the time frame we outlined. We’re happy with the result and how it looks, and we’ve already talked with them about building the next versions.

How did MindSea perform from a project management standpoint?

DZ: We didn’t use a specific system; we developed a timeline in the beginning, and we followed that. We used Zoom and email for communication.

They were all in coordination, and they maintained the momentum, which was key for us. They were collaborative and proactive in what they did. They knew what to expect, as we worked through the process, and they worked well together. We could set up additional meetings with the CFO in order to determine valuations and go through some Excels.

What did you find most impressive about them?

SS: I initially wanted to incorporate everything I could into the app, but they kept us level-headed and helped us go through the journey of creating the MVP, so that we’d have a good structure to build on in the future. I found that helpful and I appreciated the constant communication. They sent us feedback and shared documents, giving us all the information necessary to understand the startup tech world. MindSea went above and beyond, and exceeded my expectations.

DZ: One of the things that attracted us to them was that they’d developed apps that sold on the market, and by a large number. Their experience is evident: they’re strategic and competent, they have a good project management mindset, they’re process-oriented, and they know what their objectives are.

As entrepreneurs, we don’t necessarily think within those areas, but MindSea is good at keeping us focused. The process can drag on, and there are roadblocks a lot of the time, but we were able to find solutions for the ones we encountered.

Are there any areas they could improve?

SS: They did go over the timeline for the initial kickoff and I had to ask them about our status. It would be good to have had updates throughout the process and using a scheduling tool might be useful. I don’t have any other comments; I think they did an excellent job and there isn’t much I would’ve changed.

DZ: I like their personalities, ideas, and the scheduling process. However, I would like the ability to make paper copies of our blueprints. I’m more old-school and I’m new to many of the modern communication tools, so I need to print the material, which is sometimes hard to do because of how it’s formatted.

There are two ways to approach app development at an early stage. The first is to find some guy in his basement that will code it for you. The other option is to seek out the best app developer that’s potentially within budget. I searched online and found the premier app developer in my region (MindSea). What evidence can you share that demonstrates the impact of the engagement?

The app hasn’t launched yet, so I don’t have any measurable statistics. However, I’m blown away by the design and beauty of the interface. The design decisions are elegant and that’s all Warren [UX Designer, MindSea]. That guy’s a genius.

How did MindSea perform from a project management standpoint?

They're extremely organized and every step of the process is measured. The whole project is very well scoped out and they perform sprints as scheduled. Going into this, my biggest fear was having to deviate from the original project blueprint we designed together and cause cost overruns. But to date, they've been right on target.

What did you find most impressive about them?

Their professionalism and morale stand out to me as the staff genuinely seems to like working there. As time progressed, we realized their passion and excitement for the project is 100% real. Another of their best qualities is bluntness. If we had any ideas that we liked but wouldn't have worked on the final product they let us know upfront. I run a startup called Adam Helps and created an app called ADAM. It’s a neighborhood app to connect with people physically close to you for the purpose of doing everyday tasks.

What challenge were you trying to address with MindSea?

We were looking for somebody to develop our app. Our challenge was to find a company that was within our budget, but more importantly, the right size company. We didn’t want to give someone our requirements and not hear from them for five months. We needed to know that we were going to be able to work with the company.

What was the scope of their involvement?

We went through a blueprint process where we planned the features list, prioritized them, and came up with goals. I immediately felt like we were totally synching and clicking off of each other in terms of understanding what we needed. The blueprint turned into a proposal for an actual scope of work. They have weekly meetings every week for 16 sprints (16 weeks) where we talked about what we were going to accomplish, what we had accomplished in the previous week, any problems, and anything that needs to be changed.

We did a full build of an iOS app which was released in September. Some of the features that the app needed are good location services, strong in-app messaging, a mutual review system, a profile system, a job board, and some search functionality. Now they’re currently working on Android. We’re also planning a second version of our app which includes some advanced features. 

