We wanted to build a new part of our platform, but we had resource constraints as a startup. We decided to look for outside help for this project.

What was the scope of their involvement?

Memory Squared has helped us design and develop a new part of our platform. We started with a discovery phase, and there was a little bit of back-and-forth revising the scope. Once we finalized the scope, we had a kickoff meeting with their development team and our development team. From there, we've let Memory Squared do their thing.

We've provided them with a document outlining the functionalities we want in the workflow builder. Memory Squared has built a workflow studio that allows customers to set up automations related to the communications we help transact. It also serves as a platform to facilitate self-serve integrations.

For this project, Memory Squared has called our existing APIs. The key technologies they've used include Java and RabbitMQ.

We've worked with four people: Mateusz, the CEO; Adam, the UX designer; Konrad, the frontend developer; and a backend developer.

How did you come to work with Memory Squared?

We were talking to other companies, but wanted to work with a smaller development company. I gave ChatGPT examples of companies I was chatting with and described the type of engagement I was looking for. ChatGPT recommended Memory Squared.

What is the status of this engagement?

We've been working with them since April 2025, and our relationship is ongoing.

What evidence can you share that demonstrates the impact of the engagement?

We're still tweaking the workflow studio to make it production-ready. The platform is a bit complicated to set up, but it's working end-to-end. We've tested it, and it works. We still need to move some production customers onto it.

Memory Squared has delivered all the functionalities we wanted. There have been some bugs, but nothing too significant. They've handled them extremely timely.

How did Memory Squared perform from a project management standpoint?

They've met deadlines and stayed on budget. It took them around a month to develop the workflow studio. Then, we were given a walkthrough when they had the final deliverable, and then there was a back-and-forth of any edits, leading to the final sign-off.

We've shared a conference article with them and used Productive for project management. They contact us via Slack whenever they have questions. For design work, Adam and I exchange Loom videos.

What did you find most impressive about them?

Memory Squared has been super timely in prepping for the engagement. They've asked very engaged questions. Regarding feedback, they've been very flexible in what we do with them.

Are there any areas they could improve?

It would be nice to get more feedback as things are progressing. We have a structure where they can give us a heads-up when things go off track. Still, it would be good to have more updates on a weekly basis. However, this isn't critical.

Do you have any advice for potential customers?

Be prepared with what you want. Having a very long and detailed document explaining what we want to achieve has worked well for us. As long as you know what you want, the engagement will go perfectly.

The application was taken over at a critical moment when the original team was ready to release the project, while the app's functionality was completely misaligned with all initial assumptions. Memory Squared faced a significant challenge of bringing all algorithms to proper functionality. They were working with code that wasn't their own, which further complicated their efforts.

Finally, after numerous collaborative discussions and tests, the application is now available on the market and enjoys great popularity. The algorithms work BETTER than I could have ever imagined.

When handing over the application project to Memory Squared, I required them to fix the entire application and bring it to full functionality in accordance with the project specifications.

How did you come to work with Memory Squared?

We did a Google search and market analysis because the funds for this task were from a grant we received. We had to ask for the offers officially. Memory Squared was one of the good companies we found, and the communication was very good from the start. Later on, we learned that they were partners of the organization that gave us the grant. We didn’t have to put any money from ourselves; the organization paid them straight away.

What evidence can you share that demonstrates the impact of the engagement?

We participated in three conferences where we showed the platform made by Memory Squared, and the feedback was very positive. We want to follow up with them when we get another part of the grant we won; we'd like to finalize the project using Memory Squared's specialization to finish the product. 

How did Memory Squared perform from a project management standpoint?

Project management was very good. Everything was sharp and on time; there were no delays. If they needed to ask something, they did it immediately through an email exchange. We communicated via email and had weekly sprints and meetings. We knew what was going to happen every week and what results they would come with. If there were any corrections, they were done within two days, and then the work moved forward.

Are there any employees from the service provider's team that you would like to give a shout-out to in this review?

