Mind IT Systems provides us with IT resources for staff augmentation, focusing on software engineers. We share the job descriptions, roles, and responsibilities with them, and they provide candidates for the interview process. Once interviews are scheduled with the business, the appropriate candidate is selected based on their skills and alignment with the role. Upon selection, we conduct a complimentary pre-onboarding process and onboard them via a minority payroll system.

We review the resources' performance monthly in collaboration with the business, with Mind IT Systems' HR Business Partner participating in the discussions. If any resource is underperforming, the business provides feedback, and we take necessary actions.

The resources work either from our office or remotely, as per their preference. We provide them with our pre-configured IT systems, and they are responsible for handling product software engineering tasks, primarily using React.  As we own the assets, our company is responsible for asset management, updates, and system management.

The team's efficiency is good. Mind IT Systems has met our expectations in terms of performance and service quality.

How did Mind IT Systems perform from a project management standpoint?

They meet deadlines and stay on budget. We have weekly and monthly reviews to connect with them, which helps us reach our project deadlines, and we use GitHub as a project management tool.

When it comes to technical issues, Mind IT Systems interacts with our global stakeholders. They have weekly and quarterly review meetings; if any issues arise, they quickly take ownership and resolve them. Even though our meetings are in person, most of our communication takes place online, primarily through Microsoft Teams.

What did you find most impressive about them?

We're impressed with Mind IT Systems’ dedication to meeting deadlines and their efficiency. Most of the team members are highly competitive and perform very well.

Are there any areas they could improve?

Most of our resources are from the Bangalore location, and we've requested that they provide resources specifically from our location rather than offsite resources, as this would be very helpful.

Do you have any advice for potential customers?

I advise their potential clients to connect with them weekly or biweekly. This way, they won't compromise on quality and will find the resources quickly.

I'm a manager at a company working in different areas around telecommunication. We're investing in offering an online top-up service to enable customers to send airtime to any phone number in the world. Basically, this is an e-commerce platform for online top-ups.

What challenge were you trying to address with Mind IT Systems?

Mind IT Systems is helping us develop our platform.

SOLUTION

What was the scope of their involvement?

Mind IT Systems works with us to develop our e-commerce platform, which consists of a mobile app and a website. We first started this project with the concept phase, which was defining the concept I had in mind. Then, we worked together to ideate a solution and define the requirements.

After ideating the solution, we went through the design phase of the project. Currently, we're doing the development part, which has included creating the modules and gathering our feedback. In a few weeks, we'll start with the user acceptance testing (UAT) process. As for the technology stack, Mind IT Systems is using Angular, React.js, and .NET Core for the website's frontend.

With this solution, users will be able to come to our app or website and enter the number they wish to send airtime. Then, our system will show them the available airtime amounts or data packages to choose from. Once the user selects the package, the system will show them the cost, either in their local currency or in USD. After that, they'll be redirected to a payment page, where they can make the payment so that the airtime can be delivered to the phone number they chose.

What is the team composition?

We’ve been working with 7–8 teammates from Mind IT Systems, including their project manager, a business analyst, some designers, three developers, and a QA tester.

How did you come to work with Mind IT Systems?

I come from a telecommunications background. When we came up with the idea of creating what we know in the industry as an airtime distribution management system (ADMS), I started looking for various companies with whom we could work. During my research, I found out about Clutch, so I contacted 3–4 companies I found on the site. We ended up engaging with Mind IT Systems.

How much have you invested with them?

The total value of this project is around $38,000. Our payment has been divided into three separate portions: 40% of the value in advance, 20% of the value upon the design completion, and the rest upon delivery. Thus, we've paid 60% of the total cost so far, which is around $23,000.

What is the status of this engagement?

We’ve been working together since August 2023.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement?

We're still in the development phase, so we don't have any results. When measuring the success of their performance, Mind IT Systems has pretty much met our expectations. Overall, they've worked quite well and been successful in what they've been assigned to do.