They also they did additional graphic design work on our logo. They revamped it and also did a full refresh of our website to make it look nicer.

What is the team dynamic? 

That blueprint process was in-person with the whole team that we worked with, including the project manager, UX [user experience] designer, UI [user interface], and backend developers.

They also have somebody who is their business development person, and she was my go-to for advice.

How did you come to work with MindSea?

Through a lot of research and due diligence, including using Clutch. We got a lot of different prices, offerings, and structures. In total, we deeply looked at probably 10 companies.

What set MindSea apart was that I trusted them immediately. They conveyed that with their onboarding process and the initial people that we spoke with. You start with a blueprint, so it’s a warming up process. They did a lot of things to establish my trust as somebody who is in the startup game and has a lot at stake.

What evidence can you share that demonstrates the impact of the engagement?

Our app hasn’t been live for too long, but we’ve just hit 1,000 downloads and that’s only on iOS. 

It’s been getting some great responses so far. We’ve been out at trade shows and tech events showing our product and getting lots of feedback. One of the things that we hear consistently is that the app is very nicely designed and looks aesthetically pleasing. The app has not had any bug issues. 

We have learned that there are some things that we didn’t anticipate and that we need to change. There are some things that weren’t as obvious to people as we thought they would be. We have to make some changes to some of the components.

How did MindSea perform from a project management standpoint?

We have weekly meetings. They are agile and very open in their communication. Those were the things that really stood out to me about the way that the process was going to move forward. They have totally delivered on that every step of the way.

They are very organized. Everyone works either on a Trello board or Slack to help keep people communicating all the time. The project manager will give me a list of things that I need get back to her on, such as a decision about a feature, color, or button. She also has her list of things to do and then we just update each other accordingly.

What did you find most impressive about them?

They really were and are rooting for us to succeed. They’re not such a huge firm that you get lost in the mire of it. You matter to them as a client. There’s a feeling that they really want you to be successful and they’re there for you. I think that’s something that I look for in employees and in people that I work with. I’m not just a paycheck to them. I know that they really want the app to look as great as it can and they work hard to make sure that happens. Every time when we have had any issues, they have fixed it right away or made sure that it was a top priority. I have to praise them for being consistent with their amazing customer service.

Are there any areas they could improve?

If they were a bigger team, we might be able to move faster on a few things. They don’t have a huge staff and good developers are so hard to find. Every client would love to see things move faster, especially now that things are going well. But I understand that this is their size, and this is what we’re working with, and they’re not a factory.

What was the scope of their involvement?

MindSea was hired to walk us through a blueprint process for the development. We took some high-level goals and worked with MindSea in identifying our strategy and key audience, stripping down the feature set to something that we could move forward with. We went all the way to the design phase, getting all the elements needed to pull the app together on the development front. We didn't use MindSea for the development itself because we work with a specific GIS [geographic information system] program for a number of our internal tasks. We needed to build out that expertise, so we needed to find someone more knowledgeable of that system.

How did you come to work with MindSea?

We hired a different company for our signage plan, but it became obvious that we would need some technology help. That company referred us to MindSea. We met with them, and I liked the approach of blueprinting the app, getting out of the typical model of a 9-page RFP [request for proposal], which would have been vague. MindSea allowed us to fully articulate what we wanted from the app, get a good sense of its cost, and also obtain many of its design elements nailed down before the development started. We were able to envision the app, take it to potential sponsors, and create a more fleshed-out RFP.

Could you share any evidence that would demonstrate the productivity, quality of work, or the impact of the engagement?

Having a reference point of detailed wireframes and design has helped structure our conversation around development, simplifying this phase. We have run into some technical issues but were always able to reference back to a strong set of wireframes. It helped answer questions from a user perspective, instead of from a coding one.

Dallas Morning News is a large media company. I handle all of our apps which include the Dallas Morning News app, SportsDay Talk app, and an e-paper app that’s a digital replica of our newspaper.