All of them exceeded our expectations. The work was very well organized, and they communicated how the work would look and how long it would last. Whenever we needed something more, they were very willing to add those things without any problem. It was a very good cooperation.

What did you find most impressive about them?

We have our own branding. Once we sent our logo and what we created, the visuals Memory Squared created for us were very well done. When we saw the design they made, we were very happy with how they used our materials to serve the platform. I thought we would spend a lot of time on that specific point, but we went with the first version because it was very well-matched.

Moreover, I was surprised by how flexible they were. At that time, they were working on no other project, so the team we were working with was purely focused on us.

Are there any areas they could improve?

They were very flexible, so no improvement was needed. When they grow, I’d like them to keep this focus on one company because I’ve worked with different companies, and they lose focus when they take on too many projects at once.

Do you have any advice for potential customers?

Describe the project you want to do with Memory Squared in as much detail as possible. If something isn’t said, the work will be extended. We had a couple of hours to brainstorm in the beginning where we got asked unexpected questions, and they did their research on us. I could see they already had experience, so my tip is to expose the project in detail so the work will move fast.

We wanted to create a new mobile app.

What was the scope of their involvement?

Memory Squared has developed our mobile app, which is functional on both iOS and Android. We already had a concept and a prototype design, but their team still has been improving the UX design, although there wasn't much to improve. Memory Squared has also helped us develop the frontend and the backend. I don't know much about technology, but I think they’re using React. Moreover, they've developed the API integrations.

The project is almost complete. Currently, we're basically just waiting on Apple to accept it into the App Store. Apple has provided feedback regarding required small changes.

What is the team composition?

We’re working with around six teammates from Memory Squared. Mateusz (CEO & Product Designer) has been in charge of coordinating everything, so I've mainly been in touch with him. Still, there are others working on the app.

How did you come to work with Memory Squared?

I found them on a website that had good reviews about Memory Squared. Still, we wrote to seven different companies, and we decided to go with Memory Squared after a call with Mateusz. They seemed really motivated, interested in the project, and understanding of the concept we had developed, so we decided to go with them even though they were more expensive than some competitors.

We've spent close to €100,000 (approximately $112,000 USD).

What evidence can you share that demonstrates the impact of the engagement?

We haven't launched the app yet, so we don't have any metrics. As for the quality of their work, Memory Squared has been very on-point and flexible. Whenever we've had issues with bureaucracy, they've put their team on hold so that we don't waste money. Moreover, whenever there have been points on which we disagree, they always focus on solving differences very quickly.

I've worked with multiple other agencies on other projects, but now I'll come back to Memory Squared when needed.

How did Memory Squared perform from a project management standpoint?

Memory Squared is very communicative, and they’re better at sticking to the schedule than I am. We use Asana and Figma to collaborate. My prototype was originally on Figma, so Memory Squared integrated it into their workflow — they were really flexible about that as well. Something that has helped Memory Squared a lot is that everything they need is already on Figma. 

We also use Google Workspace to exchange documents and texts. Although we have meetings every two weeks via Google Meet, most of our communication is text.

I would like to give a shout-out to Mateusz.

What did you find most impressive about them?

Memory Squared's most impressive assets are their people and the way they figure things out. They've been very polite, so I've never felt like I'm working with a company. Instead, I feel like I'm working with friends.

We looked for a company with expertise and a good track record with software development solutions.

What was the scope of their involvement?

Memory Squared provides us with software development services. Initially, we didn’t know what type of software we would need to create, but we had a description of what the solution could potentially be. Memory Squared has helped us scope the project to find the solution's architecture. They’ve determined that the end client needed a web app and have developed it. 

Currently, Memory Squared provides maintenance and support services for the live web app and probably will until the end of 2024.

I had one main point of contact and spoke to three different Memory Squared teammates, including Mateusz (CEO & Product Designer) and Rafał (Full Stack Developer).

I found Memory Squared online; I often browse Google for companies in the countries from which partners we've had experience with are. I look at companies’ websites and their projects before approaching them. Through companies’ websites, I assess whether they could be a good fit for us. 