How did Mind IT Systems perform from a project management standpoint?

Thus far, everything has been on schedule. In May, we're scheduled to start with the UAT, and by the end of June, we're scheduled to do a try launch. As for communication, we have a call every week to brainstorm, review our progress, and provide feedback; it's an ongoing collaboration. On an operational level, we also communicate via text messages through a WhatsApp group, and we use email as needed. Our meetings are over Microsoft Teams.

Are there any employees from the service provider's team that you would like to give a shout-out to in this review?

Mind IT Systems' teammates have been greatly contributing to the project. For example, the project manager has added a lot of value to our work. Moreover, they have great developers.

What did you find most impressive about them?

Mind IT Systems is a very professional team that understands what's expected from them. Moreover, they've been very punctual with the timelines.

Are there any areas they could improve?

There's always room for improvement in projects like ours, where we don't have an already laid-out structure for what we need. There have been times when we've faced issues that could have required clearer communication. Sometimes, we request things that Mind IT Systems doesn't consider to be part of the scope. Thus, having a better understanding of our business process is something that could be improved.

However, Mind IT Systems is a technical team, so I don't expect them to think as I do because I think from a business perspective. Therefore, our challenges have been around communicating the requirements. At times, I feel like the business requirements have not been understood well, but I don't blame them. Still, whenever we find small issues, we push back and ask for corrections. Other than that, I have no complaints, and I'm very happy with the partnership so far.

Having clear business requirements is very helpful.

What was the scope of their involvement?

Mind IT Systems provided us with custom software development. I had already done most of the discovery phase myself in terms of requirements and scope of work. Mind IT Systems took those requirements and implemented them. They used a JavaScript tech stack, including Node.js and React.

We found them through a referral. I compared 5–6 vendors, and Mind IT Systems quickly understood the requirements and scope of work. Moreover, I had a good relationship with the manager; we shared an understanding of ways of working. 

The team was rather flexible about how we worked and keen on working with us. Mind IT Systems’ expertise was also a factor; although they didn’t have specific experience in our portfolio company’s industry, they had relevant experience with a similar use case.

The development project lasted from around April–July 2023. After that, we entered a limited support phase with Mind IT Systems.

We measured Mind IT Systems’ success based on their ability to execute upon the timelines and the quality of work they delivered. For example, I considered the number of bugs I encountered when Mind IT Systems deployed software, which spoke about their work's robustness. 

How did Mind IT Systems perform from a project management standpoint?

We mostly communicated through a Microsoft Teams chat. Aside from that, we had a weekly call with Mind IT Systems. 

What did you find most impressive about them?

Mind IT Systems was very responsive, which we appreciated. The team was willing to adapt to our needs and go above and beyond what we expected of them. Moreover, they were excited about the project and what it could offer.

They could have improved their quality of work and processes. The consistency and quality of their communication is also an area of opportunity.

Define your set of expectations upfront and ensure you establish a clear communication plan with Mind IT Systems. This will allow you to ensure everything is on track and aligned with your expectations. Additionally, you should establish working methods. In our case, we had many scope changes during the project, so it’s essential to have adaptability.

What challenge were you trying to address with Mind IT Systems?

We had a big product to build, so we needed cost-effective talent quickly to develop its complex backend.

SOLUTION

What was the scope of their involvement?

Mind IT Systems has helped us augment our engineering team, providing us with backend development for our product. Their resources also helped us with product definition initially, but their main scope was backend development. As for the technology stack, they’ve used Java and Spring Boot.

Mind IT Systems is still working with us on developing and improving the product. We’ve expanded our engagement, and they now help us with QA automation and a Salesforce interaction. Moreover, they’ve given us a little assistance with frontend development.

One of our product's core features is a payment processing solution. We work with a merchant who integrates our payment solution into their store. Whenever an end customer went to their store and purchased something, they usually received options for the payment method such as credit card, PayPal, and Amazon Pay.

Now, end customers can access an additional method called Pay with Yor Bank. By using that option, users can log in to their bank and approve our charge. Once approved, we get the money transferred directly.