The SportsDay Talk app was launched a couple of years ago and has around 50,000 loyal followers. It’s a blend of sports content that our sports writers here at the Dallas Morning News write, and then we’ve integrated the most popular sports radio station here in Dallas in the app as well. There had not been any maintenance or updates on the app and we were losing customers. We rebuilt the app so that it functioned better and looked better.

What was the scope of their involvement?

MindSea just published an iOS version a couple of months ago and an Android version is coming out in January.

How did you come to work with MindSea?

We put out an RFP [request for proposal] and they responded to it. We had a specific budget for the project and MindSea came back with a solution that fit our budget. They came back with the best RFP response and we really like their team. I work with their co-founder, Bill, pretty much every day.

How much have you invested with MindSea?

We’ve spent between $150,000 and $200,000 with them.

What is the status of this engagement?

We’ve been working with them about seven or eight months.

**RESULTS & FEEDBACK**
Could you share any evidence that would demonstrate the productivity, quality of work, or the impact of the engagement?

Our rating in the iOS App Store has gone from 2 ½ stars to almost 4 stars. There were some minor bugs, and MindSea had two updates out in within a week of publishing the app. They’ve worked extremely hard to learn about the rigid iOS rules concerning streaming apps. We use the feedback we’ve gotten to learn about data, and Bill and Joel from MindSea are working on how we can decrease data for our users. The reviews are showing that we’ve come up a more reliable stream and our ad impressions are up. Our time in the app is almost double what it used to be. We’re getting nearly six minutes per user per session, and those users are logging in twice a day. So we’re getting anywhere from 12 to 15 minutes a day out of each user, which is much higher than we were seeing before. We started integrating our radio ad spots and social media platform marketing which is resulting in a doubling of our new users each day.

How did MindSea perform from a project management standpoint?

We have a Slack channel that they set up for us which is a 24/7 feedback loop that includes Bill and everybody on their team. I can ask a question and have it answered right away.

What did you find most impressive about MindSea?

The team is awesome and they’re willing to do anything, including staying up late to work on the project. Their lead developer re-coded the entire app in his Jeep when we were having bugs with the radio player. When one of the developers stepped away from the team Bill took on the project and we would talk several times a day. I’ve never had another vendor work as hard as they did.

We’re a portal for protected wholesale industries. The first industry that’s being served by the app right now is the custom audio-video installation. So local AV guys or AV shops would use the app to search products. We catalog every single product in the industry from every single distributor and direct manufacturer. It launched in the app store yesterday [October 2016] so we’re not sure yet. We had test users for the last month. We launched at our trade show a couple of weeks ago. People were blown away by it. They couldn’t comprehend how we had taken an entire industry of products and got it into a phone screen. All indicators show that it’s going to be successful, but only time will tell. They say it’s really intuitive. There are only four sections you can go to - the catalog, the proposal section, order section, and the “more” area - settings and things. It’s simple to navigate. Having almost a million parts and pricing on a phone is pretty impressive, especially since it’s never been done before in wholesale.

How did MindSea Development perform from a project management standpoint?

The way they do meetings in their Scrum environment is just so efficient. We get on calls and get to the heart of the matter right away without feeling like it’s going too fast and they’re not listening to us and then they get to work. They’re really fast at getting things done. It’s daily builds almost. The organization is big enough that you’ve got a lot of resources, but they keep the team small enough so that they’re efficient. I’m not constantly talking to a sales person and then I’m talking to a project manager and then I’m talking to a designer. What’s unique about them is their designer is also the project manager. Amanda Somers manages a small team of developers, two to three guys, directly. It’s a very compact unit. It’s easy to communicate with them.

What did you find most impressive about MindSea Development?

Communication is the biggest one. They do a very good job of following up and recording feedback that we send to them. You know it was confirmed and they got all the feedback and what they’re going to work on. Them communicating to us the status of the project and doing it in an efficient way is great. We’re working with another outsourced dev shop now, and we’re able to compare that experience side by side. To be honest, some things really stand out about MindSea.