Initially, I made a list of 10 development agencies I thought were similar and contacted them. Ultimately, I chose Memory Squared for this project.

What evidence can you share that demonstrates the impact of the engagement?

The final product Memory Squared has delivered has exceeded my expectations. We haven’t had any issues with the solution since it was launched; it works smoothly. My client and I are happy with the results. Moreover, this project will probably help us get more work with clients in the near future, so everyone in my company is very excited. We hope to have more projects for Memory Squared in the coming months. 

I’ve already told Mateusz I’ll become a salesperson for Memory Squared in Sweden because their services have been so good, and I’m happy to work with them. I’ve had experience working with other development companies in European countries, and none of them have come close to the work Memory Squared has done.

How did Memory Squared perform from a project management standpoint?

The team has carefully specced the work and been transparent with us from the beginning about what they were building and why. They’ve delivered the solution on time every step of the way, which has been impressive given our timeline. Even though our client doubted the deadline could be met, Memory Squared has delivered. 

The entire project has also been very well communicated. Mateusz has been very clear to me about all the decisions needed and the consequences of those decisions, depending on the route we took. Working with Memory Squared has taught me some lessons on how to be a better project manager. As for tools, we communicate through a shared Slack group they've created for us.

Mateusz has been extremely helpful every step of the way. He’s been proactive in solving the project’s challenges before I recognize them. Moreover, Mateusz has guided me in presenting and getting our tech stack approved and has managed the project carefully from Memory Squared’s side. 

Additionally, although I didn’t have much contact with Rafał, he's been excellent at leading the technical side of the solution build every step of the way, and we’re delighted with the results. 

What did you find most impressive about them?

I’m impressed with how proactive Memory Squared has been with such vague project requirements — it’s one of the reasons I hired them. Initially, I had challenges putting together a project definition because it was beyond my expertise. Memory Squared has guided me in finding the solution along the onboarding process. Moreover, they’ve been very friendly and creative throughout this process. 

Are there any areas they could improve?

They don’t need to improve anything at all — Memory Squared’s performance has been as good as it could have been. 

Do you have any advice for future clients of theirs?

I don’t have any advice on improving their work because Memory Squared is the best partner I’ve worked with so far. However, I would tell friends that Mateusz and his colleagues are highly ambitious and creatively driven. We commissioned Memory Squared to design the UX/UI screens for our language learning application. The primary objective was to give this product a modern and professional look while simultaneously improving the user experience. It was extremely important for us to make a language learning experience plausible and engaging for users while having all the necessary functionalities.

The first meeting was a comprehensive workshop focused on identifying the problems with our existing design and UX/UI flow. The Memory Squared team came exceptionally well-prepared; they had already familiarized themselves with our proposed design and brand identity. They also conducted thorough research on our market competition. This level of preparation demonstrated their commitment to understanding our needs and set a positive tone for the rest of the project.

As the design process began, Memory Squared shared their progress with us through Figma. This platform enabled us to see the changes being made in real time and provide immediate feedback. The ability to collaborate in such a dynamic way was invaluable, as it allowed us to feel involved in the design process and ensured that our vision was accurately translated into the final product.

One of the key areas of focus was improving the visual appeal of the lessons and exercises, as well as deleting functions that were unattractive or inconsistent with our app vision. Memory Squared introduced a sleek typography, and intuitive icons that made the interfaces more attractive and user-friendly, while maintaining brand rules that define our product. Every time they offered us multiple choices of design for us to choose from. They also restructured lessons modules to ensure that important options were easily accessible and that the overall flow was logical and efficient. This user-centered approach ensured that the final product was not only visually appealing but also highly functional and easy to use.

Throughout the project, the communication and collaboration with Memory Squared were exceptional. Their team was always available to answer questions, address concerns, and provide updates on their progress. They demonstrated a high level of professionalism and expertise, which gave us confidence in their ability to deliver a successful outcome.