What is the team composition?

We work with Mind IT Systems through a staff augmentation model. Currently, they provide us with five backend developers who work as part of our team and collaborate with our engineers. Additionally, we work with two main points of contact from Mind IT Systems’ management side, including a program manager and a technical lead, with whom I interact frequently.

Mind IT Systems was recommended to us. However, the partnership was established before I joined, so I wasn’t part of the process.

We’ve spent around $1 million.

What evidence can you share that demonstrates the impact of the engagement?

We don’t measure Mind IT Systems’ resources separately. They’re part of our team, so we measure the overall team’s performance, as well as each individual’s productivity. Thus far, the backend development team has been extremely productive, so we’re very happy with that.

However, we’ve had some incidents with our QA and frontend development teams. Still, whenever we’re not satisfied with their performance, we have a conversation with them. If the resources aren’t meeting the performance level we expect after talking with them, Mind IT Systems helps us replace them.

How did Mind IT Systems perform from a project management standpoint?

We have daily meetings with our entire team, including Mind IT Systems’ developers, via Google Meet. We also have Slack channels to communicate and use Jira to manage the project.

What did you find most impressive about them?

Mind IT Systems is very cost-efficient and responsive. Whenever we have a problem, they solve it very quickly.

Are there any areas they could improve?

One of our main challenges has been finding the right talent — forming our QA team has been a trial-and-error process. When Mind IT Systems identifies talent, we get them onboard and then spend time training them, only to find out that they aren’t performing at the level we want.

Initially, it also took Mind IT Systems a few months to understand the performance level we required for the backend engineers. However, once they understood, they were able to find the right talent for us. We’ve already talked with Mind IT Systems about improving their screening process.

Do you have any advice for potential customers?

Set the expectations on performance requirements ahead of time and be very clear about the right criteria for the candidates you need.

I’m the founder of HourHealth Inc., a healthcare platform and marketplace where nurses can access flexible work. Our platform allows healthcare facilities to post jobs for nurses to access and accept them.

What challenge were you trying to address with Mind IT Systems?

I had used another company to build my platform and failed, so I started looking for a development partner again.

SOLUTION

What was the scope of their involvement?

Mind IT is developing a mobile app for our platform. Initially, we went through a series of interviews, during which they gathered information about our company. Then, they provided us with feedback regarding our goals and a timeline for the design process.

Mind IT took eight weeks to complete the design process, after which they started the development process. Our app has three sides to it, a portal for nurses, a portal for healthcare facilities, and an administration panel. Mind IT has already developed the portal for nurses, and they’re currently testing it. Once we finish with the entire process, we’ll test the app once again to work on any bugs that we might find.

Throughout the process, Mind IT has made different recommendations and given us different options regarding the technology stack. They’ve walked me through the differences between each technology, and I’ve listened to their advice.

I’ve worked with Mind IT’s founders, business managers, and three people from their design team. Currently, I work with the project manager and a developer.

Thus far, Mind IT’s work has been on target, and the project is progressing well. In just three months, they’ve been able to achieve what the other company couldn’t in nine.

How did Mind IT Systems perform from a project management standpoint?

Initially, we broke the project down into phases, and Mind IT has been on target regarding the milestones. They’ve delivered assets in a timely manner, sometimes even before the deadline, and they give us enough time to provide feedback and ensure we’re happy with their work.

Moreover, Mind IT has been very patient with us in guiding us throughout the process, especially through things that may be confusing for non-technical people. Their pricing is also very reasonable, which is great. Overall, they’ve been a great partner.

As for communication, we have scheduled meetings, and after each meeting, they create a summary of the topics discussed so that everyone knows what’s going on at all times. We use Google Meet and WhatsApp to communicate.

I’ve really enjoyed working with Mind IT. They’re very responsive, and I know that I’ll rely on them to solve any issues after the launch.

The team’s work includes web and mobile app UI/UX design.