Are there any areas MindSea Development could improve?

I don’t know what we could’ve done better. Any project is going to have its technical challenges and roadblocks, but that’s not necessarily their fault. We didn’t have any big holdups. I feel they’re a little more expensive than other companies, but what you learn is you get what you pay for. That’s just my perception. I’m sure every person that pays for an app thinks it’s too expensive.

One thing that impressed me about Mindsea was how detailed the blueprint and layout was. It wasn't just a set of wireframes. It started as sketches, moved to wireframes, and then to high fidelity. MindSea asked to be able to talk to our customers, which was great. They were able to send the prototype to our customers and have them test it and get user feedback. They made changes based on the feedback. The presentation at the end was great. They were able to do all that in three weeks.

Even though they had a project manager involved, it was the UX [user experience] designer leading the project and being the point of contact. That was great because we were able to talk directly to the individual doing our work.

We had some great initial responses to our idea and the roadmap of the app itself, but one of the challenges we faced was our user experience. During our customer validation phase we realized that people liked what we had, but intensely disliked our user interface. We approached MindSea because we needed to make the app intuitive and pleasing to the user.

Our initial engagement with them was to do a heuristic review of the wireframe and core functionality that my cofounders and I had built. After doing some testing to determine what worked and what didn't, they brought us a number of possible workflows and markups. During the course of a few weeks, we chose the concept that we liked, and they refined it. They call this the "blueprint phase." They built out the wireframes and designed a few of the key screens in full color.

At the end of the initial engagement, we were free to finish the coding ourselves or retain MindSea to complete it. We ended up retaining them for the front-end coding and iOSX code development and then handled the back-end and the API [application programming interface] ourselves.

How did you come to work with MindSea Development?

The CEO of MindSea [Bill Wilson] and I have a mutual contact. He has worked with MindSea a number of times and has spoken very highly of them. I told him what services I needed, and he gave me a list with only one name on it – MindSea.

We looked through their portfolio and were impressed by their design and development skills. We knew that they had built a reasonable number of apps, but we didn't know that 34 of their 35 app projects were featured by Apple. That was a huge indicator for us.

The design phase of the project concluded in December 2015, and the development portion concluded earlier this month [April 2016]. We were even more pleased with the second project.

We're releasing our app soon, and we've heard nothing, but glowing reviews of the user experience from our industry and retail partners. People used to say, "I love where you're going, but I can't stand what it looks like." Now, it's a full 180 and they're saying, "I love what you're doing and I love how it looks." That is thanks to MindSea.

How did MindSea Development perform from a project management standpoint?

MindSea is rigid in their processes. They're very thorough and ask many good questions before they start writing any code. In the beginning, it seems a bit slower, but the final product is a good combination of quality and speed. When they release a feature, you know it's going to work.

It was great for us to be able to be confident that the product was going to look beautiful, function well, and be completed on schedule. We were able to commit to our partners and investors that the app was going to be ready on time, and it was going to be rock solid.

What distinguishes MindSea Development from other providers?

There are three things about MindSea that have impressed me. Our original engagement with them was for design, and it was extraordinary. Their design capabilities are what impressed us initially. The second thing is their technical skill. They're a reasonably small team, but they have some exceptional developers. They consistently came up with great solutions , and we have yet to hire an engineer of our own that produces as high-quality content as anyone at MindSea. The third thing my colleagues and I were impressed with was their process. They have a regimented process that they adhere to very closely. This included weekly calls and builds and 21 test releases during our development phase to ensure they were perfect.

MindSea exceeded our expectations, which were unreasonably high the second time around because we had already seen them knock the first half of the project out of the park. We agreed to step into the development phase with them because we knew what they were capable of, and they exceed our expectations again. We are thrilled to bits with them.

Is there anything MindSea Development could have improved or done differently?