By the end of the project, we had a complete look of every functionality and every screen of our app that was not only visually stunning but also highly functional and user-friendly. We also received a list of functions that could appear in the app in the later stages of its development, which was very thoughtful. 

Overall, our experience with Memory Squared was outstanding. They exceeded our expectations in every aspect of the project, from their initial research and preparation to their innovative design solutions and commitment to user-centered design. The weekly sprints and real-time collaboration through Figma were instrumental in achieving a successful outcome, allowing us to remain agile and responsive throughout the project. Memory Squared carefully analyzed my needs, proposed a solution, and then brilliantly executed the objectives. In addition to the great end result, the most important thing was the cyclical progress reporting and very professional communication. At every stage I knew what to expect.

The work was structured into weekly sprints, with virtual meetings held at the end of each week. These meetings summarized the work completed during the sprint and outlined the scope of work for the following week. This iterative process ensured that we maintained a high level of communication and could quickly address any issues or changes that arose.

Each week, the Memory Squared team presented their work, which included new design elements, UX/UI improvements, and enhancements to the overall user experience. They incorporated our feedback seamlessly, demonstrating their flexibility and willingness to adapt to our needs. The iterative nature of the sprints meant that we could see tangible progress each week, which kept the project momentum high and both teams engaged. We were also receiving a written summary by email to keep both teams on the same page and to ensure the clean communication between us.

The measurable outcomes included a significant increase in user engagement in initial tests, and highly positive feedback on the usability and aesthetics of the interface. These results surpassed our initial expectations and benchmarks. The customers are pleased with the platform onboarding structure designed by Memory Squared and are positively reacting to the general product’s usefulness, considering it easy to understand and plan their travel.

Memory Squared exhibited exceptional project management skills. They consistently met deadlines and were highly responsive to our needs, making adjustments to the project scope dynamically based on ongoing feedback and testing results.

The project was first discussed in the virtual workshops, where we decided on the changes, started to create a draft of the design, and created the roadmap of changes, considering our schedule and the amount of time needed to develop them. We talked about the product structure, and the Memory Squared team beautifully mixed our suggestions with their experience in this branch, creating a personalised look that reached our expectations. Another workshop was completely dedicated to user journey mapping, in which we heavily trusted the Memory Squared team’s familiarity with modern trends and strategies to make the process clean and smooth for our potential customers.

Then, we cooperated with Memory Squared on the designs itself. The possibility of seeing real-time changes in Figma helped with the coordination, as we didn’t have to wait for the designers to send us their work – we could always open the tab and see them but also leave our real-time comments concerning the changes. The web platform and mobile versions were designed simultaneously, so we could see the differences between them and the impact of the changes. This level of collaboration ensured that our vision was accurately translated into a functional and visually appealing product.

Then we went into the testing stage, in which we also participated. Our employees were also able to test the app on the web and on mobile and leave their own impressions. This gave us a real connection with our work and a mutual understanding between our point of view and the designers’ point of view. We cooperated during the testing stage on perfecting the design and made minor changes to the user journey, as our employees found some features not ideal. The iterative process of testing and feedback was invaluable, as it allowed us to refine the product continuously and address any issues promptly.

Overall, the cooperation was pleasant, as we were able to reach a compromise between our vision and the technical ability to reach it. We commissioned Memory Squared to redesign existing data tools and analytics workbook templates. The goal was to give the products a facelift to look more modern and professional and, at the same time, improve the user experience. All designs were delivered through Figma.

What were the measurable outcomes from the project that demonstrate progress or success?

Interactive prototypes were shared with us through Figma. Our team conducted an in-depth review to ensure the designs aligned with our branding and incorporated all the essential functionalities and intricacies of our data tools. Data Visualization was also a big aspect of this project. The charts underwent a redesign process to look more visually appealing while effectively conveying key data insights.

Memory Squared is very prompt and professional. We had regular sprint meetings throughout the project, from setting project goals, understanding the data tools and current challenges, keeping us updated on the progress and also applying the feedback given to the designs.