After the discovery and design phases, they’ve been responsible for converting those wireframes to user-friendly software. For one of our projects, they developed the mobile app while we built the accompanying web application.

I’m the director of a start-up business. I’m looking to develop a piece of software to help small to medium-sized companies improve their decision-making processes and business planning.

What challenge were you trying to address with Mind IT Systems?

I’d looked in the market for a software solution for several years. Since I couldn’t find anything suitable for my requirements, I decided to develop software and an app that I could market in New Zealand and internationally.

SOLUTION

What was the scope of their involvement?

Initially, I gave Mind IT Systems a handwritten dossier of about 25 pages that showed what I wanted the software to look like and the functionality I needed. They modernized it to make it more functional.

The solution will be a cloud-based application with APIs to the Xero accounting software, a system for accounting practitioners in public offices and small to medium-sized businesses. The framework is C# and Angular with a .NET backend. Mind IT System has been in charge of development and design. They’ve also tagged on a software landing page website. The project hasn’t been completed yet, but we’re nearly there.

What is the team composition?

There are 4–5 people on the team at any time, including account managers, developers, and the owners overviewing the project.

How did you come to work with Mind IT Systems?

I posted the job on Upwork and got several responses from people worldwide. I interviewed three companies; one of them was Mind IT Systems. I looked at the websites they’d done and liked their ethos, so I scheduled a Zoom meeting with them. We built a relationship over 3–4 meetings, so I decided they were the right fit.

I’ve spent approximately $50,000 New Zealand dollars (approximately $31,000 USD) to date.

I started working with them in September 2021, and the relationship is ongoing.

What evidence can you share that demonstrates the impact of the engagement?

Although the product isn’t live, I can log into it to see the progress. We still aren’t in the rollout stage, but it isn’t too far away. On the other hand, the quality of the work is excellent. They aren’t accountants, but they’ve picked fast the functionality of the accounting software. Moreover, our conversations have been pleasant as the progress goes. They understand what I want, and my overall experience has been good. I’m satisfied with what they’ve done.

How did Mind IT Systems perform from a project management standpoint?

The project has extended longer than the initial estimated time, although it was expected. It’s just what falls out of product development when you make changes. I’m an accountant, so I’m busy doing my full-time job; this is a side project for me. Mind IT Systems doesn’t bother me every day and just gets in touch once or twice a week to finetune things. In that respect, the fit has been good. Our relationship works well for me.

Moreover, Mind IT Systems has helped me throughout the project to make the functionality better. They took my initial wireframe and came back with suggestions, which have extended the delivery time as well. For communication, we have a weekly Zoom call with them to see the progress. Outside of that, we’ve used emails for questions, fine-tuning, and design aspects.

What did you find most impressive about them?

Communication is excellent, and their team actually cares. One of the stakeholders has been in regular contact with me, and she’s great at taking a holistic view of the software. She understood it from the first day and has driven the changes to improve it. I really appreciate that.

Overall, it has been a good experience. They can look at a project holistically and provide feedback from the first day. They take pride in delivering a product that will be in the market in the best possible way on a budget that will fit.

Are there any areas they could improve?

No, communication has been good. The timeframes were extended to suit my requirements.

What challenge were you trying to address with Mind IT Systems?

We needed a computer program to aid with the residents’ petty cash and expenses. However, there was nothing on the market that allowed us to use it in one facility, so we decided to get it done.

SOLUTION

What was the scope of their involvement?

We initially contacted Mind IT Systems with an idea in our head. We explained to them what we were looking for, an easy-to-use system that would allow us to manage all of our residents’ pocket money. Then, they came back with their idea, which was exactly what we’d visualized.

Mind IT Systems developed the web application and did the design. It was a standalone program with its own login detail. Basically, it was an improved version of a Microsoft Excel spreadsheet — they made it simple for us.

Additionally, they didn’t push their services or constantly tried to get more money out of us. However, we have other projects moving forward, and we’ll go straight back to them.