In all honesty, no. Having had another company and having worked in the industry, I've contracted with lots of service providers. Without a doubt, I've never been as pleased with the work that anyone has ever delivered to me in my 25 years in the industry as I am with MindSea.

I got an email back quickly from the founder. I think for a lot of reasons I was put at ease with MindSea. I was one of their first clients. They didn't have a track record, which was nerve-wracking for me, but I felt good about their founder, Bill Wilson. I interviewed five companies and felt the best about MindSea. Even though they didn't have the track record piece, I was willing to take the risk based on the personal connection I felt. It felt like it was going to be a collaborative experience. The other companies didn't feel that way.

One thing I think that's useful is that their founder comes from a software background. A couple of the companies I talked to it was clear that I was talking to a sales guy. I think Bill is unique in the sense that he's very conversationally and relationally adept. He's a good communicator. When there's conflicts, it's helpful to have someone who's willing to speak clearly and walk through those things.

Not really. They've grown quite a bit since I started using them. I think they've managed it well, but that road in any business is a difficult row to hoe. Making sure they maintain the quality of the new hires and remain responsive will be important.

They've also helped us with some Web development and some research. We recently engaged them on a research project for a new product, and they've been facilitating wireframes and have worked with focus groups to provide us with feedback on the direction we should be heading in terms of the content, look, and feel for the platform.

We reached out to a few other firms. MindSea is a local company, and they approached us with a very sophisticated and great-looking solution, so we were impressed with their ability to identify our needs and work with our team to understand those needs. They've worked internally to help various departments understand that. I think one of the ways they help us is they attend a lot of events and network quite a bit, and they've been able to bring some of that intelligence back to our organization. They speak with journalists and help them understand what's happening in the journalism space and the content delivery space. They have a major impact on changing the mind frame here.

I think the caliber of MindSea Development's skill set and their delivery is outstanding. They've had a major impact on us as far as project management skills. I think MindSea could have been more open about the functionality of the backend and given us the opportunity to provide feedback during the project. We saw the prototype with photos and had no idea it wouldn’t have them when we went live. ### Project for Halterix
While conducting his PhD research, Halterix founder Dr. Burns realized so many surgeries were being done that could have been avoided with more effective physical therapy (PT). But what do healthcare providers know about how much PT people actually do on their own – or how properly they do it?
Up until now, gaining these types of measurements typically required at least three wearable sensors. But by using a powerful AI engine and data capture technology, we helped Halterix begin development of a first-of-its-kind app that measures, evaluates, and shares real-time performance using just a smartwatch.
Flexing our research muscles​
Excited by the idea of designing a motion data smartwatch solution, we visited various PT sites to observe how people actually function, ask them questions, and make sense of how this app could work best for them. We realized we’d have to address the following key items in order to fully engage users in their physical therapy journey and help them recover faster:

Discover the problems being solved
Determine the most appropriate and effective approach for the end user
Build an integrated technology solution connecting a smartwatch app, a patient app, a practitioner app and a server with the existing AI

Presenting actionable data
Original beta testing done by Halterix had revealed that there simply wasn’t enough information to be actionable. An overall score didn’t do much for users, but telling them if an exercise was good, not so good, or great and why, would.
So during our design phase, we explored creative ways to facilitate communication of the motion data being shared between a smartwatch, patient, and practitioner.
Getting it right the first time
Not only has Halterix tested the beta prototype in multiple clinics across Canada, but we were also able to help prove their promise to investors that they could execute on a complex plan and release an innovative and effective digital health tool.

**Do you comply with relevant regulations (e.g., GDPR, HIPAA)?**
We plan for HIPAA compliance from day one of every healthcare project aiming to go to market in the US. That means designing your architecture around HIPAA-eligible cloud infrastructure (AWS or Azure, depending on your needs), building in encryption and access controls from the first sprint, and supporting Business Associate Agreement (BAA) requirements with your hosting and integration vendors.