We’ve worked with four people — there’s someone involved in the invoicing and costs, a project manager, and two designers.

How did you come to work with Mind IT Systems?

When we first looked at this, we had a business intern from India. When I asked him to get some quotes on the project, he contacted people in India. He searched on Google and sent messages to probably half a dozen companies, and Mind IT Systems came across as the most professional.

We spent £5,000 (approximately $7,000 USD). We’ve got ongoing monthly costs, but Mind IT Systems’ work is all paid and finished.

What evidence can you share that demonstrates the impact of the engagement?

We’ve tried the platform on our care homes over the last month. We found a couple of things that could’ve been improved, so we went back to Mind IT Systems, and they did it. Overall, the feedback from our team has been phenomenal.

Moreover, we’re 100% satisfied with their work. It’s exactly what we were looking for. Also, they’ve been outstanding with the response time. They’ve set up a WhatsApp group with everybody involved so it doesn’t matter what time of day it is. In the beginning, we messaged them if there was an issue, and the longest it took them to respond was one hour.

How did Mind IT Systems perform from a project management standpoint?

When we ask them to do something, they break it down and give us a timeframe for every element. Their team always hits that time frame, and they follow it with an email to say it’s completed. In general, they’re banging on time. If they say it’ll be done by February 1st at 1:00 o’clock, it’s done at 1:00 o’clock.

Since we’re a small team, we’ve only needed WhatsApp to communicate. If we want something new, we organize a Zoom call to speak face to face, but WhatsApp has worked wonderfully for us.

What did you find most impressive about them?

First, their ability to understand our concept when it was just in our head was outstanding. We just told them a story of our vision, and they completely understood it. We didn’t send any documents, pictures, or anything, so it was pretty strange.

Secondly, we’re really impressed with their communication. We were concerned that the time difference would cause issues, but it has been fantastic.

Are there any areas they could improve?

I can’t think of anything. I’d recommend them to everybody in the UK.

Do you have any advice for potential customers?

Be completely transparent with them. Don’t be afraid to go to them with the idea in your head; they’re excellent at developing that. Just go to them with a concept, and they’ll work with you to make it happen.

Most changes have delivered small improvements in the user experience. For example, Mind IT system’s assigned developer fixed a bug on our instant quote screen. These fixes may be small on the frontend but require significant backend work. Additionally, Mind IT has made changes that make using the platform easier for our own employees. Cybersecurity and password requirement improvements have also been done.

How did you come to work with Mind IT Systems?

We were looking to outsource our development to save on the cost, so I did a Google search for a few top companies. After sending a contact form into Mind IT Systems, Lalit reached out to me and immediately set up interviews with a few developer options.

How much have you invested with them?

We’ve spent around $20,000 to date with Mind IT Systems. Our cost is around $4,000 per month.

We’ve been working together since August 2021.

What evidence can you share that demonstrates the impact of the engagement? 

We were extremely happy with Mind IT Systems’ onboarding time. They came out swinging right off the bat, which set them apart from the other firms I’d reached out to. Lalit did an incredible job of coordinating schedules to ensure the developer interviews happened as quickly as possible.

Our assigned developer has exceeded expectations. We weren’t sure what we were going to get at the start, but it’s been great. We started by giving our developer small projects initially to get their feet wet, but they’ve performed well and we’re moving to bigger asks. I can’t speak highly enough of them.

How did Mind IT Systems perform from a project management standpoint?

I have a task board for them, and we meet twice a week to discuss progress. They’re great about meeting during my morning and their night.

What did you find most impressive about them?

Their overall organization stands out, as they excel at reaching out quickly, setting everything up, and onboarding. The quality of their of employees and resources is top-notch.

Are there any areas they could improve?

I can’t think of anything off the top of my head, so I’m pretty happy. I’m sure there are small requests, but nothing else.

Do you have any advice for potential customers?

Give clear guidelines, as this will make it easier for them to give you what you’re looking for. Naming exact skills will make this even easier.
